1 EDIT202 File Management Lab Assignment Guidelines 1. Download the following two files from the File Management Lab page on the course WebCT site and save them on the desktop: Word-Template.doc Starter-Files.zip To download a file right click on the file you wish to download. This file could be a picture or simply a blue underlined hyperlink to another file. In either instance you will always be right-clicking and selecting a Save As option. When right clicking on a file or link a context menu will appear. For example when downloading an image file right click on the image and you will see the following context menu: Notice that the Save Picture As option has been selected. When downloading using a hyperlink (a link to another file) right-click on the link and select Save Target As It should be noted that when right-

2 clicking on a link in the Firefox web browser the option to save the file will be Save Link As Internet Explorer 8 Firefox 3.6 After selecting one of the above options you will then have to decide where you will be saving your file to. It is recommended that if you are working on campus that you save to the Desktop. If you are working from home it is recommended that you save the file to a somewhere you can find it later. To select the Desktop as your file saving location click on the available Desktop button on the right hand side of your Save As window.

3 Depending on your browser and settings the computer you are working on may try to open the file you have just downloaded automatically. Usually you do not want to choose this option as you want to be able to choose what programs to run and NOT have the computer make that decision for you. If you see the following Download complete window or something similar it is recommended that you click on the Close button. After you have downloaded the files you should see the icons for the resulting file on your desktop.

4 2. Extract the Starter-Files.zip which was just downloaded to the desktop. To uncompress (technically referred to as extraction) right-click on the compressed.zip file and select the following options: Once this has been done you should see the original folder as it was before it was compressed, in the same location as the original.zip file. Please make a note of this step as you will be completing it repeatedly during the EDIT 202 course This means that if the.zip was saved onto you desktop and then extracted, the resulting folder (or collection of files) that was in that zip file should be on the desktop.

5 3. Create a new folder on your desktop and label this folder LABSEC- CCID-FileManagement. Replace LABSEC-CCID with your own information. So if you are in lab section X01 and your ccid is estudent. Then your file name would be X01-estudent-FileManagement. To create a new folder, right-click on your desktop. Select New, then Folder from the available context menu. When you see the New Folder on your desktop rename it. As soon as you create the new folder you should be able to rename it. If not simply rightclick on the folder and select Rename from the available context menu.

6 4. Open the Starter-Files folder which should be on your desktop and change the View of this folder to Tiles view. Double click on the Starter-Files folder to view its contents. After you open the Starter-Files you should be able to see the following open window displaying the content of the folder (Please note it is the files that are important not the specific view shown below): To change the view of the open folder select Tiles from the View menu.

7 Once the view in your folder has been changed the contents of your folder should look similar to the image below: 5. Take a screenshot of the contents your Starter-Files folder and paste the image into your Word-Template.doc file.

8 Minimize or close all windows so that there is nothing open on your desktop besides the Starter Files folder: This portion of the assignment calls for you to take a screenshot of the contents on the Starter-Files folder. Before you take the screenshot you will have to resize the window of this folder so it does take up a large portion of our finished word document. To resize this folder single click, hold down and drag on the available resize tab in the bottom right-hand corner of the open window. Resize the window to a reasonable size (approximately the size of the screen shot shown below).

9 With your folder at a reasonable size single click anywhere inside the open Starter Files folder to make it the active window. Once you have single clicked anywhere inside the Starter Files folder press both the ALT and Print Screen buttons at the same time to take a screen shot. By taking this screenshot you have copied the image of the Starter Files folder to the clipboard (a piece of virtual memory inside the computer). Your next step will be to open the Word-Template.doc file and paste this image into that document. To launch the program from the Start menu in the ED South 155 lab you can select Start > Programs > Microsoft Office> Microsoft Word You should now see a blank word document labeled Document 1. This is not the document we want to edit. To open the Word-Template.doc file we want to edit select Open from the File menu. Locate the Word- Template.doc file which should be on the desktop:

10 Note that the above image may look different depending how many files are currently available on the Desktop of the computer you are using to complete this assignment. To open the Word-Template.doc file single click to select the file and click on the Open button. Remember to view the contents of your desktop you can click on the Desktop button on the left-hand side of the Open file window. With the Word-Template.doc file open follow the available instructions under item # 1 to paste the image into the document. 6. Save the open Word-Template.doc file with the new file name Assignment.doc into your LABSEC-CCID-FileManagement folder.

11 To save the current file you are working on with a different file name to a different location, single click the Windows office icon then select Save As > Word Document. To save this file into your LABSEC-CCID-FileManagement folder, bring up your desktop in the File Save window by clicking on the Desktop button. With your Desktop open to view double click on your LABSEC-CCID- FileManagement folder. If this has been done correctly you should now see the name of your folder in the Save in: drop down menu as shown below. Double checking the Save in: drop down menu is a quick way to ensure you are saving your files to correct chosen location.

12 Name your file Assignment.doc and click Save. Periodically save your file every few minutes (Hint: To save periodically without having to go to the Windows menu every time you can use the shortcut keys CTRL+S on the keyboard to save). You will need to edit this file again later, so it is recommended that you save all your changes and minimize this so that it remains in the taskbar for later use. To keep your document open while opening another program or application, first minimize your document by clicking on the minimize button while working in your current program. Once your current program window is minimized you should see your computer desktop and the program you just minimized should be located in your taskbar.

13 Note: The taskbar on your computer may not look exactly the one shown above. 7. Move the following files from the Starter-Files folder to the LABSEC- CCID-FileManagement Sample.gif Sample.jpg WebPage.txt WebpageAnimation.gif In order to move files from one folder into another folder both folders need to be open (so the contents are visible) on the desktop at the same time Double click to open both folders so that both folders are open and their contents visible on the desktop. To move files from one folder to another simply click and drag the item (file or folder), that you wish to copy, from one folder to another. When dragging a file from one location to another it is helpful to remember that

14 you should drag to an empty part of the folder this way files don t replace other files or end up buried in random folders. Depending on what view you have set for your folder, as you are moving a file from one folder to another you should see a faint transparent image as you are moving the file into the second folder. Once it has been moved you should see the file in the new folder as shown below. Note: Remember in this instance we are not copying the file, we are moving the file, so there should only be one copy of the file during this entire process. To select more than one file inside a folder hold down the Shift key on the keyboard and single click to select all the needed files or use the CTRL-A shortcut. Once this step has been completed at this point you should have the following files in your LABSEC-CCID-FileManagement folder.

15 8. Open the Assignment.doc file in Microsoft Word and insert the Sample.gif image into the table for question #2 and insert the Sample.jpg image into the table for question #3. To insert images into the appropriate cell of the table single click inside the cell where you want the image inserted and click on the Insert tab. After clicking on the Insert tab single click on the Picture button and this should bring up the Insert Picture window. When the Insert Picture window appears you will have to find the correct image to insert. The images you need to insert are stored inside your LABSEC-CCID-FileManagement folder on the desktop.

16 With the Insert Picture window open single-click on the Desktop button located on the left hand side of the window: Double-click to open your LABSEC-CCID-FileManagement folder. Because we are inserting an image when we open the LABSEC-CCID- FileManagement folder we will see all of the images that are inside that folder.

17 However, without seeing the file extensions for these image files we have no way of knowing which is the.gif image file and which one is the.jpg image file. To make sure you are selecting the correct image to insert for items #3 and #4 single click on the Files of type: drop down menu at the bottom of the Insert Picture window and select the specific image file type you wish to insert. For question #2 select Graphics Interchange Format For question #3 select JPEG File Interchange Format. By limiting your selection of images to a certain file type your choices in the Insert file menu will change. Remember to only insert the Sample.gif and Sample.jpg respectively. 9. With the Assignment.doc file still open in Microsoft Word, copy and paste (using Paste Special) the definition for a.gif image from Webopedia into the table in question #2. Open an Internet Browser window and go to the following address ( This should take you to the Webopedia website as shown below:

18 Type in the definition you are looking for into the definition Search Box indicated above and click on the Go! button. This should take you the definition page for your desired term

19 Click and drag over the text for the definition (careful not to select anything else besides the text, watch and make sure only the text is highlighted) and select Copy from the Edit menu while still in the web browser window. Minimize your browser window and once again bring up the Assignment.doc window by clicking on it to make it the active window. When pasting the text into the document you will not choose the Paste option instead you will select Paste Special. We want to select Paste Special in this case and not paste because we want to change a few things about the way the text will be inserted into this document. To be more specific we only want the text and not the extra formatting that was included when the text was typed into the Webopedia website. For example if were to just select Paste the text would look like it is shown below: Notice in the above text all of the hyperlinks and formatting are the same as they were on the website. We don t want this formatting. To get rid of the formatting go on to the next step.

20 Single click to place the cursor where you want the text to be copied in your Assignment.doc document and single click to select the Home tab single click on the Paste drop down arrow as shown below and select Paste Special. This should bring up the Paste Special menu as shown below: To remove the formatting from your copied text select Unformatted Text and click on OK. Now when pasted into your document the text should look similar to the text shown below:

With the Assignment.doc file still open in Microsoft Word, copy and paste (using Paste Special) the definition for a.jpg image from Webopedia into the table in question # With the Assignment.doc file still open in Microsoft Word, copy and paste (using Paste Special) the definitions from Webopedia for all of the terms listed in the table for question #4 12. Save your Assignment.doc file one last time by selecting Save from the File menu. 13. Make sure the following files are located in the LABSEC-CCID- FileManagement folder: 14. Using WinZip compress the LABSEC-CCID-FileManagement folder and submit the LABSEC-CCID-FileManagement.zip file before the end of your designated lab period.

22 To compress your folder right-click on your chosen folder and select the following options. After you compress your folder you will see the following single file appear.
