1 HC Plus VERSION ProHealth Distibution Only CLIENT 1. MODIFICATIONS TO THE 485 / 487 FORMS. A modification was made to the 485 and 487 forms to display the medication Route and Frequency descriptions instead of the codes. If no descritions exist then the codes will still be used. 2 2. MODIFICATIONS TO THE HCPLUS ICD9 COMPLIANCE UPDATES. The HCPlus Diagnosis Code Table now has a Begin and End Date that will define if the code is available for a Client. This allows us to retire codes that are no longer supported by the national standard. Either the Client s Service Date or the Diagnosis Code Onset Date will be used to determine code availability. If the Client s Service Date is being used, The Diagnosis Code Master screen will be displayed after the user selects the type of diagnosis. If the Diagnosis Code Onset Date is being used, Type and Date must be entered before the Diagnosis Code Master screen is displayed. All agencies wanting to use ICD9 codes will need to have the Use ICD9 Codes Agency option enabled. To activate this feature contact Client Relations. Until this is done the agencies will be limited to their current set of codes. When the option is enabled ProHealth agencies can archive all current codes or just their custom codes. Custom codes already assigned to clients will be prefixed with a P and have an end date equal to the date the Use ICD9 Codes was enabled. Agencies that do not have the Use ICD9 Codes Agency option enabled will now have to the use the Codes Maintenance Screen to add new diagnosis codes: Main Menu > System Functions > Codes Maintenance > Diagnosis Codes. 3 EMPLOYEE 3. MODIFICATIONS TO THE TAX FIELDS. A modification was made to the State Tax, City Tax 1 and City Tax 2 fields to display a warning message upon saving, when the field is blank or invalid alpha / numeric data is entered. 4. ADDITION OF AN ADDRESS FIELD. An Address field was added to the Employee Maintenance screen. When the field is populated the address will display on the Employee List, Employee Schedule and Employee Profile reports. ProHealth Distibution Only Page 3 of 12

4 ADMIN 5. ADDITION OF A DEFAULT SERVICE REFERRAL FIELD. A Default Service Referral field has been added to the ProHealth screen in Contract Maintenance. When a new service is created for a client, upon selecting a contract, the Referral field on the Service Maintenance screen will be populated with the data from the Default Service Referral field. 5 6. MODIFICATIONS TO THE VISIT MAINTENANCE IMPORT. A new checkbox, Visit Maint. Import?:, has been added to the Santrax tab on the Contract Maintenance screen. Upon saving, a warning message is displayed if there are any contracts with the same Santrax Account but with a different Visit Maintenance Import setting. This indicator should be enabled for any contract where visit maintenance is being done in Santrax instead of HC Plus. ProHealth Distibution Only Page 5 of 12

6 REPORTING 7. ADDITION TO THE NON-COMPLIANT EMPLOYEE REPORT. A district filter has been added to the Non-Compliant Employee Report. This field will allow the report to be further filtered 8. ADDITION TO THE IN-SERVICE WORKSHEET. A Borough / County filter has been added to the In-Service Worksheet. This field will allow the report to be further filtered ProHealth Distibution Only Page 6 of 12

7 9. NEW REPORT. Census by Patient Order Discipline Report was created to show the total count of patients per discipline as specified in the patient s orders. The report lists Patient Name and Patient ID grouped by Discipline. The report is requested by Location, Date Range and Discipline. Main Screen>Reports>Additional Reports>Patient Order by Discipline 10. MODIFICATION TO THE TASK ACTIVITY REPORT. A sort option for Unit Supervisor was added to the Task Activity Report. This option will only be enabled if the agency has Coordinator Units. ProHealth Distibution Only Page 7 of 12

8 11. MODIFICATIONS TO THE ACTIVITY REPORT. Modifications to the presentation of the Activity Report have been made to improve its performance. The user now has the option to include a report header. When selected, the report header will now only display on the first page of the report. 12. MODIFICATIONS TO THE VERIFICATION REPORT SCREEN. A filter by client field has been added to the Verification Report screen. ProHealth Distibution Only Page 8 of 12

9 13. MODIFICATION TO THE NOTES LIST SCREEN. A modification has been made to the Notes List screen to allow the report to be run for only those clients currently assigned to the selected coordinator. Previously, if one of the Client s prior Services were assigned to another Coordinator the Client would appear on that report even though they are currently assigned to a different Coordinator. The check box Currently Assigned to Coordinator Only?: will only be visible if the agency is using Coordinator by Service. The check box will be enabled after a Client Coord: is selected and the Active Only?: checkbox is activated. NOTE: The check box will not be visible if Employee: is selected 14. MODIFICATION TO THE NURSE VISITS / HISTORY REPORT. A District filter was added to the Nurse Visits / History Report. ProHealth Distibution Only Page 9 of 12

10 SCHEDULING 15. ADDITION TO THE CLIENT'S SCHEDULE SCREEN. The Coordinator Phone Number has been added to the title bar on the Client Schedule screen. 16. SCHEDULING MODIFICATION. A modification has been made to prevent scheduled visits from being moving from one day to another once a Santrax call is applied. ProHealth Distibution Only Page 10 of 12

11 17. MODIFICATIONS TO THE SCHEDULING OF TERMINATED EMPLOYEES. A modification has been made to allow the scheduling of a terminated employee to a visit as long as that visit is on or prior to the employee's termination date. The employee will appear for selection on search lists and the system will generate the following warning message to the user: "Employee #xxxxx, employee name, was terminated or made inactive effective xx/xx/xx. Continue?" Click Yes to assign employee to visit or No to cancel. 18. MODIFICATIONS TO THE EMPLOYEE SCHEDULES CONFLICT NOTIFICATION. A modification has been made to check employee schedules for conflicts when entering an unavailability record. The system will now display a warning message to the user as follows: "Employee has one or more schedules between xx/xx/xx and xx/xx/xx. Unavailability record(s) will be added but user should review employee s unavailability and schedules." Upon selecting OK unavailability records will be created and user will have to adjust schedules or availability records accordingly. 19. MODIFICATIONS TO THE FIND EMPLOYEES SCREEN. Performance has been improved on the Find Employees screen in Schedule Detail. ProHealth Distibution Only Page 11 of 12

12 20. ADDITION TO THE CALL SCHEDULE PREVIEW SCREEN. A PRINT icon was added to the Call Schedule preview screen: Main Menu >Daily Functions >Call Tracking > Call Schedule >Preview. When clicked a hard copy of the previewed report will print. 21. MODIFICATION TO THE SPLIT VISIT WORK AND SHIFT CODES. A correction has been made to ensure that when a visit is split the Work and Shift codes for these visits are copied to the Permanent Schedule. ProHealth Distibution Only Page 12 of 12
