1 AESenterprise Patch Update Notes v ( ) Adhoc Views A new adhoc view has been created called vadhocquestionsetup, which will contain all Questions Codes and their Questions, related answers and rules The adhoc view vadhocprograminprogram has been modified to add programcomments2, programresource2 and programstatus The vadhocencounter view has been modified to include CaseManager The adhoc view vadhocuserlogon has been modified to add DaysSinceLastlogIn, which is the number of days since the user's last successful log in The vadhocprogramsetup view has been updated to show Locations that are linked to Programs The adhoc view vadhocuserlogin has been updated so the trigger works correctly for LogoutTime and so will show the users correct logout time The adhoc view vadhocsnapshotincomeall has been modified to include NonCashDontKnow, NonCashRefused, NonCashNo The vadhocuserlogon view has been updated so the trigger for LogoutTime will work corectly. 2 47807 The adhoc view vadhocservices has been modified to add FundingCodeKey Adhoc views have been updated: vadhocactivities, vadhocprogramenrollment and vadhocsnapshotincomeall have these additional fields: AMIExact and AMIExactExit The adhoc view vadhoc_contract has been modified to add MeasureKey, Performance Number (from Contract Page/Meansurevalue table), and FundingCodeKey. Billing The Billing Batch pages have been updated so that searches will find and display all matching results correctly. CentralIntake A change has been made on the Central Intake Household page to add a checkbox for "unmergeable" clients. If the checkbox is checked, the Customer will not be displayed on the System library Data Merge page, and so will not be available to be merged A change has been made involving Consent Refused in Central Intake. If a customer has already been enrolled into a program, the customer's central intake record can not be changed to mark Consent Refused; the checkbox will now be grayed out on the demographics, household and easy entry pages. Also, a new table has been created, called MasterMapHistory, to track any changes to the MasterMap table, it will contain only those records from the MasterMap table that have been changed A change has been made to the version 4 Central Intake Household page to update the wording for the message that is displayed for deleted income to say "changed" instead of "deleted". The message will now read: 'The current income source must be updated before you can enter the new income source'. Jul 2013 Patch 208( ) Notes 2

3 41848 The household popup window on the household page has been updated so it will make the correct household member the head of household when moving multiple members to a new household. The selected member in the household dropdown will be the new HOH in the new household The Central Intake Sync popup window has been modified to allow adding as well as updating a snapshot. A new dropdown on the popup allows users to select Update or Append before clicking OK. Update will still update the last snapshot in the checked program(s). Append will create a new snapshot in the selected program(s); the new snapshot will be numbered sequentially The Central Intake Household page and Client Intake page income sections have been modified to display Quarterly Income The Central Intake Employment and Education page has been updated to change the label on Hourly Wage to Wage and also to change the format of the field to allow up to six digits. This will allow users to record an Annual Salary as well as an Hourly Wage The Central Intake Family Contacts has been modified to include a "Private Customer" checkbox. If the box is checked, the contact applies only to the selected customer. If the box is not checked, the contact applies to the entire household. The checkbox is displayed on the Client Intake Family Contacts tab, and in the Family Contacts popup available on the Demographics and Household pages. Coordinated Entry A change has been made for Coordinated Entry so that if a customer has been exited and is then re-entered into the program, the customer will appear on the waiting list in the top right grid on the Housing Referral page The Coordinated Entry Housing Referral Wait List Date function has been modified so that if a customer does not come through the 211 process and receive an appointment, but is entered directly into the program, the waiting list date will instead use the customer's program entry date. 4 47096 The Coordinated Entry report CEA_Report_About_Family_Assessment has been modified to include all documents added on the documents page to the end of the report. The documents will appear in the order they were added on the page The Coordinated Entry appointment process has been modified to allow for a primary and secondary appointment. Multiple appointment slots can now be created for a staff resource. When the 211 operator makes an appointment, the user can open a popup window displaying the available appointments for that time slot. If the staff already has one of their slots filled for that time period, the remaining appointment slot will be displayed in red. CustomerSupport A new message has been added to Customer Support for situations when a user is trying to attach a document to a ticket created on the Service Ticket page and the document is already open Customer Support has been updated to change the date field in the grid into a datetime type so that sorting by date will work correctly The Customer Service module has been updated to change the message that is displayed when there are not enough hours left to schedule a ticket for the selected month The Customer Service Ticket popup window has been modified to include a Subject field, so all tickets created by Users using the toolbar ticket button can now have a subject. DataConversion The Data Conversion page has been updated to change a change page parameter and allow the Refresh button to work correctly. Jul 2013 Patch 208( ) Notes 4

5 Financial Module The Financial Module Budget/Adv popup window has been modified so that a warning label will be displayed if the sum of all Allocated Amounts exceeds the Contract Amount. HeadStart The Head Start enrollment function has been modified so that when a student is dropped from a class, they will be placed automatically on the Waitlist to facilitate re-enrollment. This change is for Minnesota only; if other Head Start organizations would like this same ability, please request it in a ticket Two new reports have been created for Head Start: HSDisability and HSDisability_All; the first report lists all enrolled students disability information; the second report also includes students who are not enrolled in a class. HED The HED Economic Development Dev Programs and Services page has been updated to correct the spelling of the word Company. This update is for Chicago only The HED Economic Development Dev Case Notes page has been modified to remove the duplicate "&" symbol from the Milestones container. This update is for Chicago only The HED Economic Development Dev Client Profile page has been modified to correct the label for Year Business Founded. This update is for Chicago only The HED Economic Development Dev Org Profile page has been modified to change the Units label to Time Spent. This update is for Chicago only The HED Economic Development Dev Org Case Note page has been modified to increase the Company Name field length and also change the color to white. 6 47482 The HED Economic Development Dev Org Company Intake page has been modified to add a field for Property Owner. This update is for Chicago only. HMISServices The Track Savings page has been updated to correct the calculation function. The total was not displaying "0" and was instead rounding the number. Login A modification has been made to the Login page to allow Users to request their password information for a forgotten password. A link on the page allows the user to select , Telephone or Contact SA. When the user selects , they will be required to enter their Login ID and their address; when the user selects Telephone, they will be required to enter their Login ID and their cell phone number. The system will compare the User ID with the address or cell phone number entered on the Security library User page. If it matches, the system will send an or text message to the user with a new password. The cell phone number must be written in this format (xxx)-xxx-xxxx Organization The Question Template page has been modified to add Time as a new option for the Question Type dropdown list. Now Answers can be formatted to allow only time information An update has been made to the version 5 Funding Code page so that Funding Code names may be changed until any activities linked to the Funding Code have been used for a customer The Question Template page has been updated to add a new checkbox in the middle question container. The new Active checkbox will allow the user to display only active questions and hide all inactive questions from the grid The Question Template page has been updated to give a warning if a Question Code is saved and the name contains one or more spaces. Question Code Names cannot contain spaces or special characters. Jul 2013 Patch 208( ) Notes 6

7 SecurityWizard The Security Wizard Application Roles page has been updated to make the Application Role Name field able to contain 50 characters; this will allow administrators to make a copy of a role with a long name. Services The Case Notes page has been updated to modify the Server Common delete service function. If you delete a service recorded on the Case Notes page in the lower right service area, it will now be deleted correctly from the Services page as well. If the Services page has already been loaded, it will need to be refreshed before you will see the service removed. The reverse is true as well, Services deleted on the Services page will not be displayed on the Case Notes page The question pages (entry, exit, profile) have been modified to remove the dash (-) that was appearing in the check boxes for multi-select answers. Users will no longer need to click once to remove the dash and click again to insert a check mark An emergency fix has been released to change the Payments page "Check #" field label to "Chk/MO #". Also a filter has been added for Year, which will default to the current applications Operation Year. The sums at the bottom of the page have also been adjusted to take their values from an adapter instead of a grid. This release is for Chicago only An emergency enhancement has been released for the Equipment page to add a field labeled "BackOrdered", this will allow users to check for items that are back ordered. This release is for Chicago only A modification has been made to the Services Client Profile page to add a COPY button. The button will allow users to copy answers from one assessment to a new occurrence of the same assessment The Bookmarks feature has been updated so bookmarks created on the Case Notes page will be able to be recalled correctly. 8 46738 The Payments page has been modified to allow amounts using decimals. A Year filter has also been added to the page as well as new total figures at the bottom of the page to show the sum of payments by the customer. This is for Chicago only A change has been made on the Chicago Services page so when a user creates a new service, In Home Respite will be the default. This change is for Chicago only. System A new table has been added to hold the history of completed merge transactions , 44424, The calculations used for AMI (Area of Median Income) have been modified so that now an AMI will be determined by the County and State of the Agency in which the customer has enrolled, not by the customer's last known permanent address. The Organization library Locations page will be used to determine the county for the agency, a new field has been added in the top container to indicate the Agency s AMI Area. The System library Poverty Level and AMI pages are also being replaced by a new Poverty Level page that includes sections to create both your Poverty Levels and AMI Levels and will display all poverty levels that currently exist on your database The System library Mark for Deletion page has been updated so that when an Administrator makes a record active with the MAKE ACTIVE button, they will have an option to hold the current Exit Date; this refers to The System library Mark for Deletion page has been updated so administrators will correctly see the customers enrolled with Program level consent into programs to which they have permission assigned in Security Manager. WX A modification has been made for the Weatherization Audit Scheduling page to update the view so only the correct funding codes are displayed on the page. Jul 2013 Patch 208( ) Notes 8
