4 CREATE ALTERNATE CODES DURING ORDER ENTRY Often, a customer will order and item by using a code that is familiar to them. It may be a manufacturer s code, an OEM part number, an obsolete part number, or the part number used by a competitor (the customer may have purchased it there before or is price shopping). Sometimes, the code the customer uses is not previously known. When that happens, you have to spend time trying to determine the proper item that your customer is requesting. This feature gives you the ability to capture that code at order entry time so that it can be used again in the future to reference the proper item. CommerceCenter has various methods for identifying items in addition to the item ID. One of those methods is the alternate code. You can track an unlimited number of alternate codes for an item, and if an order is placed using one of the alternate codes, the system will automatically translate the alternate code into the proper item ID. To do this, the Order Entry and Front Counter Order windows have been given a new right mouse button menu option called Create Alternate Code. You may access this menu at any time during the order entry process, and for any line item in the order. Selecting this option will bring up a popup window. Once you enter the new part number and click OK, the system will save the information. CommerceCenter will not allow duplicate alternate codes, and will not save the information if the code already exists. After you have successfully created the new alternate code, CommerceCenter will attach that code to the line item presently being entered. The new alternate code will be considered the Ordered As value, meaning that CommerceCenter will act as if you entered the alternate code instead of the item ID when placing the item on the order. The new alternate code value will then display in the Ordered As column in the Order Entry window (when using the Display Open Values option), and will print on forms with the Ordered As label. This modification does not impact the other functions using alternate codes in the system in any way. The only change is to enhance the Order Entry process and allow the creation of new alternate codes. If you enter an item on an order using a method other than the item ID (short code, alternate code, etc.) and then create a new alternate code for the item, CommerceCenter will capture that new code as the Ordered As 4

5 value instead of the value used to originally enter the item on the order. That original value will no longer be available for display and printing on forms. Note: All of these functions are available for pre-existing items only. If you enter an item on the fly during Order Entry, you cannot create a new alternate code as well. 5
