Course Description This 2-day training may be thought of as a crash course on how to set up e-pledge for a workplace campaign, in order to allow a company s employees to enter pledges, and to allow administrators to run reports online. The following will be covered in the class: How to create User IDs and Passwords for employees How to set up menus for donors and administrators How to create web envelopes for capturing online pledges How to customize the web pages with notes that might be different for each company s employees How to set up the various types of pledges you wish to allow (payroll deduction, credit card fullypaid and pre-authorized, ACH fully-paid and pre-authorized, direct bill, cash, check, etc.) How to set up designation options More Note: Due to the limited time frame, this course is not intended to be a replacement for full e-pledge training. 2. Overall List of Steps for e-pledge Behind-the-scenes, one-time work: Purchase e-pledge, Purchase CCAP, CyberSource / PayPal for electronic payment processing, Upgrade Andar CMC (licenses), Set up Tomcat on server, Purchase a security certificate for web, Set up System Preferences for e-community and e-pledge (includes adding branches to Campaign Structure), Set up a Demo Company with employee information imported, Set up another Demo Company for illustrating Workplace Registration. Designation / Donor Choice Publication While it s true that there are web options that control some of the designation capabilities, there is something else that has to be done to tell Andar which Agencies and Master Accounts (UW s) can be designated to. The agencies, programs, service category accounts, community care accounts, federation accounts, and master accounts must be published. Andar Main Menu > Donor Choice Management > DC Structure Management > DC Structures Administrator. Highlight the appropriate DC Structure (by campaign year and campaign account), and click Web Publish Andar Users Group Conference Page 3 of 17 Revised 04/20/2018
6 Basic e-pledge for Workplace Campaigns If one particular company wants a different set of agencies to be allowed (as designation recipients), you can place their account number at the top left of the Web Publish screen, and publish all of the accounts they want their employees to be able to designate to. If you would like to provide the donor with more information about each agency on the designations web page, you can publish a description on the agency account profile > General tab > Descriptions sub-tab, and/or you can turn on a web option to Include agency information on more information page (see web options below). 5. Company Meetings / Discussions SAML / Single Sign-on - requires time & assistance from company IT staff and Andar Software staff. Import / Update Employee Information 6.1. Employee Info Spreadsheet Ask company to provide you with a spreadsheet that includes the following information about all of their employees (the top 3-5 items are typically most important): First Name Last Name Workplace Address Employee ID Number of Pay Periods per Year (12=monthly, 24=semi-monthly, 26=bi-weekly, 52=weekly) Prefix 2018 Andar Users Group Conference Page 4 of 17 Revised 04/20/2018
7 Basic e-pledge for Workplace Campaigns Salutation (if different from First Name) Middle Name Suffix Department Location (if this is a multiple-location company that has just a single org # in Andar) Job Title Home Zip Code (if not the full address, particularly if company has non-local employees) Full Time / Part Time / Retired (if the company needs different messaging or options for these) 6.2. Import Employee Info Edit the spreadsheet, so it can be imported into Andar (to create or update employee relationships). Import the prepared.csv file, Validate the import, and Process the import. Andar Main Menu > Data Import/Export > Data Imports 6.3. Expire Old Employee Relationships Once all of the current employees have been imported, mass expire the no-longer-current ones. Andar Main Menu > General > Employee Management > Mass Expire Employee Relationships 7. Coordinator Trees If a single organization is very large, and has multiple e-pledge administrators / coordinators, you might want to associate each employee to an appropriate coordinator. When that coordinator runs a report, he will only see information about the employees that were assigned to him. If a Coordinator Tree is desired, you need to know who are the Coordinators, and if there is any hierarchy amongst them. See Organization account profile > e-community tab > Coordinators sub-tab. Add - Coordinators can be added onto the tree manually. Import Coordinators Coordinators can be imported onto the tree from a.csv file. You also need to know which Employees are to be assigned to which Coordinators. Only the coordinators will appear on the tree (not the assigned employees). Assign Employees Highlight a Coordinator, and click button to assign employee manually. 8 Basic e-pledge for Workplace Campaigns 8. Web Users Maintenance (User ID, Password, Role) Andar Main Menu > e-community > Administration > Web Users Add Add one web user (ID, Password). Generate mass-create web users, either for all employees Add a Demo / Test Company, with a Demo Employee. Demo Employee will be e-pledge administrator. This will be an example of a company who will provide you with employee information pre-campaign. Add another Demo / Test Company, as an example of a company who will not provide you with employee information pre-campaign. Illustrates Workplace Registration feature. Add a Web User record for the Demo Employee with roles of Employee Donor and e-pledge Administrator. Also review the Generate screen. Once a company campaign has ended, and all of the desired reports have been run by the e-pledge Administrators, you should decide whether or not you now want to delete the User IDs and Passwords for employees of that company. Andar Main Menu > e-community > Administration > Web Users > Mass Delete 9. Employee Registration Inevitably, there will be companies who will not want to provide you with a list of their employees (prior to the campaign). These companies can still run an e-pledge campaign by using the Employee Registration feature. In this scenario, you will create an ID and Password for the Company (the organization account), and you will assign it the Role of Employee Registrant. An employee (all employees) of the company will log in using that very same ID and Password. The employee will then be asked to provide his own address and his own name. Andar will do one of two things: 1) Based on the address provide, look to see if that person is already in your database, and send him an identity-confirmation - so his pledge can be entered with his own already-existing account number; or 2) Create a new individual account in your database, make him an employee of this company, and enter his pledge with his own account number on it Andar Users Group Conference Page 6 of 17 Revised 04/20/2018

Menus for Donors and Administrators Make sure the database contains acceptable Menu Items defined. Andar Main Menu > e-community > Administration > Menus > Menu Items Make sure the database contains acceptable Menu Structures. Andar Main Menu > e-community > Administration > Menus > Menu Structures Make sure you are using the desired menu structures for the various web user Roles. Andar Main Menu > e-community > Administration > Web Customization > General > *Options General (The Framework web option group contains the menu web options, as well as the Look & Feel Template, and Stylesheet web options.) 11. How to Create and Maintain Web Envelopes for Capturing Online Pledges Andar Main Menu > e-community > Administration > Web Envelopes Just like with paper pledge forms, online pledges have to go into envelopes. We call them Web Envelopes but they ultimately are the same as envelopes that hold paper pledge forms. There are some differences, though. There can only be one Web Envelope per company currently attached. When you create a new web envelope, you enter the envelope type (i.e., Workplace ) as well as the Campaign Year, Campaign Account, and Organization account. If the org has subsidiaries who also need envelopes with the same campaign account you can create them all at the same time. Your Finance department cannot process the contents of an envelope until it has been detached from the web. When you need to detach a web envelope (such as at the end of the week or the end of the month), you can Schedule a job that will detach the existing web envelope and create a new one in its place (at the 2018 Andar Users Group Conference Page 7 of 17 Revised 04/20/2018
10 Basic e-pledge for Workplace Campaigns same time). That is, when you create a web envelope, if one already existed, you can tell Andar you want to replace the existing one. 12. Web Customization Andar Main Menu > e-community > Administration > Web Customization Or, org or indiv account profile > e-community tab > Customization sub-tab (this is a limited list.) The Navigation Tree is on the left panel of the Web Customization screen. The tree contains a folder for each web application such as Agency Portal, Community Building, e-pledge, e-volunteer, etc. It also includes one named General, which covers features that fall under more than one application such a Framework, Login, Logoff, etc. Each folder is further broken down into specific pages and / or functional areas. To find web options for customizing certain web pages, expand the folder for the application, and go to the *Options branch within that folder. All of the other branches within the folders are for web notes. Depending on which branch you highlight on the navigational tree, the right side of the screen will contain either Web Option Groups, or Web Notes. At the top, you will see all of the web option groups or the web notes that have been developed by Andar Software. At the bottom, you will see all of the web option groups or web notes that your organization has specifically added / turned on / put into place. In the top menu bar of the Web Customization screen, the menu item named Search (next to View ) will allow you to search for web notes or for web options. In the Navigation Tree, if you highlight the Customization branch (the root), you will see ALL web notes that are available from ALL applications. And, in the tree, if you highlight the *Options All branch, you will see ALL web option groups from ALL applications. These come in handy when you are trying to find a particular note or web option group, but you cannot remember what branch it falls in Web Pecking Order You have to instruct Andar how to handle every user that logs into an Andar web module (including e- pledge). For the most part, you will do this with the Web User records (discussed previously), and with Web Customization. You would not want, though, to have to set up the Web Customization for every single user separately. You would not even want to have to set it up for every different company. So, Andar includes a web pecking order. Essentially, it allows you to set up a web module in such a way that the settings will automatically apply to every single user that logs on. And (but), if there is a company (or even a specific user) who needs to have a different set-up, this pecking order allows for that as well Andar Users Group Conference Page 8 of 17 Revised 04/20/2018
11 Basic e-pledge for Workplace Campaigns It all starts with an account that is identified in System Preferences, as the Tailoring Account. If you wanted every e-pledge user to have the same experience (the same Pledge Types Available for selection, the same messaging on the web pages, the same designation options, etc.), you could add Web Options and Web Notes onto the Tailoring Account, and those would apply to every single user who logs in. They would shape the donor s e-pledge experience. But if you find that one of your companies want to do something differently (to have different options or to see different wording), you can then add web options and web notes to that particular company account. The company-specific web options and web notes would override those that were set up on the tailoring account whenever an web user from that particular company logs on. Whenever a web user logs on, here is how Andar identifies the accounts that are part of the web pecking order: Andar will see the User ID and Password that were used. From that Web User ID, Andar can look up the user s Individual account number. Also from the Web User ID, Andar can find his associated Organization account number (from his default Web Permission). If a Class B2 has been defined for that organization account, Andar can then look at the employee relationship to determine the Class B2 value for the logged-in user. Andar can look up any Parent/Subsidiary relationships for the organization, and find a Parent account number (if one exists). The donor s Check-off account (the Master account) can be determined via Processing Options that have been set up for the organization. Without Processing Options, the web envelope that was created (and is attached) for the company will provide the Check-off (Master) account. The web envelope will also tell Andar which account is the Campaign account. And, as mentioned above, your system preferences will dictate the Tailoring Account number. As the user logs in and works through the web pages, Andar is going to search to find out which web options and web notes have been turned on (put into play) for these accounts. That, in turn, dictates the user s online experience. A web option that was set up (and Turned On ) using the Tailoring Account number will apply to every web user, unless that same type of web option was also set up (and Turned Off ) using one of the other accounts in this user s Pecking Order (thus overriding what was set up on the Tailoring account). A web option that s set up on the Organization account can override a web option that s set up on the Parent account. A web option that s set up on the Master / Check-off account can override a web option that s set up on the Campaign account. And a web option that s set up on the Campaign account can override the same type of web option that s set up on the Tailoring account System Preference for Default Role. System > Preferences > System Preferences > e-community > e-community General > Notes and Options Section Default Role When Creating Options Default Role When Creating Notes If you plan to spend a lot of time adding new web options and web notes for a particular Role, it might be helpful to temporarily set this system preference to match the Role that you are working with. Then, once you ve added all of those web options and web notes, change this system preference back to blank Web Notes Web Notes are tools that you will use to alter the wording / phrasing that appears on the web pages. In some cases, you will add web notes to replace the wording that Andar Software designed as default wording on the web page. In other cases, you will add web notes to place new text in areas that were left available for customized notes / instructions. Fields used within a web note: Note Type. The name of the Web Note. Account. The Account that the Web Note is to be assigned to. Web Notes are used based on a predefined Pecking Order. When Andar looks for the Web Notes to use it will search the Accounts in this order until it finds the one(s) to display on the web page. Keep the Pecking Order in mind when deciding what Account to use. If you want to set up the text to be displayed for all (or at least most) donors, then use either the Campaign account or the Tailoring account. If you will ever use e-pledge for more than one Combined Campaign, then it s best to add web notes to specific Combined Campaign Accounts (like the Local Campaign). Class. This list is available only when Class B2 options have been set up for the Organization (Organization Account Profile > e-community Tab > Employee Info Sub Tab). Role. The Role assigned to each Web Note will depend on how and for whom it is being used. The Role on the Web Note should match the Role on the Web User s Web Permission Andar Users Group Conference Page 10 of 17 Revised 04/20/2018
13 Basic e-pledge for Workplace Campaigns Location. Indicates where this Web Note will appear on the Web Page. Default Text. If the selected Note Type is one that was designed to replace Andar s default text, that default text will be displayed here. If the selected Note Type does not replace existing text, this field will be empty. Description. This is for your internal use only. It is not displayed on the web page but is displayed on the list of Web Notes that are currently set up (Bottom Panel). Web Note. Text that will appear on the Web Page. o HTML Editor. What You See is What You Get. You can use the HTML Editor option to format the body of your Template by using the formatting options at the top of the section (for example, click B for bold). o Plain Text Editor. This option can be used if you do not want any special formatting for your or if you prefer to type in simple HTML code. Note Variable. This list contains items that can be selected from the Account Profile(s) and inserted into the body of your Web Note to personalize the Web Page. Insert Note Variable. Position your cursor in the text field > choose a Note Variable > Insert Note Variable. This places your selection into the body of the Web Note. Language. This field is only available if your Andar has been set up as Multi-Lingual. (See Andar Help for more information.) Do Not Format. When checked, no extra formatting will be added to the note (no extra line breaks, tags, etc.). It will be shown exactly as it appears here. Effective Date / Time And Expiry Date / Time. If you wish to limit the time period during which this Web Note will be displayed on the web page, enter the date range here. Visibility o Exclusive. When checked, this Web Note will be available only to Web Users whose Web Permission includes the Organization Account defined on this Web Note. This means that if you add a Web Note to the Tailoring Account and select the Exclusive option, the Web Note will not be seen because no one s Web Permission would be linked to the Tailoring Account. But if you add a Web Note to your own Master Account and you select the Exclusive option, the text from that Web Note will only be displayed if the Web User is an Employee of your Master Account. This is helpful when you are adding Web Notes that you want to use in your own internal Campaign and you don t want those Web Notes to be seen by Web Users from other Organizations. o Protected. When checked, only the person who created or last changed the Web Note will be allowed to update it. o Cease Pecking. This option applies only to Web Notes that use Inclusive Pecking Orders. When checked, Andar will not continue to look for any more of the same Web Notes that may be further on in the Pecking Order. For example, if the web note called Home Page e- Pledge Body was added to the Helix Organization Account, and if another one was added to the Tailoring Account, then Peg (Helix s Employee) would see the text from both of those Web Notes. But if the Web Note that s on Helix s Account has Cease Pecking selected, Andar will display the Web Note from Helix s Account and it will stop looking any further in the Pecking Order. So the Web Note Home Page e-pledge Body from the Tailoring Account will not be displayed. If a higher-level Account in the Pecking Order has a particular Web Note set up, but you don t want that Web Note to show up for one particular Organization, and if you don t want ANY text in that area of the Web Page for that particular Organization, 2018 Andar Users Group Conference Page 11 of 17 Revised 04/20/2018
14 Basic e-pledge for Workplace Campaigns you can add that Web Note to that specific Organization Account, leave the text blank and check the Cease Pecking option. Create More Notes: Select Other Note Types To Create Additional Notes With The Same Text. This section will not always display on the Add Web Note Screen. It will only display if the Web Note selected has exactly the same Default Text as some other Web Notes. When this section is available it will list the other Web Notes with that Default Text. By checking the box beside the Web Note on the list and clicking the Add button, Andar will automatically create multiple duplicate Web Notes one for each of the selected additional Web Note Types. The idea is that if you want to change the wording in one place you might want to change it in other places as well. In addition to being able to Add, Update, Copy, or Move web notes, you can also Export and Import them (Project 98689) The Most Commonly Added Web Notes This is a list of the most-commonly-added Web Notes. (You may use the structure Search item (from the top menu bar), to find where these are located.) 15 Basic e-pledge for Workplace Campaigns Web Options Web Options are tools that can be thought of as light switches. They allow you to turn on the features that you want to use on your web pages. Andar s web applications (including e-pledge) are loaded with features, but you likely will not want to use all of them. To make it easy to manage the web options, they have been bundled into Web Option Groups mostly based on the web page that is impacted by the web options. With an *Options branch highlighted in the Web Customization tree, you will see a list of Web Option Groups. Basically, each web option group refers to a particular web page, and contains all of the (functional) options that can be turned On or Off for that particular web page. Highlight a web option group from the top of the screen, and click Display to see what specific options are within that Group. Then you can decide if you actually need to add one of those groups. Be sure to look in the bottom part of the screen to see if that web option group has already been added for your desired account and role. If a particular web option group has already been added for a particular combination of Account, Class B2, and Role, then you can Update the existing one. It is possible to highlight an existing web option group (in the bottom of the screen), and use the Copy/Move button to add that same set of options to a different combination of Account and Role, if desired. Each separate option within a Web Option Group has its own choice-box. These are similar to checkboxes, but they allow for multiple choices not just on and off. Inherit. Get the value from the Web Option Pecking Order. Turn On. Turn On Only if Organization on User s Web Permission Matches Organization on Web Option Group. Turn this Option on only for Web Users whose Web Permission includes this Account. This setting will not apply to other accounts in the Web Option Pecking Order. Required. This Option will be turned on and will also be required before the web page can be updated or submitted. This selection is not always available it will only be available when it is relevant. Required Only if Organization on User s Web Permission Matches Organization on Web Option Group. This Option will be turned on only for Web Users whose Web Permission includes this Account. This setting will not apply to the other accounts in the Web Option Pecking Order. Furthermore, this option is a requirement the web user must supply data. This selection is not always available it will only be available when it is relevant. Turn Off. Turn off this option for this Account. Ignore the Option if it is turned on at a higher level of the Pecking Order. Turn Off Only if Organization on User s Web Permission Matches Organization on Web Option Group. Turn this Option off only for Web Users whose Web Permission includes this account. Templates When a situation arises in which Andar is supposed to automatically send out an (such as, to a donor upon confirmation of his pledge), Andar looks for an template to determine what the is supposed to say. The Usage field on an template is the primary thing that Andar references to know which template to use. Some of the more important template Usages (for e-pledge) include the following: Notification e-pledge Alert Notification Manager Envelope Creation Receipt Cover Letter To Donor Pledge Confirmation All To Donor Pledge Confirmation No Gift To Web User Information Reminder To Web User Registration User to Confirm Match An template that is not used by Andar to automatically send an should have a Usage = General. One such example is the that you will send to company employees to invite them to pledge. You control the sending of those s it s not an automatic response by Andar. 18 14. Reports Basic e-pledge for Workplace Campaigns There are a couple of different methods for allowing e-pledge Administrators (or other web users) to run reports. One option is to include a separate menu item for each different report that the e-pledge Administrators are allowed to run for themselves. That involves the use of multiple menu items, and the menu item called Reports My Output. The other option is to include the Reports List menu item online, and to pre-define, save, and publish the reports from Andar s Main Menu. When doing so, you would pick one organization on the report submission screen. That organization account will become a substitution field. When a web user runs a report, it will only include information from his own organization, regardless of which organization account was entered on the report submission screen in Andar (as the report parameters were saved and published).
