3 INTRODUCTION Medtech32 Version Build 3992 is a Patch Release of Medtech32. This document provides an overview on resolved issues, enhancements and changes to the Medtech32 application to accommodate the Nehta and PCEHR utilities. Please refer to the separate MT32 Release Notes - V9.1.3 CDA Bridge document for further updates and changes to the Healthcare Identifiers (HI) Service and the Personally Controlled Electronic Health Records (PCEHR). IMPORTANT NOTE RE: NEHTA epip PCEHR Requirements In order to be eligible for the NEHTA epip (Practice Incentives Program ehealth Incentive), practices should install Medtech32 Version Build 3992 as soon as possible in order to meet the PCEHR (Personally Controlled Electronic Health Records) requirements. IMPORTANT: A new version of the CDA Bridge Update (July 2013) and ehealth Certificate Installer Version 1.15 are required to be installed in conjunction with Medtech32 Version Build 3992 to ensure PCEHR will function properly. Please download and follow the installation instructions in the MT32 Release Notes - V9.1.3 CDA Bridge document, from our website NOTE: Please ONLY run the Upgrade at a time when your site is not required to be up and running in a short amount of time. It is recommended that you run the Upgrade afterhours or on the weekend where you would have adequate time to complete the Upgrade. NOTE: The amount of time required to run the Upgrade is dependent on the specification of your server and the size of ALL databases. IMPORTANT NOTE WARNING: It is HIGHLY recommended to employ ONLY qualified system engineers when performing ANY installation and upgrade. The consequences of ruining a database during upgrade could possibly lead to data corruptions, and as a result data loss and systems downtime. 4 MEDTECH32 PRE-REQUISITES Please review the following pre-requisites and ensure they are met prior to running the Medtech32 Version Build 3992 Update: 1. Ensure the minimum version and build requirements are met. IMPORTANT NOTE Your practice MUST be on Medtech32 VERSION BUILD 3915 to install this Update. If you ARE NOT currently on this exact version and build, please DO NOT continue and contact the Medtech Helpdesk for assistance. Your current Medtech32 version can be checked by logging into Medtech32 and go to Main Menu Help About Medtech32. Ensure you are ALWAYS logged onto Windows with ADMINISTRATIVE RIGHTS when performing ANY installation, update or maintenance tasks. 4. "User Account Control" (UAC) MUST be DISABLED as a policy across ALL Server and Client computers that are running on Windows Vista or Windows 7 or Windows 2008 or Windows 2008 R2. 5. To avoid unnecessary problems during installation, upgrade, or maintenance, preferably you should ALWAYS log onto Windows in "Console Mode" i.e. not through Remote Desktop Connection, Terminal Services, or Citrix. 5 6. Ensure ALL Briefcasing Laptops with OUTSTANDING Briefcased data are CHECKED-IN prior to running the update. 7. A SUCCESSFUL Database Maintenance must have been performed on ALL databases. 8. Ensure you have a COMPLETE backup of the MT32 directory and ALL databases located in the MT32\Data directory. 9. The amount of free hard disk space required to perform database backup and maintenance on the Interbase Server should be at least THREE times the size of ALL databases you will be working with. 10. Ensure ALL activities that require access to the databases have been STOPPED: ALL Users have LOGGED OUT of Medtech32 including remote users and idle users in Terminal/Citrix sessions ALL Services have been STOPPED e.g. Medtech Services (for ManageMyHealth SMS and Portal), Medtech Data Transfer Service (for RxSQL Clinical Link), IIS Server (for Medtech Clinical Audit Tool), erx Services, MediSecure Services, etc. ALL Applications have been STOPPED e.g. Medtech CDA Bridge (for NEHTA HI Service, SMD, PCEHR), eclinic SMSC Desktop, Pen Clinical Audit Tool, other Custom/Third-party Applications and Reporting Utilities not supplied by Medtech, etc. ALL Scheduled Tasks have been STOPPED e.g. Message Transfer Utility, Auto Scan from Folder, NPS RADAR Update/Submit, etc. ALL Backup/Maintenance Tasks have been STOPPED e.g. Database File Backup, Interbase Backup/Restore, Interbase Database Sweep, etc. IMPORTANT NOTE FOR BRIEFCASING ALL Briefcasing laptops MUST ALWAYS be on the SAME MEDTECH32 VERSION AND BUILD as the "Main" Medtech32 Server. Otherwise data corruptions, and thus data loss, might occur during check-ins and check-outs. You MUST install this Update separately on EACH Briefcasing laptop by following the same instructions in the "Medtech32 Server Installation" section below. IMPORTANT: Once you have SUCCESSFULLY updated the Briefcasing laptops to the SAME version and build as the Main Medtech32 Server, you MUST then perform a COMPLETE CHECK-OUT on EACH Briefcasing laptop. 6 MEDTECH32 SERVER INSTALLATION The Medtech32 Version Build 3992 Update must be run on the Medtech32 Server machine. The following procedures ONLY need to be run ONCE for EACH practice (or once per server if your practice has multiple servers). NOTE: If you are uncertain which computer is the Medtech32 Server, please contact your IT technician or service provider who has performed the Medtech32 installation and/or upgrade. 1. Please visit our website at 2. Select Region: Australia from the Region dropdown list on the top right corner of the screen. The Australia Home Page will be displayed. 3. Select from the top menu, Medtech Online medtech32 Downloads. The Australia Medtech32 Downloads page will be displayed. Copyright Medtech Healthcare Pvt Ltd Page 6

7 4. Here you will find the Version Build 3992 Update. 5. Click on the Link Version Build 3992 Update (July 2013). 6. If the File Download Security Warning dialogue box appears, select the Run option. 7. If the Open File Security Warning dialogue box appears, select the Run option. 8. The Update will then begin to run. 9. The Welcome screen will be displayed. Please READ THROUGH the onscreen instructions CAREFULLY and then click on the Next button. 10. The Select Installationn Folder screen will be displayed. The path of the current MT32 directory on the Medtech32 Server should be displayed under the Installation Folder section. 8 If Medtech32 is installed on a different path, then click on the Browse button to manually select the correct Installation Folder where Medtech32 is installed. NOTE: If you are uncertain where Medtech32 is installed, please contact your IT technician or service provider who has performed the Medtech32 installation and/or upgrade. Click on the Next button to begin the installation. 11. During the upgrade process, the Database Structure Check utility will appear a few times to upgrade the databases: WARNING: DO NOT close the Database Structure Check utility when it is half-way upgrading the databases doing so could damage your databases. 9 WARNING: If you encounter ANY errors during Database Structure Check, DO NOT CONTINUE with the Upgrade. Please LOG the exact errors you have encountered, and contact Medtech Helpdesk for assistance. 12. Once the Database Structure Check has been completed, the following screen MAY appear. If this screen does not appear in the installation process, the upgrade process will automatically take you directly to Step 14. UPDATE DOCUMENT SCREEN IMPORTANT NOTE This next section is applicable only for those Practices who have an existing Document Inbox or Outbox Folder Code set to either P or EHR only, and if your Practice is on Medtech32 Version If your Practice has the above codes already in your database, then the following screens will appear in the Installation process to allow you to rename those folders to another code. This upgrade requires exclusive use of those codes for the PCEHR processing of documents. The Update Document Group process will run on all databases for your Practice. If your Practice does not already have these Document Folder Codes then you can continue the upgrade process from the Annotation Change section of this document. Note: for further information, please refer to the MT32 Release Notes - V9.1.3 CDA Bridge document from our website If your Practice has the document codes EHR or P already set up as Document Folders then the Update Document Group screen will provide the means to rename those existing codes (from your database). a. On the next page is a sample screenshot of the Update Document Group screen, if the EHR and P Codes have been detected in your database in both the Inbox and Outbox folders. 10 b. To rename the existing EHR or P codes, press the F2 Key to change it from the Outbox (and/or Inbox) folder. The following Enter New Code screen will appear to allow you to do this. (EHRF2 for the Outbox Folder new code) After entering in your New Code, click on the OK button to continue. Note: If the New Code that you have entered already exists in the database, the message box below will be displayed. Once your existing codes have been successfully renamed to a New Code, you will be returned to the Update Document Group screen. Copyright Medtech Healthcare Pvt Ltd Page 10

11 Click on the Update button to save the changes and exit this screen. UPDATE ANNOTATION (EHRF1 for the Inbox Folder new code) 14. The Annotation screen will be displayed, to run the Update Annotation utility which will run against all databases for your Practice to optimise performance of your Medtech32 application. UPDATE RX STATUS 15. The Update Rx Status screen will appear to update the Medication Status for each database in the practice. This utility improves the performance of your Medtech32 application and will be run on all databases, as shown in the screenshots above and below Main database, and Training database. 12 16. Once the Medtech32 V9.1.3 upgrade has successfully completed, the following screen will be displayed. 17. Click on the Finish button to exit the Update. 18. The following screen may appear after the installation is completed: Click on the OK button to restart Windows, or the Cancel button to exit this screen without restarting your system. Note: a Restart at this stage will ensure that any files that had been locked by Windows during the installation will be updated after the System Restart. IMPORTANT NOTE FOR BRIEFCASING If your Practice is using Briefcasing option then you MUST Repeat Steps 1-18 above on EACH Briefcasing Laptop. IMPORTANT: Once you have SUCCESSFULLY upgraded the Briefcasing Laptops to the SAME Medtech32 Version and Build and SAME Interbase Version as the Main Medtech32 Server, you MUST then perform a COMPLETE CHECK-OUT on EACH Briefcasing Laptop. 13 RESOLVED ITEMS IN THIS RELEASE Daily Record Annotations A new checkbox option Show Annotation in Daily Record has been introduced in the Location Settings Codes & Defaults tab. This will enable the Annotations to be hidden if required, from the immediate Daily Record window view. 14 If this option in the Location Settings has not been selected, the Consultation Annotations will not be automatically displayed in the Daily Record window. Instead a blue flag will be displayed, indicating that an Annotation exists for this Consultation. 15 Scanning Grid Pixels In the earlier versions of Medtech32, there was an issue in Scanning if scanning through Multi Page (No ADF), and the Double Sided Documents in a Grey Scale. The scanned documents were displayed with Grid Pixels because of low resolution, as shown below: Previously, the scanning resolution (i.e. Low / High resolution) for Grey Scale, Black & White and Full Colour scale for the Multi Page (No ADF) and Double Sided Documents had been hardcoded and applied to the scanned document as a parameter. The modern scanners translate this parameter as very low resolution and the result is the Grid Pixels display. To address this, the resolution parameter has been increased and the parameter values updated in the Registry Table from which the resolution can be changed based on the scanner configuration as per user requirements. erx Authority Code There was an issue in the earlier versions of Medtech32, wherein the Authority number was being included for non-authority drugs in the erx Scripts (XML file format) while sending scripts to erx Server. This issue has now been resolved in Medtech32 Version Non-authority drugs 0 (zero) have been included as Authority numbers in the erx Scripts. Copyright Medtech Healthcare Pvt Ltd Page 15

16 Appointment Book In Medtech32 Version 9.1.3, a new date range field has been implemented in place of the Date field in the Print Appointment Book window, to generate / print the Appointment Book report based on the selected date range. Report Account Transaction Report V9.1.2 V9.1.3 NOTE The When field in the Print Appointment Book window will be enabled only when the From Date and To Date field values are identical. When clicking OK in the Print Appointment Book option, the Appointment Book report for each provider will be generated on separate pages for each day within the date range selected. 17 CONTACT SUPPORT A new menu option called Contact Support will now appear in the Medtech32 Help menu. The Contact Support option will provide the ability to send General, Support, or other queries or requests to Medtech automatically, instead of having to send s, or calling the Helpdesk Desk number. Pre-requisites After installing Medtech32 Version Build 3992, ensure the URL specified in the below screenshot is available in the Location Settings SMS tab. 18 Help Contact Support The Contact Support option provides six types of Request Categories. They are: Support Request Training Request License Queries Sales Queries ManageMyHealth Queries Clinical Audit Tool Queries The bottom section of the Contact Support screen displays the Practice details that will be sent to Medtech along with your enquiry. 19 The following confirmation message will be displayed when you click on the OK button of the Support Request screen. When a request for a License Query is selected, the option to Include license checkbox option will be selected automatically. 21 TECHNICAL FIXES Improved imaging access A new SWAPRUN option has been implemented in Medtech32 Version to improve access to images that reside on your network. This option will inform the operating system to copy the image from the network to a swap file, and then load the image from there. Error Message during ACIR Claim While sending claims to ACIR, an error message of is not a valid integer value was being displayed. This issue has now been addressed in the program and the error that was being reported has been resolved. Access Violation error in New Invoice window There was an issue in Medtech32 Version where an Access Violation error message would be displayed when changing the A/c Holder for the active patient in the New Invoice window (press F9). This issue has now been resolved in Medtech32 Version It is now possible to change the A/c Holder in the New Invoice window, without any issues now. Performance Fixes In order to increase the performance of the Medtech32 application, the following enhancements have been implemented in this update: New Daily record and Medication lists database views have been introduced The new checkbox option Show Annotation in Daily Record has been introduced in the Location Settings Codes & Defaults tab, to provide the option of viewing the Annotations in the Daily Records screen or suppressing them but with the visual indicator of the Annotations existence within the Daily Record by way of the Blue Flag icon. The Scanning module options of Load from File and Load from Folder were executed from the main Medtech32 application. In order to increase the Scanning performance of the application, these options have been executed through the Scanning utility itself now. Earlier the Online Patient Verification (OPV) functionality was executed from the main Medtech32 application. In order to increase the performance of the application, this functionality has now been executed through a new utility called OPV Copyright Medtech Healthcare Pvt Ltd Page 21

22 Access Violation Errors in Provider/Patient Inbox In some exceptional scenarios, an Access Violation error message would be displayed in both the Provider and Patient Inbox windows. This issue has now been resolved in Medtech32 Version 9.1.3, and the cause of the error resolved. Access Violation error in Patient Register window In some exceptional scenarios, an Access Violation error message would be displayed in the Patient Register window. This issue has now been resolved in Medtech32 Version 9.1.3, and the cause of the error resolved. Consultation window - Not in Edit Mode In some exceptional scenarios, an error message Not in Edit Mode was displayed in the Consultation window. 23 UPCOMING FEATURES UPDATE New menu option has been added in to the MT32 Help Menu for future implementation. IMPORTANT NOTE The Notification Centre option is visible in this release, but will not be fully implemented until the next Release. Please do not use this feature until any prior confirmation from Medtech. Notification Centre A new sub menu Notification Centre has been added in the MT32 Help menu. This will allow your Practice to receive Medtech Notifications, small updates and SQL s in the future. The Notification Centre provides two types of Filters. They are: Available This option will display any updates or notifications that have been sent from Medtech to your Practice. Applied This option will display all the updates and SQL s that have been run on the database and the Notifications that have also been read. Copyright Medtech Healthcare Pvt Ltd Page 23

24 The Details section will display the: Description of the update/sql. Staff name and the date and time that the update/patch had been applied. Staff name and the date and time that the Notification has been read. The Acknowledge button will be enabled when receive a notification from Medtech. The Update button will be enabled if a patch update or SQL is received from Medtech. The Check button will check for any new Updates or Notifications that are made available by Medtech. A message box will be displayed as shown below: NOTE The Notification Centre screen will be displayed automatically for those staff with System Administrator rights as soon as they login to Medtech - if there is a new update or Notification from Medtech.
