2 Assignment 1 - Unit 125: Presentation Software Scenario You are working as an apprentice at Design 4 Life Media Ltd, Newport. Your manager has asked you to create a presentation to help win new business contracts in the print industry. The businesses you will be targeting want to show off their green credentials and are keen to maximise publicity on the efficiency of their recycling schemes. They all use recycled paper for print jobs and use water based inks. You have been supplied with text and pictures that you are required to use in your slides. You will need to read the whole task before beginning each assignment. Learn About BTEC Level 1 IT Users Version Page 2 of 6
3 Task 1 1. Log onto your network user account, open your IT Users Level 1 folder and create a new folder naming it Unit Plan what you are going to include in your presentation and how you are going to construct it e.g. constructing templates, use of existing templates, using text boxes, images, tables, slide animation, video/audio content etc. Planning could be in the form of mind map, flow chart, report etc. Remember to include where you will get your information from, what copyright constraints may be in place and what software tools/features you will use. 3. Create a hand drawn layout, showing how you wish your presentation to look. Ensure you have covered all four points below in order to complete the task Identify what types of information are required for the presentation: text, numbers, images, graphics. Identify copyright or other constraints on using others information: effect of copyright law e.g. on music downloads or use of other people s images, acknowledgement of sources, avoiding plagiarism, permissions. Identify what slide template to use: layout; existing templates; designs and styles; organisational guidelines Identify how to present slides to meet needs and communicate effectively: timing; transition; content; structure; meaning; organisation of information; audience needs. 4 Task 2 1. Using your plan and sketched layout as a guide create a template that you can use for your presentation. Ensure that you use text boxes and titles etc and have a cover slide. You may require additional images for use as a background in your slide template, this may be obtained (subject to copyright restrictions) from the internet. 2. Save your layout as a template, named Presentation Template to your Unit 125 folder. Ensure you have covered all three points below in order to complete the task Select and use different slide layouts as appropriate for different types of information. Combine information of different forms or from different sources for presentations e.g. images, charts, tables with text, text boxes. Store and retrieve presentation files effectively, in line with local guidelines and conventions where available: files e.g. create, name, open, save, save as, find (1.2, 1.5, 1.6) Learn About BTEC Level 1 IT Users Version Page 4 of 6
5 Task 3 1. Input the text and images that have been provided for you into your slides, using the template you created in task Please screenshot every tool and technique you use and save to your Unit 125 folder. You will require additional images for use in your slides and these may be obtained (subject to copyright restrictions) from the internet. 3. Proof read and check your presentation for accuracy and consistency using spellcheck. 4. Print a copy of your presentation, 1 slide per page and write your name on the top. 5. Save your presentation as Presentation 2 to your Unit 125 folder and close. Ensure you have covered all five points below in order to complete the task Enter information into presentation slides so that it is ready for editing and formatting e.g. text, numbers, images, graphics. Select and use an appropriate template to structure slides: e.g. layout; existing templates; designs and styles; organisational guidelines. Select and use appropriate tools and techniques to edit slides: e.g. drag and drop, find, replace, undo, redo, size, crop, position, wrap text, add lines, simple shapes, cut, copy, paste. Select and use appropriate tools and techniques to format slides: e.g. bullets, numbering, line spacing, alignment, colour, fonts, size, backgrounds. Check presentation meets needs, using IT tools and making corrections as appropriate: spellcheck; grammar check; word count; orientation; layout; slide order; text e.g. alignment, formatting; accuracy (1.3, 2.2, 2.3, 2.4, 3.3) Learn About BTEC Level 1 IT Users Version Page 5 of 6
6 Task 4 1. Open your Presentation 2 presentation and apply a smooth transition between each slide with a transition speed of slow. Please screenshot every tool and technique you use and save to your Unit 125 folder. 2. Print a copy of your presentation with 6 slides to a page and print your name on top. 3. Save a copy of your presentation naming it Presentation Final 4. Annotate your screenshots giving details of what is taking place in each and write your name on the top of each one. Ensure you have covered the point below in order to complete the task Prepare slides for presentation: view; reorder; rehearse timing; print e.g. slides, handouts, speaker notes.
