2 Updating Enrolment Details Module Patient Register Patient Demographics Comparison Screen Update Active Enrolment NHI validation must be performed prior to updating enrolment details. Patients who are already enrolled in a practice will have their information available in the NES. You can update the enrolment details and change the following information: change or remove the Service Practitioner update the Service Facility add qualified encounter date update re-enrolment date for the patient end patient enrolment The enrolment details can be updated in the following locations using the Update Enrolment button: Patient Demographics Comparison screen New Enrolment Details screen NES Synchronisation prompt window in the Patient Register Full Patient Enrolment Record (available as part of the View Enrolment process) In the Patient Demographics Comparison screen, select the Update Active Enrolment button to directly display the Update Patient Enrolment screen. 2

5 Figure 4 Update Patient Enrolment screen [1] This is set by default [2] This is prepopulated from the enrolment record being updated [3] This is a read-only field and is populated from the Location Settings the user is logged into [4] This is populated from the Service Provider selected in the Patient Register (F3) screen [5] You can select this checkbox and click the Save button to re-enrol the patient with today s date. [6] The Service Facility ID will be populated with the selected location s HPI Facility Number. [7] This is populated from the Service Provider s staff settings. [8] You can select the Termination Reason from the following: Transfer: The patient has enrolled with another organisation Opt Out: An eligible patient has chosen to end their enrolment 5
6 Died: The patient has died Not Eligible: The patient in no longer eligible for services Link NHI: Linked NHI Expire: Enrolment has expired Org End: Enrolment has been terminated by the enrolling organisation Saving Enrolment Details into Medtech32: The Full Patient Enrolment Record screen and New Enrolment Details screen both have an Update Medtech32 button. Clicking this button will save the patient s enrolment details into Medtech32. Figure 5 Full Patient Record screen 6
7 Common Error Messages: If you attempt to update Medtech32 with historical enrolment information, the following error message will appear: Figure 6 Trying to update historical enrolment details into Medtech32 The Information that is updated in Medtech32: Enrolment details that are updated: Enrolment Status Enrolment Start Date Enrolment ID Enrolment Expiry Date Enrolment End Date You are able to view this information from the Patient Register (F3) screen: Figure 7 Enrolment details updated in the Patient Register (F3) 7
8 If changes are made to the Enrolment Status field or the Date Confirmed field and you then click the OK button or close the screen, a Warning screen will be displayed (refer to fig. 8). Clicking the Enrol Patient button will take you to the Enrol Patient screen (provided NHI is validated). Similarly, the Update Enrolment button will take you to the Update Enrolment screen (provided NHI is validated). The View Enrolment button will take you to the Check Patient Enrolment Details screen; the NHI does not need to be validated. Clicking the Cancel takes you back to the Name tab of the Patient Register. 9 Query Builder Changes for Checking Patients Enrolment Status The Query Builder has been enhanced and new options have been added under the Patient table. This will provide the ability to create a list of patients who have NES Enrolment details saved back into Medtech32. Figure 10 The Query Builder screen 9
