3 Matrix toolbars When you log into Matrix you will see the below screen. Matrix comprises of 2 toolbars 1) A system toolbar 2) An asset/ page toolbar Matrix System Toolbar Matrix Asset/ Page Toolbar 1

4 Matrix system toolbar The Matrix toolbar is a static toolbar that remains at the top of the screen whilst you are logged in and using the system. Preview button Asset finder New button Asset information button Save button System toolbar Edit button User button Search button The system toolbar allows you to Add new assets Preview/ edit the asset Information about the asset User info Log in and View system map asset finder Search for items Save button 2

5 New button Clicking on the new button opens the asset creation wizard allowing to you choose the type of asset you would like to create. 3

6 Preview button The preview button opens a preview of the page you are editing/ creating. Please note all updates to a page must be saved first before they are viewable on a page. 4

7 Previewing a Live Page in Safe Edit Mode If you are editing a live page that is put into a safe edit mode when you save the changes and click preview you will see - anything you delete will be highlighted in red and have a strikethrough line anything you ve added will be highlighted in green Deleted items are highlighted in red. 8 Edit button The Edit button allows you to update the content on the page by clicking on the various tabs. Please note if the page is live you must first put the page into a safe edit status in order to make the content fields editable. 6

9 Asset Information button The Asset Information button gives you all the important information about a page. Page Status indicated by a caption and colour. Content ID unique system reference number for the page. Page Type indicated by a caption and icon. Page Name Published date When the page was first made live. When the page was last updated. Move to Trash Only to be used for under construction items. Anything live must be first archived 7

10 User button The User button tells you who is currently logged in to the system and offers 2 buttons 1. Exit Edit Mode button - to return to the browser whilst staying logged into the system in the background. To get back into the system simply type /_edit at the end of the URL. 2. Logout button - to log out of the system completely, requiring you to put /_edit at the end of the URL and log in using your NTU username and password. Current user tells you who is logged into the system. Exit Edit Mode button keeps you logged into the system and takes you back to the browser. Logout button logs you out of the system completely and takes you back to your browser. 8

11 Asset Finder button The Asset Finder Button opens up the Asset Finder - a map of the site detailing every asset within the system. Pages are laid out as they appear in the browser - e.g. study and courses> courses> find you course in the browser appears as the same path within the asset finder. The Asset finder consists of a number of columns that start from the left. The website is contained within the Nottingham Trent University top row in the first column. When you click on an asset within the second column a third column will appear to the right of it and so on till there are no more columns to display. 9

12 Columns open from left to right. Clicking on an asset within a column will display another column to the right of it. Each asset within the asset finder contains 5 pieces of information 1. Name of the asset 2. Status of the page indicated by a colour code 3. Content ID of the asset 4. Icon showing what the asset is 5. How many sublevels to the section there are Asset title Asset content ID Asset status Asset icon How many subsections the asset contains. 10

13 Each asset type within the asset finder has a different icon to help distinguish them - Standard Page Folder Image PDF Data Record Redirect 11

14 Search Button Clicking on the magnifying glass opens the Matrix Search function. The Search Assets tool allows you to query the assets within your system by either 1. Keyword, 2. Asset ID 3. URL To search for an asset, enter you search query and click Search. Search will return a list of results. By default the system list 5 results per page. Each result has an 1. Icon, 2. Title, 3. Content id, 4. Breadcrumb. If there are multiple pages of results these will be displayed at the bottom. To move to the next page click the arrow. 12

15 Making the search more specific returns fewer results. Different assets are indicated by different icons. Hovering over each result highlights it in blue and produces a Locate in Asset Finder Button. Clicking on the result at this point will open the Asset Finder. 13

16 The asset will then be located in the system for you and highlighted in blue. The search box also contains a number of filters so you can narrow down the search results further by specific asset type. News Items Folders Images Files (any) Events Standard Page 14

17 Clicking on a filter will highlight it in blue and list all the files within the search result that correspond to that asset type. 15

18 Save button The save button is located on the far right of the toolbar. It is used to save any changes you make to a page and also acts as a prompt telling you to save content before leaving a screen. The save button is displayed on the screen in 2 ways - 1) When a page has not been edited and there is nothing to save the save button will appear as a grey button. 2) When a page is being edited and changed, the system recognises this and the save button will turn green, indicating content needs to be saved. Please note any changes made to a page must first be saved before viewing them on the preview screen. Not saving changes will result in edits not being displayed on the preview screen and edits being lost. The system also has an inbuilt warning feature that appears if you try and leave a page without saving. You have 2 options to choose from - Return to the screen to save your changes. Discard the changes and proceed to the next screen. 16

19 Matrix asset toolbar The asset toolbar sits below the system toolbar. It comprises of a number of tabs or screens that make up the content of the asset. The amount of tabs you see will depend on what asset you are viewing. Details Screen Metadata Screen Linking Screen Analytics Screen Content Screen Workflow Screen URL Screen The asset toolbar allows you to switch between the tabs that make up a page. Most users will only need to concern themselves with the first Details page status, page title, asset finder title, image 2. Content content of the page (depending on asset) 3. Metadata page subtitle (overview), SEO data, keywords, contact information, callout summary (used on landing pages and when asset listed in a related field) 4. Workflow view page audit trail, approve assets 5. Linking asset location within the system and what is linked to it. 6. URL option to specifying the end of the URL, multiple URL options 7. Analytics See how your page is performing via the integrated Google Analytics 17

20 Details screen The Details screen is the first screen you see when you select an asset from the asset finder or log in via the browser. The Details screen acts as like the front cover of a book detailing 1. status of the page 2. asset title (page name) and asset finder title (page short name) 3. related image (main or thumbnail depending on the asset) Status bar Page title (depending on asset) Asset Finder title Related image 18

21 Page status Status of the page is highlighted by a title and a colour code. Each status represents a stage within the workflow of that page. Common states are listed below. 19

22 Content screen The content screen comprises of a content container that depending on the asset can be populated to display text and in the case of a content page other attributes such as an image. By default the content screen comprises of a content container that acts as a text box which is linked to a toolbar at the top of the screen allowing you to add/edit text. 23 2. Once the container is active you can type or paste your content in. You will also notice that the toolbar above becomes active and allows you to add formatting to the text. Click Save in the top right hand corner. 24 Metadata screen The Metadata screen depending on the asset used to populate default information for the page such as Page overview (subheading) SEO description and keywords Callout summary (text displayed when a page is featured in a related asset field or in a landing page menu. It consists of a number of required fields (indicated by red asterisk) which must be populated in order for the page to be made live. The Metadata screen is in some instances also used to populate entire assets such as course or staff profile pages. Overview (required field) SEO(required field) Callout (required field) 22

25 Workflow screen The workflow screen is a log of all events related to an asset which can both user and system generated events. The workflow screen acts as an audit trail allowing you to see who edited an asset, what was changed and when. Typically it will list 1. Workflow status (only populated if an asset is currently in the workflow) 2. User system logs (user generated messages) 3. System workflow logs (system generated messages) Unless you are a QA for your department you will not need to use this screen. Workflow status Workflow logs System logs 23

26 Linking screen The linking screen details 1. Website location - where the asset is located within the system 2. Asset links - Links to the asset from other assets 3. Direct children - if any assets are located beneath the asset Asset location within the system as indicated by the breadcrumb. Any asset that links to this asset is listed here. Any other asset that sits beneath this asset or any content such as a gallery or accordion is listed here. 24

27 URLs screen The URLs screen lists the current URLs associated with the asset. The URL is created through a combination of where the asset sits within the system and title given to the asset. This part of the URL is derived from the location of the asset. This part of the URL is derived from the title of the asset. Title given to the page that appears at the end of the URL Current URLs associated with the asset. 25

28 3 Analytics screen The analytics screen is generated by data pulled from Google Analytics. Please note all pages require analytics to be manually run to either produce or update the data for a page. The Analytics screen comprises of the of 3 tabs - 1. Summary 2. Traffic 3. Audience Each tab can show data for 1. Past 1 month 2. Past 2 months 3. Past 3 months Data range the data is applicable to is displayed, as well as when the data was generated (if ever). Each screen consists of various graphs, statistics and tables. Clicking on the? gives an explanation of what each stat shows. 26
