Creating and Updating Websites 2013 In-Service Training Supplement
Editing Official Websites (ie Departments)
Official Websites Who to talk to: Confusing? Here s what you need to know: Webpage content is stored in the (X:) Drive Navigation menus are best made/edited by web people You must use PHP files, not HTML and PHP files must include a unique set of codes (more on this later) You MUST update the Websmith Database with all your webpages
Official Websites Who to talk to: Here s the takeaway: There are a lot of processes that need to work together. If files are not created or maintained properly, things will not work correctly.
Managing Content
What is Content? Who to talk to: Web content is text and imagery that a user encounters Specifically for us, this is: The text people read on our pages Photos Documents that students download

Content Organization Who to talk to: Content stored in X Drive
Finding your stuff Who to talk to: Let s pretend we re editing the History Department website. As you browse the X Drive, you will notice that you only have permission to access YOUR folders and files. If you don t have access to your folders, contact UCS. (ext )
Things to notice Who to talk to: The home page is called index.php
Things to notice Who to talk to: All of the webpage files are PHP and not HTML
Things to notice Who to talk to: Documents for downloading or printing are stored in a specific folder Images are stored in a specific folder To keep the main folder free of clutter, folders are used to organize papers, photos, galleries, and sub-group webpages.
Things to notice Who to talk to: Folders should be free of clutter: Organize files for easy maintenance Delete unused or old files
What happens when you don t delete old files.

What you see on the web is not the whole story
Things to notice Who to talk to: The dangers of not deleting old files: Search engines will link to the wrong webpage Students are referencing wrong information The vast majority of these files are undeleted old files. Anyone can still browse them. Donors are viewing old webpages YOU MAY NEVER BE AWARE OF IT
OK, let s create some content.
Two options: Who to talk to: Have UCS or web people create the files for you then you fill in the content later. or Create the pages yourself, using a little bit of understanding of code. (Tutorial at: ) Either method requires you to first use the Websmith Database to create a page record.
What is Websmith? Who to talk to: Database for managing: Meta-Data (titles, keywords, description in search engines, etc.) Navigation How WOU.edu displays and interacts with your webpage
websmith.wou.edu Danielle Gauntz has put together a quick walkthrough of creating a new page in Websmith: th-creating-a-new-page/ Similar information is presented in the next few slides in more detail.
websmith.wou.edu Who to talk to: Your login is the same as your regular network/ login
websmith.wou.edu Who to talk to: Once logged in, you will see a list of websites. Only websites you have permission to edit will show up. If you don t see the website you want to edit, contact Ron Swartzendruber (swartzer@wou.edu) at UCS.
websmith.wou.edu Who to talk to: Let s pretend we re editing the History Department and want to create a new page Click New Page
websmith.wou.edu Who to talk to: The page URL is related to the file s location in the X Drive
websmith.wou.edu Who to talk to: In this case, the file will be located in X:\las\socsci\history\events and will be named tutorial.php
websmith.wou.edu Who to talk to: The Page Title is what will be displayed at the top of the internet browser when on that page.
websmith.wou.edu Who to talk to: The Meta Description is a summary of the page that might be displayed in web searches.
websmith.wou.edu Who to talk to: The Meta Keywords are keywords that will be picked up in web searches.
websmith.wou.edu Who to talk to: If you choose NOT to print the sidebar, the left hand Navigation Column will not be shown. Link file is the default Navigation file, it is best to leave these options to the web people
websmith.wou.edu Who to talk to: Page Notes are private reminders or comments that you can store. They are displayed whenever someone looks at this page record in Websmith, but are not public.
websmith.wou.edu Who to talk to: When you re ready, click Create Page
websmith.wou.edu Who to talk to: Read the message that is shown on the top of the screen! Save the Page ID the page ID and URL to and UCS will create the file in the X Drive for you.
websmith.wou.edu Who to talk to: If you don t want to wait for UCS, there is a workaround to create the files yourself. However, it requires understanding code (and using Dreamweaver or a text editor). Tutorial at:
More Websmith Information Who to talk to: In the Main Menu Clicking List pages will show all of the page records for your website.
More Websmith Information Who to talk to: In the Main Menu Clicking Edit Subsite will open a page where you can edit information about your website.
After clicking List pages. If you click Edit, the page we filled out when creating the webpage will open. There you can edit information like its description, title, etc.
After clicking List pages. If you click Delete, the page record will be deleted. HOWEVER, the file on your (X:) drive will NOT be. Make sure if you delete one, you delete the other.
After clicking List pages. If you click on the URL, it will take you to the actual page itself.
If you click Edit subsite settings, you can edit information on your website (this is the same link as on the main menu).
After clicking Edit subsite. The Contact Name is used internally by UCS for record keeping purposes. Whoever is in charge of the website should go here, it will not show publically.
After clicking Edit subsite. This information WILL be displayed in the footer of the page
After clicking Edit subsite. If you want more information displayed in the Contact section of the footer, you can use this option. It requires a little extra effort though, and some tutorial from a web person
After clicking Edit subsite. Put the path to desired navigation files here. Usually the web people will do this, and it isn t recommended that you modify navigation without getting some tutorial first.
After clicking Edit subsite. More notes/reminders that can only be seen inside Websmith
Things to remember Who to talk to: If you delete pages on the (X:) drive, you need to delete the pages in Websmith If you move pages on the (X:) drive, you need to edit the URL/Path in the page record in Websmith If you delete webpages in Websmith, it does not delete the actual files. People can still view them (but stuff won t work right).
Now let s edit our files and add content.
Software to use: Contribute Most user friendly way to edit webpages Dreamweaver More complex, but can do more functionality Photoshop or Fireworks Use to edit photos In order to access software, you must use the Remote Desktop.
Remote Desktop Danielle Gauntz has put together a quick video walkthrough of connecting to the Remote Desktop: Similar information is presented in the next few slides in more detail.
Remote Desktop On a Windows PC, the Remote Desktop Connection is located in the Start Menu, under All Programs, in the Accessories folder. (Start All Programs Accessories) Often a shortcut is on the Desktop or in the Start Menu Sometimes called Terminal Server Sometimes called Remote Desktop Connection For Mac users, instructions on connecting to the Remote Desktop are at
Often on the Desktop as shortcut Terminal Server Or you can type Remote Desktop Connection in the search box.
Remote Desktop Connect to computer named ts.wou.edu If this warning from Windows comes up, go ahead and click Yes. Don t always ignore these messages, but in this case it s safe to do so.
Remote Desktop Use your normal network/ username and password here.
Notice that the Remote Desktop is displayed in its own window. You are essentially logged onto another computer, and this window is your monitor. You can use the same keyboard and mouse but you cannot copy files from one desktop to another.
However, notice that your Remote Desktop has access to the same drives and folders as your normal computer. Thus you shouldn t need to copy files back and forth, as long as they are saved in a networked drive.
Remote Desktop Software Your Remote Desktop has access to software that your normal computer does not. The software needed for editing websites (among other things) is only accessible via the Remote Desktop.
Open Contribute Run the software named Contribute You will use this to edit your website.
Contribute Connection If you have never used Contribute to edit this website (or it has been many years), you will need to Create a Connection. Danielle Gauntz has put together a video walkthrough of creating a connection: g-a-contribute-connection/ Similar information is presented in the next few slides.
In the Edit Menu, click My Connections
In the window that opens, click Import
Navigate to the folder on the X Drive that your website is located
In your website folder, look for a folder labeled _mm Open it
In the _mm folder, look for a folder called publisher Open it
Select the file (connection key) that is located in this folder. The end of the name should be -Publisher4 If it is not, contact Ron or Danielle.
Type in your full name as your name. The password is always publisher4 (all lower case) Once you finish importing the connection key, you can close the My Connections window
Type in the web address for the page you want to edit. You can use Contribute like a web browser, and browse to the page you want.
If it has Create Connection in this part of the page, then something is not right. Either you need to import a connection key (like we just saw). Or the connection key you imported doesn t work with this page. Contact Ron Swartzendruber or Danielle Gauntz to rectify.
It should say Connect if everything is set up properly. Click Connect to edit the website/webpage
Then click Edit Page
When you re done editing, press Publish. If you don t want to save the changes, press Discard Drafts. DON T exit the page/program without doing one or the other. Contribute will lock the file, and you will not be able to edit it until the next day (or contacting UCS).
voilà You ve edited a webpage
Tutorials on Contribute Danielle Gauntz has many worthwhile tutorials on Contribute in her blog: Her quick overview of Contribute features: e-cs4-basic-features/ Her review of how to setup a Contribute Connection:
Things to remember You must use Remote Desktop to edit webpages All web content must be stored in X Drive folder Do not close Contribute without clicking Publish or Discard Drafts (it will lock the file otherwise) Contact UCS (Ron Swartzendruber or Danielle Gauntz) for help setting up Contribute Connections
What about navigation?
Navigation Files Who to talk to: Navigation files are tricky If they are misnamed disaster If link to the navigation files in the Websmith Database isn t correct disaster All links in navigation must be relative to
Navigation Files Stored in X Drive in different location than your content X:\include_files\subsite_files\[Your Website Name] You need permission from UCS to access folder Requires an extra level of understanding code to modify Must use Dreamweaver or a text editor to edit Recommend asking web people to edit for you
Navigation Files Sidebar navigation, often called [website name]_ left_nav Main or top navigation, often called [website name]_nav
That s probably sufficiently confusing. Please ask questions, we re paid to answer.
Questions? Contact the UCS Help Desk Ext ( )
