1 GW Drupal Foundation: Access Levels & Permissions Description: This document is intended to be a quick reference for setting up and configuring Workbench Access, which is used to manage permissions for content management, as well as discussing those user account permissions. This reference guide is for: Content Contributors Content Supervisors Site Administrators GW Drupal Reference Series: o o GW Drupal Foundation Daily GW Drupal Advanced GW Drupal Page 1 of 10
2 Standard Permission Levels Site Administrators will have access to all content and advanced site configuration options. This should be the most technical person within each division or department, and the person who will be responsible for granting access to other users. Content Supervisors have overall authority for site content. Content Contributors can create and edit content and then submit to a reviewer or Content Supervisor or Site Administrator for approval. Content Content Site Contributor Supervisor Administrator Access to Workbench, Menus, & Media Can create/edit/delete primary navigation menu items Can delete their own content Can create and edit Quicktabs Can create new Site Placement & other Taxonomy terms Can edit/delete Comments where enabled Can create/edit/delete nodequeues Can create/edit/delete/publish their own content and those within their Editorial Group Can Customize pages Can view system reports Can create redirects Can run Global Alert cron Modifies the filtering properties allowed for the site (views) Can create/edit/delete user accounts Can manage Facebook & Twitter Page 2 of 10

4 Sample View when logged in as a Site Administrator A Site Administrator will see the full range of menu items and the Customize This Page button at the bottom of the screen. Page 4 of 10
5 Sample View when logged in as a Content Supervisor A Content Supervisor will see a limited range of menu items and the Customize This Page button at the bottom of the screen. Page 5 of 10
6 Sample View when logged in as a Content Contributor A Content Contributor will see a limited range of menu items only. Workbench Access Permissions In addition to the three standard permission levels offered by GW Drupal (Content Contributor, Content Supervisor, Site Administrator), it is possible to set up site permissions based on taxonomy (content tagging) using the Workbench Access module. 7 Before requesting Workbench Access, please note the following: Enabling this module will add a new required field to each content type and all existing content will need to be tagged. Users with restricted access can still: a. Add their content to any section within the site menu b. Add sidebars that are not tagged with their editorial group to their pages c. Click Customize this page on pages not tagged with their editorial group What Content Editors Will See: Content Contributors and Supervisors who have been assigned specific editorial groups only will see the New Draft and Moderate buttons on content that has been tagged with their group, but will only see View Published on content they are not allowed to edit. Workbench Access Setup Enable Workbench Access You can Enable Workbench Access by ing onlinestrategy@gwu.edu asking that Workbench Access be enabled for your site. The team will enable the module on the site and perform initial configuration tasks. Editorial Groups Once Workbench Access has been enabled you can configure your Editorial Groups. Navigate to Taxonomy > All Editorial Groups. Add a new term for each editorial section you would like on the site by clicking + Add term. Page 7 of 10
8 Tag Existing Content Edit your existing pages and select the appropriate editorial group. If the page does not fall into a specific group, select All Editorial Groups. Add Users If all of your users are not yet in the system, navigate to People > Add User and add additional Content Contributors or Content Supervisors. Assign Users to Editorial Groups Navigate to Configuration > Workbench > Workbench Access > Editors. Page 8 of 10
9 Click on the editorial group name to view current editors and add new editors. If you want a Content Supervisor or Contributor to have access to all sections of the site, assign them to the All Editorial Groups section. Page 9 of 10
