4 Navigating Patients Version 20.0 Release Notes User Interface New toolbar icons for Next Patient and Previous Patient have been added to Medtech32. The new toolbar icon will allow the user to navigate back and forward through the list of recently opened patients which is currently shown and navigated through the Patient menu. The new toolbar icons are available in Window Toolbar Setup for selection. You can also use the shortcuts of Shift + Ctrl + P to move to the Previous Patient, and Shift + Ctrl + N to move to the Next Patient in the Patient menu. Patient Palette The Patient Mobile Number (where entered in the Patient Register) will now display on the Patient Palette to the right hand side of the Work and Home Numbers. 5 Setup Patient Register Setup Patient Register Ethnicity Setup Patient Register Ethnicity The ability to Add New Ethnicity Codes has been removed from the Patient Register Setup. This is to ensure that Ethnicity Codes not recognised for Exports and Reporting by the Ministry of Health are not added to the application. The Add option in the Ethnicity Drop Down in the Patient Register has also been removed. Any Ethnicity Codes added prior to the upgrade to Version 20.0 will remain available in the application to be used however it is recommended that Practices take some time to look into updating Patient data to ensure that only Ministry of Health recognised Ethnicity Codes are assigned to Patient records. Outbox Documents Setup In/Out Box Out Box Documents Merge Fields Current Time 24hr Format A new merge field has been created to display the current time in 24 hour format. The new merge field: [MIS_TIME_24HR] can be located in the Miscellaneous [MIS] filter in the Merge Symbol screen. Patient Next of Kin Day Phone Number A new merge field has been created to display a Patient s Next of Kin Day Phone Number. The new merge field: [PAT_NOK_DAY_PHONE] can be located in the Patient Keywords [PAT] filter in the Merge Symbol screen. Patient Next of Kin After Hours Phone Number A new merge field has been created to display a Patient s Next of Kin Day Phone Number. The new merge field: [PAT_NOK_AH_PHONE] can be located in the Patient Keywords [PAT] filter in the Merge Symbol screen. Copyright Medtech Limited Page 5 of 60

6 Printing Merge Fields A Print function has been added to the Merge Symbol screen in the Document Setup to allow you to print a list of all merge fields in the currently selected list of Merge Fields. Selecting the Print button will open the Printer Details screen. Click on OK to Print the Merge Field list. Staff Setup Staff Members Delete Invoices Access Right A new checkbox has been added to the Access Rights panel of the View Staff window which will allow staff the right to Delete Invoices. The Delete Invoices checkbox will be unselected by default. For any staff member that does not have the Delete Invoices checkbox ticked in their Staff setup, the Inactive checkbox on the New/View Invoice screen will be disabled and unable to be selected by the user. 7 User Passwords Security of the Medtech32 application has been enhanced by encrypting User Passwords within the Medtech32 database. IMPORTANT NOTE with regards to VENSA HEALTH TXT2REMIND In version 20 of MedTech32, there is a small change in the way you access the Vensa Health TXT2Remind client logon screen for monitoring message logs and settings. Currently, users enter their MedTech32 staff code and MedTech32 password in order to gain access to the client application. Once you upgrade to MedTech32 version 20, please use staff code: "admin" and password: "admin" in the login screen for the TXT2Remind client application. Please note that you need to be on version 3.5 or greater (TXT2Remind), if you are on a previous version then please contact Vensa Health on option 1 to arrange a remote upgrade for your practice. Finally none of the other Vensa Health TXT2Remind functionalities are impacted by the version 20 MedTech32 upgrade. Vensa Health will be sending a communication to further advise on these changes. Personal Medicines Setup Clinical Personal Medicines Deleting Personal Medicines The Personal Medicines screen has been updated so that after deleting a Personal Medicine record, the cursor will remain at the same row on the table and not skip to the top of the list. Patient Search Screen Patient Search NHI Number Patient Search The NHI number has now been added to the Patient Search screen. The NHI Number column will be displayed next to the DOB column and will be populated with the NHI Number for the Patient that has been entered into the Patient Register. 8 Patient Register Screen Module Patient Register Family Address Copy Audit Patient Register When the Family Address Copy function in the Patient Register is used, the Address Audit Log for Patient s will now be updated to reflect the changes made to the Street Address. Screen Change Audit A new Screen Audit function has been added to the Patient Register. All Patient Register buttons are now accessible through the Screen Audit button on the Audit Tab of the Patient Register. Clicking on the Screen Audit option in the list will provide you with a new Audit Log that will detail changes made to any field in the Patient Register screen. The other options in the Screen Audit options list will work as per current functionality within Medtech32. Copyright Medtech Limited Page 8 of 60

9 Accredited Employers Accidents Accredited Employers operate within the ACC Partnership Programme. Work related injury claims for Employees of an Accredited Employer are managed by the Accredited Employer, and not ACC. Claims for Employees of an Accredited Employer are lodged by completing the ACC45 form and sending all documentation to the nominated Accredited Employer contact or their nominated third party administrator. If the claim is lodged with ACC, there may be a delay in granting cover and payment to the client. Currently, all ACC45 forms within Medtech32 are sent to ACC, including those for Accredited Employers. Within Version 20.0, Medtech has implemented new functionality to enable claims relating to employees of Accredited Employers to be sent electronically to the respective Accredited Employers or their nominated third party administrators. Accredited Employers wishing to receive ACC45 s directly need to register with Medtech and Medtech needs to add them to the Accredited Employer Directory which is linked to the Accredited Employer field in the ACC45 Form in Medtech32. To enable this functionality, there have been changes made to a number of screens within the application which are detailed below: First Time Use After Upgrade The first time you use an ACC45 form for a patient after upgrading to Version 20.0, a check will be performed on the configuration of your Medtech32 to identify if your practice is already activated for the ConnectedCare module which is the basis for the Accredited Employer functionality. If your Practice is NOT activated for ConnectedCare If your Practice is NOT activated for the ConnectedCare module the system will check for internet connectivity. a) If there is no internet connectivity, it will disable the Accredited Employers download button on the ACC45 screen and will show the following hint when hovering over the button. There appears to be no internet connectivity. b) If there is internet connectivity, it will enable the Accredited Employers download button the ACC45 screen and will show the following hint when hovering over the button. To download the Accredited Employer list you must activate automatic download process for the very first time by clicking the Download button The following pop-up dialog will also be displayed. It will show once for each and every staff member each day on opening the ACC45 form until the practice is activated for the ConnectedCare module. Copyright Medtech Limited Page 9 of 60

10 When the Ok button is selected, the following web form will be displayed. You will need to select the Download button to download the Accredited Employer list. The Accredited Employer field on the ACC45 form will be disabled until the practice has completed this process and has activated for the ConnectedCare module. This will avoid any Accredited Employers from being entered until such time as they can be uploaded. If the user selects the Download button on the above web form, the Accredited Employer field on the ACC45 form will be re-enabled. If your practice IS activated for ConnectedCare If your practice is activated for the ConnectedCare module it will then download the list of Accredited Employers. a) If the download succeeds (either downloads and updates the list or there are no changes to download) it will disable the Accredited Employers download button on the ACC45 screen and show the following hint when hovering over the button. The ACC list of accredited employers is up to date. b) If the download fails it will disable the Accredited Employers download button on the ACC45 screen and show the following hint when hovering over the button. 11 New/View ACC45 Form Changes to ACC45 Form Module Accidents ACC45 The New ACC45 and View ACC45 screens will modified so that users will be able to enter an Accredited Employer code or description, search for an Accredited Employer or manually download the Accredited Employer list. The Accredited Employer field has been added to the Work and Referral Tab of the New/ViewACC45 Form. To search for an Accredited Employer, you can click on the ellipsis button. This will launch the Find Accredited Employer screen. You can also enter some leading characters and select the tab key to launch the Find Accredited Employer screen. The entered characters will be used as the search criteria. Once a valid Accredited Employer is entered, its associated details will be used to populate the Employer, Address and Town/City fields which will also be disabled. To manually download the Accredited Employer list, the user can click on the ACC button. Non-Accredited Employers will be entered in the Employer field following the same process that is currently used for the ACC45 forms. The remainder of the ACC45 form should be completed and submitted as per the current processes of sending ACC45 forms to ACC. Important Note: The Accredited Employer field will appear only on NEW ACC45 forms created after upgrade to Version All historical ACC45 forms in the system will open in the previous format of the ACC45 form. 12 First Time Use Each Day On opening the ACC45 form for the first time each day following registration the ACC45 form will first check to see if a download attempt for Accredited Employers has been made that day. During this process you may notice a small delay in the screen opening as the validation check is performed: If you are not opening the ACC45 form for the first time of the day it will check the status of the last download attempt. a) If the status is SUCCESS, it will disable the Accredited Employers download button and show the following hint when hovering over the button. The ACC list of accredited employers is up to date. b) If the status is NOCONNECTIVITY, it will disable the Accredited Employers download button and show the following hint when hovering over the button. There appears to be no internet connectivity. c) If the status is NOTREGISTERED, it will enable the Accredited Employers download button and show the following hint when hovering over the button. To download the Accredited Employer list you must activate automatic download process for the very first time by clicking the Download button If any other status is identified, it will disable the Accredited Employers download button and show the following hint when hovering over the button. Failed to update accredited employers list. Patient Register Module Patient Register To support the Accredited Employer implementation, the Patient Register Next of Kin/Employer tab has been modified to include an Accredited Employer field. The Accredited Employer field will be disabled until the practice is activated for ConnectedCare. Updates to the Patient Register Accredited Employer Field 1. If the Accredited Employer field is empty, it will use the Accredited Employer details, if available, from the last submitted ACC45 form to populate the employer fields. 2. If an Accredited Employer has been entered, it will not be overwritten by the Accredited Employer details from a submitted ACC45 form. 3. If the Accredited Employer on the Patient Register Next of Kin/Employer tab is the same as the ACC45 form, the details from the ACC45 form will be used to update the employer details on the Patient Register Next of Kin/Employer tab Copyright Medtech Limited Page 12 of 60

13 4. If an Accredited Employer is entered, the associated details will be used to populate the Employer, Address, Town/City and Phone fields which will also be disabled. If an Accredited Employer is NOT entered for a Patient, you can use the Name, Address and Town/City fields as per normal process to capture a Patient s employer. ACC45 Status Screen Module Accidents ACC45 Status The ACC45 Status Screen has been modified so that users are able to view which ACC45 forms were sent to ACC and which ACC45 forms were sent to an Accredited Employers (AE). A Sent To column has been added to the ACC45 Status Screen. If the ACC45 form is sent to an Accredited Employer, the Sent To value will be set to AE. If the ACC45 form is sent to ACC, the Sent To value will be set to ACC. The functionality in the ACC45 Status Screen has not been changed and is the same as previous versions. ACC45 forms sent to Accredited Employers or ACC will be updated accordingly. ACC45 Unload Utility Utilities ACC Electronic Forms (ACC45) The ACC45 Electronic Lodgement Utility screen has been modified to reflect the ability to send ACC45 forms to Accredited Employers. The functionality in the ACC45 Electronic Lodgement Utility Screen has not been changed and is the same as previous versions. ACC45 forms sent to Accredited Employers or ACC will be uploaded accordingly. Copyright Medtech Limited Page 13 of 60

14 Appointments Appointment Book Screen Module Appointments Appointment Book 1/2/3/4 Print Slip Icon Appointments Print Slip The Print Slip option in the Appointment Book now has an icon. This new Print Slip icon appears on the Appointment Book menu and the Appointment Book screens. Using Keywords in the Notes field The Note field on the New Appointment screen has been modified so that it can accept the entry of data using Keywords. Keywords can also be used in the Notes field on the Appointment Book screen. Copyright Medtech Limited Page 14 of 60

15 Display of Procedures in Patient Appointment Screen Module Appointments Patient Appointments A Procedure column has been added to the Patient Appointments screen to show the relevant Procedure associated with the Patient Appointment. The Procedure column will be populated from the Procedure field in the View Appointment screen. Accounts NHI Number displayed on the View Claim Screen A NHI No column has been added to the Claim Details section on the View Claim screen. 16 Account Holder Account Screen Module Accounts A/C Holder Account Filter for Service Provider on A/C Holder Account Screen A new dropdown for Provider has been added to the Filter Patient Account screen so that users can filter the Patient Account Holder screen using a specific Service Provider. By default the Provider will be set to All Providers. Filter for Transaction Range on A/C Holder Account Screen Transaction Range fields have been added to the Filter Patient Account screen. The From and To fields allow the users to set the period for viewing patient account transactions in the A/C Holder Account screen. The Transaction Range dates are calculated using the Transaction Period defined in the Postal & Accounting Details tab in the Setup Location Setting screen. On upgrade to Version 20.0 the Transaction Period is set to 6 months by default and the Transaction Range will reflect the 6 month period from today s date. A practice can alter the Transaction Period in the Location Settings screen to suit the practice workflow. Copyright Medtech Limited Page 16 of 60

17 The Transaction Range dates on the Filter Patient Account screen can be changed manually where required. Print Single Inv-Rcpt Shortcut Option Accounts Print Single Inv-Rcpt A new shortcut key Ctrl + I has been created for the Print Single Inv-Rcpt option in the Accounts Menu when the A/C Holder Account screen is displayed. Address Book Screen Setup Agencies Address Book Addition of City field Address Book A new column City has been added next to the Street Address column in the Address Book Screen. 18 Scanning Scanning Module Module Inbox Scanning Scanning Module Icon An icon has been added to Medtech32 for the Scanning module. The Scanning module icon will be shown in the Menu and be available in the Toolbar Setup for user selection. On clicking the toolbar icon for the Scanning module, the Scanning window will be opened for the user. The new toolbar icon is available in Window Toolbar Setup for selection. Patient Inbox Module Inbox Patient Inbox Charting Inbox Records Inbox The default window size for the Patient Inbox Chart screen has been enlarged to ensure that the entire chard is displayed when the screen is opened and the data is not cut off at the bottom of the screen. 19 Provider Inbox Module Inbox Provider Inbox Entering Inbox Comments Previously when scrolling down and viewing a Patient Inbox item, when a Comment is entered in the Comment field, the vertical scroll moves to the top of the page again. Now the vertical scroll remains at the same position when a Comment is being entered in the Comment field. Viewing Inbox Comments A Comments column has been added to the Provider Inbox screen. Data for the Comments column comes from the Comment field in the View Provider Inbox screen. You will need to put the Provider Inbox into expanded view to see the Comments field. Inbox Record Filtering by Patient The Filter Provider Inbox screen has been modified so that users can filter by Patient and filter Inbox results alphabetically. Filtering by Patient Name The Filter Provider Inbox screen now has the ability to select a Patient to filter the Provider Inbox by. Search for the Patient using standard search functionality in the Patient field and press the enter key. On closing the Filter Provider Inbox screen, the list will be filtered to show only those results that match to the selected patient. You can reset the filter to see all Patients by right clicking and selecting the Default Filter option or open the Filter Inbox Screen and remove the Patient name. 20 Sorting by Patient Name Alphabetically The Filter Provider Inbox screen now has the ability to allow the Provider Inbox list to be filtered Alphabetically. In the Provider Inbox Filter screen, select the Sort Alphabetically option. On closing the Filter Provider Inbox screen, the list will be filtered Alphabetically by Patient Name. You can reset the filter by right clicking and selecting the Default Filter option or open the Filter Inbox Screen and remove the Sort Alphabetically option. Immunisations Module Immunisations Immunisations Immunisations A Print button has been added to the Immunisation Status screen and will be available when on the Immunisation Schedule and All Immunisations tabs. When the Print button is selected, the Printer Details pop-up window will be launched, allowing the user to set the title and page orientation, and select which printer to print to. 21 Maternity Maternity Module Module Accounts Maternity Maternity Module Icon An icon has been added to Medtech32 for the Maternity module. The Maternity module icon will be shown in the Menu and be available in the Toolbar Setup for user selection. On clicking the toolbar icon for the Maternity module, the Maternity window will be opened for the user. The new toolbar icon is available in Window Toolbar Setup for selection. Outbox Module Module In/OutBox Outbox Document Quick Outbox Documents Outbox Quick Outbox Documents configured in Medtech32 will now display the name of the Outbox Document rather than Quick Outbox Document 1 when hovering over the Toolbar Icon. NHI Number Printing on Multiple Pages The Patient s NHI number is now printed in the Footer of Outbox Documents where the Outbox Document has more than one page. 22 Recalls Recalls Contact List Module Recall/Screening Recall Contact List Selecting All Recalls There is now an option available to Select All, UnSelect All, and Invert the current selected records in the Recall Contact List. By Right Clicking on the Recall Contact List you will be presented with the three new options. Date Contacted for Phone and Letter Recalls A Contacted Date column has been added to the Recall Contact List. This column will contain the date the patient was contacted by phone or letter. When a user selects the Patient has been contacted by phone icon or the Patient has been contacted by letter icon, the current date will be entered in the Contacted Date field of the highlighted row. 23 Medical History Report Reports Patient Medical History Reports An option to allow Patient Alerts to be printed as part of the Medical History Report has been added to the Clinical option in the Medical History Report screen. High Use Report Report Accounting HighUse The High Use Report has now been updated to include the Patient s NHI number. Appointment Matrix Report Report Appointment Analysis Appointment Matrix An Export option has been added to the Print Appointment Analysis Matrix screen. This will allow you to export the Appointment Analysis Matrix report to a file. The default directory to unload the file to will be the Temp directory, if available, otherwise the C drive (C:). The default file name will be Appointment Analysis Matrix and the default file type will be a csv file. Internal GMS Report Report Capitation Internal GMS Report The funding rate for a capitation reallocation has previously been hard coded in the Medtech32 application. Consequently, these rates cannot be easily updated when they need to change as the practice is provided new funding rates. After upgrade to Version 20.0 practices will now have the ability to modify their funding rates for capitation reallocation amounts as and when required. Copyright Medtech Limited Page 23 of 60

24 A new Reports tab has been added to the View Location screen so that practices can enter their own funding rates for capitation reallocation. Important Note On upgrade the funding values will be set to the most recent values that Medtech has been supplied with. These funding values may not be correct for all practices, depending on if you are an Interim or Access Practice. It is highly recommended that you check these values and update them to your correct funding values as soon as possible before running the Internal GMS Report. On running the Internal GMS Report, the funding values entered in the Funding Amount column in the Report Tab of the Location Setup will be used in the Capitated Claim Count By Age Range grid in the Internal GMS Report. Verify Account Tools Accounting Verify Account Tools A caution message has been updated in the Verify Account window as displayed below. Now the caution message is more prominent and informative. Important Note It is strongly advised that practices do NOT run the Verify Account Utility across Company accounts or ALL accounts. Copyright Medtech Limited Page 24 of 60

25 Utilities Electronic Claiming Utilities ACC Electronic Claims Utilities Health Benefits HL7 Electronic Claims Utilities Health Benefits Electronic Maternity Claims Section 88 Utilities Diabetes Get Checked Electronic Claims Utilities Diabetes Get Checked II Electronic Claims On the Settings tab of the various Electronic Claims screen, the Printer field will now remember the last selected printer and always default to the last selected printer whenever the screen is opened and used for transmission of claims. Announcements Tools Announcements User Groups for Announcements A new User Group drop down list has been added to the Announcements screen. The drop down list gets populated by the Staff Groups setup in the practice. Radio buttons allow the users to select either all staff members or an individual staff member as per current functionality or a specific user group. If no staff groups have been setup by the practice, the user group radio button and drop down list will be disabled. When a Staff Group has been selected, the Announcement will be sent to all members of the selected Staff Group. Copyright Medtech Limited Page 25 of 60

26 Assistance Required Tools Assistance Required A date/ timestamp has been added to the Assistance Required screen to alert the user as to what date and time the Assistance Required message was sent to them. Included in these enhancements is the ability for Patient s to reply to the text messages sent from your Practice. Important Note The Inbox Received Messages (ability to receive replies from Patients for any SMS) functionality is switched off for all practices by default. 28 ManageMyHealth Shared Electronic Health Records (After Hours) Enhancements have been made to the Shared Electronic Health Record (SEHR) to provide a seamless integration between Medtech32 and ManageMyHealth to improve efficiency and usability. The new Shared Electronic Health Record functionality provides new search capability in Medtech32 and the ability to Add a ManageMyHealth Patient to Medtech32 and Update Patient records from ManageMyHealth. Shared Electronic Health Record PreRequisites The new Search MMH SEHR button is only available if your practice is registered for the After Hours ManageMyHealth Module. If your practice is registered for the After Hours ManageMyHealth module the SEHR module should be actively highlighted in the Module tab in the ManageMyHealth Setup ManageMyHealth screen. Search MMH SEHR A new Search MMH SEHR button has been added to the Patient Search window. The new Search MMH SEHR button is only available if the practice is registered for the After Hours ManageMyHealth Module (see Shared Electronic Health Record PreRequisites). To search for the Patient 1. Log into Medtech32 as a staff member who is registered for ManageMyHealth and press F2 or select from the menu Patient Search Copyright Medtech Limited Page 28 of 60

29 2. Type the name of the patient and click the search button, the MMH SEHR button will be enabled. 3. Click the Search MMH SEHR button, two options Search new patient and Currently selected patient will be displayed. 4. If the patient search result is empty, the Currently selected patient option will be disabled. 5. When the patient cannot be found in Medtech32, select the Search new patient option from the Search MMH SEHR button to allow you to search ManageMyHealth for the patient. Select your search criteria in the Group In and Search In drop down lists. 3. Type the first four characters of the last name of the Patient and click the Search Button. 4. 31 5. If the Advanced Search checkbox is ticked then it will display further fields that can be used for searching. 6. Type the Name of the Patient or select from the Auto Suggest list and click the Search button. Search Patient through MMH SEHR Results The list of patients will be displayed based on the search criteria.age, DOB, NHI no., Contact No. and Practice Name where they are registered will be displayed. 32 Add ManageMyHealth Patient to Medtech32 The Add Patient link will be displayed for the Patients who are not registered with the Practice that have been located through the MMH SEHR search. 1. Click on the the Add Patient link. 2. Clicking the Add Patient link will open the Medtech32 Patient Register screen, prepopulating the Patient s demographic details from ManageMyHealth. 3. Click OK in the Patient Register, the Patient Register will close and Patient will be displayed on the Palette. The Patient will be added as a Casual patient into the Medtech32 database. 33 Update Existing Patient Detail from ManageMyHealth When the patient details exist in the Medtech32 database, when searching for the Patient the Currenlty Selected Patient option will be enabled. 1. Selecting the Currently selected patient will open the ManageMyHealth SEHR Patient Search displaying the Patient selected in Search Patient screen. 2. Alternatively the Patient s details can be viewed from Patient Register screen, by clicking the Search MMH SEHR icon. Select the check boxes in the Update column against the details which need to be updated for the Patient s details in Medtech32 or click the Select All button which will place the tick in all the check boxes and click the Update Details Button. 5. The Patient Register will auto populate the details selected for updating 6. Click OK in the Patient Register screen to save the changes. Add Patient MMH SEHR Possible matching Patient results 1. If there is a match available for the Patient in Medtech32, then the Possible Matching Patient Detail screen will display with details of the existing matching Patients in Medtech The Possible Matching Patient Details screen provides the option to Add Patient and Update Patient. 3. If one of the listed Patients is a match for the Patient you are trying to add then you can then select the record and click the Update Patient link and update the selected Patient Details into the Patient Register. Daily Record Module Clinical Daily Record The Daily Record screen has been modified so that all Patient Activity items will be included except for Online Appointments. The item s description will be displayed on the Daily Record screen. When the item is opened, either the Patient Inbox ManageMyHealth tab or the Reception Inbox ManageMyHealth tab will be displayed, depending on which user is currently logged in. As part of the upgrade to Version 20.0, the current Online Appointment Manager interface will be removed and has been replaced by a new integrated communication service within the Medtech32 application. Accessing Online Appointments The Online Appointments will now be available within the Medtech32 application in the Reception Inbox module which can be accessed via Module Inbox Reception Inbox or ManageMyHealth Reception Inbox menus. Users can also use the Reception Inbox toolbar icon available in the Window Toolbar Setup screen to access the Reception Inbox screen. On opening the Reception Inbox and clicking on the Online Appointments tab all Patient Online Appointments will be displayed for the user. Copyright Medtech Limited Page 41 of 60

Double Clicking on any record in the Online Appointments screen will open the ManageMyHealth Online Appointment form to enable you to see full details for the Online Appointment. 43 Appointment Request Status s Manual Mode The following applies for Appointment Request Status s when in Manual Mode: When an appointment is received in the Reception Inbox, its status is set to To be processed. When the receptionist accepts or declines an appointment, the status is set to Accepted or Declined respectively. When an accepted or declined appointment is uploaded to ManageMyHealth (and sent back to the Patient), the status is set to Accepted - Confirmed or Declined - Confirmed respectively. If an appointment is received after the appointment date, the status is set to Expired. Appointment Request Status s Automated Mode The following applies for Appointment Request Status s when in Automated Mode: If Online Appointment replies are set to Automated mode, the Accepted, Declined and Cancelled Online Appointments will have an Accepted - Automatic, Declined - Automatic and Cancellation - Automatic status respectively. While almost all General Practitioner s use computerised systems, and while almost every New Zealander has an electronic Patient Record, these Patient Records are being mailed across the country as hard copies and manually re-entered, if at all, every time a Patient changes their General Practitioner. The current process of manually transferring Patient Records results in: Compromised Patient Safety and Quality of Care Loss of Productivity Inconvenience to Patients & Staff A solution has been devised by GPNZ & healthalliance in conjunction GP Software Vendors to electronically transfer patient notes to a patient s new GP in a standardised way allowing other GP systems to Import the information without having to manually re-enter patient information. The key objective for the GP2GP functionality is to allow the electronic transfer of relevant patient records within Medtech32 to a GP who has requested the information regardless of the destination system. On upgrade to Version 20.0 your practice will be automatically licensed for the GP2GP Patient Record Transfer functionality. IMPORTANT NOTE The GP2GP Patient Record Transfer User Guide details the changes and functionality within the Medtech32 application for the GP2GP Patient Record Transfer. Staff Tasks Module Task Manager Staff Tasks Tasks The Staff Tasks screen has been updated so that when using the Blue Up Arrow to make a Patient active on the Palette from the Staff Tasks screen, the cursor will remain at the same row on the table and not skip to the top of the list. Patient Tasks Module Task Manager Patient Tasks When a Patient Task is created, the Patient Task details can now be added to and displayed in the Daily Record. To add a Patient Task to the Daily Record, tick the Add task to Daily Record checkbox when creating the Patient Task. 46 Prescribing PHARMAC Prescribing Enhancements PHARMAC has approached Medtech with suggestions for enhancement to Medtech32 to make it easier for prescribers to prescribe in accordance with the Pharmaceutical Schedule s rules and restrictions. Currently a number of prescriptions are sent back to prescribers from pharmacies requiring the prescriber to change them as they are not compliant with Schedule rules and need altering to ensure patients can access subsidised medicines. These changes are being implemented in an effort to reduce the instances of this happening. Generic Substitution Allowed A function has been added in the prescribing module that can be activated to include the note Generic Substitution Allowed on the bottom of every prescription. This will be able to be activated/deactivated on an individual prescription basis or on a blanket basis at the prescriber s discretion. Auto configuration of Generic Substitution Allowed option during upgrade As part of the upgrade process to Version 20.0 you will be prompted with the ability to set the Generic Substitution Allowed option by default for all prescribers. By selecting YES on the Generic Substitution Allowed Default screen during the upgrade process, Generic Substitution Allowed will be shown on all scripts by default for all Providers. By selecting NO on the Generic Substitution Allowed Default screen during the upgrade process, no change will be made to the current Provider setup, and the change can be made manually at a later date to each Provider as necessary. 47 Manual configuration of Generic Substitution Allowed option after upgrade If you choose NO to the Generic Substitution Allowed option on upgrade, you have the ability to manually configure a Provider for the defaulting Generic Substitution Allowed option. The Setup Staff Members screen, Provider Messages Tab has been updated with a new option to provide the ability to set Generic Substitution Allowed to enabled on all Prescriptions by default. From the menu select Setup Staff Members [Provider Messages Tab] A new checkbox titled Default Generic Substitution Allowed has added to the Options group box already in place on the screen. When the Default Generic Substitution Allowed option is ticked, all prescriptions for patients created by the selected Provider will have Generic Substitution ticked by default. When the Default Generic Substitution Allowed option is not ticked, all prescriptions for patients created by the selected Provider will not have Generic Substitution ticked by default and will have to be manually ticked when required as per current process. Use of the Generic Substitution Allowed option When the Default Generic Substitution Allowed check box IS ticked in the Provider setup then when generating a Prescription the Generic Substitution checkbox on the New Prescription screen will be ticked by default for ALL new prescriptions. You will be able to manually un-tick the Generic Substitution checkbox on the New Prescription screen should it not be required on a Prescription by Prescription basis. When the Generic Substitution check box IS ticked on the new prescription screen then the Generic Substitution Allowed statement will print on the prescription as per the current functionality. When the Default Generic Substitution Allowed check box IS NOT ticked in the Provider setup, when generating a Prescription the Generic Substitution checkbox on the New Copyright Medtech Limited Page 47 of 60

48 Prescription screen will not be ticked by default for ALL new prescriptions and the provider will need to manually select this option. When the Generic Substitution check box IS NOT ticked on the new prescription screen then the Generic Substitution Allowed statement will NOT print on the prescription as per the current functionality. Close Control Trial Period Where a medicine or new strength or dose of a medicine is prescribed for a patient for the first time the prescriber will have an option to specify a trial period initial dispensing on a three month prescription with the balance being dispensed on one lot, for stat medicines and monthly for non-stat medicines. When the prescriber chooses this option they will be asked for the period of the initial dispensing. (e.g. for stat medicines it might be an initial period of 10 days. These dispensing periods will be specified on the prescription and cc would be printed on the prescription. An Initial Dispensing Period field has been added to the New/View Medication screen for the user to enter the Initial Dispensing Period value into. The Initial Dispensing Period field will not be mandatory and the Provider may choose not to have a trial period for the medication. The Initial Dispensing Period once entered will be printed onto the Prescription for the Patient. When the Patient Medication is repeated at a later date, the Initial Dispensing Period will not be carried over and should be entered again the for the following repeat if it is necessary. Endorsement Criteria When medicines with endorsement criteria are prescribed the prescriber will have the option to confirm that the patient meets the funding criteria for the medicine to be funded. If the prescriber confirms that the criteria are met then Certified Condition will be printed on the prescription. Copyright Medtech Limited Page 48 of 60

49 A new field titled Patient meets Endorsement Criteria has been added to the New/View Medication screen. This field will be used to identify that the patient meets the Endorsement Criteria. The Patient meets Endorsment Criteria option once selected will prompt Certified Condition to be printed onto the Prescription for the Patient. When a patient medication that has Patient meets Endorsement Criteria ticked is repeated, then the value will be transferred to the new medication entry. Recommended by Specialist For medicines that are funded only when prescribed by or on recommendation of a Specialist the Prescriber will have the option now to indicate that the Patient medication has been recommended by a Specialist they can enter the name of the recommending Specialist and the date of the recommendation. The New/View Medication screen has been updated to include fields to capture if the medication being prescribed has been recommended by a Specialist and it will also enable capturing of the Specialist details and date of recommendation. A new field titled Recommended by Specialist has been added to the New/View Medication screen. This field will be used to identify if the medication has been recommended by a Specialist. A new field titled Specialist has been added to the New/View Medication screen. This field will be linked to the Address Book and will be used to identify the Specialist that has provided the recommendation. A new field title Date Recommended has been added to the New/View Medication screen. This field will allow you to select the date that the Specialist provided the recommendation. 50 On first opening the New Medication screen the Specialist and Date Recommended fields will be disabled. When the Recommended by Specialist field is ticked, the Specialist and Date Recommended fields will be enabled for use. When a patient medication that has Recommended by Specialist option selected, then the values will be printed onto the Patient Prescription. When a patient medication that has Recommended by Specialist ticked is repeated, then the values will be transferred to the new medication entry. Highlighting of Funded Products When choosing a drug for a new prescription the pick list will be colour coded so that fully funded options are green, partially funded options are blue and non funded options are black. If a medicine is prescribed generically then it will now show that there is a fully or partially funded option available for this drug in the relevant strength and presentation. This way, when funded brands change no change will be required in prescribing. If a medicine is prescribed by brand name and there is more than one pack size and not all pack sizes are funded, a funded pack size will be the default medicine so that when that particular brand/presentation/strength is prescribed the funded pack size is automatically selected. IMPORTANT NOTE As part of the upgrade to Version 20.0 the March 2012 MIMS update will be run to install a new drug database that has been updated to provide the relevant colour coding detailed below. 51 Colour Coding of Strengths The Drug Search Screen Strength grid has been updated to show new colours to define whether a drug is Fully Funded, Partially Funded or Not Funded at all. When choosing a medication for a new prescription the strength list will be colour coded so that fully funded options are green, partially funded options are blue and non funded options are black. When the medication selected has a Fully Funded option, the Fully Funded item in the list for selection will be displayed in Green Text (this is as per the current colour coding in place within Medtech32). When the medication selected has a Partially Funded option, the Partially Funded item in the list for selection will be displayed in Blue Text (this is a change from the current colour coding in place within Medtech32 which currently shows these items in Red). When a medication selected has a No Funding option, the No Funding item in the list for selection will be displayed in Black Text (this is as per the current colour coding in place within Medtech32). SPECIFIC EXAMPLE A provider has searched for Diclofenac, which is the Generic for Voltaren. The provider selects Diclofenac Sodium (Voltaren Sr), Sustained Release Tablets, 75 mg. This medication would have previously showed in the screen below as No Funding Option so in would normally display coloured Black Text and Blank in the Sub column. Once selected the Medtech32 application will check to see if there is another medication of the same Generic, Form and Strength that has a Fully Funded option. In this case Diclofenac Sodium (Diclax Sr Tablets), Sustained Release Tablets, 75mg is a Fully Funded option of the same Generic, Form and Strength. As the software can determine this is a match, then the (Voltaren Sr), Sustained Release Tablets, 75 mg that was selected by the Provider will actually show as Orange in the Sub Column as a Fully Funded option is available in the same Generic, Form and Strength. 56 Following on from colouring the Sub column Orange, when the medication selected has a Fully Funded option available in another medication of the same Generic, Form and Strength the relevant strength information for the selected medication will update accordingly with the Fully Funded option information. In this scenario the details from the Diclofenac Sodium (Diclax Sr Tablets), Sustained Release Tablets Fully Funded options will be displayed along with the the Non Funded option for Diclofenac Sodium (Voltaren Sr), Sustained Release Tablets. If you are prescribing Generically you can select any option in the Strength section. If you have searched Generically, but choose to prescribe by Brand, the Brand field has now been added to the Strength section to enable you to see easily which Brands of the Generic that has been searched for are Funded or Not Funded. Select the required Brand entry in the Strength section and prescribe by Brand as per normal process (clicking the Brand button). Funded Option Strength Selection Where drugs are prescribed and there is more than one pack size and not all pack sizes are funded, a funded pack size should be the default medicine so that when that particular brand/presentation/strength is prescribed the funded pack size is automatically chosen. The strength selection will automatically locate to the first Fully Funded option in the list where there are multiple options available to the user to ensure that the Funded option is available for selection by default. Removal of Redundant Prescribing Messages The HFA and Available only from Hospital Dispensary messages that once appeared on printed prescriptions will not longer be printed where they are not required. 57 Externally Prescribed Medications Module Clinical New Prescription New fields have been added to the New Patient Medication screen to allow capturing of Medications that have been Prescribed Externally. Selecting the Prescribed Externally check box will disable the Provider drop down field and enable the Date of Issue and External Provider fields. Use the Date of Issue field to select the Date that the Medication was prescribed for the Patient. Selecting the ellipsis for the External Provider field opens the Find Address Book screen, allowing you to search the Address Book for the provider who initially prescribed the medication. Note: The Provider must be entered in the Address Book screen to allow them to be selected as an External Prescriber. When completing the New Patient Medication screen, the medication will be shown in the Patient Medications list in bold to indicate that it was Prescribed Externally. The Provider code will be shown as #EXT to indicate that it is Prescribed Externally. Any medication that is entered as Prescribed Externally will not be displayed on the Daily Record for the Patient, they will only be displayed in the Patient Medications List. Any medication that is entered as Prescribed Externally will not be printed. If you select an Prescribed Externally medication to print, the following message will be displayed.
