3 1. Introducing the System and Access 1.1. Audience The intended audience for this user guide is the authoring team (authors/setters, revisers, chief examiners, chairs, pre-testers, assessment scrutineers, language modifiers etc.) and process management teams (known as project administrators in CCMS). These roles will need to either write and/or amend assessment materials for syllabus components in CCMS: Author Background CCMS is a system for creating, reviewing and managing assessment materials. It will replace existing materials management systems and processes. It will bring improvements to the materials production process, in particular item and question paper production, while giving additional capabilities. At a very high level, there are 4 steps which describe how material is created and reviewed using CCMS: 1. An author is commissioned to write material within CCMS (optional templates and instructions are added). 2. Material is authored in an Extensible Markup Language (XML) tool. This allows material to be written only once, for both paper and computer based tests, increasing the speed in which we can create materials. 3. Material is tagged against agreed attributes for the syllabus, e.g. content, assessment objectives (tagging of material allows for linking, searching and other allied educational processes). 4. Material moves from stage to stage (reviewing, etc.) on a pre-defined electronic workflow. Note all editing of material when reviewed is version controlled. No need to or post question papers to and from OCR 1.3. Benefits to authoring in CCMS 1. Rules can be set against content so that it can be previewed and printed ('rendered ) automatically, eradicating the need to typeset content. 2. Content can be rendered directly into HTML format, which can be used for Computer Based Testing. Material only needs to be keyed in once therefore. 3. Content can be tagged to taxonomies, providing the capacity to store and reuse material when appropriate to do so. External User Guide 1 August 2016 Page 3 of 9

Getting ready to use CCMS Before you can access CCMS, you will need the following: A temporary CCMS password, given to you by OCR A computer with internet access and a web browser (e.g. Internet Explorer, Firefox or Google Chrome) If you first logged in to CCMS before October 2015, you will have used an RSA code. This is no longer required. If you wish to uninstall your RSA software, refer to section 4 of this guide. OCR will use your address as your CCMS username. You must inform OCR if you close down this account, as CCMS will send you s every time you attempt to log in. 3. Logging into CCMS 3.1. First time login - setting your password To log in to CCMS for the first time, open your web browser (e.g. Internet Explorer, Firefox or Google Chrome) and type the following URL into the address field: It is not necessary to save this link in your favourites as you will receive an with the CCMS link every time you receive a CCMS task. However, if you do to save this link in your favourites, make sure it saves exactly in the format above. You should see the following screen: Enter your address in the box and type the temporary password that OCR has provided for you in the Password box. Click on the Sign In button. 5 The first time you log in to CCMS, you will be asked to change your password. Complete the boxes and click Change Password. You can now click Return to CCMS and return to the login screen Logging in with a one-time token Type your and password into the CCMS screen and click Sign In. You will now be asked to enter a one-time-token in CCMS. External User Guide 1 August 2016 Page 5 of 9

6 Your one-time-token will have been automatically ed to you from the address Note automated s should be instantaneous; however could take up to 2 minutes if your broadband connection is slow. Open the you received and copy the code from within it. Paste the code into the Token field in CCMS. Press Sign In. You should now have access to the CCMS Tasks screen. You can now begin working in CCMS. Each time you log in to CCMS, you ll be sent a new with a new one-time token. Old tokens from your previous login sessions cannot be reused. 7 4. Help with Login issues 4.1. Forgot your password? If you have forgotten your CCMS password, click on the Forgot password? button on the CCMS login screen. You should receive an giving you instructions on how to reset your CCMS password Having problems logging in? If you have problems logging in, your first port of call should be the Assessor Advisors in the Contact centre. You can them out of office hours, or call them directly. (Optional) Removing RSA software from your machine This section is only relevant for users who first logged into CCMS before October Instructions for uninstalling RSA (Windows) (note instructions may differ depending upon Operating System) (note you will need to be logged in as Administrator to do this) 4.3a Open your Control Panel 4.3b Select Uninstall a Program from underneath Programs 4.3c Click on RSA SecurID Software Token to highlight RSA and either right click and select Uninstall from the drop-down menu or press Uninstall on the top toolbar. Confirm that you would like to uninstall RSA if prompted to do so. External User Guide 1 August 2016 Page 8 of 9
