1 LYONESS V-TERM Instruction Manual
2 Installation of your access The Lyoness V-Term is a web-based interface, which you can open directly from your browser without the need to install any software. Requirements Active internet access Hand-held scanner Internet Browser: o Mozilla Firefox Version 3 or higher o Internet Explorer Version 6 or higher o Apple Safari Version 4 or higher User name (per from the Lyoness SME Offi ce) Password (per from the Lyoness SME Offi ce) If you have not received your login details, please contact our SME Offi ce. Lyoness SME Service Centre for Loyalty Merchants SME Offi ce:+44(0) Fax:+44 (0) sme-service@lyoness.co.uk Ensure that your internet connection is active and enter the following address into your Browser address bar: You must log in with your login details in order to be able to use the Lyoness V-Term. 2
3 V-Term: Overview After you have entered your user name and password, you will come to the main screen. This consists of a menu bar, an input region and a summary table showing the current day s sales. Menu bar Input region Summary table The menu bar contains the following tabs: Sales Vouchers (optional) Options Logout Tip: When you access your V-TERM interface for the fi rst time, change your password in the Options tab for one that is easy to remember for you and, eventually, your employees. Important note! You must always be connected to the internet whilst working with the V-TERM! Should your computer be accessible to customers, always make sure to log out after working with the V-TERM Website by clicking on the Log out link. By doing so, the V-TERM is locked and you can be sure that only authorized personal in possession of the appropriate login details can open the V-TERM and create sales. Always keep your login details in a safe place. 3
4 Overview of V-TERM fields The input region contains the following fi elds: Loyalty Merchant ID Date (the current date also used for bookings) Card No. (Barcode number on the back of the Cashback card) Segment (optional; if you have more than one Member Benefi t Code, you can select the correct code here) Member ID Amount (sales amount) Your Reference Number (your internal invoice number or booking number) Name (will automatically be completed once you have entered the card number or the Member ID) Card status List of Member Benefi t Details In the summary table of the current day s sales, you will fi nd the following information: Booking time Segment (optional) Card No. Member ID Amount Reference (if provided) Status 4
5 Create a Sale You can create sales in the input region of your main screen. Please proceed as follows: 1. Place your cursor in the Card no. fi eld 2. Scan the barcode found on the reverse side of the Cashback Card. If the barcode cannot be read, you can enter the Member ID in the Member ID fi eld. 3. In both cases, the Name and Card Status data fi elds will be immediately verifi ed. 4. Verify if the data is consistent with the card data. 5. You also have the option to assign a Reference Number. This number can be freely defi ned and is intended to facilitate control of your bookings. Duplicate numbers will NOT be accepted by the system. 6. Please now enter the amount in the Amount fi eld marked in red and confi rm it with the Save button or with the Enter key. 5
6 7. A verifi cation window will appear if all data is correctly entered, please confi rm it with the Save button or with the Enter key. 8. You will now receive confi rmation that you have saved the process. Please confi rm it by clicking the OK button or the Enter key. 6
7 9. You can now see in the summary table of current daily sales your booked amounts. 10. This amount is marked as pending an additional V-TERM safety tool which gives you the option if needed to cancel this booking within 15 minutes. 11. If everything is correct, you can immediately proceed with entering the next sale (refer to Point 17). 12. Should you need to cancel the amount for any reason, click on the X at the end of the booking line (this is only possible within the fi rst 15 minutes). If this is no longer possible, please contact the Lyoness SME Service. 13. A window will appear showing the amount to be cancelled. 7
8 14. An option is now given to cancel the amount. 15. A notifi cation will now confi rm the successful cancellation of the amount please confi rm it by clicking on the OK button or pressing Enter key. 8
9 16. The status in the booking line will be set to Cancelled. 17. You can now enter a new purchase. 18. If the purchase was created and verifi ed without needing to be cancelled, the status of the booking line will change from Pending to Confi rmed within 15 minutes. 19. If the booking line status is set to Confi rmed and you still want to cancel it, please contact the Lyoness SME Service. 9
10 Redeem a Voucher Through the Voucher menu point, you will get to the interface for redeeming Mobile Vouchers. This consists of a menu bar, an input region and a summary table of the current daily sales. Menu bar Input region Summary table Redeem a Mobile Voucher (fl ex) 1. Place the cursor in the Security Code fi eld. 2. Ask the customer to give you the 6-digit security code and enter it in the Security Code fi eld. You can also use the entire Voucher number (20 digits) as an alternative to the security code. 3. You also have the option to assign a Reference Number. This number can defi ned by you to facilitate control of your bookings. Duplicate Reference Numbers will NOT be accepted by the system. 10
11 4. Now click on the Save button. 5. Should the entries be incorrect, the following message will appear: Please ask the customer to show you the requested code again. This is a security check for you! 6. Please enter the security code once again. A dialogue window will appear, in which the Voucher amount, the Voucher number and the date of purchase will be displayed. Please verify these values! 7. If all values are correct, click on Redeem. You will thereby confi rm that you have deducted the Voucher amount from the customer s purchase total, that the Voucher is redeemed and that the purchase total has been paid. The Voucher cannot be redeemed a second time! 11
12 8. If the Voucher was successfully redeemed, a message will be displayed on the screen and the table at the bottom will be updated. The process is then completed and you can redeem the next Voucher or return to the Sales interface to create sales. General information about browser settings Create a Desktop shortcut. For faster access to the V-TERM website, you can create a shortcut on your Desktop. Internet Explorer, Mozilla Firefox, Apple Safari: 1. Open the V-TERM website: 2. Minimize the browser window and all other windows. You should now see your Desktop next to the browser window. 3. Now click on the Lyoness logo in the browser address bar, next to the address and then click and hold your mouse button and drag it to your Desktop. 4. When you release the mouse button, the shortcut will automatically be created. Now you can always open the V-TERM website directly via this shortcut. Add a browser bookmark You can also add a bookmark for the V-TERM website directly in the browser. Open the V-TERM website: and take the following steps, depending on the browser: Internet Explorer (Version 7 or higher), Mozilla Firefox, Apple Safari: 1. Hold down the [Ctrl] key and press the [D] key 2. You can now select the desired folder in your bookmark toolbar in the open Dialogue window. Internet Explorer (Version 6): 1. Click on Favourites in the browser menu bar, and then on Add to Favourites. 2. You can now select the desired folder in your bookmark toolbar in the open Dialogue window. 12
