5 windream 5.5 What's New? 1 windream 5.5 What's New? This document offers an overview of the functions provided by the new windream version 5.5. A detailed description of the new features can be found after the list. The New Key Features windream Search Features 'Did You Mean' function for the windream search Creation of search term lists for further searches on the basis of the contents of retrieved documents References to similar documents in the windream search Document previews directly via the windream search Explanation During searches for documents via the windream text and quick search, a list of similar search terms will be displayed. A click on a suggested term will trigger a new search for this term. The windream search has been extended by functions allowing semantic searches across document fulltexts. On the basis of a document s contents, key terms can be identified and offered in a list for further searches, sorted by their frequency. Semantic searches allow the display of documents which are similar to a selected document, sorted by their relevance. The integration of the document preview application windream DocView into the search interface allows previews of selected documents directly via the search application, making a separate launching of windream DocView unnecessary.

Allows the loading and execution of search profiles via a favorite list. The available functions for the execution of searches, the viewing options for the result lists, the windream editing functions and the toolbar of the result list are offered context-specifically on various tab pages of the multi-function bar. Allows you to save the currently configured grouping and sorting criteria for results lists object-typespecifically. With the possibility to launch the search during the system start, the launching of the search application is sped-up considerably. You can now determine whether search functions shall be executed only once or several times. Furthermore, the display width can be configured.

7 The New Key Features 3 windream DocView Features Document properties can be viewed directly via the multi-function bar Quick access to the most recently displayed documents via the multifunction bar Annotations, notes and stamps can be added to PDF documents as annotations Highlighting, underlining or crossing out text passages in PDF documents Video and audio formats can be opened with windream DocView Annotations automatically receive the rights of the original documents Explanation The scalable windream properties dialog, which can be launched via the windream DocView multi-function bar / menu bar, allows you to view and edit the properties of the currently displayed document. The integration of the list into the multi-function bar / menu bar allows a quick access to the most recently viewed documents via the windream DocView multi-function bar / menu bar. The integration of the PDF XChange Viewer as a plug-in into windream DocView allows you to use the PDF XChange functions for the management of annotations, such as comments, notes or stamps, in PDF documents. The PDF XChange Viewer, which is now available as a new plug-in for windream DocView, allows you to highlight text passages or to use other marker tools (e.g. for underlining or crossing out text passages). The MS Preview plug-in allows you to open media formats (e.g. *.mpg, *.mpeg, *.wav, *.wma or *.wmv) in windream DocView. Guarantees that only those users who possess the rights to the original document can view and edit annotations.

This is also valid if the user possesses and logs on via a separate, locally installed windream Client. Client accesses of the windream Exchange modules are now carried out via a separate module key. This means that these components do not require a windream BE license anymore. This option offers additional options for the properties of the system index File Name, and the possibility to mark the index as unchangeable or as changeable. In the latter case, the file names of archived documents, previous versions, and documents with exceeded life cycles can be changed. A direct compression on archiving can now be activated for pools during the configuration of object stores in the windream Management Console. Changes to the rights structure of windream items are now logged in more detail in the history. Document and folder types can be marked as internal items. They will not be displayed in the object type choice lists. The maximum size of string index attributes already being used in the document types can be increased or decreased.

9 The New Key Features 5 windream VFS Driver Features Processing files of any size (media files, backup files, etc.) User switch supported for Windows 7 or higher Users can individually link the windream drive to a windream server windream DirectStreaming in media archives Explanation Guarantees the compatibility of windream to 64 bit file sizes and allows the processing of files with file sizes of over four gigabyte (please note: available for windream ObjectStore from Q forward.) The new windream 5.5 VFS driver supports user switches on Windows 7 or Windows 8 windream Clients. This means that several users can use one workstation. Each workstation user can link the windream drive to a fixed windream Server. This allows you to use several windream Servers simultaneously from one workstation. The patented VFS technology of windream 5.5 allows you to manage files with sizes of four gigabyte or more. This e.g. allows you to view movies or specific scenes without having to transfer the entire file to the windream Client first. This is, for example, important for companies that want to efficiently manage large media archives with movies or other media formats, or that want to manage data from electronic capturing devices with windream.

10 6 The New Key Features windream Server Setup Features Cascaded windream context menu Adjustment of the object type annotations for supporting the PDF XChange functions Explanation The default configuration of the windream context menu has been redesigned for windream 5.5. The windream context menu is now grouped hierarchically and is displayed as a cascaded menu by default after a new installation. This improves the clarity of the menu and makes accessing the available windream functions more convenient. The additional default menu item Properties allows access to the scalable windream properties dialog via the context menu. The setup will automatically make the required adjustments to the object type required for annotations during an update installation to windream version 5.5. windream DocView Pro (separate license required) Features Explanation windream DocView Pro The windream DocView Pro module must be licensed separately. It allows previews of documents stored outside of a windream drive from windream version 5.5 forwards.

11 The New Key Features 7 Microsoft Compatibility Features Support for Microsoft Server 2012, Microsoft SQL Server 2012 and Windows 8 Explanation windream 5.5 supports the following Microsoft products (operating systems and databases): Microsoft Windows Server 2012, Windows 8 and Microsoft SQL Server Support for Microsoft Office 2013 windream fulltext search as application for Windows 8 All MS Office 2013 applications are supported. Windows 8 users are offered a Metro tile as an application for the windream fulltext search.

12 8 The windream 5.5 Features The windream 5.5 Features The following sections describe the single features of windream version 5.5 in detail. windream Search with New Features With the integration of new search functions into the windream search in windream version 5.5, the user interface has been re-designed. The most important changes will now be explained. "Did You Mean" function integrated into the search The new "Did You Mean" function supports users during text searches or quick search operations during the fulltext search. From windream version 5.5 forward, you can use the integrated 'Did You Mean' function for fulltext searches with the text or quick search function. If the function has been selected in the options and activated for the specific search function, the application will offer a list of alternative search terms in one of the fields Text Search (text search) or All Fulltexts (quick search) after entering a search term. Clicking on a suggestion will launch a new search for this term. Figure: 'Did You Mean' function in the text search activated Note: Please note that during a quick search, the search for the selected term will be conducted across the fulltext (field All Fulltexts) and with the search parameters selected for the previous search operation. This works analogously for the text search, if a search with extended search parameters was conducted previously.

13 The windream 5.5 Features 9 Identification of similar documents support of semantic searches during fulltext search operations The windream search in windream 5.5 has been extended by functions allowing semantic searches across document fulltexts. These functions are available in all search functions of the windream search, provided they have been activated and are supported by the database used (only Microsoft SQL Server, SQL Server 1012 or higher). The availability of semantic searches is limited in the index search and in the object type search. If other databases than Microsoft SQL Server 2012 are used (up to Microsoft SQL Server 2008 or Oracle), the options for activating the display of indices and similar documents for the support of semantic searches will be displayed in grey on tab page View. In this case, the corresponding functions cannot be used. Otherwise, these options will be activated in section Semantics. Figure: Displaying indices and similar documents in the file information List of indices and references to similar documents Indices and similar documents are displayed in separate windows in section File Information. The windows can be activated and deactivated separately. After a search, the document contents will be used to identify a number of key terms (up to ten) for a document, to be used for further searches. The text layout (font and size) indicates the relevance of the search terms. Furthermore, the key terms will be used for the creation of lists with similar documents, containing up to ten items.

14 10 The windream 5.5 Features In the text search or in the quick search, terms can be applied to the text field or to field All Fulltexts as search terms by clicking on a term from the list. The corresponding searches will be launched immediately. Note: Please note that during a fulltext search, the search for the selected term will be conducted across the fulltext (field All Fulltexts), with the parameters selected for the previous search. This is not possible for index and object type searches. After an index or object type search, the identified search terms will be displayed in grey, since a text search for one of these terms is not supported in this case. Document previews directly in the windream search The integration of the windream DocView viewer into the search interface allows previews of selected documents from the result list of the windream search, making a separate launching of windream DocView unnecessary. The display of the document preview in the search window can be activated or deactivated user-specifically via the options of the windream search. The available functions for the configuration of windream DocView are offered context-specifically on a separate tab page of the multi-function bar. Document preview for searches with windream DocView The display of document previews in the search window can be activated or deactivated user-specifically via the options of the windream search (option Integrate DocView into Search on tab page View). Figure: Activating document previews for the search If this option is selected, the function Show Preview on tab page View will be activated. This button allows you to activate or deactivate the display of previews for the single searches. This means that the preview window is active by default in section File Information. The contents of a document will be displayed once the document is selected from the result list.

The available functions for the configuration of windream DocView are displayed context-specifically on a separate tab page of the multifunction bar. Figure: Document preview tab page DocView Text search with additional search parameters The text search has been extended by further search parameters. From version 5.5 forward, it is also possible to close or start the text search via the multi-function bar, analogously to the other search functions.

16 12 The windream 5.5 Features Show and hide additional search properties Extended search Additional search properties allow you to narrow down your text searches. The available properties are hidden by default. They can be shown by clicking on the link Extend Search or the the search properties, click on link Minimize Search or on the icon. To hide icon. They can be linked with the search term of the text search (field Text Search) and with the operator "AND" to form an extended search term for the search. If you want to enter several terms into a text field for one property, they must be linked with OR. File name In field File Name, you can enter one or several file names or filters to limit your text search to certain file names. Creator To limit a text search to certain documents or folders of the currently logged-on user or of a certain creator, enter the corresponding information into field Creator or specify them via button Creator. Date Text searches can also be narrowed down by specifying a date or time. Favorite search profiles Search profiles can now be selected, loaded and executed as favorites. The favorite list contains the search profiles of a folder selected via the options.

17 The windream 5.5 Features 13 Search profile favorites Search profiles can be selected and loaded via the favorite list. The favorites can also be accessed via tab page Favorites in section Tools. To display a favorite list here, the folder containing the search profiles to be available as favorites must be configured accordingly via the options of the windream search. 18 14 The windream 5.5 Features Multi-function bar tab page Search The functions of the search action bar have been integrated into a separate section called Search Functions on tab page Search. This makes the functions Extend Action Bar and Reduce Action Bar obsolete. On tab page View, section Icon Bars, you can configure the icon bars to be available. Figure: Icon bar of the detached result list Saving object-type-specific grouping and sorting criteria The column configuration allows you to save the currently set grouping and sorting criteria of a search result list object-type-specifically (item Save as Default from group Columns on tab page View). These settings can be configured as a global default setting for all object types (option Pre-Configured Standard) or object-type-specifically (option Type-Specific).

19 The windream 5.5 Features 15 Separate grouping and sorting criteria can be configured for each object-type. These criteria will then be used for the display of search result lists to be searched for objects of certain object types. If a search has not been limited to a certain object type, the setting configured as pre-configured standard will be used for grouping and sorting the items of the result list. Figure: Saving the settings for grouping and sorting Quick start of the search on system start Option Load Search on System Start in the windream search options allows you to launch the windream search on system start. This speeds up the start of the search application. After the first start, the search will be launched quicker on subsequent accesses, provided it is not closed via function Close Completely. New options for an individual configuration of the search and its single functions You can configure for the single search functions to be available once or multiply. Additionally, you can configure the width of the parameter section.

20 16 The windream 5.5 Features Figure: Options default searches search functions Attach this search to use it as the only search of this type This option allows you to configure a search function selected from the list to be available only once. This way, only one tab page can be activated for this search function. This function is active for the index and object type search by default. Configure maximum width of the parameter section for searches Here, you can configure the maximum width of the search parameter section for a search function selected from the list. By default, the width of the section is not limited, i.e. the option is inactive for all search functions. 21 The windream 5.5 Features 17 Extensions for windream DocView Viewing and editing document properties Item Properties (icon Properties in group General) of the multi-function bar / menu bar opens the windream-specific document properties of the document currently displayed in DocView. The meta-data of the document can be viewed and edited via the tab pages Indices, Version, History, Fulltext, Life Cycle and Rights. The corresponding procedures are explained in the respective sections of the windream documentation and online help. Figure: windream DocView DMS-specific properties of the displayed document List of most recently viewed documents The section Most Recent Documents offers a choice list with the most recently viewed documents. The list can be browsed with the arrow icons (first, previous, next and last document). New viewer plug-ins The integration of the PDF XChange Viewer allows you to add annotations, notes or stamps to PDF documents. Further operations, such as highlighting passages or underlining and crossing-out text passages, are also available. The integration of the MS Preview Viewers allows you to open video and audio formats via windream DocView.

22 18 The windream 5.5 Features Figure: windream DocView activate file viewer PDF XChange Viewer This viewer is used for opening PDF files and is active by default. The items in group PDF Annotations of the multi-function bar allow you to create and edit annotations on the currently displayed document. The plug-in offers the possibility of using the functions for the creation and management of annotations in the PDF XChange Viewer. This includes annotations, notes and stamps. These annotations are generated and saved with a certain file ending (in this case:.xfdf) and are also fulltext-searchable (analogous to windream items).

23 The windream 5.5 Features 19 Figure: windream DocView Creating annotations with the PDF XChange plug-in In the DocView options, on the page with the file type assignments, an assignment for the file type of these annotations to the PDF XChange Viewer must exist (*.xfdf>pdfxchangeviewer). Thumbnails This function, which is only available for the display of PDF files via the PDF XChange Viewer, will activate or deactivate the thumbnail view of the PDF XChange Viewer. If the thumbnail function is active, you can use further functions offered in the menu bar of the page view: You can maximize or minimize the thumbnail view, print the file, or export it as an image file. The plug-in will automatically save the most recently selected setting on closing the application. Figure: windream DocView thumbnail display with the PDF XChange plug-in

24 20 The windream 5.5 Features MSPreview The viewer uses the Windows preview. It is activated by default. We recommend using this viewer for the display of media formats (video and audio formats), e.g. for *.mpg, *.mpeg, *.wav, *.wma or *.wmv. Annotations automatically inherit the rights of the original document Annotations created in the windream DocView viewer will automatically receive the rights structure of the original document. This inheritance of rights guarantees that those users allowed to view and edit annotations on documents also possess the corresponding rights to the original documents, without having to adjust these rights when creating new annotations. Extensions for the windream Server New license model Due to the new license model of windream 5.5, Terminal Server / Citrix users now require only one windream license, even for several simultaneously running Terminal Server / Citrix sessions. This is also true if the user possesses an additional, local windream Client installation and logs on from there. This model excludes licenses of certain windream modules that must be licensed separately, such as the Proxy Server or other windream services. New License Model windream Exchange The windream Exchange Client plug-in now logs on to the windream Server under a separate module key and no longer requires a BE license. Always changeable File name of archived documents changeable, or compliant and unchangeable The option Always Changeable in the properties of index File Name in windream version 5.5 offers the possibility to mark the system index File Name as always changeable. This way, the file names of archived documents, previous versions and of documents with exceeded life cycles can always be changed.

25 The windream 5.5 Features 21 Figure: File name of archived documents changeable However, changing the file name is only possible via the windream interface (API), e.g. via a VB script launched via the windream context menu. Such a script must be developed in accordance with the specific requirements. Note: Please note that changing the file name may result in changes to the paths to the corresponding documents. This would render references and links to the corresponding documents invalid.

26 22 The windream 5.5 Features Compliant The option Compliant in the properties of the system index File Name determines that the file name of archived documents, previous versions and of documents with exceeded life cycles cannot be changed anymore. Note: To activate or deactivate the options Always Changeable and Compliant, log on under the account of the windream mainuser. Once the option Compliant has been set for an index, option Always Changeable will be deactivated and cannot be set anymore. Neither of the two settings can be changed after that. Settings for compressed archiving during the ObjectStore configuration in the WMC The extended settings for the configuration of the windream ObjectStores allow a configuration of compressed archiving in the windream ObjectStores (windream archive) during the configuration of the windream stores in the windream Management Console.

27 The windream 5.5 Features 23 Figure: Object stores support compressed archiving Extended logging of rights Changes in the history Changes to the rights structure of windream items are logged in the history of documents / folders from windream 5.5 forward. This means that all changes are listed in addition to the entries "Access Rights Changed", "Inheritable File Rights Changed" or "Inheritable Folder Rights Changed".

29 The windream 5.5 Features 25 Internal object types new object type property Figure: Marking an object type as internal The new option Internal Object Type in the object type properties allows you to mark an object type as internal. Object types for which this property is set are not displayed in the list of available object types. In the search functions of the windream search, they remain available in the lists for selecting an object type as a search criterion. With this option, you can e.g. mark the object types Annotation and / or Thumbnail as internal, to prevent them from being displayed in the object type list of the indexing dialog. Changing the Size of the Text Index Fields (String Attributes) The maximum size (the maximum allowed character length) of string and index fields already used in document types can be changed via the windream Management Console (increased or decreased). The maximum size can be changed via the properties of a string index attribute in the index management section (item <windream Server>>windream Administration>Indices>All Indices).

30 26 The windream 5.5 Features Figure: Changing the maximum size of the string index attribute in the index field properties If the size is decreased, the application will check whether the database contains documents containing character strings (contents) longer than the new maximum size in the index fields to be changed. In these cases, a corresponding message will be displayed and a decreasing of the index field size will not be possible. Figure: Decreasing the index field size not possible

32 28 The windream 5.5 Features Extensions for the windream VFS Driver Processing files of any size support of 64 bit file sizes windream 5.5 guarantees the compatibility of windream to 64 bit file sizes and thus allows the processing of files with a file size of over four gigabyte. Support of Windows user switch The new VFS driver of windream version 5.5 allows you to use the Windows user switch on a Windows 7 or Windows 8 Client. This way, several users can use one workstation. Users can individually connect the drive to a windream Server Each user of the workstation computer can individually connect the windream drive. This allows users to connect the drive to several windream Servers. For example, user A can connect his drive to the windream Server "PROD1", and user B can connect his drive to the windream Server "TEST1". windream DirectStreaming in media archives Furthermore, windream 5.5 with its patented VFS technology also allows the management of files with a size of over four gigabyte. This is, for example, important for companies who want to use windream for the efficient management of large media archives with movie or other media formats, or who want to manage data from digital capturing devices. Unlike other ECM Systems, windream can open files directly from the application on a windream Server, without having to transfer the entire data volume from the server to the workstation first. This DirectStreaming technology results in significant time savings, a reduction of network load and a much higher efficiency of research operations in media archives, e.g. for searches for specific scenes in extensive collections of movies or other data stocks. This high efficiency is only possible with the patented windream VFS technology.

33 The windream 5.5 Features 29 windream Server Setup New cascaded windream context menu The windream context menu is automatically installed as a hierarchical menu during a new installation of windream version 5.5. The grouping of the windream functions into various sub-menus enhances the clarity of the menu and makes accessing the available windream functions more convenient. The windream functions can be accessed via the following commands and submenus: windream DocView Im-export Versions Archive Extras Properties (new: windream object properties) Figure: Hierarchical windream context menu The additional menu item Properties allows you to access the scalable windream properties dialog via the script WMProperties.vbs / WMProperties.js.

34 30 The windream 5.5 Features Figure: windream context menu windream object properties Adjustment of object type Annotation for supporting PDF XChange annotations The document type used for annotations (by default, this is the document type Annotation), must possess a type index called "dwinteger09" to support annotations in the PDF XChange viewer, which can be added in windream. If this is not the case, the document type must be adjusted accordingly. The setup will make these adjustments automatically during an update installation to windream 5.5. windream DocView Pro (separate license required) The application windream DocView Pro, version 5.5, allows the display of files on a windream Client, even outside of the windream drive and on other media, e.g. on local drives or network drives. Note: windream DocView Pro requires a separate license, to be acquired via windream GmbH or a partner. Even if you are already using windream DocView, windream DocView Pro must be licensed separately. The number of required licenses depends on the number of existing windream DocView licenses. Requirements for operating windream DocView Pro A windream Client and a corresponding windream license must be installed on the windream Server. To use windream DocView Pro on the windream Client, windream DocView must once be started via the windream drive.

35 The windream 5.5 Features 31 Launching windream DocView Pro Now, windream DocView Pro can be launched via item windream DocView and used for the display of files from the context menu outside of a windream drive, even if no connection to the windream Server exists. Figure: Launching windream DocView Pro Microsoft Compatibility Support for Current Microsoft Products windream 5.5 supports the current versions of the Windows operating systems, Microsoft Server 2012 and Windows 8, the Microsoft SQL Server as a database, and all Office 2013 applications.
