1 How to: use Relativity s Document Viewer Mode This document will walk you through each option of the Document View Selector shown in Figure 1. Clicking on a document in your Document list window launches the View Selector. The view selector will display a list of radio buttons for each available view for that document. If a radio button does not display then this option isn t available for that document or the user doesn t have the appropriate access level. We hope this is information is helpful and if you need any other assistance please feel free to contact our support department at websupport@epiqsystems.com Viewer The Viewer as shown in Figure 1 is a high fidelity rendering of your native case document. The Viewer can render over 100 different file types and display your file in an easy-to-read print preview style. Additionally, the Viewer allows you to move through an assortment of multi-type documents quickly and seamlessly--like turning pages in a book. Figure 1 The chart below was created to assist you in working with the Viewer Toolbar. Zoom In/Zoom Out; is used enlarge or shrink the viewable document. The percentage in the window is the percentage of change, 100% is the normal viewing size. Only available in Draft and Normal mode Reset Font Size; is used as a quick zoom restore. Clicking this icon returns the zoom to 100%. Find Previous, Find Next; are used to find terms typed in the Find window. Clicking the Left Binocular is Find Previous. Clicking the Right Binocular is Find Next. Draft Mode; is used as a condensed viewing mode where margins, headers and footers are removed. The mode is similar to Microsoft Office Draft Mode. Normal Mode; a variation of Draft Mode. Preview Mode; is used as the recommended mode for document review. This is a print preview mode where all header and footer information is shown. 2 Print; Change visibility; clicking this icon changes the visibility of your search and/or persistent highlighting. Go to Previous Annotation and Go to Next Annotation; is used to move through the previous highlighted terms in the document. Previous Highlighted terms are those terms identified by your case manager and preloaded into your case database. About; provides you with the current release of the Relativity Web Client software. Native There are two options for opening a native file in Relativity. Clicking the Native radio button and clicking the ICON near the DOCID as shown in Figure 2. Clicking on either option will prompt you with a download option to Save or Open the file on your local computer. Opening files in native mode requires that you have that application software residing on your local computer. The active document is downloaded to your computer and opened in that local application. Figure 2 Image The Image radio button as shown in Figure 3 is used for Image review and for creating redactions. The active document s TIFF is displayed. A TIFF is essentially a picture of your file and all redactions are made on those TIFF images. Figure 3 If the Image radio button isn t showing in the Document View Selector, as shown in Figure 4, then your active document does not have a TIFF image. 3 TIFF on the Fly You can create a TIFF by using Relativity s TIFF on the Fly feature. To select TIFF on the FLY click the Image button as shown in Figure 5. A Relativity processing message displays while the TIFF s are created and saved to the database. When complete, your document s TIFF displays in the viewer and an Image radio button is added to the Document View Selector. TIFF on the Fly creates a copy of the file as displayed in the viewer what you see is what you get. Once a TIFF is created you will not have to create another. Figure 5 Redactions To draw and save redactions, click the Image radio button. The chart below was created to assist you in working with the Image Toolbar. Zoom In/Zoom Out; is used enlarge or shrink the viewable document. The percentage in the window is the percentage of change, 100% is the normal viewing size. Fit Actual, Fit Width and Fit Page; is used for quick zoom navigation. Fit Actual zoom is 100%. Fit Width zoom is 125% and Fit Page zoom is 53%. Rotate Clockwise and Set All Images to New Rotation; is used to rotate the entire document. First click is a 90 degree rotation, second click is a 180 degree rotation, third click is 275 degree rotation and the fourth click returns the entire document to is original rotation. This is an entire document rotation. Rotate Clockwise; is used to rotate the displayed page. First click is a 90 degree rotation, second click is a 180 degree rotation, third click is 275 degree rotation and the fourth click returns the displayed page to its original rotation. Print; allows you to print all images in a multiple page document, current image or a range of images, print a slip-sheet, add a Stamp Identifier and Stamp Location. The chart below was created to assist you in working with the Redaction Tools on the Image Toolbar. Switch to Normal Mode; is used as a toggle between the redaction tools. Clicking this icon allows you to also resize or move your selected redaction Switch to Highlight Mode; is used for creating highlights on your document. Switch to Redact Mode; is used to draw a simple black box over small text that may be too small for the Text Redaction tool. In most cases the Text Redaction tool is used for consistency in redactions even if the area is small. Switch to Redact with Text mode; allows you to redact out sections of your document with a word or a phrase. How To: use Relativity s Document Viewer Mode Version 1.1 Page 3
4 Change Markup set visibility; clicking this icon changes the visibility of your redaction. Extracted Text The Extracted Text radio button as shown in Figure 5 displays the text of the document. Extracted text is non-formatted, plain text. This is the document content that the search engine uses to find search hits. For details on the toolbar for Extracted Text refer to the Viewer Toolbar. Figure 5 Productions The Productions radio button as shown in Figure 6 allows you to see produced images for this document. You are able to see the images exactly as they were produced. If a document was produced more than once, then a drop down menu is available allowing you to see the TIFF images for each production. Each production has an associated markup set. Markup Set Markup sets are securable sets of redactions and highlights. If multiple Markup Sets exist they can be found at the bottom of the screen as shown here in Figure 7. 5 Figure 7 Redactions A markup set stores the redactions that will apply to the production. You can only produce from one Markup Set at a time. Persistent Highlights Your case may have terms identified by your case manager and pre-highlighted in the document s. These terms are called persistent highlights and multiple sets can exist. Each markup set can have a list of terms that are persistent highlighted.
