1 Release History Page 1 Delaware Release Notes PLUS Special Education Management SunGard K-12 Education Best Practices - Many PLUS updates bring Form (e.g. ) changes to our Users - some major, some minor. To be sure that your District maintains a proper audit trail, SunGard recommends that all PLUS forms be finalized upon completion. Only work-in-progress forms should remain un-finalized. Version March 31, 2016 Referral Reason Updated edit referral process to allow the editing/adding of the referral reason. Mail Salutation Extended the mail salutation field from 48 characters to 96 characters to allow for longer data entry. Version March 18, 2016 Overdue report Updated Overdue report to only include students with active enrollment type = Special Education Version March 2, 2016 No changes Version February 26, 2016 Invitation Letter Modified the report to reduce extra white space on the report. Additional Considerations: Reading Based ESY Placement: The 'Primary' check box is now disabled to avoid user error. ESY Placement: The 'Primary' check box is also disabled. Needs, Services & Annual Goals: Services with a "Summer Session" no longer display on the 's Related Service area on the web form and report. Reporting Advanced Reporting, Medicaid Student List: A new report is available that will search for all active students with related services as of the Service date indicated on the opening screen. Select 'Refresh' to gather data. Run to print the report, Export to manipulate the data in Excel and the Docs icon will provide 'How to' instructions. Action Item: Setup Instructions: Maintenance, Manage Code Tables, Identifications: To display the Medicaid Identification number, the identification type must have an alternate code type =

2 Release History Page 2 Alternate with a description = CIN. Pennsylvania only: The PA Secure ID will display if an alternate code type = Alternate Code with a description = PASecureID is in place. PDF Streaming Updated PDF streaming to always pull the latest PDF. In the event that a form has been finalized and then unlocked, it will still display that latest PDF instead of reverting to the previous PDF (ie last year). PDF streaming looks for the latest form based on the latest Form Start Date and latest pdf found. Version February 15, 2016 No Changes Version February 8, 2016 Invitation Letter The Invitation web form and Report has been modified to include the following: Two new clarification bullets and wording clarification Minor Text change Two new check boxes with regard to Parent Questionnaire at the bottom of the letter. Data Consideration: Modified the 'Add' statement selection for 'Other Educational Needs' to only display the statement type = statement for this category and eliminate any goals for selection with the same category name. Progress reporting Issue has been fixed where clicking on the goal at bottom of the page will anchor to the top of the page. Version January 19, 2016 Data Considerations Section: Updated the ->Data Considerations->Question #4 text box to show an error message when the data in the textbox exceeds the maximum length of the field when the user attempts to save the web form. Needs, Service, Goals: Updated the ->PLEP textboxes to correctly show the carriage returns so that the text doesn't run together. Objective text wasn't fitting in the displayable area. If text is bigger than the displayable area, a scrollbar will appear.

3 Release History Page 3 PLUS360 Notification Fixed the issue where 'You are invited for meeting' rule was not generating error when cross-product notification is turned on and user has 'esplogin' information entered in the staff identification record. Medicaid Billing Fixed the issue where it was giving error 'Diagnosis code missing' when creating an electronic file. Version December 17, 2015 PLUS Notification Updated the notification rule which advised if the student did not have progress for a reporting period. This rule will no longer submit a notification when the student was not active during that reporting period. Data Integration Modified the esp - Discipline Deletion Rule#2 to only delete the event outcome that was removed in eschoolplus. Version December 10, 2015, ESY Information Data Considerations Section, Other Factors to Consider: Question exists to indicate if student needs reading interventions with limited reading proficiency. Additional Considerations Section: Reading Based ESY Area: 1. Placement: Adding a new 'Reading Based ESY Placement' will now default School Year Type = State ESY and not be indicated as a 'primary' placement. Placement record example:

4 Release History Page 4 2. Service: Adding a new 'Reading Based ESY Service' will default service type = Instructional Service, Service = Reading and School Year Type = State ESY as Read Only. Consideration of Eligibility for ESY Area: Placement: Adding a new 'ESY Placement' will now default the School Year Type = Federal ESY as Read Only and not be indicated as a 'primary' placement. Service: Adding a new ' ESY Service' will now also default the School Year Type = Federal ESY as read only. LRE/Placement: The School Year Type drop down is now limited to 10 Month, 12 Month and Summer. Progress Report Audit Updated the report query that caused a performance issue when trying to refresh the data. Form Creation Process Updated the form creation process to speed up the time it would take to create the form, ex., when selecting the option 1 (create/copy goals). Version November 24, 2015 Updated progressing reporting to ignore the category if none is selected in the when trying to open the goals in the progress report screen. The client will no longer experience any errors when trying to open the any of the goals. Version November 13, 2015 No changes. Version

5 Release History Page 5 November 6, 2015 A new feature has been added in the Print Preview Drop down which will print 'Draft document, for discussion purposes only, subject to revision at the meeting' on every page of the as well as a draft watermark. DE DRAFT - Report Example: Note: If the form is finalized with the DE DRAFT in the Reports drop down position, that draft version will be saved as the finalized PDF. Please insure you are finalizing with the DE in the Print Preview window. Student Summary Report Updated the Student Summary Report for the placement label '% of time in SE' to look at Maintenance, Manage Screen Configuration record to display the default of '% of time in SE' or the text entered as the description. Version October 23, 2015 DE Prior Written Notice: The waiver statement text has been changed as follows: Additional instructional text has been throughout the form (in blue) to aid users in entering appropriate text responses for each area. Some text appears in a particular section, others appear when you use an 'Add' button. Data Considerations: For Example: Select the button - 'Add Student Strengths'. The 'tip' appears above the text box.

Popup screen displays Additional Considerations, ESY: Start and End Dates for ESY Goals have been removed from the report. Miscellaneous: Goal Book lookups have been removed from all areas except 'Agency'. The 'Setting' code table will now only display General Education Setting and Special Education Setting. All other settings have been inactivated. The Service Location drop down will now only display General Education Setting and Special Education Setting choices. All other goal book selection for 'Locations' have been inactivated. Progress Report Modified to not lock up when opening a goal that did not have data for a particular category. Data Integration - Delete Discipline Rule #2 Modified the Discipline Delete rule to ignore any records that did not have an event outcome to avoid a syntax error when the query returned nothing. Manage Existing Student->Filter by The Manage Existing Student->Filter by process was updated to look at all active enrollments. If you search by 'Gifted, NO G' and the student has both a special education enrollment and a Gifted, NO G enrollment the student will be displayed. Version October 9, 2015 The 'Is ESY Needed?' question will always display the Add ESY Rationale button regardless if 'No' or 'To Be Determined' is selected. Staff Selection Drop-Down Updated the Staff Selection Drop-Down to only display active staff in meeting drop downs.

7 Release History Page 7 Creation Wizard Modified wizard, Option 1, to not create new service records if there is an open ended service records for that student. Validation Result Updated the validation pop-up on print preview to work correctly on Internet Explorer 10. It will no longer NOT show the pdf pop-up window when you hit continue after the validation pop-up appears. Version September 29, 2015 CORE Evaluation/Meeting/Placement/Service The Diagnosis tab was inadvertently turned on for districts not using this feature. This has been corrected. Data Integration - Discipline Deletion Rule #2 Updated the rule to delete the event outcome in PLUS when the action is removed from eschoolplus. Version September 18, 2015, Form Information, Reset Date Dates The Reset Date process has been modified to correct an error during processing. Version September 10, 2015 Reading-Based Regulatory Changes: Data Considerations: Added Evidenced Based Reading Interventions question to Other Factors to Consider grid located in the Data Considerations section (all types except Preschool ). Additional Considerations: Added Reading Based ESY Considerations to the Additional Considerations section (all except Preschool ). When ESY Needed Check Box = Yes or Offered/Declined by Parent on the Additional Considerations page, enable the balance of the generic ESY section (all types including Preschool). Reading Based and ESY Placements and Services will print only if the Setting = General Education or Special Education. Maintenance, Manage Calendars Updated the Calendar option of 'Add calendar days by date range' to add the calendar days to only the selected calendar. Advanced Reporting, Audit Report Additional Filtering Options have been added to the Advanced Reporting screen: An 'Include Inactive Building(s)' check box was added to include inactive building(s) in the Building Name list. A 'Select All Buildings' check box was added to automatically select all buildings in the Building Name list at the same time. A 'Select All Grades' check box was added to automatically select all grades in the Include Grades list at the same time. Version August 27, 2015

Version August 17, 2015, Needs, Services and Annual Goals/Anchoring Updated the Needs, Services and Annual Goals area so that the when the user adds a new PLEP, Goal or Benchmark the form will anchor to the correct textbox., Form Information, Reset Date Dates This process has been modified to eliminate gaps in Placement, Services, Courses and Goals where ever possible. For Example: If an is created with a meeting date of 4/15/14, Range 4/16/14-4/15/15, and the meeting date is changed to 4/1/15, upon selecting the reset service/goal links, the range and placement, services, courses and goal records will change to 4/1/14-3/31/15 if it is within 365 days. If the next starts prior to the end of the existing, the Form Date range will be adjusted forward or back as long as it does not end in July to account for summer records. If the meeting makes the form greater than 365 days, the form start/end dates will NOT adjust; however the placement, services, courses and statements will expand to reflect continuous service. Maintenance, Manage Calendars, Calendar Days The ability to add multiple calendar days at once by selected the new 'Date Range' Option is now available. For example entering the date range of 12/25-29 for Christmas Break will add five (5) individual days for you.

9 Release History Page 9 Data Integration Updated the PLUS360 Data Integration Rule #6. This rule created a TBD Placement records for a student that was no longer referred in PLUS. Unnecessary TBD records that would overlap with existing Placement records are no longer created. Version July 30, 2015 Demographics Increased the middle name length from 16 to 32 characters. This will resolve the issue if a student has a middle name that was more than 16 characters long and was cut off on forms. Create Wizard Updated the Create Wizard to eliminate an error when selecting Option 2 (Select existing records). The error was 'SM_Category does not belong to table'. Version July 15, 2015, Needs, Services and Annual Goals Updated the 'Delete Needs' section to not error after deleting a Need. Form Creation Wizard with Meetings Updated the creation wizard to eliminate duplicate meetings in the existing meeting dropdown. Version July 1, 2015, Goals & Objectives, Benchmarks Updated the, Goals & Objectives to filter the Level properly. Security, User, Student Access

10 Release History Page 10 The student filtering options for grade and location in User Security has been updated for states that store the grade and location in the student's enrollment record. Reporting The Overdue Report has been updated to accurately reflect the total by grade. Notifications Progress reporting notifications have been optimized to improve the performance for all progress reporting notification rules. Version June 17, 2015 No changes. Version June 3, 2015 DE Staff Data Integration Rule: This rule (Notification - Staff Rule without SSN) was modified to download Staff and/or update the Staff RoleID and staff position fields. The staff member will be downloaded if staff is active and has a LoginID. In addition, the staff position will also be downloaded if there is also an alternate code match. (PLUS, Maintenance, Manage Code Tables, Positions, Alternate Code Type = eschoolplus Code and description.) Example below. Note: EschoolPLUS is the master staff record which will update PLUS. If the staff position is changed in PLUS and not in ESP, the position from ESP will again be downloaded and change the position entered in PLUS. Version May 22, 2015 Reduced page header white space; it failed to print in some occasions if the data doesn't fit the page. Validation Acknowledgement Modified the validation pop-up to correctly display the acknowledgment section prior to the printed report display. This issue only existed with Internet Explorer 10 and lower. File Attachment Validation has been added to the description textbox. Upon entering the file attachment description, only alpha/numeric characters are allowed. Characters such as +, ' ", / in the description will now cause a prompt to display advising you can not continue until they have been removed. Plus360, Add General Ed. Student The search option for 'Add General Education Student' will now allow searching on two characters instead of three to find a student in eschoolplus. Note: This section will only appear if you have the appropriate security setting to integration eschoolplus student's into PLUS.

11 Release History Page 11 Version May 7, 2015 System Option / Form Tab The option, [ ] 'Prevent New Service Plan creation when unfinalized Service Plan already exists?' has been updated to only display for Ohio and California. (Options->Set Systemwide Options->Form) Version April 22, 2015 Report Updated the report to print the page number, type (ie Secondary ) and the section name (ie LRE/Placement) on the last page. Student Caseload and Student Management Screen Improved performance of the student caseload and the student management pages to load faster. This enhancement will aid users affected by slow loading of screens for caseload on the home page and student management screen. Version April 15, 2015 Legacy Updated the legacy progress reporting to only pull BIP goals when doing progress on a BIP form. It will no longer pull other form goals. Student Referral, Calculate Button Updated the referral calculation to calculate the days within the calendar days and exclude counting the days outside of the range. (For Example: A date of 06/03/2015 was entered, it was returning 08/24/2015 when the calendar end date was 06/05/2015. It should be counting from the next calendar start date and proceed counting 60 days from there. The result should have been 10/28/2015.) Custom Form Generator Maintenance, Manage Custom Forms: Updated the custom forms edit preview to show the new line(s) (i.e. carriage returns) as they were added on the form. Remember to save between editing and print preview. Version March 30, 2015 Invitation Letter Updated the Create Invitation Letter Wizard to pull all the meeting types other than 504 that are active. Previously, it would only pull some meeting types.

12 Release History Page 12 Legacy Updated the drop-down for Select in Legacy to also include Gifted s when appropriate. Data Integration Fixed the PLUS Data Integration Rule #4 to look for enrollment records LIKE %504% instead of LIKE %504. Validation Updated the Student Age calculation to insure a student is identified as age 14 (for example) on or after their actual birthdate. Previously a student that was age 13.9 with his/her birthday the next day was reporting age 14 too soon. Version March 11, 2015 Modified the 'archive' functionality in progress reporting to insure the PDF is created. Report Updated the report to only show the ESY Services in the ESY Section. Previously, the showed the ESY Services in the Related Service section and the ESY Services section. Version February 26, 2015 Improved performance when trying access the Progress Report page. It would take a long time for the query to complete which would cause the page to load 3 to 5 minutes later. Spell Checker in Text Boxes Updated the spell checker to recognize that 'langauge' was not a correctly spelled word. Version February 12, 2015 Finalization Fixed an issue to properly display the finalized when the user locked the form, navigated into the Progress Reporting and archived it. Once returning to the and finalizing the form, the will now properly display.

13 Release History Page 13 The entire 'Needs' on the Progress Report now wraps to the next line and prints correctly on the report. Previously, the text was being truncated. Referrals Referral calculation error corrected. Users will no longer see 'subquery returns more than one value' error when calculating evaluation due dates. All forms When the user adds a large amount of data, the text would be cut off which did not allow the user to scroll down in the text box. Version January 30, 2015 Data Integration - Contacts The integration program was updated properly reflect the Contact's Type (e.g. Emergency Contact) in PLUS when the Contact Type is changed in eschoolplus. Time-Out Message The appropriate Time-out message will appear rather than a 'Server Error' message. Custom Forms Corrected an issue where the district was unable to click the 'New' button when going to Maintenance -> Manage Custom Forms. Updated the Progress Report, removing the words 'Testing' in the title. ' as <date> testing'. The archived progress report no longer opens up when a view-only user opens the finalized /ARD. Legacy The filter will properly select students based on the Placement grade & location fields via Reporting > Run a Batch of Progress Reports.

14 Release History Page 14 Fields on the selected Progress Report (e.g. 'Select ' drop down menu) are now read-only when the user selects the Legacy link. The user may only select the Progress Template and Period. Version January 9, 2015 Security User Permissions was improperly removing all permissions when the user went into user permissions screen and gave that user permissions to some forms. Upon hitting save, the student access screen the permissions for the user would be removed. Referral Record The Sent Date (Date of Consent) calculation will now also include the Weekends when the 'Mask Weekends' checkbox in the Calendar is selected, and will also include any Calendar Days if they are entered as well. Corrected issues with how the program was setting the form state (e.g., locked, finalized) and saving and progress reporting archives. The "Display evaluative statements for Objectives" checkbox on the Manage screen now saves when selected. Corrected an issue that prevented progress report loading when the form start date preceded the placement/enrollment date. Corrected an issue where the user was unable to click on the 'Manage this report' link within the student's progress report. will correctly print the Letterhead chosen in the 'Print Progress Report' screen. An option has been added to the > General Options that allows the district to remove the data entry of a Progress Code.

15 Release History Page 15 Corrected an issue where Special Transportation Needs were not printing on the report if they were for the summer session. Version December 19, 2014 No Changes. Version December 9, 2014 modified to correct goal sort issue. PLUS360 Data Integration (eschoolplus 3.1 or higher) The "esp - PLUS 360 Integration Rule #2" was creating a duplicate entry in the Special Education Summary > Status section of eschoolplus when the PLUS Enrollment record had no start or end date. Data Integration - Generic Import The Import Process was generating a hard error if the 'FinalizedOnly' parameter was not included in the batch file or in the Set Systemwide Options Administration tab area. Version November 21, 2014 Student Drawer Clicking on Student Drawer Alert Icons in PLUS will display text relating to the alert rather than a non-working link. Student Summary Page If a contact has an end date that is greater than todays date, the contact will no longer appear on the Student Summary page. PDF Streaming (eschoolplus Alerts) The Student's or Gifted was appearing in eschoolplus when the student left the applicable program. The / G form will now appear in eschoolplus in the 'S' triangle when then the student has an active Special Education or Gifted Enrollment record. The latest form will now appear in esp rather than the oldest form for the student. Initial Referral Aging Report *New Report* Use this report to monitor the progress of initial referrals, including due dates, days until due, actual completion dates, and on time performance metrics from the date of parental Consent to completion of each student s first Evaluation Report

16 Release History Page 16 (ER/ETR/FIE) and Individualized Education Plan (/ARD). For more information, go to Reporting > Advanced Reporting. Select the Report = Initial Referral Aging and Version = Standard. Then click the Docs button to display the help information for this report. Version November 7, 2014 Updated the in the Data Considerations section, question #4 as it was cutting off the text. Version October 29, 2014 The program was modified to open the applicable progress report based on what the user selects when prompted for a template due to the student's building or grade changing. Location of Intervention Code Table The code table was updated to remove the following items from the table. These items were not relevant for the State. General Ed less than 10 hrs General Ed less than 10 hrs elsewhere General Ed more than 10 hrs General Ed more than 10 hrs elsewhere Version October 27, 2014 Goalbook Import Updated the import process to generate a user-friendly message when a goal in the import file has a Level but not a SubCategory. Student Labels 3 Across The report was adjusted to print labels for all 30 entries rather than 27. The labels matches the Avery 5160 label sheet template. Security / Manage Users The system will no longer generate a hard error if the user edits a user via Security, Manage Users and remains on the screen until the system times out. The user returns to the screen and then attempts to change data and save which would produce an error upon saving. Corrected an error when the user deleted an and attempted to create an again. Report The "LRE Considerations" in the Benchmarks textbox on the "Needs, Services, and Annual Goals" section of the DE no longer print on the "LRE/Placement" section of the report. In some instances within the New, the progress notes were being printed under the first goal on

17 Release History Page 17 the Progress Report. Linking Goals/Objectives to Services in a Plan *New Option* This option will enable linking of Goals and Objectives to Services only within a student s form. When accessed through a form, the Service will have a Linked Goals/Objectives tab. Functionality within this tab will allow users to select/link a student s Goals and Objectives to a Service. When accessed through the Student tool bar, the Service will display only previously linked Goals and Objectives (read only). The linking of these record does not impact how the form prints or validation functions. The user can only link Services to Goals and Objectives from within a form. Below is an example of the Service record within the form. There is now a new tab called 'Linked Goals/Objectives'. In order to allow the users to link the Goals and Objectives to Services, the following system option must be checked. Options > Set System Options > Form tab: Please see Delaware Archived Release History for previous release note information.
