1 Edit Authorization Portal Functionality Introduction The ability to request a change to an authorization has been added to the CareCentrix Provider Portal! Using the edit authorization portal functionality, you may request the following edits to an authorization previously issued to you via SAF. 1. Edit an authorization start date when clinically appropriate 2. Edit a Service Code and/or UOM when clinically appropriate This training guide explains how to use the edit authorization portal functionality. Edit Authorization Portal Functionality Follow the steps below to request a change to an authorization start date, service code or UOM for an authorization previously issued to you via SAF. 1. Log into the Portal. 2. Click the Enter link on the Edit an Authorization panel on the Portal home page. 3. If you have multiple locations, the Provider location Pop Up will be displayed. Select the location the authorization you would like to edit was issued to. 4/28/2012 1
2 4. Enter the Intake ID and the entire patient last name in the search fields. Click the Continue button. The Portal will perform a search to identify a patient match. When a match is found the Request an Auth Edit screen displays. 5. Review the patient details to verify that the correct patient record is displayed. If the correct patient details are not displayed click the cancel button to return to the home page. 6. Enter your first name, last name and phone. 7. Search for the authorization you would like to edit by entering the authorization start date only, authorization start and end date (range) or authorization ID only in the Edit Service section (or use calendar icon). Fields marked with an asterisk are mandatory. Click the Search button. 4/28/2012 2
3 If a match is found, a list of authorizations matching the search criteria display in the Search Results section. 8. Review the list of authorizations displayed to locate the authorization(s) you would like to edit. To request a change to the Authorization Start Date 1. Choose the Select link in the Edit Auth Start Date column for the authorization requiring a change of start date. The Auth Edit Reason screen displays the following message What is the reason for your auth date change request? 2. Select the reason for the authorization date change from the Authorization Date Change Request drop-down list box. Click the Continue button. 1. Patient requested an alternate SOC date 2. Patient was not discharged from the facility until later than expected 3. Auth start date issued does not represent what was requested originally 4. Other The Edit Auth Start Date screen is displayed. 3. Enter the new start date for the authorization in the Start Date field. The end date will recalculate and auto populate in the End Date field based on the date span in the original authorization. 4/28/2012 3
4 4. Click the Add to Edit Services button. If the start date is incorrect, click the Cancel button to make the correction. The Requested Services section of the Edit Authorization screen displays the revised (updated) authorization details (i.e., new start and end dates, service code and/or UOM). 5. Specify Yes or No to indicate if there is a physician s order for the auth edit you are requesting. 6. Click Confirm and Submit to complete the authorization modifications. The confirmation page will be displayed. 7. If your request is approved you will receive a new authorization via SAF faxed or transmitted to you. To Change the Service Code and/or Unit of Measure 1. Click the Edit Service Code and/or UOM link for the authorization requiring a change in service code and/or unit of measure. The Auth Edit Reason screen 4/28/2012 4
5 displays the following message What is the reason for your Service Code or UOM change request? 2. Select the reason for the authorization service code and/or UOM change from the Authorization Service Code/UOM Request drop-down list box. Click the Continue button. 1. Service code authorized does not match service code requested 2. Requested incorrect service code originally 3. Other The Services Search screen is displayed. 3. Search by HCPC, service code and UOM, or description. Click the Select link next to the desired service. Complete the Request Services screen for the new service code added. 4/28/2012 5
6 4. Click the Add to Edit Services button. If the service code and/or UOM are incorrect, click the Cancel button to make the correction. 5. The Requested Services section of the Edit Authorization screen displays the revised (updated) authorization details (i.e., new start and end dates, service code and/or UOM). 6. Specify Yes or No to indicate if there is a physician s order for the auth edit you are requesting. 7. Click Confirm and Submit to complete the authorization modifications. The confirmation page will be displayed. 8. If your request is approved you will receive a new authorization via SAF faxed or transmitted to you. If, after you begin to enter a request to edit an authorization, you determine you need additional information or time to complete your request, you may click on Save and Exit button. Your request will be saved under the Open Auth Edit Requests section of the home page. 4/28/2012 6
