1 Ontario 2014 Paediatric Specialists Fee Guide Update For ABELDent Versions 3.50 to 12 ABELDent Inc. is pleased to provide you with the 2014 Ontario Suggested Fee Guide for Paediatric Specialists. The effective date for this fee guide is January 1 st, This installation will update the Master Fee Schedule with the 2014 Paediatric Specialists fees and any new codes. NEW: For all those procedure codes which allow for a range of fees ABELDent Inc., as requested by the ODA, has chosen the lower fee when creating this update. Must Read: ODA Password Requirements for 2014 on page 1 Please take the time to follow all instructions provided in this document to ensure all steps are completed. Please be aware that telephone support required due to improper installation is chargeable at our current support rates. Perform the Pre-Installation Test immediately to ensure the downloaded file can be read. Perform the Installation instructions after your last billing entries are complete for 2013 or before you start billing in If you receive an error message or encounter a problem during this installation, check the TIPS and TROUBLE SHOOTING section on page 4 for a possible solution. If you require further assistance, contact ABELDent Inc. Dental Support by phone. Windows NT4, Windows95 and Windows98 Operating Systems are not supported. Customers still using these Operating Systems on their server will not be able to install the 2014 Fee Guide. It is proposed that you upgrade your operating system to current recommendations. You may contact the ABELDent Inc. Dental Support Department for further recommendations. NOTE: ABELDent Fee Guide Updates are designed for the ABELDent versions that are in common use at the time of distribution. ABELDent Inc. recommends that you install Fee Guide updates as soon as possible after December 31 st, Even if you don t plan on using 2014 fees, ABELDent Inc. still recommends installing the Fee Guide to ensure that the procedure codes and descriptions are updated. Never install a Fee Guide from a previous year, as it may not be compatible with your current ABELDent version. Contact ABELDent Inc. Dental Support if you have any additional questions. 2 ODA Password Requirements for 2014 The Ontario Dental Association (ODA) requires that our Ontario 2014 Fee Update Installation ask the end user to enter a Membership ID number and a corresponding password in order to validate the user. This requirement is to help the ODA protect their intellectual property (The copyrighted ODA Suggested Fee Guide) and only make it available to active ODA members. The Membership ID number will be checked against the password and if a valid password is not entered then our program will not allow you to install the 2014 fee update. The ODA sends out a letter to all active ODA members with their Membership ID number and corresponding password around December 1 st, The Membership ID number and password is also included with the 2014 fee guide book. ABELDent Inc. cannot supply you with your password. You need to ensure that you are in possession of a Membership ID number and password before you attempt to install this fee update. If you do not have at least one active ODA member in your office then you will not be receiving a password and you will not be able to install the 2014 fee update. 3 PRE-INSTALLATION TEST The Pre-Installation Test procedure is intended to verify the proper functioning of the downloaded fee update. Perform this procedure only on your Server computer (usually the computer used to perform backups). If you encounter problems that are not resolved by the suggestions in the TIPS and TROUBLESHOOTING section on page 4 of this document, call Dental Support. Dental Support can be reached at (800) Ext. 2, or (905) Ext Exit ABELDent on all computers. 2. On the Server, navigate to the downloaded file. 3. Note: If your Server is using Windows 2000 Server with Terminal Services enabled, Windows 2000 Advanced Server, or Windows 2003/2008 Server see TIPS and TROUBLESHOOTING on page Double-click Setup.exe or Setup to begin the test. 5. The Welcome window will appear. Ensure that Ontario displays in the information at the top of the window. Click Next to continue or Cancel to abort the pre-installation. 6. The Database Location window appears. The Destination Folder should contain the path to your ABELDent database. In most cases the path is C:\ABELDent\data. Some practices may have ABELDent installed on another drive and should select the appropriate drive letter (i.e. D:\ABELDent\data). Click Next to continue. 7. Note: If your data is split into more than one database, complete the Pre-Installation Test on one database only. It is not required to be run for each database. 8. The Fee Schedule Update Options window appears. Click Test Media option and click Next to continue. 9. The Start Test window appears. Click Next to continue. CAUTION: DO NOT INTERRUPT THIS PROCESS! 10. The ABELDent Inc. - Fee Update window will appear. 11. You are now requested to enter the following: Ontario Dental Association Membership ID Number Enter the Password for the above ODA Membership ID Number 12. If you have this information, please enter it now and click the Process button. 13. If you do not have this information, click the Exit button. A message will appear Provider Password not correct. Click OK. NOTE: The test will still continue. Review details regarding the ODA Requirements for 2014 on page When the test is complete, the Media Test Completed window appears. If any other messages appear, note them and refer to the TIPS and TROUBLE SHOOTING section on page Click Finish. Note that this was only a test. Your fees have not yet been updated. 4 INSTALLATION The following are instructions for the Installation of the fee update. Perform this procedure only on your Server (usually the computer used to perform backups). Ensure that you previously performed the Pre-Installation Test procedures. Ensure that you have read page 1, ODA Requirements for 2014 and that you are in possession of a Membership ID and Password. 1. Exit ABELDent on all computers. 2. Perform a backup of your ABELDent data using your usual backup procedure and store the backup in a safe place. 3. On the Server, navigate to the downloaded file. 4. Note: If your Server is using Windows 2000 Server with Terminal Services enabled, Windows 2000 Advanced Server, or Windows 2003/2008 Server see TIPS and TROUBLESHOOTING on page Double-click Setup.exe or Setup to begin the installation. 6. The Welcome window appears. Ensure that your correct province displays in the information at the top of the window. Click Next to continue or Cancel to abort the installation. 7. The Database Location window appears. The Destination Folder should contain the path to your ABELDent database. In most cases the path is C:\ABELDent\data. Some practices installed ABELDent on another drive and should select the appropriate drive letter (i.e. D:\ABELDent\data). Click Next to continue. 8. Note: If your data is split into more than one database, perform this update for each database. The destination folder for each case should contain the path to each database file. 9. The Fee Schedule Update Options window appears. Click Install Year 2014 Master Fee Schedule Update option. Click Next to continue. 10. The Start Installation window appears. Click Next to continue. If you encounter a warning message regarding.net Framework being required, refer to TIPS and TROUBLESHOOTING on page You will be asked to enter the following: Ontario Dental Association Membership ID Number: Enter the Password for the above active ODA Membership ID Number: 12. Enter the required numbers and click the Process button to continue. NOTE: If you do not have a valid password for your Membership ID Number then you will not be allowed to install this fee guide update 13. When the fee guide has been installed successfully, the Fee Schedule Update Completed window appears. 14. Click Finish. 15. The installation is complete and the new fee guide has been activated. Your Master Fee Schedule now contains the 2014 Ontario Paediatric Fee Guide. Even if you have more than one ODA member dentist in your provider file you only need to install this fee update once. 5 TIPS and TROUBLESHOOTING If your Server is using Windows 2000 Server with Terminal Services enabled, Windows 2000 Advanced Server, or Windows 2003/2008 Server you must install this update using Add/Remove Programs, see steps below: 1. Ensure you are logged on to the server as Administrator. 2. Click Start, Settings, Control Panel. 3. Double-Click Add/Remove Programs. 4. Click Add New Program from CD. 5. Click Next on the Install Program from CD ROM window. 6. The Run Installation Program window should be set to Open <click setup.exe, click Finish and the installation will start. 7. Continue with the Pre-Installation 8. Test or Installation Instructions. Error Message During Installation: 1. If the message Please select a folder that contains an ABELDent database (abel.mdb) occurs during the Test Installation or the Installation, determine the location of your ABELDent data and begin again. 2. If a message Provider Password not Correct occurs during installation please start the installation again and ensure that you have typed your ODA Membership number and password correctly. Refer to ODA Requirements for 2014 on page Microsoft.Net Frameworks 1.1 needs to be installed. Customers still running older ABELDent versions (between 3.50 and 5.20B09) may encounter this warning. If you are prompted to install.net Framework follow the instructions and information presented by the install wizard. Once complete, reboot the server and restart the Fee Guide installation. 4. Server is using a non-supported operating system: Windows NT4, Windows95, Windows98. Upgrade to the current recommended operating system, you may contact ABELDent Inc. Dental Support Department to see if installation is possible with assistance by dental support. Support provided is chargeable. Fee Confirmation The following chart shows a sampling of the new 2014 Ontario Paediatric Specialist Fees. Use these fees to compare to fees in your Master Fee Schedule after the installation to confirm a successful update. Locate this file at: File>Update>Master Fee Schedule Code 2014 Fee Installation is complete, but fees have not changed? 1. You have not installed the update on the SERVER? Do not install this update on CLIENT computers. 2. The wrong ABELDent database may have been updated. Re-install and select the correct database. 3.
