1 Importing Special Education Information to Special Programs Export the current Special Education Information The steps are for exporting the current student special education information from the State/Province WI > ISES Student Information page and importing to Special programs where it be required for the and subsequent school years for public schools ( Please note choice schools will still maintain this data on the Choice Students page, as before). See the Wisconsin State Report release notes from September 2, 2016 in PowerSource at KB 5399 for specific setup information. Ensure your datapump exports are successfully completing before importing data to PowerSchool. If you are a hosted client your system is backed up each evening. These steps may be completed from an individual school or from the district office. If you are working from the district office, importing to the district office must be enabled on your application. Select the district office > District > Miscellaneous and enable Allow importing in district office mode. 1. Find your students who are currently indicated to be special education students with the following search: DisabilityCode#;DisabilityCode#N 2. Select the Quick Export function and complete the page as below: The information will be downloaded from PowerSchool to your downloads folder. You can override this and place the file in a different location if you wish. The file will be named student_export.text. 1

2 Obtaining the ID of your Special Education Program You will need to obtain the internal id for the special program you created for Special Education. See the Wisconsin State Report release notes from September 2, 2016 in PowerSource at KB 5399 for specific setup information. 1. Select from the start page System > Direct Database Export (DDE) 2. Complete the page as below and click Search all XXXX records in this table. Your current records in selection should be 1 after searching, if not search again or contact support. 3. Select List View Ensure Cat is specprog Name is Special Education 4. If the fields above match, note the ID of the record. In the example below the ID is 714 but your ID will be different. 2

3 Enter your special program id the export file 1. Open the file you exported on page 1 using Excel. 2. In Excel Select File > Open and select your downloads folder or the folder you downloaded the file to on page 1 if different. Select ALL Files (*.*) or you will not see your file. 3. Select OPEN. 4. In step 1 of the Text Import Wizard select Delimitated. 3

4 5. In step 2 of the Text Import Wizard select Tab. 6. In step 3 of the Text Import Wizard accept the defaults and click Finish. 4

5 7. Your data will now be open in Excel: 8. Insert a new column and label it ProgramID 9. Populate the ProgramID with the special Program ID you obtained from page 2, step 4. 5

6 10. Save your file at this point, you may wish to rename your file at this time. In the example below the user has named the file spedinformation.text Keep your file as a Text (Tab delimited) (.txt) file. 6

7 Import the file to Special Programs 1. Select Special Functions > Importing and Exporting > Quick Import. 2. Complete the Quick Import page as below (selecting the file you saved on the previous page in step 12): 3. Click Import. 4. Complete the Import page as below. Note the option to exclude first row is selected. 5. Click submit. 7

8 6. A page similar to the one below is displayed: The name of each student is displayed and the special program which will be Special Education. 7. You can now review students from the start page > select a student > Special Programs 8. You can check special program enrollment from the start page > Special Functions > Special Program Enrollment. 9. Secondary Disabilities may now by entered for your students in their Special Education - Special Program. If you have experience with Quick Export, Excel and the Data Import Manager you can also import the secondary disabilities for your students. Contact support for assistance with importing secondary disabilities. 8
