Publisher Dashboard Overview RedLink Publisher Dashboard Overview January 2018 RedLink Publisher Dashboard provides sales teams with convenient and powerful tools to visualize and analyze usage data, customize reports, and gain actionable insights that help you retain customers and drive new sales. Quick and easy to use, it helps you to identify opportunities to improve service, sell new content slices, or upsell to current customers. Publisher Dashboard is a cloud-hosted software-as-a-service (Saas) application that requires no installation, receives updates and upgrades seamlessly, and provides a high level of performance for all users. It is also secure, with two-factor authentication via RedLink Network for all users. This overview is intended to provide a quick start for you and your team. If you need further support, please use the Support button in Publisher Dashboard to alert our support teams, who will respond within 24 hours. 3 III. The Publisher Dashboard Homepage A. Purpose The Publisher Dashboard homepage provides an overview of usage trends and access to the core tools in the product. It also stores pinned (saved) reports for the team and for each individual user rev.0 Page 3 of 19
4 B. Summary overview reports The top three widgets on the Publisher Dashboard summarize key trends worth monitoring. i. Top Increasing Denials Displays sources where denials (turnaways) are up 30% or more over the preceding month (e.g., September vs. August). Clicking View All provides a full list of customers in this category. ii. Expiring Subscriptions This alerts users to subscriptions that fall within 6 weeks of the expiration date. Clicking View All allows you to see more detail. Note: We must have your license file (optional) for this to function. iii. Top Decreasing Usage Displays sources where usage has dropped 30% or more from the prior month. Clicking View All provides a full list. The Top Customers pie chart provides an overview of the distribution of usage or denials. iv. Top Customers by Denials, Full Text Usage, Abstract Views, or Pay-per-Views Provides an overview of the top 20 customers by the metric you select. Denials is the default, but you can change the metric by using the dropdown menu located to the upper right of the chart rev.0 Page 4 of 19
5 v. Export menu whenever the export menu is present on a chart or graph, you can click and select to download the chart/graph as an image, or export the raw data in Excel. The My Dashboard area stores saved reports for you and your team. If you have a report you want to run or view on a regular basis, you can save the report to your dashboard by clicking on the pin icon at the top of the report by report s name. It will then be saved to your dashboard. If you want to make this report visible to everyone on your team, you can modify the settings (the gear icon), and select a Team Dashboard to place it in. You can also modify the name of the saved report using the setting (gear icon) rev.0 Page 5 of 19
6 IV. Navigation You can navigate Publisher Dashboard in a number of ways by using the Search Customers bar, or by using the menus. A. RedLink> Publisher Dashboard Icon returns you to the homepage B. Quick Search start by entering a customer name or number. C. Dropdown Menus You can access report features, your profile, and SiteLeads (subscription required) here. V. Organization Publisher Dashboard is organized like an upside-down pyramid, with the broadest view of the data at the top, allowing you to drill down to more specific data using the tool. Customers These tools display aggregate usage data at the institutional level a. Customer Search Select Customer Search to look at a particular metric across all customers. The resulting list can be exported, and any view can be saved ( pinned ) to your dashboard. b. Business Intelligence Select Business Intelligence to view trends across the business. Again, the resulting list can be exported, and any view can be saved ( pinned ) to your dashboard. c. Business Intelligence Overview The Overview selection lets you see trends visually, and then use various tools to refine your selection. The visualization can be shared, and everything is clickable, so you can see the final report and save or share that, as well. Leads If you have a subscription to RedLink SiteLeads, you can access both the leads map, which offers a geographic view of all demand from accounts not in your customer database, as well as your list of new leads rev.0 Page 6 of 19
7 A. Search You can generate reports and view usage trends and comparisons by selecting various facets: i. Usage Set metrics, time period and scale ii. Content Type Choose from Journals or Books iii. Countries Select your desired country iv. Assignees View customers by assigned rep/agent v. You can eliminate filters by clicking on the x on the facet name in the blue oval at top of the page rev.0 Page 7 of 19
8 vi. Clicking on Name will sort by name; clicking on Denials sorts results from highest to lowest number of denials vii. Clicking on a result s name will bring you to a detailed usage graph for that customer 47 Graph for the chosen customer rev.0 Page 8 of 19
9 viii. You can compare up to 4 customers by ticking boxes and clicking the Compare Customers (4 Max) button at the top of the Customer Search page 2536 Graph for the chosen customers ix. Map feature Click on the Show Map button at the top of the list to access a heat map showing the distribution of customers geographically. 47 Shading for different countries indicates the number of relative accounts in that country rev.0 Page 9 of 19
10 B. Business Intelligence (BI) perspective The Business Intelligence perspective is designed to help you spot trends in customer usage or denials. The following filters are available: i. Time select time periods for comparison. Data can be compared 2 ways: a. Back to Back compares consecutive time periods such as last month to month prior to last month, or last quarter to immediately preceding quarter b. Year on Year compares time period to the same period during the prior year (ex. Jun Aug 2017 to Jun Aug 2016) ii. Metric select usage metrics you want to view: Full text, denials, pay per views, or abstract views iii. Content Type choose journal or book iv. Degree of Change percentage of change for time period. If you want to look at customers for whom denials are flat or up, select 0% to 100%. To see where usage is flat or down, select 0% to -100%. v. Usage Range Look at customers for whom overall usage is within a specific range rev.0 Page 10 of 19
11 vi. Export to Excel Click the Export icon at the top of the report to download in Excel. vii. Sort by name, change, or metric 1. Business Intelligence overview The histogram illustrates the distribution of usage across all customers. You can use the dropdown menus above to refine the view. Click on an individual bar on the histogram to access a list of customers within a particular range rev.0 Page 11 of 19
12 2. Customer detail From anywhere in the Dashboard, clicking on a customer name brings you to the customer details page. From there, you can access several dropdown menus: i. Usage tab Under the Usage Tab: a. Date Range user can select a specific date range b. Metric in addition to full text usage, you can view denials, pay per views, and abstract views c. Products - Compare up to 4 products and can toggle products on and off by clicking on Product name d. Content slices (also under the products menu) View usage or denials by the publication date of the content accessed. You can use default options (current year, 1-5 years, and 5+ years) or set your own to correspond with your backfiles/archives Resulting chart rev.0 Page 12 of 19
13 e. Customers Add additional customers to compare them by usage or another metric The initial search: Customer 1216 Click on the Customers tab And you can choose up to 3 additional customers to compare to Customer 1216 Resulting chart rev.0 Page 13 of 19
14 ii. Usage distribution Under this tab, you can see usage for the customer by title, discipline, and publication date. a. Date Range Change the date range to view a specific period in time. b. Metric Use the metric dropdown to view usage across titles for an institution. c. Content type Choose books or journals. d. Scope View usage by discipline, content slice (using the default options of current year, 1-5 years, or 5+ years), or bundles. (Note that we must receive a file of titles and corresponding subject areas to display usage by discipline.) e. More options Click here to view usage across titles published during a particular period. You can use the default content slices or create your own. iii. Usage Year on Year You can compare usage between years, change date ranges, and select what metrics you want to compare. a. Date Range Change the date range to view a specific period in time. b. Metric Use the metric dropdown to view usage across titles for an institution. c. Products You can choose to view usage for all journals or all books. You can also choose to view usage for an individual book or journal title (or compare usage of up to four titles) rev.0 Page 14 of 19
15 i. Revenue Under this tab, you can view actual usage for the prior year compared to projected usage for the current year. If you ve provided a pricing file, you can also compare actual and projected revenue generated by the selected institution. The pricing file will also allow you to view cost per downloads. To activate the cost-per-download view option, use the Scope dropdown menu. You can view cost per download for journals or books. ii. Subscriptions If you have provided us with your licensing file, this view shows a list of active subscriptions and their dates rev.0 Page 15 of 19
16 3. Consortia view For some customers, you will see a C displayed to the right of the customer name. This indicates that the customer is part of a consortium. Hovering over the C will display a list of institutions tied to the consortia. Clicking on any individual customer within the group will take you to the customer details page for that institution. To see usage within a consortium by individual member institution, there is an option under the Usage Distribution tab. On the dropdown menu Scope, the cluster members option will reveal usage or denials by the top 35 member institutions. To change the metric, use the metric dropdown menu. (To view the list in Excel, click on the export button to the upper right of the chart.) rev.0 Page 16 of 19
17 VI. Quick Start Guide A. How to Run Frequently Requested reports 1. Top 20 customers by denials (or another metric) with MS Excel download, from the Publisher Dashboard homepage a) Choose the preferred metric from the dropdown menu to the right of the pie (denials, full text usage, etc.) b) Click on the export button and select Download Excel Spreadsheet 2. All customers by denials (or another metric) including by country or rep, from the Customer Search Page a) Navigate to the Customer Search Page from the home page by selecting Search under the dropdown Customers menu at the upper right b) Now use the facets on the left to create your report. Under Usage, select Denials. c) Select Journal or Book under Content Type d) Now you will see a range of periods. Choose which period you want the report to cover (the last 4 weeks, 13 weeks, 16 months, or 12 months). e) After you select the desired period, you must select the scale of the report. You can choose to view all customers, or select customers within a particular usage band. f) Now you have a list of customers by your selected metric. Click on the column header Denials to sort the list by denials in descending order. g) (To see denials or other metric to a particular country, select that country under the Countries menu. If your desired country does not appear, click on More to access a search bar and find it. Similarly, you can limit denials or other metric to a particular rep/territory by clicking on the desired name under Assignees.) h) To download the report as an Excel spreadsheet, click on the export button at the top of the chart Button Report rev.0 Page 17 of 19
18 3. Usage report for a particular institution 1. If a customer wishes to view their usage (or other metric) for a particular period, you can do so from the customer details page. 2. Navigate to the customer details page by using the Search Customers bar at the top of the page. 3. Click on the Usage Distribution tab to see full text usage by title for the customer. 4. Use the date range menu to choose the requested time period. (Be sure to click on a specific day to activate the date range change.) Now the chart will display usage for that period. 5. Click on the export button to the upper right of the chart to download a report in Excel. You now have a usage report by title that you can share with the customer rev.0 Page 18 of 19
19 VII. Profile Photo/Icon Management To access the profile management functions, hover your mouse over your picture or the picture icon: A. Team Management You can add users to Publisher Dashboard by clicking the Add New User button (for the user designated as the manager of the account only) B.
