6 Introduction Overview neocatalog's Administration provides several tables and preferences to provide the most efficient and best working process and workflow for the end-user. This documentation provides an exhaustive explanation about Administration, from its features to a comprehensive walkthrough about its use, and it is intended for users who are account administrators. The account administrator of neocatalog will be the only user to have unlimited access to all neocatalog's options. Such administrator has access to the Administration main navigation tab. To access the administration pages, click on the wheel the log in. With it, you get the following features: and click on the option Administration after Management - Create and manage users, and control users with privileges. Import simulation object to simulate colorways and color libraries to color new colorways. Unfolds a list of setup tables, where you can create contents and upload files to manage and permit neocatalog s workflow. Preferences - Several preferences to enable modules, create categorizations labels, customize user interface with your logo and configure designs view. Preferences offers several interface and navigation settings. Licensing - Information and management of activation licenses, registered devices and registered apps. Access Control - Shows a record of Access Logs to neocatalog. Stats - Information of the amount of designs, colorways, galleries, users added from the beginning, as well as login sessions. 7 Installation Guide neocatalog This manual guides you through two processes installation and activation. neocatalog's app provides an easy installation management and organization for creating and managing user catalog to discover neocatalog's features and functions. If you want to run neocatalog you need to activate the application. Check your license and make sure that your license allows the launch of neocatalog. This guide will help you to install and make the first steps in the usage of neocatalog App and it's features. For the administration of neocatalog and working with it's functions, please refer to the separated neocatalog Administration and User manuals. 9 Download and install neocatalog neocatalog's desktop app is the best way to use neocatalog on a Mac or Windows. Along with the features available in your browser, the app loads the app services more quickly, gives you more control over usability, and has better support for multiple workspaces. There are two ways to download neocatalog for Mac or Windows: You may obtain the installation file.dmg (mac) or.exe (windows) purchasing neocatalog, or downloading it from Inèdit's website. Download neocatalog according to the directions you received and install neocatalog follow the steps. Macintosh Step 1 Once the download is complete, open a Finder window and select your Downloads folder. Double click the installer file to reveal the neocatalog app icon, if it s not already there. Step 2 By default, the program directories are /Applications or /Users/Home/ Applications. Drag and drop the.app file in one of the directories. To uninstall neocatalog go the directory and remove the. app file. 10 Windows Step 1 In your Downloads folder, double click the file with extension.exe file and the installer starts. In first installation you are required to allow Windows Firewall to access Java. 11 Registration & Activation neocatalog Request a licensed Activation Code from Inedit for your Inedit product. If you need help please contact with us by or via sales@inedit.com. After you complete the purchase, the product activation code and XDAT file will be sent to you via . You will need this activation code or XDAT file to activate your product, so be sure to save it. Inedit products support two types of activation: USB protection and UUID. USB protection (dongle) The dongle is a hardware device that you can connect to a computer's parallel or USB port. The product is authorized to run on that computer as long as the dongle remains connected. This dongle will activate the software when provided an XDAT file, or the activation code is introduced. Supports multiple Inedit products activations. UUID format (Universally unique identifier) Activations with UUID format do not require to plug-in any hardware devices. It will use an unique identifier number that will activate the program when provided an.xdat file, or the activation code is introduced in the required field neocatalog - Admin Installation Guide neocatalog - 11 / 67

12 Register and request product Trial license Start the installed software. If you own the Inedit dongle, you need to plug-in in your computer. If you don't have the dongle, the registration will be done using the UUID of the product. Click on Trial button to proceed. You will access the Registration window. It recognizes the number of dongle (65xxxxxxx). Using UUID activation it will show the unique identifier number of 10 digits. Enter your user data in the required fields and push the button Register. Your will receive a reception of the registration. Click on Confirm to proceed neocatalog - Admin Installation Guide neocatalog - 12 / 67

13 With your confirmation of the reception, you will be notified that you are registered at Inedit. Finally, the trial will be confirmed by Inedit team and you will receive a conformation . Click on Start Trial button at the bottom of the registration window and your product will be relaunched neocatalog - Admin Installation Guide neocatalog - 13 / 67

14 Product Activation Convert your trial version of a single-user Inedit product to a fully licensed copy by doing the following steps. Since you already installed the trial version on your computer, you do not need to download the product again. There is no need to remove the trial version in order to use the fully licensed product. Start the trial version of the software. Click the Activate button within your trial software to access the Activation Manager. The Activation Manager window opens to apply the activation code or file that Inèdit provides you via or in an USB memory, together with the installer and documentations. Select the field in the center of the window, drag and drop/click for the activation XDAT. Optionally, if you have received the activation code you can type or copy-paste the code in the field of Activation code. Click on Activate button to proceed. 15 neocatalog Viewer - Type of neocatalog After app installation and activation you will reach neocatalog viewer. The viewer is providing two options to create and work with neocatalog. Local is to create a local neocatalog. Remote is to connect to an existing neocatalog Server. Those two different options are available from left bar once the connection and creation is completed. The local neocatalog is indicated with icon. With box icon you can create local or connect to server neocatalog. But before, let's have a look on the handling and management of Local and Remote neocatalogs neocatalog - Admin Installation Guide neocatalog - 15 / 67

16 Local neocatalog With local selection of neocatalog you are required to name your new neocatalog. Enter a name and click on 'Create'. You will start the configuration of your own local created neocatalog using the Configuration Wizard. Remote neocatalog With remote selection of neocatalog you are required to establish the connection to using one of the given two options. One is to use the pair link received by invitation ., and the other to enter URL of neocatalog Server neocatalog - Admin Installation Guide neocatalog - 16 / 67

17 How to connect with a pairing link? From neocatalog Server wheel and 'Send invitation Mail' send an invitation using address. In the dialog enter the address of the recipient that will be invited to connect to neocatalog Server. Give the recipients a name, if does not exist yet, and select the system group where the user has to be assigned. neocatalog provides system default groups using predefined privileges. For privileges informations check the button. Refer to Groups Management to learn how groups work. The neocatalog server user that has sent the invitation will be notified when the invitation has succeeded neocatalog - Admin Installation Guide neocatalog - 17 / 67

18 The recipient will receives an providing a link to download and install neocatalog app, if not done yet. When app is installed, click on 'Accept Invitation' and you will be connected automatically to neocatalog Server using the app. If the recipient is a new user, before entering to neocatalog Server it requires to create a new password. How to connect with neocatalog server IP or URL? Type the neocatalog server IP or URL and click on 'Next' to connect with neocatalog. 19 Configuration Wizard neocatalog neocatalog gives you the possibility to create your own neocatalog with facilities to use your own files and data. The Configuration Wizard is automatically a part of the installation for your neocatalog that requires the Wizard for configuration purposes. Furthermore, you can also use Configuration Wizard to activate the program and create the first administration user. Running Configuration Wizard Once the application is installed, double-click on neocatalog application file to open the application from the location you have stored it. The app opens starting the Configuration Wizard. Welcome The first step of the configuration Wizard is the Welcome window. 20 License Agreement In the second step of the Wizard is to read and agree with the end user license agreement. Check the box to agree with the license and click on Next to continue. Administration User This page manages the first neocatalog user, which is the Administrator of the application. Fill out the required field for the administration. Click on Next to continue. If you wish to allow receiving neocatalog system notifications, bear in mind to enter the neocatalog - Admin Installation Guide neocatalog - 20 / 67

21 Summary You have reached the last step of the configuration. If you want to download and use sample designs in your neocatalog provided by Inèdit, check the given option 'Add sample designs'. Click on Apply Changes and Continue to start the application on default host and port, and complete the configuration. 23 neocatalogs Application Preferences The application has preferences that provides application management and the local created neocatalog. General preferences From neocatalog Preferences you can manage the preferences of neocatalog App. Autoupdate - By default the update of neocatalog is active. Here it can be disabled and it won't update neocatalog automatically. The beta update can be enabled. Activation - Daily check of application activation. The option to check manually is given with the button 'Check now'. Multi-neoCatalogs Preferences Each neocatalog, local and remote, has own preferences to manage connection details and backups. You can access the preferences when click right on each icon and select 'Preferences'. Local neocatalog preferences By default the neocatalog get assigned automatic IP host and port In case of other necessary URL configurations, the given fields are provided. The backup of database will be execute daily at 03:00 am if application is unclosed. Or else, the backup will be processed when application starts neocatalog - Admin Installation Guide neocatalog - 23 / 67

24 How to backup database and restore manually? However, the option to create manually the backup is given with the button Backup now. The date and time is shown next to it. The "restore" option must be handled manually. 1. Go to /Users/xxx/Documents/neoCatalogs/My_Catalog/Database/ and rename current database "neocatalogh2.mv.db" to "neocatalogh2.mv.db.old". 2. Now, go to /Users/xxx/Documents/neoCatalogs/My_Catalog/Database/Backups/. Select and unzip the backup you want. This action will create a file named "neocatalogh2.mv.db". 3. Copy the unzipped "neocatalogh2.mv.db" in /Users/xxx/Documents/neoCatalogs/My_Catalog/ Database/ and restart the application. Remote neocatalog preferences Here is the used remote neocatalog server IP or URL, that can be changed if required. Remove neocatalogs This option you can access when click right on the neocatalog icon on the left bar and select 'Remove'. The files are stored in: You can remove the local neocatalog, but still keeping your files on the disk or select the possibility to delete files, which cannot be undone. MAC: /Users/<USER>/Documents/neoCatalogs/<YOURCATALOG>/ Windows: C:\Users\<USER>\Documents\neoCatalogs\<YOURCATALOG>\ Files and data of Remote neocatalog still remain on Server disk and can be removed from there neocatalog - Admin Installation Guide neocatalog - 24 / 67

25 Management (basic) Once accessing administration, neocatalog displays the main administration page with 'Management' tab selected by default. The Management contents are Accounts, Materials and Utilities. ACCOUNTS - Create and manage users and groups with user privileges control. Each user and group can have own settings for notifications. MATERIALS - Import simulation object to simulate colorways and color libraries to color new colorways. Unfolds a list of setup tables, where you can create contents and upload files to manage and permit neocatalog s workflow. UTILITIES - Extended features for modules like QuickPrint Presets and Print Server connection neocatalog - Admin Management (basic) - 25 / 67

26 Users and Groups Management neocatalog offers a very sophisticated management of users and groups. As the program has various levels of management, what is achieved is that users with different professional profiles have access to the platform according to their profile. The user profiles are defined as five different types: Administrator: Performs management tasks in neocatalog and has no restricted access. User: Performs usage tasks in neocatalog and has restriction in interaction. Customer: Performs usage tasks as user for neocatalog users and has restriction in privileges. Manager: Performs operating usage of neocatalog. To access the users and groups management, go to the 'Management' in administration and find the listed options in 'Accounts'. Users Create & Search Users On the Users admin page all kind of users can be searched, with their name or the company's, or see them grouped in categories. The list unfolded from 'Any Category' shows such categories. Use the button to start a new user creation neocatalog - Admin Management (basic) - 26 / 67

27 Personal data In this tab the 'Personal info' and the 'Billing address' user information are quite straightforward to fill in, and don't have any special feature. If you wish to allow receiving notifications, bear in mind to enter users address in Billing address. Delivery Addresses In this tab the Delivery address informations to fill in, and don't have any special feature. You can add more than one delivery address with '+ Add new delivery address' neocatalog - Admin Management (basic) - 27 / 67

28 Login settings In this tab enter the user name and save the edition. Afterwards you can create or change the new password with 'Change Password'. The access Limit date for each user can also be set through the calendar that unfolds from Until. The Security field allows to define what computers can be connected to neocatalog, inserting their IP. The custom user Logo can be added with 'Add new logo'. Logo files must be JPG or PNG with approx. image size of 90px x 30px. In 'Category' select the type of user, as explained above, you want to create which has by default its own privileges. If the user has to be a part of a 'Group', you can select the group name with and 'confirm selection'. More about groups is described below. The following steps are the user privileges, but we think because of its specifications, it deserves own section in this document. 29 Filters This last tab allows to choose the search filters for Collections, Keywords, Trademarks and Status, which users can see only in the neocatalog. Collections Filter : Select the collections available in neocatalog from unfolded list. Keywords Filter : Select the keywords available in neocatalog from unfolded list. Trademarks Filter : Select the trademarks available in neocatalog from unfolded list. 30 Groups Default system groups There are some default groups, but administrators are free to set up and edit groups in any way they see fit. The four special groups in neocatalog are: "Administrators" will be able to perform most of the administrative functions, like assign privileges to other users. They can also access the neocatalog Administration page. "Customers" will be able to: Designs: View (only owned), Export (only owned) Colorways: Create, Export (only owned) Simulations: View (only owned) "Designers" will be able to: Designs: View, Edit, Create, Export Colorways: View, Edit, Create, Export Galleries: Edit, Create Users: Create Simulations: View "Sales" will be able to: Designs: View, Edit Colorways: Edit, Create Galleries: Edit, Create Users: Create Simulations: View neocatalog - Admin Management (basic) - 30 / 67

31 Create Groups Click on 'Create Group' button to create new group. A new dialog opens where you can introduce the group's name. Once the group is created, you will see it listed alphabetically in groups view. Now, in this new group the category and members have to be assigned. From vertical dots you can edit, duplicate or delete the group. Or else, click on the group name to enter the group. Manage Group Before adding members, the group needs the category with permissions. From 'Edit Group Permissions' you will access the modification options neocatalog - Admin Management (basic) - 31 / 67

32 Once entered, you will see three parts to select the according options: Category - Select the category which the group should be assigned to. Privileges - View the default privileges according the selected category or set the privileges that fits best. Filter - assign search filters which the group users can see only in the neocatalog neocatalog - Admin Management (basic) - 32 / 67

33 You can propagate privileges to the group's members, which means that the group privileges will overwrite single users privileges, or else take group's privileges and assign it to an user when the user is selected. Speaking of users, after the group category and privileges edition now is the moment to add group members. Go back the group view with '< Back to Groups' and search the user name in the field, select and add it to the group. From vertical dots you can edit the user or delete from group. Back in groups listed view, you can see the newly created group is using category and has one member neocatalog - Admin Management (basic) - 33 / 67

34 User Privileges Management This is a key tab for Administrators of neocatalog. Privileges are the possibilities of each user to Create, Edit, View, Delete or Export designs, among others. Each privilege permits to choose between Allowed or Not Allowed, and Owned, which means that only the designs owned by customer or designer user can be viewed, exported, etc. You need to be an administrator to grant user privileges using this method. Usually, the administrator is the person who created the users, but they can also allow other admins. Members of the administrators group can also do this. 35 Categories of Privileges The first category of privileges is to give or hide permissions in the creation, edition, viewing, deleting and exportation of Designs, Colorways, Users, Galleries and Ambients. A second category of privileges is extended option to give or hide information in viewing modes of a design and sales information. Another part is to differentiate the treatment of designs according to their authorship. This is of vital importance when Exclusive or/and Owned designs need to be kept out of sight. neocatalog offers default privileges for the given user's categories. All of the default privileges can be customized to match specific needs. 37 User Notifications Management Notifications is a system service in neocatalog to notify users about several in-app and user notifications for different kind of issues and activities. To access the Notifications management, go to the 'Management' in administration and find the listed option in 'Accounts'. Once entered 'Notifications', you can search, select or edit such types. When selecting one type you will see its contents at the center of the page. Title (Fixed) Level of the issue type Description (can be newly defined) Suggestion (can be newly defined) Mail Allow duplication Notification user Check Notification to enable the sending. From the unfolded tab user list, select the user that you want to notify and press to include the user to the notice order. Finally in the notifications list, check the box to enable to send the to the selected user. 38 Color Libraries Management neocatalog allows to create and edit Color Libraries and work with various Color Libraries. If you work with neocolorbox, those color libraries will be synchronized simultaneously. To access the color libraries table, go to the 'Management' in administration and find the listed options in 'Materials'. In the next window, on the left of the page, you can search, select or add new color libraries with. At the centre of the page you can see the name, organize the owner, columns and rows in the library, import the original color library file, see the file path on server or download the color library. On the left you can view and search for colors in the color library by typing the color name in the search field. Below the colors you can see the quantity of colors in the color library. Format specifications of the CSV In order to import a color library, you need to create and prepare the CSV text file. The headers in the CSV are specified and must be followed. 40 Importing Color Libraries Press to create a new Color Library. The new libraries need to be imported by clicking on the Import Library from file button. Bear in mind, though, that those files have to be.csv. Follow the instructions on the screen to upload the file. Once uploaded, see the information with the name of the library. After saving the importation with Save, the library is in the list on the left and colors of the library are positioned on the right of the page. The 'Visible' option to is by default enabled to work with color library, but if the color library should not be used for coloring in coloring modes, then this option should be unchecked. Rename Colors Search the color that you want to rename in name or comment in the selected color library: Click on Edit next the search field and new dialog opens with fields for name, values, comment and gradients. Colors with gradients are shown In this dialog only the name and comment are editable. LAB values can be changed in the.csv file, which was used to import and create the color library. When leaving the dialog with Save, the color will be shown with modified name (P2) and comment (NEW) neocatalog - Admin Management (basic) - 40 / 67

41 Download Color Libraries To Download locally Color Libraries, access the window we have seen before. The following formats can be dowloaded:.csv (excel file).aco (for Photoshop color library).acb (for Photoshop swatches) Download and Edit Color Library in CSV format At the centre of the page, mouse right-click on Download.csv, and a new context menu pops up. Click on Download Linked File and the color library will be downloaded locally in Downloads folder in your computer. Open the CSV file in Excel, and watch out for columns order or text changes in the file. Change the necessary LAB values, or if required add new colors. When adding colors, make sure to follow the ordination in column ORDER. For safety reasons, duplicate the current color library before deleting the current one. After the modification in the CSV, create a new color library with and import the new CSV file with the Import library from file button. 42 Simulations Objects Management Management of Simulation objects is also an exclusive task of the Administrator/s in neocatalog. To access the 'Simulations' table, go to the 'Management' in administration and find the listed options in 'Materials'. In the first window, it shows a list of the already uploaded models, if any. Selecting them you can edit or delete, and you can add new ones clicking on the button. The button Update All, which also shows in each Object, is used if the files have been changed at origin and uploaded in neocatalog again. When clicking on a window opens where you can edit the information of the new object. By default, it will take the file name. The button Upload Object allows to search for the PSD image file, that has been modified from neotextil VirtualVision, in your computer. Follow the simple windows that will come up until the object is ready to upload. Once the upload is done you will see all the simulation groups which are embedded. Press Save after uploading the file. For quick object importation you can also use neocatalogs DropBox. 43 Fabric Type Management In Fabric you can create types of fabrics, with descriptions of its characteristics. To access the fabric table, go to the 'Management' in administration and find the listed options in 'Materials'. When selecting one fabric you will see its information on the right. 44 QuickPrint Layouts neocatalog Layouts are created in XML and TJB format using design and colorway information, adding or not simulation models, using your logo or a generated QR code. neocatalog provides default Layouts with most common information for designs and colorways. Refer to the layout description to view the specifications. In 'Layouts' you can upload your custom layouts as XML, TJB and other required files such as logos and fonts. To access the layouts table, go to the 'Management' in administration and find the listed options in 'Materials'. Here you can upload layouts files in XML and TJB format and other required files as logos and fonts. The layouts will be saved in / neocatalogs/quickprint/ Layouts/. Customize neocatalog default Layouts If you wish to use your own logo in the default layouts, you can replace it easily by yourself. 1. Your logo image file shouldn't be higher as 236px x 36px. 2. Use RGB mode. Save your logo in format TIFF with the name Logo. tif and place it in the Layouts folder. 49 Color Profiles in neocatalog Working with custom ICC profiles for coloration in coloring systems require to have the same ICC profile installed in the computer where neocatalog is installed. The profile will be used to generate the previews to get the same color view as in the coloring systems. Here you can upload the profile. 50 QuickPrint Presets Management QuickPrint presets is the feature to have export settings to make it faster to export print files for uses. To access the QuickPrint presets, go to the 'Management' in administration and find the listed option in 'Utilities'. Verify that the preference in Preferences > Modules is enabled to work with presets. neocatalog Server version provides QuickPrint Scenarios with specified hot folders that uses with QuickPrint presets to generate newly files and also files that are already in the database neocatalog. After you enter, on the left you see the existing presets, if any. With you can create new preset. New dialog opens where you can name and describe the new preset, or use random preset name, and shows the creator and date of creation. The option Public allows to share your preset with another users. If this option is not activated, the preset is visible for the creator only. Finally, click on Save to create the preset. After saving the new preset, click on Check Parameters to configure the layout and page configuration. To delete a QuickPrint preset, select one preset and click on Delete below. A dialog opens with printing options such as the paper size and orientation, customer, simulation object, download or save option and with the choice of Layouts that are selectable in the application. On the left side of the dialog you can see the preview of your output file with its contents. Modifications on presets can be done in the QuickPrint dialog anytime, too. 51 Print Servers Management This feature is optional and made for needs to generate and send print jobs directly Print Server from QuickPrint. To add Print Server(s) you need to enable the module as first. Afterwards the option is available in 'Management' listed in 'Utilities'. In the next window with 'Add Print Server' button, you can add new Print Servers. Once added you can see the listed in the field below. With 'x' you can remove the created Print Server. If you want to have the print start automatically active, enable the corresponding option Printserver straight. Galleries One of neocatalog's options is to classify your colorways into galleries, which you will be able to keep it private or public. Galleries are enabled by default. Print Server Enable the preference to work with Print Server connected with neocatalog, which will search for the Print Servers printers automatically. Keywords Use keywords to label designs to have an easier organization and search. The provided keywords are: Floral, Ethnic, Abstract, Stripes, Tropical, Camouflage, Nature, Border, Geometric, Animals, Birds, Checks, Paisleys, Texture, Animal Skins, Tribal, Folkloric. To create new, simply type to create a keyword and press enter to save it. Use comma as separator to add multiple keywords. 57 User's Interface Preferences Login Page In neocatalog you can customize the background of the login page. You can use another color or add image and use your company logo. Background To customize the background color of the login page, use the color picker, random gradient colors or type RGB hex values like '#FFFFFF' or css names like 'white'. Translations If you wish to have interface, keywords, simulation, collection or treatments available in more than one language, or translated into codes, the table 'Translation' offers the possibility to do so in neocatalog. After you enter Translations from Manage, on the left you see the existing translations, if any. With you can create new or duplicate a translation. Create translations by writing the word you want to translate in 'Original word', select the 'Type', select the language you want to translate from, and finally the new word. 59 Thumbnails Change the size of the previews and their containers. You have the options to change the size of the previews in pixel and also the inside size of the previews in cm, pixel or repeats. Changes will only take effect to new generated thumbnails. To apply it also to the already existing ones you must remake them with 'Remake all' button. 60 Licensing Management From the Administration Licensing you can manage, view and update the licenses. The lower part of this page belongs to the 'Registered Devices'. License Details All licenses are listed under the labels: Status Dongle ID Organization Purchase Date Licence Type and expiration date Support and Updates period Licensed Devices Licensed Users With neocatalog activation one device is free without licence. With 'Request more' you can ask for more licenses. A new window opens, ready to be sent to sales@inedit.com. The Licensed users are based on the neocatalog application, where 5 users can be connected simultaneously. Simply select the dongle and fill in the fields in the open dialog, with all provided licence details. 62 Registered Devices and Apps Management Registered Devices neocatalog offers to register your neocatalog ios, download the free app from App Store, and control the devices connected to neocatalog (required minimum neocatalog ios version 5.3.3). Refer to neocatalog ios User manual to learn more about the application handling. From the Administration Licensing, you can manage and view registered device informations. The last part of the license management window shows the registered devices, with their specifications and details. With the checkbox at the beginning of the device details, you can disable the device, and use the device activation for another device. Here you can view and manage how many devices are purchased in your license(s). Linked Apps neocatalog provides the possibility to get linked with Inedit's applications. Working with neomatch linked to neocatalog is an option to receive new colors from neomatch and share neocatalog's color libraries (required minimum neomatch v1.1b02). Refer to neomatch User manual to learn more about the application handling. Available to download from neomatch_mac_os_x. From the Administration Licensing, on the lower part of the page is Linked Apps, here you can manage and view linked apps and device informations.
