2 Oracle Employee Self Service Oracle Employee Self Service is similar to the Lawson ErNie system where employees are allowed to view, update or maintain personal or professional information. The information includes such things as address, emergency contact, PTO Balances, and history data. This is another avenue to access your personal and professional information. This is a self-paced course broken into four (4) modules which are designed to walk you through the functions available to employees through the Oracle Employee Self Service. 2

4 Getting Started How do I get started? The Employee Self Service (ESS) portal can be accessed using Internet Explorer or other web browser tools. Launch Internet Explorer and navigate to the Oracle Application using the following URL: 4

6 From your ESS responsibility Navigator, click Work Preferences to access preferences relating to work location, traveling, and relocation 6
7 After clicking the Work Preferences button, the form will be in edit mode. This page displays the current preferences. In the Domestic Options section click the checkbox next to all that the employee is willing to do: Work in Current Location Only this is driven by the position Work in All Locations this is driven by the employee Travel Domestically travel only within the United States Travel Internationally Willing to travel outside of the United States Relocate Domestically Willing to relocate within the United States Relocation Preferences Country preferred to work Work Duration Length of time willing be in the role In the International Relocation Options section click the checkbox next to all that the employee is willing to do: Relocate Internationally Willing to relocate outside of the United States Relocate to All Countries Willing to relocate to any country Preferred Countries Indicate countries where wiling to work Excluded Countries Indicate countries does not to work Click the Cancel button and Yes on the Warning page to return to the navigator Or Click Back to return to the navigator. Clicking the Next button to continue 7
8 After clicking the Next button, the Work Preferences: Review page displays Review your changes. All items that have been changed will have a blue dot next to them like. Click Submit to confirm your changes. Click Printable Page to print the summary of information. Click the Cancel button and Yes on the Warning page to discard changes and return to the Navigator page Click Back to return to the Navigator page After the Submit button is clicked, next the Confirmation form displays stating your changes have been applied. Click Home button to return to the Navigator page. 8
9 From your ESS responsibility Navigator, click School and Education to access education and training received 9
10 After clicking School and Education from the navigator, the School and Education: Education and Qualifications page displays with the qualifications and education (degrees, continuing education, etc) received. To edit an entry click the pencil listed in the Update column. To add a new entry, click the Add Qualification button. Click the Back button to return to the Navigator page Note: The process to Update or Add is the same with the exception of Type. Once the Type has been selected, it can not be changed through Self-Service. 10
11 After clicking Add Qualification or Update, the Update Qualification page, the details for one entry is displayed The Title, Study Start Date,,Actual Completion Date, Status, Grade, School, Attendance Start Date, Attendance End Date, and Full Time are fields for modification For the School, click the flashlight to select the name from list of values Click the Cancel button and Yes on the Warning page to discard changes and return to the Schools and Education: Education and Qualifications page Click Delete Qualification to remove the entry Scroll down to make additional updates Notes: All date fields will have a calendar symbol like beside them. All fields with a I next to them have helpful hints related to completing the field. Required fields are marked with * Lines that do not have an outline around them are not updatable. To modify contact your HR Representative or TAP. All fields with a flashlight indicates that there is list to select from for the field. 11
12 Continuing with the Update Qualification page, there are more fields to update Enter information in the fields such as Awaiting Awarding/Examining Body Capture special award or recognition Enter, Completed Amount, Completed Units, Total Amount, and Comments if applicable In the Subjects section, the a separate Subject page will appear for additions and changes. See next slide for details. Click the Add Subject button to create a new subject entry. Click the pencil in the Update column to modify an entry Click the trash can in the Delete Subject column to remove and entry Click the Cancel button and Yes on the Warning page to discard changes and return to the Schools and Education: Education and Qualifications page To remove an entry click Delete Qualification and Yes on the Warning page to discard changes. A Review page will appear to confirm and return to the Schools and Education: Education and Qualifications page. Click Next to continue Notes: All date fields will have a calendar symbol like beside them. All fields with a I next to them have helpful hints related to completing the field. Required fields are marked with * Lines that do not have an outline around them are not updatable. To modify contact your HR Representative or TAP. All fields with a flashlight indicates that there is list to select from for the field. 12
13 After clicking Subjects, the Subject page displays. This page is the location to enter all detailed subjects relating to a qualification Select a Subject Name from the list of values Enter the Start date that the course began Select the current status of the subject In Process Currently taking the subject Complete Completed the subject with the subject End Date Planned Have not started the subject, but planning to with the planned Start Date Click Apply to save and return to the Qualification page. The new addition should appear in the Subjects table Click Cancel to discard changes and return to the Qualification page Notes: Repeat the Add Subject process to enter multiple subjects. All symbol like beside them. date fields will have a calendar All fields with a I next to them have helpful hints related to completing the field. Required fields are marked with * Lines that do not have an outline around them are not updatable. To modify contact your HR Representative or TAP. All fields with a flashlight indicates that there is list to select from for the field. 13
14 After entering a subject and clicking Apply, the Qualification Information page appears with the subject(s) added Click Next to continue 14
15 After clicking the Next button, the School and Education: Review page displays Review your changes. All items that have been changed will have a blue dot next to them like. Click Submit to confirm your changes. Click Printable Page to print the summary of information. Click the Cancel button and Yes on the Warning page to discard changes and return to the Navigator page Click Back to return to the School and Education page After the Submit button is clicked, next the Confirmation form displays stating your changes have been applied. Click Home button to return to the Navigator page. 16
