5 Equipment Requirements In addition to the items on the right you ll need: >150yd XLR cable or wireless receiver Tripod with minimum of 8ft clearance Laptop with Windows XP/7/8 with working battery and charger 2 X Cat5e Ethernet cables 5

7 Hy-Tek vs FinishLynx Hy-Tek Is a meet management software. It organizes the entire track meet/invitational. It is a database that contains schools, athletes, events, and seed information. Finishlynx System - It is an automated timing system that captures and records results from races. *These are two different products from two different companies 7

8 Create a new Database / Meet Preparations: In the C: drive create two folders, 1.) MeetDB, 2.)StartList Open Hy-Tek, Go to File and select Open / New Navigate to the MeetDB folder Type 2015 Andrew Hill vs Lincoln and select Open. Configure the Meet Set-up (See picture) 8

9 Create a new Database / Meet (cont d) Make sure the following are selected: Meet Class High School Meet Type- Division By Event Base Country USA Meet Arena Outdoors Meet Style - Standard 9

10 Configuring the Meet preferences Many of the meet settings can be configured in the Set-up menu. But by default current preferences will work BUT the scoring will need to be adjusted. Select Scoring Set-up to adjust the points distribution. 10

11 Configuring the Meet preferences (cont d) Clear out the old scoring configuration and replace it with the proper scoring configurations. 11

12 Adding Events NOTE: If you plan to run Frosh Soph Boys events you will need to add that Division in the Meet Set-up (Follow Class example). In Hy-Tek click on the Events menu to open the Events Window. In the Events Window click on Add. This will bring up options to add a new Event. Follow the class example to add the Boys and Girls Varsity 100m Dash. 13 Adding Events (cont d) Be sure to fill out the events carefully. For example, 100m and 200m should be Dash event and 1600m is a Run event. The Number of Lanes should be 8 for sprinting events and more for distance events. I recommend 800m distances and up should set at

14 Adding Schools and Athletes **Add schools first before adding any athletes.** In Hy-Tek click on the Schools to open the Schools Window In the Schools Window click on Add Be sure to fill in the following fields and add Andrew Hill and Lincoln Team Abbr. AHNI Full Team Name: Andrew P. Hill Short Team Name: Andrew Hill Status: Normal Team Abbr. LINO Full Team Name: Abraham Lincoln HS Short Team Name: Lincoln Status: Normal 14

16 Adding Athletes and their events In Hy-tek click on Athletes to open the Athletes Window In the Athletes Window click on Add. Be sure to the form out carefully. Fill in the Last Name Fill in the First Name Select the Gender, M for Male/Boy and F for Female/Girl. Select the corresponding school. Follow the Class example to add two boys and two girls for each school. Follow the Class example to add athletes to each event and their marks. 16

18 Adding Relay Teams In Hy-Tek click on Relays to open the Relays Window. Follow class example to add relay teams and seed times. 18

19 Seeding Each Event In Hy-Tek click on Seeding to bring up the Seed The Meet Window. The Seeding feature is only beneficial if marks are added for each Athlete. Otherwise the event will be randomly seeded. In the Seed The Meet Window you can seed one event at a time or multiple events at once. Follow the class example. 19

21 Print Meet Prog., Heat/Flight Sheets All printing from Hy-Tek will be performed in the Report Menu. Follow the class examples to print the Meet Program, Finish line sheets, and flight/scoring sheets for field events. 21

22 Create Start List Start list is a feature of Hy-Tek that will create all the event information of the track meet so that FinishLynx can load on its system. Follow the class example to create a Start List **If there are any changes made to Hy-Tek you will need to update the Start List**. 22

23 Creating Backups Creating backup is a way to preserve and old or existing database you are working on. The database will be backed up in a zipped format where you can save it on a USB Flash drive. These backups can also be used as templates. Follow the class example to create a backup 23

24 Lynx Camera Physical Setup With the Tripod and the camera mounted you will need to position the camera Approximately 8ft from the finish line and about 8ft in height. The Finishlynx company recommends 10ft x 10ft. This setup will ensure all 8 lanes will be captured. They also recommend to place the camera on the in-field. 24

28 Computer Network Configuration The laptop running Finishlynx will need to have a manually configured IP Address. Follow the class example to configure the IP Address. IP address: Subnet mask: This address allows it to communicate with the Lynx Camera. *If Hy-Tek is on a different computer you will need to give it an address as well. You can give it the following: IP address: Subnet mask:

29 Disable Windows Firewall Follow the class example to disable the Windows Firewall. If enabled the Windows computer will not connect to the camera. Turn off all firewall options. 29

30 Finish line alignment When aligned correctly the screen capture should show a white track with black lines to indicate the lanes. You may need some runners to run in lane 8 and 1 to make sure they are visible in the camera 30

31 Adjust camera for lighting conditions Throughout the meet the lighting will change on you. The sun will start setting and the image being captured will get darker and darker. Check the image often and adjust the lenses of the camera to capture more light. Be prepared to use external lights such as flood lights to light the finish line to capture your races. Follow class example to adjust the lenses of the camera. 31

33 Single vs Multiple Computer Setup Single Computer No additional configuration is needed. Hy-Tek and FinishLynx can share the same start list files on the same system. Multiple Computers- One computer will hold the start list files and the FinishLynx will need to be configured to retrieve it. This requires the folder of the start list file to be shared and permission set to be accessed from other computers. This requires both computers to be able to PING (Talk and See) to each other. 33

34 Windows Share for File Sharing Mode Windows XP have different methods of sharing a folder compared to Windows Vista, 7, and 8. Follow the class example on sharing the Start List folder. 34

35 FinishLynx Events Location In the FinishLynx options Events tab configure the event directory to: (Single computer) C:\StartList (Multi Computer setup) \\ \StartList This will default the save location of the results and when loading results for review. This is where the finish line images are saved. Putting it in the Start List location keeps it simple. 35

36 FinishLynx Database Location In the FinishLynx options Database tab configure the Input and Output directory to: (Single computer) C:\StartList (Multi Computer setup) \\ \StartList This is where FinishLynx will get the Hy- Tek Track Meet information and save the results 36

40 Getting FinishLynx Results Follow class examples how on to get the correct results. Identify athletes by Lane Identify athletes by ID 40

41 Image cropping With the Lynx Camera whether you have manual or auto capture you may capture a lot of dead space. Cropping allows you to clean up the captured image so you can focus on the athletes instead of scrolling through a large image looking for results. Follow the class image to manually and auto crop and image. 41

42 Adjust start times During a Track meet there are going to be moments where the start sensor will trigger the timer before a race. As long as the sensor captures the gun, which is very likely, then you re OKAY. You can adjust the start time during or after the race is completed. Follow class demo to adjust the start time for races. 42

43 Saving FinishLynx Results When saving the results be sure to save it in location you set up in the Event Directory. There are two pieces of information that is saved. 1. The captured image and results are saved in a FinishLynx format. 2. The results are saved in a Hy-Tek format which Hy-Tek will be getting the race times. It is the Database Output location MUST match the Start List location. 43

44 Load previous race results Follow class example. During a meet there might be discrepancies. You may need to look up a previous captured results and verify. If there are changes you will need to save the file again and pull the results (again) from Hy-Tek to get the corrections. You will likely need to re-score the event. 44

45 Pull results from Finishlynx to Hy-Tek Select the event (and the heat) and press F3 key or hit the Get Times button. 45

46 Judges Decision (JD) for Tie Breaking Judges Decision option to override the placement of athletes regardless of their performance. This option is used for tie-breaking for events such as high jump and pol vaulting when often many athletes get the same marks but are placed by the numbers of misses and scratches they have. 46

47 Scores and Results When an event is completed you can score it to get the current running score. If you hit the Score button it ll score and give you a print option. Hitting the Re-Score button will score the event without the print option. Printing the Scores and results are done through the Reports menu. Follow the class example to print results and scores. 47

48 Create new Database from existing one Preparation: Create a new Backup overwriting the old backup. Close the Hy-Tek application. Go to the C:\MeetDB and copy the database file can paste it in the same location. The new file will append the - Copy at the end of it. Rename the file to 2015 Yerba Buena vs Lincoln Open Hy-Tek, go to file and open that new Database. Purge the seeding and results. 48

49 Restore a backup Restoring from a backup is a great way to load up old meets. These backups can be used as templates. To load Events for track meets and invitationals. Follow class example to load previously backup database. Follow class example to load a backup from the instructor. 49
