This control can be used on a kiosk based within the school, or sent as an link to parents or caregivers to complete from a web browser. The information gathered is controlled by a school and can be set to be approved prior to saving into the live system. Example: A family has rung up to enrol their child. You would then enter the basic student information Name etc so the system can create a Student code and Family Key code. Then send the to the Parent or Caregiver or they can complete at your Enrolment Kiosk using the Unique Reference to complete the online Student Profile. Security See the link to the security that you will need Spider Security Profile Update #221 and Profile Update Admin #222 Page 1 of 7
2 Step 1: In Spider: Path: Setup and Utilities>Spider Management>Profile Update Admin or Icon Step 2: Select Kiosk Authorisation Step 3: Create your online application that you wish to send out to families Note: If the next screen does not open up - make sure to allow pop-up as shown: Setting Editable/pending fields etc 1. Profile Type Use this drop down to specify the group these rules will apply to. Choose from Account, Alt 1, Alt 2, Caregiver, Correspondence, General, Other and Vaccinations Select the Criteria to attach to that group editable, pending etc: Editable Editable (Mandatory) 2. Hidden Pending Pending (Mandatory) Read Only Staff/Family can change Staff/Family must change Do not show on the form Staff/Family can change but administrator has to authorise change Staff/Family must change but administrator has to authorise change The field is shadowed for view only. 3 3. [SET] - Use the Green Set button to update the fields with the selected criteria. 4. In the criteria column you can set individual fields within the group if required. 5. Don t forget to Save [Profile Types] can be changed as a group e.g Select from Profile Type: then the type you wish to change. 1. [Profile Type]: Select the Group that you wish to change e.g. VACC. 2. Select the Criteria to attach to that group editable, pending etc. 3. [Set] Use the [Set] button to update the fields with the selected criteria. Once all the default settings are determined you can manually change any that you do not wish to show. Select [SAVE] the profile. Step 4: Setup a test student to check your form Select Create (Basic) Student Record as shown: Page 3 of 7
4 Check your form that you have created - any greyed out areas are hidden fields a) To test - suggest making up a Test student e.g. ZZTEST (so doesn t get confused with your other students). In the [Student General Information] fill in the blanks b) Select Next button takes you to the screen below: c) [Family Profile] select to either relate the student to an existing family or to create a new family record. Enter all information. After completing this screen, press the Save button. d) The following screen appears. From here, the [Unique Reference] can be either ed or entered into the Enrolment kiosk for completion by the parent or caregiver. 1. Unique Reference 2. 5 Step 5: ing Caregiver the link The parents or caregivers will receive the following . (note: this template can be changed but do not delete the CLICK HERE otherwise it will not find the correct information to use) When they click on the link it takes you to your Profile Update form that you have created to complete: Once the online form has been completed, an is sent to the address set within the Spider s configuration to the person tasked with approving the enrolment information. 6 Step 6: Using the Kiosk to complete enrolment information Path: Setup and Utilities>Spider Management>Enrolment Kiosk After a Staff member has created the basic information as per Step 4 and it creates the Unique Reference (you can print the code and give to the family) Launch the Enrolment Kiosk control on the computer you wish to use as a kiosk. Enter or scan the Unique Reference into the prompt box. From here, the parent or caregiver can complete the information requested. Once the online form has been completed, an is sent to the address set within the Spider s configuration to the person tasked with approving the enrolment information. Page 6 of 7
