2 Windows XP Lab 2 Organizing Your Work Concepts IST203 Lab. Win2-4 Concepts Overview 1. Hierarchy The graphic representation of the organization of folders on a disk is called a hierarchy. 2. File and Folder Names When a file or folder is created, it must be assigned a file name that identifies its contents. 3. Copy and Move All Windows applications include features that allow you to copy and move selected information from one location to another. 2
3 IST203 Lab. Win2-5 Concepts Overview 5. Drag and Drop Common to all Windows applications is the ability to copy or move selections using the drag and drop feature. 6. Editing One of the advantages of using a computer is that you can easily change or edit your documents. 7. Saving Files When you save a document you are working on, a permanent copy of your onscreen document is electronically stored as a file on a disk. WARNING: Windows offers a high degree of redundancy so the same operation could be done in many different (but equivalent) ways. Windows XP Lab 2 Organizing Your Work Lecture 3
4 IST203 Lab. Win Working with Folders Hierarchy The graphic representation of the organization of drives and folders on your computer is called a hierarchy. The top-level folder of a storage location is the main folder, also called the root folder. Folders created in the main folder appear indented below the main folder. Subfolders, also called secondary folders, appear indented below other folders. Because of the branching nature of the hierarchy, it is sometimes also called a tree. IST203 Lab. File name must be unique in a given folder File may have a file name extension Up to three characters Used to identify the type of file Separated from file name by a period IST203 Lab. 7 IST203 Lab. Win2-13 Concept 2 File and Folder Names Using the Folders List [ WindoswsLogo+E or Start My Computer] 1. Using Folder list, make the location where you will store your data files current (choose your c: disk ) 2. Click to hide the Folders list and display the task pane. 3. Click Make a new folder in the File and Folder Tasks section of the left pane. 4. Type Windows XP Spring Press [Enter]. 6. Double-click the Windows XP folder icon in the right pane. 7. Create a new folder named Promotional Materials. 8. Create a new folder named Correspondence. IST203 Lab. Win2-14 Concept 2 File and Folder Names 9. Click to display the Folders list. 10. Expand the Windows XP folder in the Folders list to display the subfolders. 11. Choose from top menu: View / Arrange Icons by / Name. 12. Make the Promotional Materials folder current. 13. Use menu File / New / Folder to create a subfolder named Flyers, another named Brochures and a third named Pictures. 14. Arrange the folders alphabetically by name. 15. Expand the Promotional Materials folder. 7
8 IST203 Lab. Win2-15 Concept 2 File and Folder Names Renaming Folders 1. Click on the Brochures folder icon slowly twice. 2. Press [Home]. 3. Type Flyers &. 4. Press [Spacebar]. 5. Press [Enter]. TIP: Many of these functions are identical for both folders and files. IST203 Lab. Win2-16 Concept 2 File and Folder Names Deleting Folders 1. Select the Flyers folder icon. 2. Press [Delete] key. 3. Click TIP: Deleting a folder sends it and its contents to the Recycle Bin. Items in a deleted folder cannot be individually restored. 8
9 IST203 Lab. Win2-17 Concept 2 File and Folder Names Customizing a Folder 1. Make the Shared Documents / Shared Pictures folder current. 2. Choose menu: View / Customize This Folder. 3. Click to open the drop-down list of folder type templates. 4. Click Photo Album. 5. Click. 6. Scroll the icon list and select. 7. Click twice. 8. Now go back to the Windows XP Spring08 folder. Locate the Pictures subfolder, and repeat all the previous steps Concept 3 Copy and Move IST203 Lab. Win2-18 All Windows applications include features that allow you to copy and move selected items from one location to another. When an item is copied, the item remains in the original location, and a duplicate is created in the new location. When an item is moved, it is deleted from the original location, and a duplicate is created in the new location. 9
10 Concept 3 Copy and Move IST203 Lab. Win2-19 Copying Using the Menu (assuming data is in a floppy/flash card) 1. Locate and expand the A:/Data Files folder. 2. Click on W02_Tour Schedule to select it. 3. Choose Edit / Copy. 4. Open the Windows XP folder. 5. In the Folders list, click on the Windows XP folder of your data file location to specify the destination. 6. Choose Edit / Paste. 7. Click to return to the Data Files \ Windows XP folder. TIP: The redundancy built into Windows is confusing to new user. Remember the following methods all perform the same operations. Concept 3 Copy and Move Select source file from flash drive. Click from the Files and Folder Tasks section. 4. Scroll the list box and select your data file location. 5. Click. 6. Click. 7. Click. 8. Release the mouse button Dragging a file to a folder on the same disk moves it Dragging a file to a folder on another disk copies it 12

With the mouse pointer on the selected file icon, right-drag it to the Promotional Materials folder in the Folders list. 3. Select Move Here from the shortcut menu. 4. Choose Edit / Undo move. 5. Move the Tour Schedule file to the Correspondence folder. 13

Right-click on the Recycle Bin 2. Choose options from the pop-up menu 3. Empty Recycle Bin removes all deleted files 4. Open exposes files in the folder 5.
