1 How to create a news item Adding the news widget Adding a news item Adding a widget image to a news item The Newsroom For any news item to appear on its relevant landing page as well as the relevant audience page in the Newsroom, all pages must be tagged appropriately and saved under the corresponding page in the Newsroom. All news items MUST be created and saved under the page titled Newsroom. Adding the news widget 1. Before you add your news item navigate to the page that you would like the news widget to appear on. 2. Ensure that you have a sidebar folder for this page. 1
2 3. In the Metadata of the page that you would like the news widget to appear on, navigate to the News source (under Utility > Widget). Un-tick the Use default option and in the drop-down box select where you would like your news to come from eg Research, Community and alumni, Industry etc. 2
3 4. Next, click Select in the News Link section. The News Link determines which section of the newsroom users will go if they click the news hyperlink in the news widget. 3
4 5. In the Asset Finder, navigate to the audience area in the Newsroom that you would like your news widget to link to. 6. The audience you selected should now appear in the News Link section. 7. Click Save Example: the research landing page s News Source is set as research and the News Link is also set to research. If you would like to pull this news onto your lower level page you can select research. All news items created and tagged for research will appear in this widget. 4
5 Adding a news item 1. Click on the New button in the top left of the menu bar. 2. Select News Item under the Pages tab on the left. 3. In the Name field enter the name of the news item. All headlines should be no longer than 19 characters (including spaces). 4. Change show in menu to No 5. Click on Select New Location. 5
6 6. Navigate to University of Newcastle > Newsroom and then select where your news item will be saved then click Select in the bottom right. In most instances the news item should be saved according to the navigational structure of the site so you should save it where it is going to be shown, i.e. Research news items under the Research folder, Research Centre stories under Research > Institutes and Centres. News items should also be saved at the highest point in the navigational structure. So if your news item is for the home page, or a landing page, it should be saved under home or the relevant landing page folder. If the news item is for the home page please check with the Media Team to confirm permission first. 7. Click on the Create button in the bottom right. 6
7 8. Your news item has been created. Click on the Edit button to add content. 9. In the Details tab add a headline for your news item and a contact name and phone number (if applicable). 10. Click Save in the top right hand corner. 7
8 11. Click the Content tab to add your content. Select the Summary container first and write the first sentence of your article. The first few words in the Summary container are shown in the news widget. Next, select the Body container and add the rest of your content. The summary section will appear in the widget. This should be no longer than 120 characters long, including spaces (try to capture the story as you would if you were writing for twitter). If the summary is too long, content will cut off in the widget. 12. Click Save in the top right hand corner. 8
9 13. Click on the Metadata tab. 14. Scroll down to the section called News and Events. 15. Unclick the Use default box at the top of the News Type(s) section You can select multiple areas for your news item to display. Please keep in mind who your audience is and whether your news item is relevant to the area you are tagging it for. 9
10 16. Go back through the News Type options and select the pages where you would like your news item displayed. All news will be approved by the Media and PR Manager. 17. If your article mentions a particular person you may want to tag this news item to their profile. To do this, select Ad Hoc News Type, unclick Use default and add the person s first name and last name separated by a dash ie Jane-Smith. If there is more than one separate the names with a semicolon with no spaces. Eg Jane- Smith;John-Smith. Add the name here in the format: Jane-Smith 18. Display Related News will automatically default to yes but if you would like to change this option, untick the Use default box and select No. Related news is grouped by tags i.e. if you have selected your news item for the Research landing page then your article will display all other stories tagged for that page. If you have two or more tags then the article will pull the latest news with the same tags. 19. If you would like to add an contact you can add the address in the Contact field. 10
11 20. Scroll down to the Dublin Core section. In the D.C Subject field, unclick Use default and enter your news headline followed by The University of Newcastle, Australia e.g. HMRI Professor Roger Smith is named Member of the Order of Australia, The University of Newcastle Australia. 21. In the D.C Description field enter a brief description of the article or alternatively, you can enter your summary sentence. Note: You must complete this section as it will appear in the news widget. 22. You can now set the date of your news item. You can set this under Dublin Core Dates at the bottom of the metadata page. Unclick Use default and change the date in drop-down boxes. 11
12 23. Click on the Save button in the top right corner. 24. Your news item is now added. You can preview your content by clicking on the Preview tab in the top menu. 25. You will now need to add a related image to your news item using the instructions Adding a widget image to a news item below. 26. Once you have uploaded and added a related image to your news item, you will need to return and apply for approval. Note: Do not submit a news item for approval without adding a related image first. -All news and events will be archived automatically after six months. 12
13 Adding a widget image to a news item 1. Click on the New icon in the top left of the menu bar. 2. Select Image under the Files tab on the left 3. Find the file you would like to upload by clicking on the Choose File button. You will need to ensure your image is the correct size before uploading to Squiz. News widget images should be at least 600 x 600 px, preferably, 1500 x 1500px. 13
14 4. The File Upload window will be displayed. Navigate to where you saved your image and select the Open button at the bottom of the window. 5. Enter a name and Alt text for the image. As the widget image will be hyperlinked the Name and Alt text can be the news heading. Alt text, or alternative text, is used to describe an image for users who may have certain functionality turned off or are using a screen reader, eg those with vision impairment. Alt text is critical to ensure we achieve WCAG 2.0 compliance. All widget images should contain the appropriate Alt text. If you are using a stock photo and your image is purely decorative, you can select decorative only. 6. Change Show in menu option to No and as this is an image for a news widget you do not need a caption. 7. Click on Select New Location. 14
15 8. In the Asset Finder navigate to where you saved your news item and save the image under the item. 9. Click Select in the bottom right corner. 10. Click Create. 11. Your news widget image has been created in the system. Click Edit. 15
16 12. You will be taken to the Details screen where you will need to change the Title to the same name as the news article. You should also double check your file name and Alt text. You should not need to make any other changes. 13. Once you have completed all the necessary details, select Apply for approval in the Change? dropdown box. 14. Click the Save button in the top right corner. 15. To link your photo to the news item, go to the Asset Finder button on the top right. 16. Within the Asset Finder, navigate to your news item (this should be under University of Newcastle > Newsroom) and click Select 17. Click the Details screen. 16
17 18. Under Related Image click Select. 19. Within the Asset Finder navigate to where you saved your image (this should be under your news item) and click Select. 20. Click Save in the top right. 21. At the top of the Details select Apply for approval in the Change? dropdown box only do this once you are satisfied you have completed all the necessary steps. Do not select the Cascade status change option. 22. Click Save in the top right. Once your news item has been approved you will need to re-open both the news and image assets, navigate to the Details screen and select Make live in the Change? dropdown box. NOTE: Please ensure that your image asset is made live before setting the news article live. 23. Click Save. 17
