Transcription

1 Professional Training Use the Professional Training form, accessed from the SC Daily log, to record time spent engaging in training activities. Pursuant to guidance in HUD s Management Agent Handbook REV-2 CHG-2, Chapter 8.9, first time Service Coordinators must complete 36 hours in the first year of employment as a Service Coordinator, unless they have received recent relevant training. All other Service Coordinators must complete 12 hours of eligible training each year. Create Professional Training The required fields in the body of the Create Professional Training form include Topic, Duration, Location, and Training Provider. Optional fields for this form include CEU Training Hours/Credits Earned, Cost and Training Areas.! First, specify the date of the Professional Training by choosing Click Here To Select. This will open a calendar that allows a date to be selected. A specific program can be submitted for one specific day.

2 ! To go to a previous or upcoming month, click on the name of the month to see those dates. Once a date is selected, the calendar will automatically close.! To change the selected date, click Clear Selection at the bottom left corner of the Professional Training calendar.! The Topic of training is the official name or short description of the training itself. Type the Topic in manually.! Duration references how long the training was. Adding the Duration of the training will feed automatically into the brown Service Hours reference chart for the date range selected, and will also serve as a guide as to where this value should be entered on the Create Service Hours Form. Type the Hours in manually and use the drop down menu to record the number of minutes.! Location is the place where the training occurred. If the training was not at a physical location but instead took place virtually, an appropriate location would be Webinar or Online. Type the Location into the field manually.! Training Provider is the name of the individual or company that provided the training. Type this information in manually.

3 ! The next line of this form offers a place for Continuing Education Hours to be documented. If CEUs were given for the completion of a training, type the number of hours in manually. However, not every training offers CEUs. For a training that does not offer any CEUs, simply leave this line blank.! To upload a CEU certificate, click on the yellow folder icon, select the certificate file from your computer where the certificate file is being stored, and click "Select". The certificate will be uploaded and stored for safe-keeping.! Certain events, such as the National Service Coordinator Conference, may provide one CEU certificate which lists multiple courses and CEU credits on a single document. To record this in AASC Online, create separate records for each specific course (including the topic, location, CEUs, etc.). Then, for each course, simply upload the (same) CEU certificate each time.

4 ! To enter the Cost of the Professional Training, type the amount into box. For a training that did not cost anything, simply leave this line blank.! To upload Cost Documentation, click on the yellow folder icon, select the certificate file from your computer where the certificate file is being stored, and click Select". Only one file can be uploaded for each line item. If there are multiple receipts associated with the cost, these receipts should be scanned as one file and then uploaded as one file. The document will be uploaded stored for safe-keeping.! To upload training-related costs at events which offer multiple courses (e.g., The National Service Coordinator Conference), enter the event name in the Topic field and the location in the Location field. The location may be the city you re in at the time or it can be online if the course is offered via an online webinar. If there are multiple training providers, enter multiple in the Training Provider field. Finally, upload any receipts in one document, and enter the cost of the entire event.

5 ! The final section of this form includes the option to select a training area associated with the Professional Training.! To classify a training per the Multi Family Service Coordinator program training guidelines, click the radio button to the left of the training description most closely related to this Professional Training.! More information on these training types can be found in the HUD Service Coordinators in Multifamily Housing Resource Guide. To access the Guidebook, click the question mark icon, and then click the link to the guidebook.

6 Editing or Deleting Professional Training A Professional Training record can be edited or deleted by clicking on the Edit / Delete link on the Professional Training block of the SC Daily Log.! Initially, there are no records selected. To find a particular Professional Training record click Select Training Record, and a drop down menu will appear.! Select a training record to edit, and it will open automatically. Once the changes are complete, go to the bottom of the edit Professional Training page and click Update to save edits to this record. Or, to delete this record, simply click on Delete. To exit out of the record without make any changes, click Cancel.

7 Print Report of Professional Training A Professional Training Report can be accessed from the SC Daily Log. Professional Training reports can be run for a day, month, or custom range. A report can be saved as a PDF and printed.! Initially, the report will default to the current month. To view a different date or range, click the blue link displaying the current month.! This will open a Report Date Range Selection tool. A report can be run for a specific day, month, or custom date range. Once the range has been specified, click OK and it will bring up all the Professional Training records for the date range. To exit out of the calendar without making any changes or choosing a date range, click Cancel.

8 The body of the report page will list each Professional Training record that was entered during the date range. Each record is broken down by Date, Topic, Location and Provider, CEUs, Cost, Duration, and the Service Coordinator. Existing records can be edited directly from the report screen and new records can also be added on the report screen.! Edit a record directly from this page by clicking on the blue edit link to the right of each particular record. This feature will open the record. Once the desired changes are made and saved, the record will close and this particular Professional Training Report screen will be visible once again.! To add an additional Professional Training record directly from this report screen, choose Click Here to Create New Training and a Create Professional Training form will open. Once the new record is created, it will close and this particular Professional Training Report screen will be visible once again.! To print a version of this report, click Print Version at the top right portion of the Professional Training report screen. This will download a PDF version of the report which can then be opened and printed.
