2 Introduction The following areas of the Altodigital Service Portal are covered in this guide.they are: Creating Service Calls Ordering Toner Placing a Meter Reading Viewing Outstanding Calls by a Specific Machine Viewing Outstanding Calls across your whole Account PLEASE NOTE: Depending on your Account, some options may not be available to you. Here at Altodigital we are constantly looking at ways to improve our service to you. Should you have any suggestions at any way we could improve our service to you, then please contact us via the Call Centre on or via on misteam@altodigital.com VITAL INFORMATION Your Login Details: To log into the Altodigital Service Portal, you will need to know your Username and Password. If you are unsure of these details, then please contact the Altodigital Call Centre on: or if prefer, misteam@altodigital.com Altodigital.com - Home page Website Address: You can ether type directly into your browser OR Via our website: In the top right corner of our website there is a link to the Service Portal. 3 Navigating around the website The above screen is the main login screen you will see when first visiting the Altodigital Service Portal. All you need to do is simply enter in your Username followed by your Password. Once both bits of information have been entered, you can click the Login button. NOTE If you enter your details incorrectly, the website will state an error message claiming that the details you ve entered were incorrect. Remember, the username and passwords are both Case Sensitive. Also be careful not to mistake Zeros for the letter O, or the letter I for number one. 4 Main Menu The screenshot to the left shows the Main Menu on the Altodigital Service Portal. This screen will be displayed whenever you login or if you click on the Altoservice logo image on the top left hand side part of any page on the Portal. Clicking the Altoservice logo on any page within the site will return you to the main menu page. Altodigital Service Portal User Guide // 3 of 15
5 Top Navigation Bar Below is a breakdown of all the different options available to you: NOTE Please be aware that depending on your Account, some options may not be available to you. The particular menu that you are on will be highlighted in a pale orange BOOK A SERVICE This option allows you to book a Service Call For Example, if a fault has developed with your machine.you can use this option to raise this issue with our Call Centre, who will aim to get the issue resolved as soon as possible. ORDER TONER This option allows you to place an Order for Toner, without having to contact the Call Centre. LOG A METER READING This option allows you to place your Meter Reading online at your own convenience, rather than having to phone into our Call Centre. Note: You must have the latest meter(s) readings from your Machine before you are able to order Toner. You will be prompted to enter them before continuing. OUTSTANDING SERVICE BY MACHINE/ACCOUNT These two options allow you to review outstanding Service Calls. You can also use the main menu bar along the top of the website to navigate to any particular part of the Website.This can be done from any page, and during any process. 6 How to book a service call STEP 1 STEP 1 Select Book a Service from the main menu. STEP 2 The next screen will display a list of Machines on your Account. (See example screenshot). STEP 2 From this screen select the relevant Machine by clicking on the Serial Number. Highlighted in red in the screenshot. Altodigital Service Portal User Guide // 5 of 15
7 How to book a service call (continued) STEP 3 STEP 3 The next screen to the left will appear. Read the comments in the bubbles next to each field to understand what information you need to give us. Requested details PURCHASE ORDER Not mandatory CONTACT NAME This is used to provide you with confirmation that your service call has been booked. FAULT Place a short description here, e.g. Keeps jamming or Leaks toner, etc. FURTHER DETAILS Use this to record any further details that you think may help the engineer in solving your issue. 8 How to book a service call (continued) STEP 4 STEP 4 Upon clicking the Submit button, you will be transferred to the Call Confirmation screen. (See example screenshot). This screen confirms that the call was successfully placed. Please make a note of this reference number, as should you wish to amend or cancel the Service Call you will need to contact the Call Centre and quote the J number. From this point you can click return to the main menu or simply close your browser. Altodigital Service Portal User Guide // 7 of 15
9 How to order toner STEP 1 STEP 1 Select the Order Toner option from the menu. Please Note: You will need to have the latest meter readings for the machine you wish to order toner for. STEP 2 STEP 2 The next screen will display a list of Machines on your Account. (See example screenshot). From this screen select the relevant Machine by clicking on the Serial Number. 10 How to order toner (continued) STEP 3 STEP 3 The next screen to the left will appear. On this screen you need to enter in the following details: PURCHASE ORDER Not mandatory CONTACT NAME This is used to provide you with confirmation . QUANTITY Enter the quantity you wish to order. PART NUMBERS PART DESCRIPTIONS SUBMIT ORDER Click to submit your order*. Please Note: The submit order button will be disabled until you have entered in an amount that is correct, the website will inform you of that. Altodigital Service Portal User Guide // 9 of 15
11 How to order toner (continued) STEP 4 STEP 4 When you click submit, you will be asked to enter in the latest meter readings for the machine you are ordering toner for. Depending on your machine, you may have 1, 2 or 3 meters.the Web Page will inform you of which Meter (Black/Colour) goes in which box. (See example screenshot). Again, if the Meter reading is wrong, the system will inform you by messages on screen. Once complete, click Submit and again you will be given a Call Reference number, so please make a note of it. 12 How to place a meter reading STEP 1 STEP 1 Select the Log a Meter Reading option from the menu. Please Note: You will need to have the latest meter readings for the machine you wish to order toner for. STEP 2 STEP 2 The next screen will display a list of Machines on your Account. 13 How to place a meter reading (continued) STEP 3 STEP 3 When you click submit, you will be asked to enter in the latest meter readings for the machine. 14 Outstanding service calls by machine/account STEP 1 This section of the guide details two menu options, but both are used in the same way: OUTSTANDING SERVICE CALLS Outstanding Service Calls is by far the quickest method of seeing outstanding calls if you have an account with a small number of machines. STEP 2 OUTSTANDING SERVICE CALLS BY ACCOUNT When you click on Outstanding Service Calls by Account it goes straight to a list of ALL outstanding service calls. (See example screenshot). Whereas if you click on Outstanding Service Calls by Machine you will be given a list of Machines to choose from. Effectively it is a different way to get the same result but is best used if you are looking for a particular machine. Altodigital Service Portal User Guide // 13 of 15
