3 Installation Prerequisites Checklist Check the current Medtech Evolution installed version [Help!About Medtech Evolution] before attempting this upgrade. The practice must be on the following Medtech Evolution version: Version or later It is required for users to be logged out of Medtech Evolution for this update to be run, because the main application is affected. Ensure you are logged onto Windows with Full Administrative rights when performing ANY installation, update, or maintenance tasks. 4. You are logged onto the Medtech Evolution Database Server. 5. 4 Introduction These release notes provide an overview of the functional enhancements introduced in Medtech Evolution V (Build no ) August 2015 release. Functional enhancements and regulatory compliance updates in the release are as follows. Functional Enhancements: 1. Invoices capability is now available for ing Invoices and invoice related reports from Evolution. 2. Stock Reports Various filter criteria have been provided to produce stock reports for Order and Valuation. 3. Appointments - Queue Workflow and Status Screen A new icon has been introduced to identify patients arrived from appointment book in Queue Workflow. Wait duration for Triage and Consultation have been distinctly specified. Preview is enhanced to include the appointment type, invoice and payment details. 4. Query Builder In the Query Builder, patients arrived in queue workflow and previously booked in Appointment Book can be queried. 5. User Friendly Warning Message User friendly warning messages have been provided to enable Users to take proper action during a system event. 6. Other Enhancements Keywords in Patient Outbox Services Description Technical Enhancements. Regulatory Compliance Changes: 1. 5 Invoice Enhancements Invoice enhancements include the option to Tax invoice receipts, Today s Invoices and Statement Historic reports via Microsoft Outlook. Invoices Receipts can be ed from the New Invoices window. Tax invoice receipts can be ed from the Print Today s Invoice Receipt window and Statement Historic Invoice receipts can be ed from the Print Statement window. Invoice - Tax Invoice Receipts Account New Invoice In the New Invoice window a Send action button is provided. Clicking the Send button opens the outlook message window to attach the Tax Invoice report in PDF format. The address of the A/C holder specified in the Patient Register screen will automatically display in the Outlook message window, enabling to the A/C holder or other intended recipient. 6 Today s Invoice Account A/C Holder Account Print Todays Inv-Rcpt A Send actions button is provided in the Print Today s Inv-Rcpt window. Clicking the Send button opens the outlook message window to attach the Today s Inv-Rcpt report (Tax Invoice) in PDF format in the , which is then ready to be ed to the A/C holder or other intended recipient. Statement Historic/ Invoice Receipt Account A/C Holder Account Print Statement/Historic Inv-Rcpt Statements and Invoice Receipt reports can be ed directly when the report is generated. For the report criteria provided like date range, Format, Income Provider etc, the corresponding report can be ed to the A/C Holder s or other intended recipients. The View Invoice window audits the action. The recent date, time and staff ed the invoice are audited. Copyright Medtech Limited Page 6 of 15

7 Note Reports can be generated using the existing OK button in Print Todays Inv-Rcpt and Print Statement Window. Tax Invoice can continue to be printed using the existing Print check box in the New Invoice window. Copyright Medtech Limited Page 7 of 15

8 Stock Report Enhancements Stock Report Reports Stock Stock report has been enhanced to provide more filter options while generating stock order and valuation reports, enabling an effective inventory analysis for the practice. Both stock order and valuation reports can be accessed from the Ribbon at a single click. Order and Valuation reports can be generated simultaneously in a single click. The system will prompt the following warning message when a Stock report is printed without specifying Order and/ or Valuation. Copyright Medtech Limited Page 8 of 15

9 The purpose of the new filter criteria in the Stock report is as follows: Criteria Stock Service Group Supplier Stock Level Location Purpose Specify to print Order and/ or Valuation report Print the stock of service codes that are mapped to the specified service group. Single or multiple service groups can be specified. Specify a supplier to print only the stock supplied by specific supplier. All stocks will be printed if supplier is left blank. Specify the range to print stocks which falls between the specified stock levels (Min Stock Level). Specify the location to print stocks of the services codes that are mapped to a specified location or locations. Reports Layout Filter criteria used to generate the report is printed in the report for both Order and Valuation reports. Copyright Medtech Limited Page 9 of 15

10 Queue Workflow Home Queue Workflow Queue Workflow Enhancements Queue Workflow has been enhanced to show the wait duration in Awaiting Triage/ Intervention and Awaiting Consultation, and the time duration taken for Triage and consult. A new Column In Trg Dur and In Con Dur have been included to show the patient s Triaging and Consulting duration. Triage Queue related columns have been renamed to Awt Trg Start, Awt Trg End, Awt Trg Wait, and Consultation Queue related columns have been renamed to Awt Cons Start, Awt Cons End, and Awt Cons Wait. Appointment Patients Arrived in Queue Workflow Home Queue Workflow The patients from appointment book when arrived in Queue Workflow are differentiated by using a blue icon. Preview The preview section includes Invoice and Payments annotations for the transaction corresponding to the visit and the Appointment Type. The additional details can be accessed in Status Screen and Worklist preview. Copyright Medtech Limited Page 10 of 15

11 Query Builder Home Queue Workflow Patients who were arrived from Appointment Book in the Queue Workflow can be identified and reported in the Query Builder. The new field Appointment Book can be used to query the patients who were arrived from appointment book. Option to include or exclude patients who were moved from appointment book, or both type of patients in the query, is available. Copyright Medtech Limited Page 11 of 15

12 User Friendly Error and Warning Messages The error message format has been improved in this release to provide user friendly information enabling users to take proper action during a system event. Warning or error message box is enhanced to provide details such as possible cause for the error that occurred and a link to access information regarding the error. 13 Keywords - Patient Outbox Other Enhancements Patient Patient Outbox New/View Patient Document This release includes the extension of clinical Keywords usage in Subject and Comment fields in the Patient Outbox document. Services Description File Options Accounting Services The description field length is increased to 50 characters in the Services set up window. Copyright Medtech Limited Page 13 of 15

14 Technical Enhancements Technical enhancements include a user friendly warning message provided to proactively inform the user about a potential disconnection between the database and application that can possibly occur due to network related issues. On clicking OK in the above message, a prompt informing the user that Medtech Evolution needs to close will be displayed. Clicking OK will close Medtech Evolution. GP2GP Import Patient Record Import Home Provider Inbox GP2GP Patient Record Import A warning message is included to inform the user about a potential issue which may be encountered while a GP2GP import is performed. The below message will be displayed to inform that an error occurred while performing GP2GP import. Copyright Medtech Limited Page 14 of 15

15 Immunisation Subsidy Update -July2015 This update performs two functions: 1) Increases all Immunisation subsidies from $22.75 to $ ) All Immunisation claims generated from 1 st July 2015 will also be updated to ensure payments received correctly reconcile. Immunisation Subsidy Increase The Ministry of Health has advised that all immunisation subsidies have increased from $22.75 to $ from 1 st July This update will set the subsidy for all subsidised vaccines to $22.93 (including GST), with an effective date of 1 st July Immunisation Claims Correction All existing immunisation claims, finalised and unfinalised, created from 1 st July 2015 onwards, will automatically be updated to the new subsidy amount of $22.93, where applicable. As this update will be run after 1st July 2015, all previously submitted claims will be automatically updated with the correct value of $22.93 to ensure payments for these claims reconcile.
