1 Setting the viewer allows users to set their personal preferences and helps prevent appointment booking oversights, such as double-booking a resource or scheduling a patient appointment at an incorrect facility. Among the viewer settings are pop-up boxes, which allow the front desk receptionist to double-check their work. 6 The settings in this dialog box allow you the ability to customize how your schedule is viewed and managed. For instance, you can color code your schedule based on the facility location. To set the day s default to Color by Facility, use the drop-down menu in the Defaults option group to specify your view preference of daily, weekly, or Multi-Res. The second group in the dialog box gives you the option to Suppress Appointment Schedule Message which inactivates the pop-up box confirming an appointment was successfully saved in the system. We recommend not checking this box, as it is helpful to check your work and ensure the appointment additions and changes are reflected in the database. Copyright 2012 Pulse Systems, Inc. 7 Using additional options in the second option group, you may: Select whether or not you want a Popup Episode Selection, which we will cover in another module, and Show the Daily Schedule (when scheduling an appointment). Select the checkbox next to Show Daily Schedule to view the appointment box alongside the edit appointment window, as shown in the following example. Copyright 2012 Pulse Systems, Inc. Page 7 of 14

8 This is the Schedule or Editing Appointment window. In the lesson for Setting a Clinical Appointment, you learned how to access a patient's appointment booking one of many ways, one of which was by double-clicking on the appointment in the calendar. This window pops up, so you can add the patient to the schedule, and once set, you may edit the appointment. Notice the Show Schedule option at the bottom of the box. This setting can be set as the default when selecting your viewer settings or when scheduling or editing the appointment. Copyright 2012 Pulse Systems, Inc. Page 8 of 14

9 The final option in the group, Auto select Resource Groups, sets the viewer so that, when checked, only those groups who have a resource that works at the chosen facility will appear. This is another safeguard that PulsePro provides to prevent the scheduler from booking a resource at the wrong facility or for an unavailable timeframe. Copyright 2012 Pulse Systems, Inc. 10 In the Schedule View option group, the first option, Showing Appointments for the default facility, helps prevent double-booking doctors who work at multiple facilities. Schedulers that ONLY schedule for one facility and never need to see another facilities schedule will normally check this feature. Schedulers that make appointments for multiple facilities or need to view another facilities schedule will normally leave this item un-checked. The next option showing opening per resource allows you to view the resource s (or provider s) open time slots, which is the preferred method for scheduling appointments. Sometimes Nurses or Assistants will un-check this item so that when they are logged into the scheduler they will only see their booked appointments. The next options, Get Admission Types, Get Assisting Surgeon and Get Referring Physician, instruct the system to retrieve this information every time an appointment is displayed. Most practices will normally check the Referring Physician. Surgical practices will normally check the Get Admission and Get Assisting Surgeon. Skipping down to Use Patient Location, checking this turns on the Patient Location module which you use to track a patient s location while in the office. This function is discussed in detail in the Patient Locator lesson. The final checkbox, Ignore Procedure Conflicts will ignore conflict warnings when you change the recommended procedure a resource has reserved for time slots on their schedule such as new patients. 12 The Auto Scroll Buffer at the bottom of the form is for convenience in viewing the schedule and sets the first time slot that will display at the top of the schedule display based on the actual system time. Example: If this is set at 1 hour and you come back from lunch at 1:00pm and open the schedule, the schedule display will start at 12:00pm as the first slot in the schedule and display the remaining afternoon. You can then scroll up or down in the schedule as normal. Click on the up or down arrows to change the number of hours to be displayed. Copyright 2012 Pulse Systems, Inc. Page 12 of 14
