3 Quick Start Guide Overview This guide is intended to provide you with the information you need to install the PrintFlow application and PrintFlow web site, and to complete primary administrator tasks for the EFI Pace and PrintFlow integration. Note: This document is a Quick Start Guide and does not contain every administrator task you can perform for the EFI Pace and PrintFlow integration. This guide contains the following types of notes: Important: When you see this type of note, the information may affect the way you enter fields or may warn you that errors could occur. Pay particular attention to information in these notes. Note: When you see this type of note, the information may serve as a reminder or may provide additional details that do not appear in the procedure. If the PrintFlow application is already installed at your site and you want to upgrade, please refer to the Release Information document supplied with your upgrade software. Note: The procedures are the same for installing both the full PrintFlow Dynamic Scheduling application and the PrintFlow Foundation application, and include installation instructions for the PrintFlow Connector software. 7 Overview of PrintFlow components PrintFlow consists of the following main components and software: PrintFlow database: The PrintFlow database is located in the SQL Server database management system on the server and is required for all PrintFlow installations. This database contains information updated from the EFI Pace system via the PrintFlow Connector and all data saved from the PrintFlow Scheduling application, which includes changes to scheduled runs, cost centers, shift patterns, and shuts. Note: Some print MIS solutions save the PrintFlow database tables in their own MIS database; however, the PrintFlow database is a separate entity that can reside anywhere on the network. PrintFlow Scheduling application or PrintFlow Foundation application: You install either of these applications on the local computer, using the required license registration key. Each application controls the release of the schedule and reads from/writes to the PrintFlow database directly (or to a.txt file that the print MIS can process like an XML file). Note: These applications do not read from/write to the print MIS tables, nor do they send data through the PrintFlow Connector. Note: The PrintFlow Scheduling application is not a client/server application. You can launch the application and load scheduling data from a scenario without any communication with a server, and you can change a value in the Configuration and Maintenance window without affecting the PrintFlow Connector or Database Maintenance Utility. PrintFlow Connector program: You install this program on the server computer you use to create the PrintFlow database, and you use this program for configuration and communications. The PrintFlow Connector program processes transactions from the print MIS and updates the PrintFlow database with the transactions, which include new and modified jobs sent to PrintFlow and updates from Data Collection. This program can send notifications for errors, and include the following programs and services: - PF_IOService - PF_Connector - PrintFlowXMLService.exe - PrintFlow Database Maintenance program and utilities 9/3/2010 7

8 Tip: All PrintFlow programs query the PF_IOService for the database connection parameters and other configuration settings specified in the Database Maintenance program. PrintFlow Website program: This program requires an optional license sold separately as an add-on to PrintFlow, and provides HTML pages for remote access to the current schedule, reports, and status displays. This program requires you to install the PrintFlow Website service on the server and Internet Explorer version 5 or higher on users computers (Mac or PC). 9/3/2010 8

9 PrintFlow minimum system requirements Note: The hardware required to run PrintFlow depends on a number of variables, such as those listed below. Using the following data, your EFI representative can help you determine the hardware you need: Number and type of users, such as schedulers, customer service representatives, planners, sales, management, etc. Average number of jobs, forms, and tasks to schedule short-term and long-term Company-wide schedule Uptime (shift) requirements (7x24, 5x8, etc.) Response time requirements for short-term and long-term schedules Online history storage requirements Interface requirements PrintFlow System Requirements The following table displays the minimum software requirements. Performance is directly proportionate to the processor speed and memory, in that more memory and speed result in better performance. 10 Install the PrintFlow application Note: You must follow these installation procedures in order. Prepare the computers for installation 1. Verify that the computers meet the minimum requirements, including access to a Microsoft SQL Server database. Refer to the PrintFlow minimum system requirements topic in this guide for additional information. 2. On the computer on which you want to install the PrintFlow Connector, do the following: To verify that Microsoft.NET Framework version is installed, go to C:\Windows\Microsoft.NET\Framework and locate the folder named v If the computer does not have Microsoft.NET Framework version installed, download and install.net Framework Version 2.0 Redistributable Package Version x86 from then ensure the directory C:\Windows\Microsoft.NET\Framework contains the folder named v Verify that a folder that contains the XML transactions sent from EFI Pace to PrintFlow exists. (We recommend you name the folder XMLInbox.) Share and grant administrative rights to allow full access to this folder on the local network. Tip: Throughout this Quick Start Guide, we refer to this folder as XMLInbox. Note: Even if you run the standalone PrintFlow application, you must create the XMLInbox folder to run the Maintenance Utility. Important: If you want to run the PrintFlow Connector on a separate computer than the one that contains the XMLInbox folder, you must run the service on a domain user account with permissions to the XMLInbox folder. In addition, you must set up a share point for the XMLInbox folder or the parent folder that contains it. Install the PrintFlow Connector and utilities 4. Exit all applications on the computer. 5. Launch the PrintFlow Connector Setup wizard and follow the prompts until the Select Installation Folder page appears. 9/3/

11 6. On the Select Installation Folder page of the wizard, leave the default location in the Folder field, then select Everyone under Install PF_Connector and utilities for yourself or for anyone who uses this computer. Note: If you select Just me and install the program, only your login ID can remove the program. 7. Click [Next]. The next page of the wizard appears. 8. Click [Next], and when the wizard completes the installation, click [Close] to exit the wizard and restart your computer. Tip: The PrintFlow Connector installation requires you to close and re-launch SQL Server. The following programs appear on your computer, and a shortcut to the Maintenance Utility appears on your desktop: PrintFlow Database Maintenance Utility: This program sets up the database connection, enables you to control the PFConnector service, creates and maintains the database, and provides settings, program license keys, XML archiving, and MIS integration type. PFConnector: This program is the service that communicates between the PrintFlow database and EFI Pace. XML Tracer: This PrintFlow XML Tracer utility is a troubleshooter used to trace XML files for a given job. Important: Consult your EFI support representative before you use the XML Tracer. PF_IOService: This service reads and writes configuration settings. 9. If the PrintFlow Connector runs on a separate computer from the one that contains the XMLInbox folder, do all of the following to set up the PFConnector service to log on as a Domain User Account with access rights to the shared folder: From the Start menu, click Control Panel, then double-click Administrative Tools, then double-click Services. In the list of services, right-click on PFConnector and select Properties from the pop-up menu. In the Properties dialog box, click on the Log On tab, and do all of the following: - In the Log on as field, select This account. 9/3/

12 - In the account field, enter, or click [Browse] to select, the name of the domain user account. - In the Password and Confirm Password fields, enter the password for the domain user account. Click [OK]. Create the PrintFlow database in SQL Server Note: The Maintenance Utility creates database users and passwords when it creates a new SQL Server database. The PrintFlow Connector and the PrintFlow Web Site use these user names and passwords to access the database. When you create a new SQL Server database, the PrintFlow Connector generates strong passwords for the pre-defined users, which contain upper- and lowercase letters, a number, and a special character. Every PrintFlow component that logs onto the database detects whether the new (strong) password or the old password is in use, and logs in accordingly. 10. Ensure that you SQL Server is running, then launch the Maintenance Utility. Note: If you are prompted for a server, database, and password, click [Cancel]. 11. From the Maintenance Utility main menu, click Configuration, then click Create New SQL Server Database. The Create New Database dialog box appears. 12. In the Create New Database dialog box, do all of the following: In the Server field, select, or click [ ] to add, the server you want to use for this database. Note: If you are installing the PrintFlow Connector on the same computer as the database, you can enter (local). (Be sure to include the parentheses.) In the Authentication method group box, ensure that the Use SQL Server Authentication option is selected. In Login Name field, enter your SQL server system administrator login ID. Note: If you do not know your SQL Server system administrator login and password, check with your IT department. In the Password field, enter the password associated with your SQL server system administrator login ID. 9/3/

13 In the Database field, enter the name you want to give to the PrintFlow database. 13. Click [Create New Database]. Note: If you use SQL Server 2005, you may receive an error message indicating that SQL Server blocked access to a procedure. Ignore this message and click [OK] to create the database normally. The Maintenance Utility displays a message that the database has been successfully created, and returns to the Maintenance Utility window. Configure the PrintFlow Connector 14. In the Maintenance Utility window, click on the PF_Connector Status tab, and in the Company Name field, enter your company name. Important: You cannot change the value in this field once you enter it and click [Apply]. Tip: The system enables the [Apply] button whenever you enter or change a field value on the Maintenance Utility window. 15. In the XML Inbox field, enter the file path for the XMLInbox folder. Note: If the XMLInbox folder is stored on the current computer, you can enter the drive name and path (for example, C:\XMLInbox). If the folder is on a different computer, you must enter a Universal Naming Convention (UNC) path (for example, \\APPS\XMLInbox). Note: The PrintFlow Connector does not support the use of mapped drives. 16. Click [Apply]. The system applies your changes, and the Company Name field becomes read-only. 17. Do all of the following to specify your MIS integration: Click on the Integration tab and, in the MIS group box, select Pace or Pace -Fiery. Click [Apply]. The system disables the options in the MIS group box to prevent data loss from changing the MIS. Tip: The [Show Current Properties], [Show Selected Properties] and [Check Properties] buttons are for EFI Support use only. 9/3/

14 18. In the Processing Mode group box (for use by EFI Support only), ensure the Embedded mode is selected. 19. Click on the PF_Connector Status tab, and click [Start] to start the PrintFlow Connector automatically when you start or reboot the computer. 20. In the Archive Settings group box, check the box in the Archive XML Files field. 21. In the Event Log group box, select the option you want to use to manage the event log: Note: The XML event log never exceeds 0.5 MB in size. When the log reaches this limit, the system removes the oldest event automatically to make room for a new event. If you want only error messages to appear in the Event log instead of all messages (events), check the box in the Show Errors Only field. If you want to keep the logged messages (events) to a manageable size by clearing the event log whenever the PrintFlow Connector starts, check the box in the Clear events at startup field. Tip: Checking the box in this field clears just the event log, not the actual XML files. If you want to display SQL statements in the Event log, check the box in the Write SQL Statements field. 22. Click [Apply]. 23. To synchronize the PrintFlow database with the PrintFlow Connector, click on the Database Maintenance tab. The Maintenance Utility automatically checks and verifies synchronization with the specified database, then displays a Status window that indicates no problems were detected in the database. Note: If the system lists any discrepancies in the Status window, click [Update Database] to correct the discrepancies. Note: The [Update Database] button creates the tables, indexes, roles, users (with logins for SQL security purposes), stored procedures, and triggers used by the PrintFlow application. These components are also created automatically the first time you run the Maintenance Utility. You do not need to do anything with these SQL components. 9/3/

15 Set up connectivity Tip: The following procedure is optional, and not required to install the PrintFlow application. connectivity enables the system to notify the system administrator any problems with XML file transmissions and send copies of the files. 24. In the Maintenance Utility window, click on the Settings tab. 25. In the SMTP Mail Settings group box, do all of the following: In the Send Notifications field, check the box. In the SMTP Server field, select the appropriate SMTP server, such as mail.efi.com. Tip: If your firewall does not allow you to connect to the EFI Exchange server, enter your own SMTP server, user name, and password in the corresponding fields. In the Sender field, enter your system administrator's e- mail address. Tip: To notify multiple people, enter a comma between each address. In the Recipient field, leave the default value of PrintFlowErrors@efi.com. This enables PrintFlow support staff to be notified if the PrintFlow Connector fails to process an XML file. In the Company field, enter your company name. In the Contact Tel field, enter your system administrator's contact phone number. In the Contact Name field, enter your system administrator's name. 26. Click [Apply]. 27. Click [Send Test ] to send a test message. The system sends an message to the address(es) you entered in the Sender field. Note: Contact your system administrator if the recipients you entered do not receive the test message. 9/3/

16 Configure auto start delay, overtime, and data collection Tip: You can use the Maintenance Utility to automatically start tasks assigned to delay cost centers, apply overtime amounts to tasks that exceed their planned time, and, if you use data collection, identify whether the data collection type is time-based or quantity-based. 28. On the Maintenance Utility screen, click on the Options tab. 29. To set up the Auto Start Delay trigger, do all of the following: In the Auto Start Delay Cost Center field, check the box if you want PrintFlow to automatically start tasks assigned to delay cost centers. Tip: This field enables you to set all tasks sent to a delay cost center to start automatically or manually. Automatic starts occur for tasks assigned to a delay cost center when you complete all linked tasks. For example, if a Customer Proof delay cost center includes three prepress tasks linked upstream, when you complete all three prepress tasks, the task on the system sets the delay for Customer Proof to Running. Click on the Database tab, and click [Update Database]. Tip: If you check the box in the Auto Start Delay Cost Center field, you can configure the Maintenance Utility to install the Auto Start Delay trigger whenever you click [Update Database] to ensure that the system always uses the latest version. If you do not check the box in the Auto Start Delay Cost Center field, you can configure the Maintenance Utility to remove the Auto Start Delay trigger whenever you click [Update Database]. 30. To set up the Automatic Overtime trigger, do all of the following: Click on the Options tab, and in the Automatic Overtime field, enter the number of overtime minutes that you want to add to a task if the amount of time reported exceeds the amount of time planned and the task is not complete 9/3/

17 Tip: The value you enter in the Automatic Overtime field controls how the system sets tasks to Complete in PrintFlow. If you enter a value other than 0 in this field, the PrintFlow Connector automatically adds the specified amount of time to a task when the planned time is exceeded by the reported time. If you enter a value of 0 in the Automatic Overtime field, then as soon as the task s planned hours are reported, the system sets the task to Complete. For example, if a task is scheduled for 3 hours, and the Data Collection module reports 3.5 hours of time for the task but does not set it to Complete, if you set the Automatic Overtime field to 15, the PrintFlow Connector adds 15 minutes to the task. But if Automatic Overtime is set to 0, the system sets the task to Complete. Tip: The system sets the default value for the Automatic Overtime field to 15 minutes. Click [Apply]. 31. To set up the data collection type, in the Data Collection Type group box, select Time Based if the type of data collection for xml run elements is time-based, or select Quantity Based if the type of data collection for xml run elements is quantity-based. Tip: The value you set in the Data Collection Type group box controls the way the system gathers data collection. The system sets this value automatically, depending on the MIS selected you select. Note: For all EFI Pace integrations, we recommend that you do not change the default setting of Time Based. 9/3/

18 Install and set up the PrintFlow scheduling application Note: This procedure is for first-time installations only. You install and set up the PrintFlow scheduling application only once. 1. Obtain the PrintFlow installation wizard from the CD or the PrintFlow download site location provided by your EFI Support representative, and copy it to the local computer. Tip: The setup wizard filename includes the version number, such as PrintFlow_ SelfInstall.exe. 2. Exit all applications and launch the setup wizard. 3. On the first PrintFlow Setup screen, check the box in the Install Application field, then click [Install]. The wizard extracts the files to a temporary folder. 4. To register right away, call EFI Support with the authentication code displayed on the screen. EFI Support confirms your purchase and provides you with the license key to enter. Tip: If you do not want to register right away, click [Activate Later] to enter the license key when you first launch PrintFlow. 5. Follow the on-screen instructions in the wizard, then click [OK] when complete. 6. To create a desktop shortcut, do all of the following: Open Windows Explorer and locate the PrintFlow folder. Tip: The default folder location is C:\Program Files\PrintFlow. Click on PrintFlow.exe and drag it to the desktop. Drop the file and select Create A Shortcut Here. 7. Launch the PrintFlow application. Note: If you did not enter your license key in step 4, the system prompts you to enter it. Call EFI Support team with the authentication code displayed on the screen. EFI Support confirms your purchase and provides you with the license key to enter. Enter the key and click [OK]. 19 Important: If you do not enter the following information in order, the system may automatically change the password to the database, and you will need to reset it. In the Connection Method group box, ensure that Use direct connection to server is selected. In the Authentication group box, leave the default values in the Username and Password fields. In the Connection Method group box, in the Server field, enter, or click [ ] to select, the name of the server that contains your PrintFlow database. In the Connection Method group box, in the Database field, enter, or click [ ] to select, the name of your existing PrintFlow database. Note: The PrintFlow Connector creates the Username scheduler and generates a new invisible password each time it is specified. Note: If you use SQL 2000 SP4 or SQL 2005 with the Direct Connection to Server method, you may need to install the SQL Server Client Data Connection utilities on the local computer for the SQL Server browse button ([ ]) to operate correctly. If you do not install the utilities, you may receive the error message ActiveX component can t create object when you click [ ]. 9. Click [->]. The second screen of the PrintFlow Setup wizard appears. 10. On the second screen of the PrintFlow Setup wizard, the system automatically enters the company name you specified in the Maintenance Utility in the Please enter your company name field (not editable). In the Please select your EFI MIS field, click on Pace. 11. Click [->]. The third screen of the PrintFlow Setup wizard appears. 12. On the third screen of the PrintFlow Setup wizard, specify the location of the folder that contains the schedule files PrintFlow sends to EFI Pace when PrintFlow releases the schedule. 13. Click [->]. Note: If you receive a message that PrintFlow will overwrite all your data, click [Yes] to continue. The fourth screen of the PrintFlow Setup wizard appears, with progress in the Setup Progress group box. 9/3/

20 Note: If you receive a message that PrintFlow will overwrite all your data, click [Yes] to continue. Note: Ignore the message Setup finished with problems if it appears in the last line of the Setup Progress group box. 14. Click [OK] to close the setup wizard. The wizard closes, with the PrintFlow application running and the Gantt chart displayed. Important: Do not escape or close the wizard without clicking [OK]. Otherwise, when you launch the PrintFlow application, the Gantt chart opens, but is inoperable until you define paths and other info (otherwise populated by the wizard) in the system configuration window. 15. Do one of the following: On the PrintFlow toolbar, click the Configure System button (wrench icon). On the PrintFlow main menu, click File, then click Configure Systems. The Configurations and Maintenance dialog box appears. 16. In the Configuration and Maintenance dialog box, click on the Data Connection tab, then the Advanced tab. 17. On the Advanced tab, in the Schedule Release Table Options group box, ensure that the box in the Generate Only One Record Per Task field is not checked and the box in the Release schedule to txt/html file field is checked. 18. Click on the Paths tab, and in Reports path field, enter the file path to the PrintFlow reports folder. Tip: By default, the reports shipped with PrintFlow are located in the \PrintFlow\Reports folder on the local drive. Note: The PrintFlow Data folder used by PrintFlow must be writable, and no files in it should be read-only. In addition, the printflow.ini file in the Windows folder must be writable. Important: When you set up file security, to prevent a user from overwriting another user s settings, do not allow different users and machines to share a common PrintFlow Data folder on a server. 19. Click [OK]. 20. Do all of the following to test the PrintFlow operations: 9/3/

21 Note: To test operations, you must have at least one cost center defined in PrintFlow. You must define this test cost center as Normal, with a name and description. Refer to the Defining Cost Centers topic in the PrintFlow online help for more information. Add a job to PrintFlow, and ensure that the job includes the single cost center you defined. Refer to the Defining Jobs topic in the PrintFlow online help for more information. The job appears in the Job Browser. Tip: You do not need to schedule loaded jobs for PrintFlow to display the jobs in the browsers or the PERT Diagram. On the Gantt Chart in PrintFlow, click [Reschedule And Resynchronize]. Tip: You must schedule loaded jobs before they appear on the Gantt Chart. The job you added appears on the Gantt Chart as scheduled. Make any change to the scheduled run, such as moving or deleting the task. Click [Reschedule And Resynchronize] to update the schedule with the change you made. The Gantt Chart reflects the changes you made. On the Scenario Statistics page in PrintFlow, click [Release Schedule To Database And Save All Data To Database]. To confirm that the system sent the changes to the database, click [Read From Database]. If the changes were sent successfully, the Gantt Chart does not change. If the changes were not sent successfully, the Gantt Chart displays the task without your changes. 21. Define all cost centers in full. (Refer to the Defining Cost Centers topic in the online help for more information.) 22. If you use the full PrintFlow Scheduling application (not the PrintFlow Foundation application) you must identify scheduling properties particular to your operation that you need to schedule the work properly. For example, you can create properties such as NumberOfColors, PaperType, PressSheetSize, and NumberUp. (Refer to the Defining scheduling properties topic in the online help for more information.) 23. Define shifts. (Refer to the Defining shift patterns topic in the online help for more information.) 24. Define shuts and overtime. (Refer to the Defining shuts and overtime topic in the online help for more information.) 9/3/

23 EFI Pace System Configuration Tasks For PrintFlow If you are a system administrator, you must configure the following items in EFI Pace so your employees can use the EFI Pace and PrintFlow integration: EFI Pace System Configuration Tasks For PrintFlow About cost center types Add, modify, or delete activity codes Add, modify, or delete cost centers Add or modify job status codes for PrintFlow Add, modify, or delete routing templates Add, modify, or delete job product types Configure Job Planning for PrintFlow Configure Data Collection for PrintFlow /3/

24 About cost center types Important: It is recommended that you configure your PrintFlow application and discuss your PrintFlow workflow with a PrintFlow implementer before you add or modify cost center types. Note: The EFI Pace system comes with four default cost center types. Do not modify the default cost center types, as they affect both the PrintFlow integration and Data Collection module. Note: The EFI Pace system does not recognize changes you make to cost center types and classes in the PrintFlow application. Tip: You should move tasks from one cost center to another cost center only if both cost centers belong to the same cost center type. A warning message appears if you move tasks between cost centers that are not of the same type. In the PrintFlow application, a cost center represents a resource that performs the work in your shop, and each cost center belongs to a cost center type. Cost center types can do all of the following: Limit which resources you can assign to a cost center. Change the appearance of the Gantt chart in PrintFlow to display cost centers based on type. Provide a warning message when, or prevent users from, moving a task from one cost center type to another, based on your system configuration. To view the list of cost center types in EFI Pace, on the EFI Pace Main menu, click Administration, move the mouse over System Setup, then over Scheduling, and then click Cost Center Types. The Cost Center Types List page appears. 9/3/

25 Add, modify, or delete activity codes Note: Refer to the Job Costing Module Administrator Quick Start Guide for additional information and detailed field descriptions for setting up activity codes in the EFI Pace system. Tip: You can modify multiple activity codes simultaneously by creating an epacestation query that displays all the applicable fields. Refer to the epacestation Module Administrator/User Quick Start Guide for procedural information on how to create epacestation queries. 1. On the EFI Pace Main menu, click Administration, then move the mouse over System Setup, then over Job Costing, then click Activity Code Maintenance. The Activity Code List page appears. 2. On the Activity Code List page, do one of the following, as applicable: To add a new activity code, click [Add New Record]. The Activity Code Add page appears. To modify or delete an existing activity code, click the magnifying glass icon beside the code you want to modify or delete. Tip: You can use the search and find features to locate the desired record. The Activity Code Detail page appears for the code you selected. 3. On the Activity Code Add page or the Activity Code Detail page, click on the Job Planning tab, then complete the following fields: In the Job Planning Integration field (required), select Scheduling to make this activity schedulable in the PrintFlow application. EFI Pace also updates PrintFlow with scheduling information, then updates the job planning record based on information from the PrintFlow application. Note: You must select Scheduling in this field. Otherwise, any activities related to this activity code will not appear in the PrintFlow application. In the Update Planning field, check the box to enable EFI Pace to update the job planning/scheduling status when a user enters a job transaction via the Data Collection module. 9/3/

26 In the Rollup Activity field, enter, or click [Pick] to select, the rollup activity you want to use to consolidate other activities. For example, when scheduling a press, most shops schedule only the 6-color press, as opposed to scheduling makeready, run, and washup separately on the 6-color press. Tip: Rolling up makeready, run and washup into a single press activity reduces the number of records that EFI Pace and the scheduling personnel must schedule. Rolling up activities also enables accurate scheduling in PrintFlow, since separate makeready, run, and washup records can hinder PrintFlow scheduling. In the Delay field, enter the minimum amount of time you want to wait after completing the previous task or planning record before beginning the next task. The system uses the value you enter in this field as the default value for job planning records associated with this activity code. Note: If you enter a value in the Lag Time field, the value you enter in the Delay field indicates the minimum amount of time to wait, after the lag time you specify ends, before beginning the next task. Tip: PrintFlow assumes the value you enter in this field is in minutes. Therefore, enter 60 to indicate one hour, and 1 to indicate one minute. In the Ask If Complete field, check the box if you want EFI Pace to prompt users in the Data Collection and Job Costing modules when this activity is complete. When the activity is complete, EFI Pace changes the status to Complete in the Job Planning module, and PrintFlow displays the item as a completed task. In the Job Plan Level field (required), select the level of granularity you want in the planning record for this particular activity. The value you select in this field affects the manner in which tasks, or planning records, link together, and the number of planning records to create. Select one of the following options: - Select Job Finishing if this activity is a finishing type activity. These types of activities appear in the PrintFlow application as a planning record for form ZZ in multiple part jobs defined as single products. Tip: In PrintFlow, any Job Finishing activities that exist appear at the end of the planning record, and the system combines corresponding finishing activities from multiple parts into one planning record (form ZZ ) in EFI Pace for final completion. 9/3/

27 - Select Job Part if this activity is a job part type activity. Job Part activities appear in the PrintFlow application for form numbers that match the job part numbers you specify. These types of activities appear after prepress activities or before finishing activities (if applicable) based on the routing template configuration. Tip: Refer to the Add, modify, or delete routing templates topic in this guide for more information. - Select Job Part Press Forms if this activity is a job part press form type activity. These types of activities appear in the PrintFlow application with a form number made up of the job part followed by the job part press form number. EFI Pace splits these types of activities, and creates one planning record for each job part press form, and then divides the setup and run time equally among the resulting job plan records. Note: Job Part Press Form activities must always appear together in the Job Planning module, and can be preceded by Job Part or Job Prepress activities. Additionally, Job Part or Job Finishing activities can follow Job Part Press Form activities. - Select Job Prepress if this activity is a prepress type activity. Job Prepress activities appear in the PrintFlow application as a planning record for form 00 for multiple part jobs defined as single products. Tip: In PrintFlow, Job Prepress activities that exist appear at the beginning of planning records, and the system combines matching prepress activities into one record (form 00) in EFI Pace to begin the prepress process. In the Lag Time field, enter the minimum amount of time you want to wait after starting the current task or planning record before beginning the next task. The system uses the value you enter in this field as the default value for job planning records associated with this activity code. Note: If you do not enter a value in the Lag Time field or you enter 0 in the Lag Time field, the current task and next task may begin at the same time, without any delay between tasks. Tip: PrintFlow assumes the value you enter in this field is in minutes. Therefore, enter 60 to indicate one hour, and 1 to indicate one minute. 9/3/

28 4. Complete the fields on the remaining tabs, as applicable, using the information in the Job Costing Module Administrator Quick Start Guide as a reference. 5. Do one of the following: If you are on Activity Code Add page, to save the activity code, click [Add]. The Activity Code Detail page appears with the Object Added message at the top of the page. If you are on Activity Code Detail page, to save your changes, click [Update]. The Activity Code Detail page refreshes with the Updated message at the top of the page. If you are on Activity Code Detail page, to delete the activity code, click [Delete], then click [OK] when prompted to confirm the deletion. The Activity Codes List page appears with the Item deleted message at the top of the page. 9/3/

29 Add, modify, or delete cost centers Note: Refer to the Job Planning Module Administrator Quick Start Guide for additional information and detailed field descriptions for setting up cost centers in the EFI Pace system. Refer to the PrintFlow online help for detailed information on setting up and maintaining cost centers in PrintFlow. Note: You must configure cost centers in EFI Pace, as the system does not recognize cost center changes you make in the PrintFlow application. Tip: You can modify multiple cost center records simultaneously by creating or using an epacestation query that displays all the applicable fields. Refer to the epacestation Module Administrator/User Quick Start Guide for procedural information on how to create epacestation queries. 1. In the Cost Center Type field, select the cost center type to which you want this cost center to belong. Tip: Refer to the Add or modify a cost center type topic in this guide for additional information. 9/3/

30 Tip: You should assign the same cost center type only to those cost centers that share work (example: Sheet Fed, Web, Fold, Cut, Stitch). This prevents users from dragging tasks of different types to an incorrect cost center on the Gantt chart. In the Total Impressions field, if this cost center represents a press, enter the current number of impressions. In the Description field, enter a descriptive name or phrase to identify this cost center throughout the EFI Pace system. In the Department field (required), select the department to which this cost center belongs. Tip: To view department details, select a department, then click the magnifying glass icon. In the Hours Available field (required), select one of the following options, as applicable: - If this cost center has a 24-hour capacity, select 24 Hours. - If this cost center has a 12-hour capacity, select 12 Hours. - If this cost center has a 10-hour capacity, select 10 Hours. - If this cost center has an 8-hour capacity, select 8 Hours. In the Print Flow Class field (required), select one of the following cost center classes you want to use with PrintFlow scheduling: - Select Combination if this cost center includes a combination of two or more classes. This value is reserved for future use. - Select Critical Date In if this cost center relies on a deadline for an incoming item or event (such as receiving a proof from the customer). - Select Critical Date Out if this cost center relies on a deadline for an outgoing item or event (such as sending items to a third-party vendor). - Select Delay if this cost center relies on a deadline for an item or event. Note: It is recommended you select Critical Date In or Critical Date Out instead of Delay. - Select N/A if you do not want to include this cost center in PrintFlow scheduling. - Select Normal if you want this cost center to represent a normal piece of equipment, such as a press, in the PrintFlow application. 9/3/

31 - Select Parallel if you want to associate this cost center with a virtual machine code that represents a pool of machines. - The Reserved value is reserved for future use. - The Tandem value represents an item that must run in conjunction with another task or process in the PrintFlow application, and should not be used. 4. Do one of the following: If you are on the Cost Center Add page, to save the cost center, click [Add]. The Cost Center Detail page appears with Activity Codes tab and the Object Added message at the top of the page. If you are on the Cost Center Detail page, to save your changes, click [Update]. The Cost Center Detail page refreshes with the Updated message at the top of the page.
