3 Matrix Best Practice Ensure you are using suitable keywords in content Try not to be repetitive Include informative details in the callout, description and keyword metadata fields. These are used by search. Funnelback indexes the following fields in order of priority so make sure you include the right words to return on the internal site search: 1. Title 2. Keywords 3. Description 4. Content Where related student profiles are listed on the page, ensure there is an image on the profile Avoid PDFs, wherever possible Avoid outbound links wherever possible, and particularly ones that don t add value to the page (e.g. linking off to corporate home pages, especially when these links don t qualify NTU s relationship with the employer). Wherever possible, keep the user on the page. Check the URL of the page via the URLs tab. Ensure the URL is all lowercase, hyphenated in between words and has no commas. 1
4 Creating a Student Profile Asset 1. Click on the New button in the top left of the Matrix toolbar. 2. An Asset Creation Wizard will appear. Click on the Standard Page option. 2
5 3. The standard page wizard screen will appear. We need to populate both the name and location fields. These are marked with a red asterisk and are required fields. 4. Enter the students name 5. Click the Select New Location button to determine where the profile will be stored. The Asset Finder will open. Please note all Student profiles are stored in the Our students stories folder. Navigate to Study and courses> Courses> Our students stories> Your school 6. Select the folder you wish to add the profile to making sure it is highlighted in blue. 7. Click Select. 3
6 8. When you have selected a 1. Name 2. Location Click the Create button. 9. The system will then process your request, creating an profile asset under the name and location specified. 4
7 10. When the Wizard Complete screen appears the profile has been successfully added to the system. 11. Click Edit to go straight to the profile and start editing. 5
8 Details Screen Adding a Profile Image Please note the student profile image should be uploaded to system prior to this step. 1. On the Details Screen click the blue Select button in the Related Image field. The Asset Finder will open. All student profile images are stored in the Student profiles folder within the Media Folder. Navigate to Media> Images> Student Profiles> Your school 6
9 Matrix only allows the related image field to be populated with an image and greys out all other content preventing you from selecting it. 2. Select the image you wish to use making sure it is highlighted in blue. 3. Click Select. 4. The Related Image field will now be populated with your chosen image. Click Save in the top right hand corner. 7
10 Content Screen The content screen is where all the More about section text is contained, which details the student s experience at NTU. The section is populated with plain text only but can contain links. 1. The content screen consists of a content container which acts like text box containing the introductory paragraph. To make the container active you need to click into the white area. 8
11 2. Once the container is active you can type or paste your content in. You will also notice that the toolbar above becomes active and allows you to add formatting to the text. Click Save in the top right hand corner. 12 Adding a Link to text 1. Highlight the text you want to add as link. Doing this will make a quick launch toolbar appear. 2. Click on the Link icon 3. A sub box will appear containing a URL field. To create a link to an external site paste the full URL into the field then click the Insert Link button at the bottom of the box. 4. If your link is to an page within the NTU site click the target icon. This will open the Asset Finder. 10
13 5. Navigate to your chosen page in the Asset Finder making sure it is highlighted in blue. 6. Click the blue Select button 7. The URL field will now be populated with the content ID of the page you selected. Click the Insert Link button at the bottom of the box. Click Save in the top right hand corner. 11
14 Adding a PDF link to text Whilst the use of PDF s should be avoided, if it is necessary you add one in the same way as you add a link to a piece of text. Please note all PDFs have to be pre uploaded to Matrix. 1. Highlight the text you want to add as a PDF link. 2. Click the link icon from the toolbar 3. A sub box will appear containing a URL field. If you know the content ID of the PDF you want to add type this into the URL field. If not click the target icon. 12
15 All PDF s are stored in the Media folder under Documents and are organised by what they are used for and by school. 4. Navigate to your desired PDF and select it making sure it is highlighted in blue. 5. Click Select. 6. The URL field will now be populated with the content ID of the PDF you selected. Click the Insert Link button at the bottom of the box. Click Save in the top right hand corner. 13
16 Metadata Screen The Metadata screen is used to populate the name, course, location, quote of the student profile. Adding SEO Data to a Profile 1. Untick Use default and enter a short description of the page. This field will be displayed in google search results. 2. Untick Use default and add key words to make the content more discoverable in searches. Please note only 1 word per field. 3. Untick Use default and add a call out summary a short summary for related information boxes on other pages such as tiled landing pages. Click Save in the top right hand corner. 14
17 Specifying a Contact Name, Number and At the bottom of a profile page is the contact section. Here the box on the right will by default show the general NTU contact number. You can however specify a different contact name, number and if you wish by populating the contact section. 1. Untick use default and enter a phone number. 2. Untick use default and enter a contact name. 3. Untick use default and enter a . Click Save in the top right hand corner. 15
18 Adding the Student s Name and Course Studied The student s name is populated on the Metadata screen along with the course they studied. If a current course the course will have a link attached to it which will take the user through to the course page. 1.Untick Use default and add a first name. 2.Untick Use default and add a surname. 3. If the course no longer exists untick Use default and enter the title. The Asset Finder will open. Navigate to 4. If the course is current and is live on the site click the blue Select button. Study and courses> Courses> Find your course> Your school 5. Select the course you wish to use making sure it is highlighted in blue. 6. Click Select. 16
19 7. Your chosen course will populate the field. Click Save in the top right hand corner. 17
20 Adding a Student s Country of Origin 1. Untick Use default and enter the student s city of origin (if known). 2. Untick Use default and enter the student s country of origin. 3. To enter the longitude and latitude of the place of origin we need to find this from Google Maps. 4. Open Google maps and navigate to the location you wish to use. Left click on the map which will drop a pin. 5. Dropping a pin will make the information box appear which contains the longitude and latitude. Click on the co ordinates. 18
21 6. The co ordinates will then be applied to the search box. Simply copy these and paste them into the longitude and latitude fields in Matrix. Click Save in the top right hand corner. 19
22 Adding Related Student Profiles By default the Matrix will display 3 related profiles at the bottom of the profile. These are linked by school and subject area. 1. Untick use default and select Yes. 2. To specify 3 specific profiles click Select. 20
23 3. Select the profile you wish to use making sure it is highlighted in blue. 4. Click Select. 5. The chosen profile will be added to the first field. Matrix will automatically add a second and third field for you to populate. You can only add 3 profiles to this section. Click Save in the top right hand corner. 21
24 Adding a Short Quote from a Student The student quote sits on the top right of the profile page. It is populated by a single field of text on the Metadata tab. Please note only plain text can be applied here. 1. Untick use default and type/ paste your text in. Please note you do not need to add the inverted commas as these are added automatically by the system. Click Save in the top right hand corner. 22
25 Associate a Subject Area and Campus to the Profile 1. Untick Use default and select a subject area from the drop down menu. 2. Untick Use default and select a campus. 3. Click select to associate a campus to the profile. The Asset Finder will open. All campus pages are located in the Campuses folder within the Centralised Assets folder. Navigate to Centralised assets> Campuses> Your campus 4. Select the campus you wish to use making sure it is highlighted in blue. 5. Click Select. 23
26 6. The field will now be populated with your chosen campus. Click Save in the top right hand corner. 24
27 Adding Primary school, Level and Mode of Study 1. Click select to associate a primary school to the profile. The Asset Finder will open. Navigate to Centralised assets> School of study> Your school 2. Select the school you wish to use making sure it is highlighted in blue. 3. Click Select. 25
28 4. The field will now be populated with your chosen school. 5. Untick Use default and click on a Level of study from the drop down menu. 6. Untick Use default and click on a Mode of study from the drop down menu. Click Save in the top right hand corner. 26
29 Adding a Profile Video You can add a single video to a student profile page which sits above the student experience text. Please note the video has a fixed location and cannot be moved any other location on the profile page. Before a video can be added to the course page it must first be checked by the video team and uploaded to Wistia our cloud based video server/ player. All video requests should be sent to marketing.requests@ntu.ac.uk. Once the video has been approved and uploaded the video team will send you a Wistia link which you can then add to your page. 1. Untick Use default and paste your video url in to the field, it will look something like this 2. Untick Use default and add a video title. 3. Untick Use default and add a short description if required. Click Save in the top right hand corner. The video will now be embedded into the profile page as below. 27

31 Submitting a Profile for Approval 1. From the Details screen go to the Status section at the top of the screen and click the Change drop down menu. 2. Click on the Apply for Approval option. The screen will change showing an Add workflow comment box. 3. Add a comment detailing what you have done. E.g. if it is a new profile put New profile upload. Click Save in the top right hand corner. 29
32 4. The screen will now show the status bar in purple and the caption Pending Approval. The profile will now enter your schools QA/ the Central QA list where it will be checked and made live or rejected requiring further changes. It if is rejected you will receive a notification via Once approved and live the Details screen will show the status bar in green and the caption Live. 30
