3 Bug Fixes Bug Fixes Global changes Installation The CASH installer has been significantly modified making it easier to migrate and upgrade CASH. The software now includes an installer while the distribution itself is included as a single compressed.mbs file. CASH can be upgraded without having first been installed, negating the need for a repair following a server move. Release Code It is now possible to simply drag the release code onto the Release Code Program in order to apply the release code you no longer need to type in the code. The ed release code can be copied directly from Outlook or into a folder and dragged onto the Change Release Code program from there. Page 2 of 33

4 Sage Compatibility We have continually maintained the compatibility between CASH and older versions of SAGE. However SAGE do change the SDO Object that we require for the interface from time to time. Due to these changes we can no longer guarantee compatibility with Sage 50 version v12 and older. As of CASH v2017.2, Sage 200 v2011 or older will also no longer be supported. If you currently use SAGE 50 v12 or older then please upgrade SAGE before upgrading to CASH v or above as we cannot guarantee that the real-time interface will work. If you currently use SAGE 200 V2011 or older then please upgrade SAGE before upgrading to CASH v or above as the real-time interface will not work. In CASH, navigate to; System Admin > Company Configuration > Ledgers > Sage > Page 2 To check which version of SAGE is currently in use. Sage CSV based interfaces and other accounting packages are unaffected by this change. Page 3 of 33

5 Themes The look and feel of CASH has been extended by the introduction of themes in this version. Applied at the top level, they apply to all CASH users. To apply a theme, navigate to System Admin => Company Codes => CASH 20** Configuration and select the User Interface Theme tab; Page 4 of 33

6 You now have a choice of three options; Where; User Defined Enables the basic configuration of all the major elements of CASH, allowing you to define back and foreground colours, grid colours and toolbar backgrounds. Preset Theme Provides a selection of pre-defined themes that completely change the look and feel of CASH. This is particularly useful if you have a particular business wide colour scheme you would like to implement but may also be useful for accessibility purposes. Standard Disables any theming and causes CASH to use your standard Windows based theme. Once you have selected your option and configured it accordingly, CASH must be restarted for the changes to take place. Other users in CASH will notice the changes the next time they log in. 7 DPI Support CASH supports increased DPI in all areas when setup within Windows. There is no configuration required in CASH however we do recommend that the DPI in windows is changed as follows; 1. Open Customise your display 2. Click Advanced Display Settings 3. Click Advanced sizing of text and other items under Related Settings 4. Click Set a custom scaling level under Change Size of items 5. Set your desired scaling level Please note that you may have to log out and back into Windows before CASH will display the changes. 8 Mailshot Query When running mail shots from CASH and making use of Query Builder to generate your mailing lists you will notice that the query tool has changed from MK Query to CASH Query. The new CASH Query is more powerful, easier to use and more functional than MK Query but may look unfamiliar and does use a slightly different format. To continue using shots from within CASH using the query it is first necessary to convert your existing queries to the new format. Converting existing queries A tool is provided that will convert any existing (MK) queries into the new CASH Query Format. To convert your files; 1. Copy the MKqueryToSQL.exe from the Utils folder of the CASH distribution into your CASH bin folder. 2. Run the MKQueryToSQL.exe program 3. Click Load and navigate to your existing query folder (normally cash4w\data model) 4. Select the query you would like to convert 5. Click Save and navigate to where you would like to save the new query (it may be convenient to save them in the same place) 6. The Mailshot program will work in the same way as before Please refer to the CASH Query help note for further assistance on using the new CASH Query tool. Page 7 of 33

9 Grid Filtering and Extra Columns Filtering the grid To filter a grid, click the arrow on the column you wish to filter; Pick Text Filters then select the type of filter you require. In this example, Contains has been selected and Engineering used as the key word. The Call grid displays only results where the Name Contains Engineering. Please note that these filters are additive, in other words they apply to list that is already displayed in the grid, in addition to and other options you have specified. Please also note that some columns do not have the text filters available. If the underlying field (in this case, Call Remarks) is a memo type field then it is not possible to provide text filtering. 10 Adding columns It is possible to add any columns from the underlying table to any grid in CASH. As most tables in CASH are driven by the underlying Header table only columns from these tables can be added. To add a column to a grid; Click arrow at the top of the column on either side of where you would like the new column to appear, select Columns then Add Columns After or Add Columns Before. Select the column you wish to add, we selected Failed to respond_yn ; The new column is now visible on the grid and (as long as it is not a memo type) can be filtered. Page 9 of 33

11 Removing Columns Columns are removed by clicking the arrow at the top of the column you wish to remove; Then select Columns then Remove Columns. The selected Column will be removed. Please note that while it is possible to remove all the columns from a grid, CASH will re-add the original default columns when the grid is loaded. For this reason we recommend using the add/remove columns features only for columns that are not currently displayed on the grid. If you wish to hide existing columns from a grid then the recommended way to do this is to move the column to the end of the grid. Page 10 of 33

12 Service & Maintenance Customer Details A filed is available within a Customer that facilitates setting a Default docket number on any calls logged for sites belonging to that customer, for example; Entering in the default docket number; Causes to appear automatically in the docket number field on a Call Action raised for any site belonging to that customer; Page 11 of 33

13 Site Details 2 User defined fields have been made available within the Site => Admin tab; You can change the captions on the fields within Field Caption Replacements ; Changes take effect immediately and are visible to all users. Please note that these fields do not appear on any of the build in CASH reports but may be accessed through query and/or ODBC. When adding the fields to reports manually please use the original field name rather than the replaced name. Page 12 of 33

14 Call Logging CF Optional user/date stamp on Call Actions An option is provided; That, when enabled, causes CASH to automatically stamp the logged in user and Date/Time to any modifications made to a Call Action. Please be aware that this text will be included with any other text in any reports that include this field. CF SiteID and Customer Reference included in Call Confirmation The Site ID and Call Customer Reference fields are available as merge fields within the Call Confirmation settings. Page 13 of 33

15 CF Asset Number search for equipment When logging calls at equipment level it is possible to search the Asset No. of the equipment by entering the number into the box. CASH the auto-searched as filters the list based on Asset Number. CF All/Complete/Uncomplete filter on a Sites Call History A filter is available within the Site => Call History tab that filters the view within the tab to selected option, All/Complete/Incomplete Please note that the filter is retained while the site is open but not if it closed and re-opened. 16 OnCall Engineer Reports CF Page * of ** within the Engineering Report A field is available within the Engineer Report that provides a count of all pages within the report making it possible to display eg. Page 1 of 4 on the Engineering Report. To enable the field, edit the report and save it, this will add the new field to the template. The new field has been added toward the bottom of the report and you must add your own separator (eg of, or / ) as a separate entity. For example; Gives; Page 15 of 33

17 OnCall Metro CF Customisation of theme An option is provided within OnCall Metro (Tablet/laptop) that causes the display to switch between dark and light themes. To set the theme, navigate to Options and pick Light or Dark from the Background Theme option; Page 16 of 33

18 CF OOH Calls set to waiting CASH can set OOH calls, raised on the mobile device, to waiting if required and a nominated Waiting Reason applied. The option is enabled in System Admin => Company Codes => CASH 20** Configuration on the OnCall tab; Once enabled, any OOH calls logged on a mobile device will automatically be set to Waiting and the nominated Waiting Reason applied. 19 CF Restriction by engineering area of site records The list of sites retained on a mobile device for the purpose of OOH calls logging can be restricted by Engineering Area. The option is enabled within the Engineer Reference Code under the OnCall 3 tab against the appropriate Engineer. The option needs to be enabled for each applicable engineer, there is no global setting. Once enabled the list of Sites available to the Engineer on the device is restricted by the Engineering Area(s) to which that Engineer belongs. The list of Sites on the device is updated whenever an Engineer is associated with, or removed from, and Engineering Area. The list is also maintained when an Engineer Area is deleted. Page 18 of 33

20 CF OnCall Linked PM Calls CASH provides the ability to Link maintenance calls automatically on the Engineers Mobile Device when the call is generated from the Preventative Maintenance Extract and they are scheduled on the same date for the same site. For more information about this feature, please refer to help note Linked Preventative Maintenance Calls.docx. Page 19 of 33

21 Invoicing Chargeable Call Invoicing (Schedule) An option is provided to enable a summary of parts on the Chargeable Call Schedule extract. To enable the feature, navigate to System Admin => Company Codes => CASH 20** Configuration; and select the Miscellaneous tab; Once enabled a new line Part Total is added to the Schedule extract report; Please note that the option to include a total of charge must be enabled on the extract form. 22 Accounts Interface Sage 50 CF SAGE 50c 2018 (v24) Support CASH fully supports SAGE 50c 2018 (v24). Real-Time Automation CF Validation of Customer Number With v23 Sage introduced a requirement that the Customer Number not contain any special characters preventing the update and creation of any such numbers through the Real Time interface. To reflect this change, CASH now checks for any special characters when new customers are added and prevents the saving of the Customer if the Customer Number contains special characters. The update routine will also skip any customers that have special characters in the Customer Number field. To aid in the renumbering of any existing Customers that meet this criteria we have introduced a Customer Renumber function. Available from the Select Customer screen, the new function will renumber the Customer and any associated records in CASH. Page 21 of 33

23 Sage 200 CF SAGE 200c 2017 CASH fully support SAGE 200c 2017 Other Accounts Package XERO Balance Updates CASH supports balance updates from the XERO online accounts package. CASH must be set up to use the XERO accounts ledger interface. To merge balances from XERO - Run the standard Aged Receivables Report from within XERO - Download the report in Excel format and save into the path specified in CASH s Ledger Interface Directory Path - Rename the downloaded file to C4wBal.xls - In CASH, run Invoicing > Merge Ledger Balances As per the Sage 50 interface; - Current Month is Current Balance, - Next month is Aged 30, - Following month is Aged 60, - All remaining balances are Aged 90. NB The import routine uses the Customer Name as the unique identifier as although a Customer Number is optional in XERO it is not available in the standard Aged Receivables Report. Page 22 of 33

24 XERO Purchase Invoice Interface CASH will generate a purchase Invoice CSV file suitable for importing in the XERO accounts package. The interface is operated in the same way as the existing CSV Accounts Interfaces and creates the file; Xero Purchase Ledger Export-YYYY-MM-DD-HH.mm.ss.csv The file is created within the location specified in the Ledger Interface Directory Path. The file is mapped as follows; Xero field CASH Field *ContactName Suppliers.Name Address Suppliers. 25 Bug Fixes Reference Number Bug Details Reported In Version Fixed In Version CF Fixed an issue with the rolling 12 month Call Performance Analysis report where the call type was not being taken into consideration. CF Added an option to the Rolling 12 month Call Performance Analysis to enable the user to categorise early completed calls as ontime. CF Modified the PO Line entry to prevent a user from entering a line with no association nominal code. CF Fixed an issue within Invoice Print > Range where a mix of print and invoices may cause an oops something went wrong error. CF Fixed an issue whereby a PO may become locked when a user receives it if the PO had been created from a Job Costing or Call. CF Fixed an issue with Call Action where you may receive an error if there is text in the Docket Number field when the changes are saved CF Modified the address validation in CSAH to prevent a user entering an with a space on the end and thus preventing the error on the mobile device. CF Modified InSync to prevent invalid characters from causing an error CF Modified insync to prevent the User Defined description from being added to the Entry Remarks field and thus causing a duplication. CF CF Modification to the CASH Client and Server installers to prevent multiple instances of ADSTableManager occurring and also to enable UNC path support Page 24 of 33

26 CF CASH now correctly sends a cancellation to an oncall engineer if the call is re-assigned from within the assign tab. CF Fixed an Issue with Sage integration where a DD invoice may not extract and you receive an error Page 25 of 33

27 OnCall Metro CF Restored the set as chargeable option on the job completion form CF Removed any unnecessary scroll bars from the software CF Fixed an issue when selecting Fault Groups and Codes on the completion tab the user now sees the description rather than the code. CF Fixed an issue with attachments where a non-standard character in the filename may prevent the attachment from being opened on the device. CF Fixed an issue where the system equipment tab may not be accessible if a Call has System Equipment checklists but the products database on the device is empty. CF The mobile device now shows the Call Remarks and Action Taken of the selected Call within the Call History tab. OnCall Android CF Fixed an issue with Risk Assessments where you may only see 1 of 2 items and therefor are unable to continue to the job CF Modified the checklist view to prevent the comments from spearing behind the icon or checklist description, CF Modified the software to prevent the reported android.os.deadobjectexception error Page 26 of 33

28 OnCall All devices CF OnCall now prevents a user from entering any nonstandard text into any text field thus preventing random text from appearing in the Action Remarks and therefore on the Engineering Reports. 30 CF CASH now displays a meaningful error when trying to send a call to the Mobile Device from the scheduler when the call is unallocated CF The PurchaseOrderLines.SupplierProductCode field has been extended to 30 Characters to bring it in line with the core products table CF Prevented CASH from summing Purchase Credits and Purchase Invoices on the manual ledger extract report. Credits are now subtracted from invoices. NB Please take the VAT into account as it is not normally added on the credits CF Fixed an issue where CASH may open the first PO in the list when opening a PO from Job Costing and the Stock location is something other than Company No. 1. Cash now opens the selected PO in all circumstances. CF Fixed an issue where CASH would not assign a Cost Centre to a Purchase Order when the PO was raised from within a Call as opposed to a Call Action CF Fixed an issue where when logging an installation call and creating a new job to link it to, CASH was not linking the two when the job was saved CF When cancelling a Maintenance On Payment Invoice from within the invoice itself you are now prompted for a default cancellation reason as you are when cancelling from the invoice grid CF When running a Chargeable Call Schedule extract for a date outside the key warning dates you are now warned, rather than prevented from running the extract CF Fixed an issue when re-assigning a site s customer, the customer is now re-assigned on all enquiries as opposed to just the first one CF Fixed an issue with the Archive extract where renumbering a site in the main data wasn t also renumbering the associated records in the archive CF Fixed an issue with adding a product to an estimate that contains an image and the product code begins Page 29 of 33

CF Modified the Warranty indicator on a Call to correctly indicate the status of the warranty on the piece of equipment against which the call is logged CF Fixed an issue with the Renewal Schedule Invoice Extract where no charge line was added in Multi- Company by System environments CF Fixed an issue with the Quick Quote with Prices where the decimal places were being stripped from the sub total CF Modified the validation of Charge & Schedule Dates to prevent the entry of Blank dates on non-maintained systems or New sites Page 30 of 33

32 CF Fixed an issue with the CASH System Event Viewer where you may experience an Access Violation on opening CF Fixed an issue when saving Scheduler views, you can now have multiple views beginning with the same letter whereas it was defaulting to the first view beginning with the given letter CF Modified the Site Selection form to ensure the Telephone Number column is scalable CF Fixed an issue when opening Scheduler entries from within a Sales Enquiry note and then selecting View with Detail the item now remains selected and details visible CF Fixed an issue when opening a Sales Enquiry from a note reminder, the Customer Name field is now editable to 50 characters. CF Fixed an issue with Option 2 of Sales Commission Reporting where CASH was filtering out invoices less than, rather than greater than, the number entered in Company Configuration CF Modified the Travel Time field within Call Actions to prevent a You must be in ShowCheckbox mode to set this date CF Modified the Diary to prevent an access violation when adding an appointment to the scheduler and the form size is larger than the screen CF (REWORK) Fixed an issue with the Job Costing Cabinet in multicompany environments where CASH wasn t taking into account the company number when numbering the cabinet. As a result, Cabinets created for identical job numbers, but for different cabinets, effectively shared the same cabinet. From CASH v CASH will amend the Job Costing Company Number to the cabinet path automatically but will not re-number any existing cabinets. CF Further to the addition of a Commission Check Date and User in CF , the user list is now filtered by active users. Page 31 of 33

33 CF Fixed an issue when adding products to a Job Costing where the second product may not be displayed if the Job Costing had not been saved CF Fixed an issue when adding an appointment to the scheduler from the status tab of a sales enquiry. The entry is now correctly created as an appointment as opposed to a user defined entry. CF Fixed an issue with the Scheduler to prevent an error when closing the Scheduler during a refresh CF Modified the Tabbing order in Sales Enquiry and fixed an issue with the incorrect cabinet path CF Fixed an issue with the Capacity View of the scheduler where double clicking a day would move the focus, rather than opening that day. CF Modified the auto creation of scheduler entries for weekly maintenance visits, CASH now uses the next maintenance date correctly CF Fixed an issue with the SAGE 200 interface where 4 digit nominal were not posting when the interface was configured to include the Department within the Nominal Page 32 of 33
