DOCUMENTATION CONVENTIONS The eyeglass symbol () indicates a field on which you can browse. The star ( ) indicates the default for a field. To allow for the widest possible parameters when printing a report or performing a function, accept the defaults for all of the parameter fields. To accept the defaults, either escape through all the fields, or press [Enter] without specifying any values. Generally, samples in the documentation are shown using the default values. Start and End parameters define the limits to a range of information you will print on a report. If information does not appear on a report, it may be because the information was excluded from the Start, End range. For a detailed explanation on how maintenance screens function, refer to the Tour Guide manual. 4 ROPHET ALUE ACK LUS Prophet 21 s most popular optional packages and direct catalog software features are bundled together in Prophet 21 Plus 2000 Value Pack. After installing the Plus package onto your system, you can pick and choose the features that you want to install. The following packages and features are included in the Plus package: STEPS TO INSTALL PROPHET 21 PLUS 2000 VALUE PACK To ensure that everything installs properly, complete the following installation steps in this order: Step 1: Installing the Library Update and Prophet 21 Plus 2000 Value Pack If you received a library update tape, load the update on your system first. Then, using the serial number you received on the shipping paper that accompanied this manual, install Prophet 21 Plus 2000 Value Pack onto your system. This step loads the information your system needs to install the Prophet 21 Plus 2000 Value Pack features and packages. Installation instructions begin on page 3. Step 2: Choosing Packages and Preparing to Install Them Choose which of the optional packages and Direct Catalog features you wish to install and use. Prepare for the installation process by answering the applicable questions in this manual beginning on page 3. You will need these answers when you get to Step 4. Step 3: Running the Job P21PLUS Run the job P21PLUS to install the packages and features you have selected. Instructions for running the job begin on page 3. Step 4: Answering the Profile Questions This section, which begins on page 3, describes the Profile Question screen and the Destination Unit screen. The Profile Question screen displays for each package/feature you are installing, and collects information about your business so that new files are created at the best possible size for your system. The questions on the Profile Question screen are the same as the questions you answered in Step 2. The Destination Unit screen allows you determine the volume group where the new files are created. 4

6 TEP NSTALLING THE IBRARY PDATE AND ROPHET LUS ALUE ACK Installing Prophet 21 Plus 2000 Value Pack requires that files be created and / or expanded. Prophet 21 recommends that you perform this installation at night or on the weekend. Due to file size and system configuration, we cannot offer an estimation of how long the installation will take. Caution! Before proceeding with these instructions, make sure you have a total copy of your system. If for any reason the system should go down during the installation of the Prophet 21 Plus 2000 Value Pack, you may have to restore your system from this backup copy. Verify that you have received the following: To install Prophet 21 Plus 2000 Value Pack, you need the shipping paper that was sent by Prophet 21. This shipping paper contains a serial number that is used in a later step. Documentation for each of the features of Prophet 21 Plus 2000 Value Pack. If necessary, one library update tape labeled Acclaim Version A12.nnn, where nnn represents the version number. Note: The library update is sent by Prophet 21 only if an update is needed to install the optional package. If you did not receive the tape, you are on a suitable update level. Caution! Before installing Prophet 21 Plus 2000 Value Pack, make sure you have a total copy of your system. 1. If you received a library update, insert the library update tape and update the library. Follow the Update Instructions included with the update tape. If you have any questions on updating the files, contact the Software Support Department for further assistance. 2. Once the files are updated, stop the system. 3. At the Utility Command, run the VERIFY command and the MISMATCH job to check the integrity of the files. 6

7 STEP 1: INSTALLING THE LIBRARY UPDATE AND PROPHET 21 PLUS 2000 VALUE PACK For more information on these commands, refer to your Prophet 21 System Administration manual. 4. Turn all units offline. For more information on turning your units offline, refer to the System Administration manual. 5. Make a total copy of your system. For more information on creating a total copy, refer to the System Administration manual. 6. After the total copy is made, keep the system stopped and turn all units online. For more information on turning your units online, refer to the System Administration manual. 7. At the Utility Command, press [Esc] to access the Job prompt. 8. At the Job prompt, press [Enter] to log into the system. 9. At the jump to box, type PKG-INSTALL [Enter]. The following screen appears: 10. Enter the serial number that appears on the shipping paper you received from Prophet 21, and press [Enter]. A. If you enter the correct serial number, the following message appears: Proceed to Step 11. B. If you enter an incorrect serial number, the following message appears: If you receive the previous message, retype the serial number on your shipping paper. If you still receive the previous message after you retype the serial number, contact the Prophet 21 Inside Sales Department for assistance. If you receive the message in Step A after you retype the serial number, proceed to Step 11. 7

8 STEP 1: INSTALLING THE LIBRARY UPDATE AND PROPHET 21 PLUS 2000 VALUE PACK Note: To suspend the installation of Prophet 21 Plus 2000, type [N] [Enter] when the system prompts you to run the INSTALL. When you are ready to resume the installation, type INSTALL [Enter] at the jump to box. 11. To install Prophet 21 Plus 2000 Value Pack, type [Y] [Enter]. The Prophet 21 Plus 2000 Value Pack installation screen appears. No activity questions need be answered. The columns show values for information only. % More... percentage over the number value entered for each question. The value entered here increases the file size by the percentage specified. This is an informational field. Tracks... number of tracks used to enable each feature. Fixed File Space... amount of space needed on the disk to install any fixed files created by the Prophet 21 Plus 2000 Value Pack package. Minimum # of Tracks needed... number of free tracks used to install the Prophet 21 Plus 2000 Value Pack package. 12. At the Field prompt, press [Enter]. A screen showing the units and the free tracks on each unit appears: 8

At the Enter Destination Unit # prompt, enter the destination unit that is to hold the Prophet 21 Plus 2000 Value Pack package. The destination unit must have a free track number that is larger than the value in the Minimum # of Tracks Needed on Destination Unit field. This value is the minimum number of tracks needed for installing Prophet 21 Plus 2000 Value Pack. 14. Press [Enter]. The system starts creating the files and job streams required to install Prophet 21 Plus 2000 Value Pack. 15. At the Utility Command, type GO to activate all terminals. You are now ready to use Prophet 21 Plus 2000 Value Pack. 9

From the list below, choose the packages you are going to install now. Keep in mind that you can install these packages/features at any time. As part of the installation of Prophet 21 Plus 2000 Value Pack, the system asks Profile Questions for each optional package you chose to install. Because the answers to these questions will be used to configure the size of the files, it is recommended that you research the answers before beginning the installation process. Note: The other features preceding with DC are Direct Catalog features, which require no action during this step. The next few pages show explanations of the questions the system will ask you when you choose to install each package. The Prompt number column identifies each question in the same manner as the system. The second column holds the Explanation of the profile question. The third column holds Your answer to the question. Please note your answer in this column. 10

11 STEP 2: CHOOSING PACKAGES AND PREPARING TO INSTALL THEM EXPLANATIONS OF PROFILE QUESTIONS AND ANSWER SHEET Prompt number 1a 1b Explanation of profile question Consigned Inventory: What is the total number of customers who order consigned inventory from you? What is the average number of consigned items that one of these customers orders? What is the average number of line-items on each shipment? How many months of delivery performance to your customer would you like to track? For what percentage of customers would you like to track your delivery performance? What is the average number receivings that your warehouse completes in a month? What is the average number of line-items on each receiving? How many months of delivery performance from your vendor would you like to track? For what percentage of your vendors would you like to track their delivery performance? What is the average number of reason code postings in a day? Reason codes are defined by you in the system. They can be posted whenever an item, purchase order, or customer order is canceled or edited; or when a customer or vendor return is entered. How many months of reason code history would you like to track? These last two questions appear if Lost Sales is to be enabled: What is the average number of lost sales you have in a month? A lost sale is an item that is completely or partially canceled. How many months of lost sales data would you like to track? Rebate Journal 1 How many lines of billing per month or quarter should the Rebate Journal track? For example, if you track your rebates per month, type the number of lines of billing per month in this field. If you track rebates per quarter, type the number of 11

What is the number of pieces of equipment for which you provide service? How many service contracts do you have? What is the average number of service work orders that you create per day? How many months of service work order history do you wish to keep? What is the average number of lines per each service work order? What is the average number of parts used per each service work order line? How many average number of lines of billing for service? 12

13 TEP UNNING THE OB Use these instructions to install one or more of the packages or features from Prophet 21 Plus 2000 Value Pack. Run the installation from the command terminal with the system STOPPED. 1. Run the job P21PLUSVP at the JOB... prompt or jump to box. An information screen displays: 2. Once you have read this screen, press any key to continue. The next screen that displays is the Selection Screen: 13

14 STEP 3: RUNNING THE JOB P21PLUSVP The Selection Screen shows each feature that comes with the Prophet 21 Plus 2000 Value Pack package. There are two columns to the right of the Package/Feature Name column: Install and File Creations. Any features that are already installed on your system are marked with an I in the Install column. Those that are not installed are marked with No. To install a feature that is not on your system, enter the Seq# of the feature at the FIELD prompt. The No changes to Yes, indicating that this feature will be installed on your system once you have completed this installation procedure. You can install more than one feature at a time. Some of the features on the Selection Screen require that new files are created on the system before you can use them. These are marked with a Yes in the File Creations column. If you are installing a feature that requires file creations, the files are created automatically by the job INSTALL or the job LIB-UPDATE. These jobs run automatically, after all the Plus features you have selected are installed. If your system is not STOPPED, you might need to run the job INSTALL-PACKAGE or LIB-UPQ from the command terminal to complete the necessary changes. Your system will display a message if this is necessary. 3. Once you have selected all the features you want to install (i.e., they are marked with a Yes in the INSTALL column), press [Enter] at the FIELD prompt. The following confirmation prompt displays: Install now? (Y N) Enter an N to cancel the installation, and a Y to continue. If you choose to continue, the system displays Profile Question screens for each package and feature you are installing. Proceed to Step 4, Answering the Profile Questions on the next page for more information. 14

15 TEP NSWERING ROFILE UESTIONS At this time, the system displays a series of installation screens containing the Profile Questions you answered in Step 2. For each feature/package you chose to install in Step 3, the system displays a Profile Question screen and a Destination Unit screen. Each of these are described below. Profile Question Screen for Optional Packages The name of the package the system is installing. In Step 2, you wrote answers to Profile Questions for each Optional Package you chose to install. You will need to enter this information into the system now, through the Profile Questions screens. A sample screen is shown below: Installing: SAMPLE OPTIONAL PACKAGE MM/DD/YY Profile Questions Number of: % More Tracks 1 a. # of interchangeable sets b. # of items per set (average) Field: Fixed File Space Minimum # of Tracks needed 9999 Minimum number of tracks needed to install this package. The answers you enter here help the system decide the size of new files. Samples of the screens for each Optional Package are shown on the pages that follow. As you answer the questions, write down the Minimum # of Tracks needed in the blanks that are provided beginning on page 3. You may need this information later if you need to expand the system s logical volume (unit size). Profile Question Screen for Direct Catalog Features There are no special questions to answer for Direct Catalog features. The system displays an information screen for the features, similar to the following: 15

16 STEP 4: ANSWERING PROFILE QUESTIONS Installing: DC DIRECT CATALOG FEATURE NAME HERE MM/DD/YY ** No activity profile questions needed. ** ** File or jobstream changes are needed for this feature. ** When installation is complete, LIB-UPDATE will automatically run. Proceed? [Y N] Number of available tracks on the unit. Enter a Y to proceed with the installation, or an N to quit. Note: Some of the Direct Catalog features do not occupy any space on the destination unit. Others occupy a fixed amount of space. Still others occupy an amount of space that is specific to your system. Instructions for calculating the exact number of tracks needed for each feature are included on the following pages. You will only need to know these numbers if you run out of space during the installation, so do not calculate them unless this occurs. Destination Unit Screen After each Profile Question screen, a Destination Unit screen displays. The Destination unit is the active unit on which the system creates the new files for the optional package. Each time it displays, the screen shows the number of tracks needed to install the optional package, and the available number of tracks on each unit. This allows you to see whether or not the files will fit on the intended Unit: Installing: NAME OF PACKAGE HERE MM/DD/YY Minimum # of Tracks needed on Destination Unit ---> 9999 The destination unit is the active unit (copied daily) on which to create the new files for the optional package/feature. To create the files the unit must have free at least the minimum number of tracks shown above. Shown below are the units on your system and the number of tracks free on each. Unit 0 Unit 1 Unit 3 Unit 4 Unit 5 Unit 6 Unit 7 Unit 8 Free Tracks: Minimum number of tracks needed to install this package on your system. Unit where the package should be installed. Enter destination unit # 0 If you have enough space: "P" for Previous screen If you have enough free tracks on the destination unit to install the package, the system prompts you to enter a Y, N, or Q. Enter a Q to quit the INSTALL. Enter an N to return to the Destination Unit prompt. From there, you can enter a P to return to the Profile Questions screen, where you can edit your responses to questions if you need to change the number of tracks allocated to the new files. Enter a Y to proceed with file creation. See page 3 for more information. If you do not have enough space: If you select a Unit that does not have enough space to install an Optional Package, a Warning - Insufficient space on selected Destination Unit message displays. If this occurs, the system prompts you to enter an N or 16

17 STEP 4: ANSWERING PROFILE QUESTIONS a Q. Enter a Q to quit the INSTALL*. Enter an N to return to the Destination Unit prompt. From there, you can enter a P to return to the Profile Questions screen, where you can edit your responses to questions if you need to change the number of tracks allocated to the new files. *If you do not have enough space to install the package and you have answered the Profile Questions as accurately as possible, you will have to quit the installation process and expand the size of the unit. If you record the Minimum # of Tracks needed on Destination Unit for each package in Step 5, expanding the size of the unit is a simple process. See page 3 for more information on expanding the size of the unit. Note: The number values displayed on the following sample screens will vary depending on the size of the files on your system. Consigned Inventory If you choose to install this package, the system displays a set of profile questions during the installation procedure. The following screen appears: What is the Minimum # of Tracks needed on the Destination Unit? Interbranch Shipments Value Report There are no activity profile questions for installing the Interbranch Shipments Value Report. Pressing Y to proceed causes the system to install the feature. Quality Management If you choose to install this module, the system displays a set of profile questions during the installation procedure. The following screen appears: 17

20 STEP 4: ANSWERING PROFILE QUESTIONS DC All Open Items on Shipment If you choose to install this feature, the system displays an installation screen similar to the following screen: No file or jobstream changes are needed for this feature. The system does not prompt you with profile questions. The software is installed when you enter Y to proceed. DC Alternate Items on Shipment/Invoice If you choose to install this feature, the system displays an installation screen similar to the following screen: File or jobstream changes are not needed for this feature. The system does not prompt you to answer profile questions. The software is installed when you enter Y to proceed. DC Batch Picking List If you choose to install this feature, the system displays an installation screen similar to the following screen: 20

21 STEP 4: ANSWERING PROFILE QUESTIONS Although no profile questions are displayed, file or jobstream changes are needed for this feature to be installed. The system automatically runs the job LIB-UPDATE to make the necessary changes when Y to proceed is entered. DC Commissions per Line Item If you choose to install this feature, the system displays an installation screen similar to the following screen: Although no profile questions are displayed, file or jobstream changes are needed for this feature to be installed. LIB-UPDATE runs automatically to make the necessary changes when Y to proceed is entered. DC Credit Limit by Order/Days If you choose to install this feature, the system displays an installation screen similar to the following screen: File or jobstream changes are not needed for this feature to be installed. The system does not prompt you for profile answers. The software is installed when Y to proceed is entered. 21

22 STEP 4: ANSWERING PROFILE QUESTIONS DC Customer/Item Order Templates If you choose to install this feature, the system displays an installation screen similar to the following screen: Although no profile questions are displayed, file or jobstream changes are needed for this feature to be installed. The system automatically runs the job LIB-UPDATE to make the necessary changes when Y to proceed is entered. DC Customized Part# on PO If you choose to install this option, the system displays an installation screen similar to the following screen: No profile answers or file/jobstream changes are necessary. The software is installed when Y to proceed is entered. 22

23 STEP 4: ANSWERING PROFILE QUESTIONS DC Description 2 in Item Count If you choose to install this feature, the system displays an installation screen similar to the following screen: No profile answers or file/jobstream changes are needed. The software is installed when Y to proceed is entered. DC Total Weight on Shipping Paper If you choose to install this feature, the system displays an installation screen similar to the following screen: The system does not need profile answers or file/jobstream changes made to install the software. Enter Y to proceed and the software is installed. DC Last Price and Date If you choose to install this option, the system displays an installation screen similar to the following screen: No changes have to be done to the system to run this feature. Press Y to proceed and the software is installed. 23

24 STEP 4: ANSWERING PROFILE QUESTIONS DC PO# at Material Receipt/Payables If you choose to install this option, the system displays an installation screen similar to the following screen: No profile answers or file/jobstream changes are needed to install this feature. Enter Y to proceed and the software is installed. DC Required Date on Shipping Papers If you choose to install this feature, the system displays an installation screen similar to the following screen: The system does not need profile answers or file/jobstream changes made to install the software. Enter Y to proceed and the software is installed. 24

25 STEP 4: ANSWERING PROFILE QUESTIONS DC Shipment Date on Invoices If you choose to install this feature, the system displays an installation screen similar to the following screen: It is not necessary to answer profile questions, or change files or job streams. Entering Y to proceed installs the software. DC Short Code on Purchase Order If you choose to install this option, the system displays an installation screen similar to the following screen: The system does not need profile answers or file/jobstream changes made to install the software. Enter Y to proceed to enable the software.. 25

26 TEP INISHING THE NSTALLATION Once you have completed the Profile Question and Destination Unit screens, the system continues with the installation. 1. The system will prompt you to run the job INSTALL-PACKAGE if you are not at the Command Terminal or if the system is not STOPPED. As INSTALL-PACKAGE runs, the Utility Commands required to create the new files for the package are executed automatically. The system displays each command as it is executed. UTILITY COMMAND...ST STOPPED! UTILITY COMMAND...GE GEN UNIT NR...39 ON UNIT NR...(Destination Unit number) (Unit name) (Comment) (Unit name) XXXX FREE CREATING XXXXXX OK UTILITY COMMAND If you are installing Direct Catalog features (features prefixed with a DC on the P21PLUS screen), the system may run the job LIB-UPDATE to complete the installation. If you do not have enough room on the unit to create the files, a message similar to the following displays for the feature that cannot be installed: Installation will not occur for : Due to insufficient disk space. DC NAME OF DIRECT CATALOG FEATURE If you receive a message like this, note the name of the Direct Catalog feature that are not going to be installed. See pages 3 to x to find the features that did not install, and read the notes applying to those features. These notes will tell you one of the following: 1. a fixed number of tracks that are needed for installation of the feature 2. a simple calculation based on the size of another file, that will tell you the number of tracks needed for installation of the feature 26

27 STEP 5: FINISHING THE INSTALLATION You will have to expand the size of the Destination Unit by the total number of tracks needed, and run the job LIB-UPDATE again. See page 3 for instructions on how to change the size of a unit. 3. With the files online, run a Partial Verify. UTILITY COMMAND...VE "CO"MPLETE OR "PA"RTIAL...PA 4. After the Verify is completed, run the job MISMATCH to check the system for record mismatches. UTILITY COMMAND...<ESC> JOB...MISMATCH 5. If the Verify Report and Records Mismatch Report are OK, activate the system. 28 NSUFFICIENT ISK PACE If you received one of the following warning messages, read this section to find out how to correct the problem: Warning - Insufficient Space on Selected Destination Unit or Installation will not occur for : DC NAME OF DIRECT CATALOG FEATURE Due to insufficient disk space. Why Did You Get this Message? Most of the packages in Prophet 21 Plus 2000 Value Pack require the creation of new files during the installation process. These new files will occupy considerable space on your system s hard drive. If you do not have enough space on the destination unit you selected (see Step 4), you will have to quit the installation process and expand the size of the unit. It is important that you know the number of tracks that you need to add to the unit. The number of tracks needed for each Optional Package is displayed in the Profile Question screen. If you wrote down the number of tracks for each package as instructed in Step 4, you should have no trouble performing the unit expansion. If you did not, you check now by repeating Step 4 for those packages that would not fit on the unit. CHANGING THE SIZE OF A UNIT As of XL8.C, your system has the capacity to change the size of p21vg, the volume group (also called a unit) that holds the Prophet 21 System on your IBM RISC machine. The process is simple, and takes little time if you are prepared. Before you begin, you should: 1. STOP the system, but leave the files/unit online. 2. Log in to the system as P Activate Q-MODE. 4. Know the number of tracks you need to add to the unit. You should have written down the number of tracks needed for each package in Step 4. Determine which packages did not install successfully, and calculate a total number of tracks to add to the unit. Write this number on the line below. 28

29 INSUFFICIENT DISK SPACE Number of Tracks to Add to the Unit: FILE-EXPAND When you are ready, run FILE-EXPAND at the JOB... prompt. A menu similar to the following displays: FILE/VOLUME MAINTENANCE 1. Invite GEN files 2. Invite any files 3. Print expansion queue 4. Clear expansion queue 5. Test unit space required for queued expansions 6. Allocate unit space required for queued expansions 7. Modify unit size OPTION: Choose the Modify unit size option (at this time, this option should be the only one enabled for your use). A screen similar to the one below displays: Unit Used Trks Max Trks Req Trks New Trks Type the unit number that you wish to expand (this is probably 0) and press [Enter]. Once the unit number has been entered, the system displays the Unit s Used Trks, Max Trks, and Required Trks, as in the sample screen below: Unit Used Trks Max Trks Req Trks New Trks Used Trks reflects the number of tracks that your Prophet 21 System currently uses. In the above sample screen, the number of tracks the Prophet 21 System is using is Max Trks reflects the total number of tracks on this unit, including those that are used. This number might not match the Used Trks number exactly, but the two numbers should be close if you are getting insufficient disk space warning messages. In the above sample screen, the total number of tracks on the unit is Req Trks reflects the number of tracks the system requires to run any necessary expansions. For for our purposes here, however, the Req Trks number should exactly match the Used Trks number. This is shown in the sample screen above. To expand the size of the unit, add the number of tracks you need (you worked this out on page 3) to the Used Trks number and enter it in the New Trks field. Press [Enter]. The system should display a message similar to the following: 29

30 INSUFFICIENT DISK SPACE Expanding Units - Please wait! Prophet 21 extention reloaded successfully! Expansion OK! This indicates that the expansion was successful. You can return to Step 3 and install any packages that would not fit during your first try. IF THE VOLUME GROUP IS CLOSE TO FULL If your volume group is close to full (within 10% of being completely full), a message similar to the following displays: Warning: Volume group rootvg is close to full: 999 of Mbs free. Disk is getting full! Are you sure you want to expand unit? (Y N): It is okay to expand the unit anyway, so enter a Y at the prompt. This warning simply indicates that the unit cannot be expanded much more, and that you might need an additional hard drive in the near future. Call the Inside Sales Department for more information. Once the unit is expanded, you can return to Step 3 and install any packages that would not fit during your first try. IF THE VOLUME GROUP IS FULL If your volume group is full, as message similar to the following displays: Volume group rootvg full: 999 Mbs needed. Expansion unsuccessful! This warning indicates that the unit has reached its expansion limits, and cannot be expanded any more. You might need to add a new hard drive to your system. Call the Inside Sales Department for more information. 30

31 SING THE OB The job DIRECT shows you which Direct Catalog features are enabled on your system. A sample screen is shown below: Installed Direct Catalog Features: Seq# Feature Name 1 DC PAID INV TAX REPORT 2 DC INTERBRANCH SHIPMENTS 3 DC FREIGHT CHARGE ADDER 4 DC COMM ON PROFIT/LINE ITEM 5 DC SHIPPING PERFORMANCE Seq#: <ESC> for More "-" for Previous Each feature that is installed on your system shows on the list; the most recently installed feature displays first. DISABLING DIRECT CATALOG FEATURES The DIRECT job can also be used to disable a Direct Catalog feature. If you disable a Direct Catalog feature, and you want to re-enable the feature, you must re-install the package. IMPORTANT: Prophet 21 does not recommend that you disable and re-enable Direct Catalog features. Doing so could corrupt your data. Plus Users: If you disable a feature that was installed through Prophet 21 Plus 2000 Value Pack, you must run the job P21PLUSVP to reinstall it. To disable a Direct Catalog feature, turn Q-MODE on and run the job DIRECT. The system displays a list of the Direct Catalog features that are enabled on your system. To disable a feature, enter the appropriate sequence number at the prompt. A screen similar to the following displays: 31

32 USING THE DIRECT JOB The Direct Catalog feature "DC COMM ON PROFIT/LINE ITEM" is enabled. Warning: Once a feature is disabled, the only way to re-enable it is to install the feature again.
