1 CaRMS Online Program help guide Phase 2: file reviewer and filter setup Updated August 15, 2017
2 This guide is designed to facilitate your use of CaRMS Online. CaRMS Online supported browsers For the 2018 match year, CaRMS will no longer support the use of Microsoft Internet Explorer (IE) versions 8, 9 and 10. Browsers older than IE 11 are no longer supported by Microsoft and could have vulnerabilities that would compromise data security. We will continue to support IE 11, as well as the most recent versions of Chrome, Firefox and Safari. These three browsers update automatically or push update notifications to users so no manual updating is required. 4 File review users Adding a file reviewer for your program 1. Under the match menu, select File Review Users. 2. Check if the user is already a file reviewer and filter file review users by Program and Quota stream using the drop-down menus. 3. Click ADD FILE REVIEWER to add a new file reviewer. 4. Enter the users , Title, First name and Last name. 5. Select the access level. Full access users can view, export and print applications. Full access users can also access the Reviewer notes section to include additional information about the applicant. Read only access users can view applications, with the exception of the Reviewer Notes section, and print applications. 6. Click ADD FILE REVIEWER to add the file review user. When a new user is added or an existing user s access-level is changed, they will receive an from CaRMS Online. If a user is deleted, no is sent. Click CANCEL to cancel or CLEAR to clear the information entered. Note: a reviewer s status will remain Pending until they access the system for the first time this year, at which point it will change to Active. Editing a file reviewer 1. Under the match menu, select File Review Users. 2. Click the pencil icon beside a reviewer s name to edit. Make any necessary changes and click SAVE. Click CANCEL to cancel or DELETE USER to delete the user. Program help guide 4
5 3. Click the envelope icon beside a reviewer s name to send an to the reviewer reminding them to create an account. Note: if a user has been deleted, no envelope icon will appear. Exporting file reviewer lists and viewing the number of applicants 1. Click Export file reviewer list to export a list of file reviewers currently added for your program. 2. Click View the number of applicants to view the number of applicants to your program. Filters Global filters Global filters are CaRMS-created filters accessible to all file review users. 1. Under the match menu, select Filters. 2. Select a Program from the drop-down to view a list of global filters. 3. To remove a filter from your program's filter list, uncheck the box under Publish. Creating custom filters 1. Select the Custom filters tab. 2. Click CREATE NEW FILTER. 3. Enter a Filter name and Description. Program help guide 5
6 4. Select the Criteria from the menu selections on the left. Enter a Condition from the drop-down menu and Value. 5. Test the filter by clicking on the green play arrow. A red X will display if the filter is incomplete. Note: to create a filter that combines elements of the same type (i.e., examination type), you must create a separate filter for each element, then combine them to create the desired filter. 6. Click SAVE to add the filter to your list of custom filters or CANCEL to cancel. 7. Check the box under Publish to add the filter to your program s filter list. Click on the trash icon to delete the custom filter. Program help guide 6
