1 Curriculum Planning Set up 1 Access and Security Menu: System Configuration / Security / Roles Path: ROLES Menu items and rights to individual programs are set within Role Maintenance. Click Menu to allocate the Curriculum Planning menu items. These are located in the System Configuration / Provision menu highlighted below. Page 1 of 10 Civica UK Limited 2014
2 Other menu items: CP Parameters - detailed in Section 2 Parameters. CP Rates Maintenance - detailed in Section 6 Rates Maintenance. CP Costs Set up by ML - detailed in Section 3 Default Staff Costs. CP Default Numbers -detailed in Section 5 Default Numbers CP EFA Funding Bands This routine allows the profiling of the hours used by EFA funding such individual course hours, be they the Planned or CY GLH, can be categorised into the relevant band for correct funding apportionment: Band 1 uses the chosen Hours / Rates Full Time Hours Bands 2, 3, 4, & 5 use the Band Value pertinent to the Hours on the course / Rates Full Time Hours. CP Global Recalculations - a routine which allows the recalculation of plan funding income and/or costs, filtering by a range of criteria. Copy Plan to Live Provision (CPLV) - enables the user to copy the data within Default plan(s) at Status Approved (only) into live Provision, and update live Provision with target and ILR values within such Plans. 3 Can Approve Planned Course / Can Delete Planned Course - allows the user to change a Plan Status code to one of these values. (NB Delete does not mean delete in the sense of getting rid of the data it merely informs of the need). Can Create New Planned Course - allows creation of plans to new course/instance codes which don t exist in live provision. Can Manage Planned Course Versions - enables the Versions button. If left unticked, this denies the use of Plan Versions to the user i.e. only 1 (thus always the default) plan is maintained. Modifying ILR Data - NB: if none of these Rights are ticked, no data on the ILR tab can be altered. Minimal ILR Data - only these fields Funding ILR Data - only these fields All ILR Data - All fields including : Learning Aim Aim Type Exclude from ILR Start Date Funded By Resit Expected End Date Funding National Monitoring A, B, C GLH Funding Adult Special project/pilot Delivery Venue Source of Funding ASL Provision Type Delivery Postcode Full/Co-Funding National Skills Academy College Special A, B, C, D Programme Type ESF Dossier Delivery Mode Framework Sector/Type/P way ESF project Delivery Method Work Programme Participation Partner UKPRN Apprenticeship Trailblazer Workplace Learning Planned Hours EEP Hours Exclude from derivation % On-Line Delivery Can Modify Planned Course Status - Plans have a status code set as New or Blank when they are first created. Lack of this right disables the field completely thus denying the user the ability to change the Plan Status code to Completed/Re-Visit or one of the other higher level Approved/Deleted codes. Can Modify Costs, Detail, Fees, Fees Income, Links, Numbers and Prospectus - these all relate to whether the user is able to modify data on the relevant tab. For example the Marketing department might only be given the right to Prospectus and no other tab. Page 3 of 10 Civica UK Limited 2014
4 2 Parameters Menu: System Configuration / Provision / CP Parameters Path: CPPM Planning Closure - sets the date at which no further amendments to Plans are allowed. Course Closure - sets the date at which no further updates to live Provision from Plans are allowed. Countdowns to these dates in days are monitored on the users opening planning screen (dates are arbitrary but emphasis on closing deadlines is indicated by changes to the icon): ML for Planning Associations - sets the management level (1, 2, or 3 but referred to by description) against which staff are associated by ML to the course ML. See Configure Staff Associations. Invoke Cascade of Values - the cascade of values may be used when planning linked courses. Values entered at the top level in a hierarchy are commonly associated with the courses below. The cascade will fill those linked as Mandatory by default, leaving the user to confirm selection of Optional linked courses and choose which (if any) of a range of values to propagate downwards. Standard Costs - per Hr the cost entered * the hours per week * weeks per year * number of groups, per Enro the cost entered * the Numbers Enrolled. If neither box is ticked, the cost is applied holistically as a one off against the course. Programme Weightings - a table of reference values for use external to CP. These have no bearing on calculations within CP. Page 4 of 10 Civica UK Limited 2014
5 3 Default Staff Costs Menu: System Configuration / Provision / CP Costs Set up by ML Path: CPML There are 8 types of staff costs 4 types for Teaching staff and 4 types for Direct Study staff. Variances in (default) staff costs according to the curriculum areas are accommodated here. Further variances by course NVQ level are also catered for. 1 The default line and minimum data needing to be configured. Any courses with a ML/NVQ Level combination not fitting other configurations will resort to using these top most values. 2 A default line and thus minimum data for a selected management level. Any courses belonging to this ML but of an NVQ Level not configured under this ML will resort to using these values. 3 Maximum granularity courses matching the NVQ Level and ML will use these values. For example: A course under ML Business Administration and NVQ Level 4 or higher will use the 2 nd row of values. A course under ML Business Administration and NVQ Level 3 will use the 1 st row of values because this ML at level 3 has not been configured and there is no row for this ML All Levels. A course under Animal Care at NVQ Level 3 will use the 6 th row of values. Page 5 of 10 Civica UK Limited 2014
6 4 Associating Staff with Management Levels Menu: System Configuration / Reference Data / Personnel Path: SMP Setting this is critical to the Portal Planning opening screen display in that these settings filter and drive the count of the courses directly applicable to the logged in (or selected) staff member. This shows the particular staff member is associated with 2 Faculties at ML1 and allowed to plan both of them. However, the user may be associated with other MLs, BUT.. NB there is only 1 management level of relevance to this Planning filter, i.e. ML1 or ML2 or ML3. This is determined by the Parameters, which in this document (Section 2 Parameters) is indicated as ML1 Faculty. Thus even if all 3 ML Plan fields are ticked, only those ticked under ML1 are relevant. In the case of the above example, the opening screen filters courses belonging to ML1. NB But this does NOT prevent the user using the alternative Search routines to identify and plan another course. Page 6 of 10 Civica UK Limited 2014
7 5 Default Numbers Menu: System Configuration / Provision / CP Costs Set up by ML Path: CPDN If the majority of the courses to be planned are expecting to have similar target numbers, defaults can be configured to negate the user having to enter the same value repeatedly for every course being planned. 8 6 Rates Maintenance Menu: System Configuration / Provision / CP Rates Maintenance Path: CPRT Allows the user to configure year based monetary values and variances for the various funding Rates. Variances on all rates allow use of known values +- a percentage amount before the true values are known, or offer flexibility for What If scenarios to be run. These are sample values only; those prefixed with Provider will vary between Providers. Page 8 of 10 Civica UK Limited 2014
9 7 Plan Codes General Code CPL Menu: System Configuration / Reference Data / General Codes Path: SMG Type CPL Allows a Plan (or a Version of) to be specifically coded and thus categorised with other Plans under a separate mechanism to either Management Levels or Versions. For example: Certain Plans may be coded as under a What If code, Rates changed, then Global Recalculations run for this specific Plan code to see the effect of changes. NB IMPORTANT: Rates would need to be reverted before accessing Plans again. 8 Global Recalculations Menu: System Configuration / Provision / CP Global Recalculation Path: CPGR To be used when either Rates have been (permanently) modified...or when Plan versions have been identified as part of a What If scenario and certain Plans wished to be recalculated with temporarily revised Rates.
