1 IBR_Plus CAD Frequently Asked Questions 1. What does the satellite that pulls up Channels mean? What is its purpose? The channel button on a call will allow you to reference the radio channels you used for communication on that particular call. You can specify one channel used for all radio communications (Channel All) or separate radio channels for Law Enforcement traffic, Fire traffic, or EMS traffic. Once you specify the channels, press the Done button to save. (Note This feature is used to provide a historical record of the channels used during that call; it does not actually interact with your radio equipment). 2. What could cause a Future Call activation to fail to appear? To be reminded of future calls, as well as to be notified of pending calls, officer alerts, etc., you must have CADWatch running on that workstation. CADWatch will automatically launch when you enter the live Computer Aided Dispatch module and will run minimized on your task bar. If you open the CADWatch screen by clicking on it in the taskbar (for example, to disable the audible alarm), you must exit by pressing the button labeled Resume CADWatch; this will minimize the CADWatch program on the taskbar yet it will still be running on the computer. If you press the button labeled Close CADWatch instead, CADWatch will exit and no longer show on your taskbar. You will not be alerted of future calls or other system alerts. If you accidentally exit from the CADWatch program, you can reactivate it by exit back to the IBR_Plus Main Menu (the first screen that appears after logging into IBR_Plus) and then reentering Dispatch -> Computer Aided Dispatch. 2 More than likely, CADWatch was not running and that is the reason that you did not receive your Future Call reminder. Another cause could be if the local date/time on your workstation was incorrect. If you have any other problems with this, just call us on or Technical Support Hotline ( ) and we can walk you through entering the future call. 3. Is there anyway to cancel a unit on shift change? For example, dispatch accidentally marks on a unit before hitting Done and there is no way to cancel that unit without marking them on duty and back off. If you have clicked on a unit and then clicked Begin Tour, then you must bring them on duty and then mark them back off. 2 IBR_Plus CAD FAQs

3 4. If a unit is assigned to a call and I then delete that unit from the active call, why is that unit marked off duty? If you delete a unit off a call while it is actively dispatched, it will be moved off duty. This would occur if you have a unit dispatched on a call and then you delete the unit off of the call (by pressing the X delete button). Alternatively, you should clear the unit from the call before deleting the unit from the call since this will not remove them from duty. 5. When can you use Unit Exchange? Unit Exchange is a new feature in the new release. There is no longer a menu option for unit exchange. Instead, you would bring the call to the top of the screen and from within the call, double-click on the unit you wish to exchange. 4 6. How can you print out a report using just certain types of calls? There are many new CAD reports in the new release which will allow you to pull specific call types, specific units, etc. You can specify these options from the Report Control screen by choosing from the Selection drop-down list. Regarding particular Call Types, from any of the Calls for Service Reports, you may now choose Selected Ten/Signal(s) from the Selection drop-down list. A list of your call types will appear below. You can click on a particular call type to highlight and select it. To select multiple call types, hold down the Control key while you click the call types with your mouse. To select a large, contiguous segment of call types, hold down the Shift key while selecting the top and bottom selection with your mouse. Enter the date range you wish to run the report for and then press the Print button. 7. Can refresh be put on CAD to refresh at least every two minutes? Currently, you must manually press the Refresh button to refresh the call screen. We plan on incorporating an automatic refresh in a future release. 4 IBR_Plus CAD FAQs

5 8. When doing an adult search, the View Incident does not always show the call. Sometimes, a Cannot Show Call message comes up. How can we have it always come up? When viewing results from the criminal search screen, there are multiple View buttons for the various types of records you can view from the screen. You must click the appropriate View button for the type of record you have highlighted. For example, if you have a Call record highlighted, you must press the button labeled View CFS. If you have an Incident Report (IBR) highlighted, then you must press the button View Incident to view that report. If you have a Call highlighted and you press the View Incident button, you will receive a message stating Sorry, select an Incident first since the View Incident button is only used to view Incident (IBR) reports, not CAD calls. 9. Why does the system mix the addresses up on calls sometimes? You may sometimes see an old address on the call on the Active Unit grid at the bottom of the CAD screen (the actual call will reflect the current address). This can happen if you have changed the call address from the address originally entered for the call. It can also sometimes display an address from another active call. In the new CAD release there is a new option on the top menu labeled Synchronize that will check and correct any addresses that no longer match the current address on the call. If the officer changes location or is in a pursuit situation (where you are changing the address in the Active Call grid at the bottom of the screen so that the location changes are logged into the comments record), precede the address with symbol and then that address will not change when performing a synchronize. 10. What is the easiest way to look up the call history on an address? Sometimes the History button does not work. The History functionality only will work on GEO-coded addresses and will only find calls that were entered for that GEO-coded address. For example, if you have typed in an address and chosen the option for No Geo Code (or tabbed through that field without clicking one of the matching addresses displayed from the GEO table), then that call will not be able to activate the History functionality nor will that call show up on future History searches. The GEO database includes all of your street spans (and can be manually updated to include any new streets). When you type in a street 5 IBR_Plus CAD FAQs

6 name and tab out of that field, the system will show any matching street ranges and you must double-click the appropriate matching street in order to use that GEO coded address. Choosing the GEO coded address match will automatically fill in the street type and any cross-street, business information, etc. found on that GEO record. Also, you must use a GEO-coded address in order to utilize the Premise file functionality. (See question 12 below). Some tips on using the GEO file: Do not type in the street type in the Street Name field (that goes in the separate Type box). If you type in the street type as part of the street name, it will use that when searching against the GEO file and will therefore, not find a matching street. If you have a pretty comprehensive GEO file in your system, just type in the first few letters of the street name and then press the Tab key to activate the GEO lookup. This will save you time in typing and also insure that misspellings do not prevent you from finding the GEO-coded match. An easy way to determine if you are using a GEO-coded address is to look at the street number of the call. If you have leading zeroes in front of the street number (so that it is a full 6 digits in length), you have selected a GEO-coded address. If the street number remains just as you typed it (with no leading zeroes), then you did not select a GEO address. You can retype in the first part of the street name to reactivate the address lookup. For addresses that you have manually entered on calls where you did not use a GEOcoded address (or on calls where you did use a GEO address), you can search against those addresses by exiting to the gray CAD Search screen and then entering the street name (do not use a street type nor add any spaces after the street name). Press the button labeled Search All. You can also use a wildcard * in front of the street name. For example, to search on Hilltop Drive, enter Hilltop in the street name box or you could enter *top. 11. Why does it sometimes duplicate the unit number on the call and put it up as if it were another call or another unit? How can we prevent this? 6 IBR_Plus CAD FAQs

7 I believe this has been fixed in the new CAD release. 12. What is the easiest way to put a warning on a premise for a particular person or address? How can you make sure it shows up no matter how you look it up? The Premise functionality also only works on GEO-coded addresses and will only find calls that were entered for that GEO-coded address. (See question 10 above). If you are working on a call on a GEO-coded address to which you wish to add Premise information (including but not limited to warnings/hazards), from the call press the Premise button. If there is already a Premise record on file for that address, the Premise screen will appear. If there is not currently a premise record on file for that address, you will receive a prompt asking if you wish to add one. Press Yes and then the Premise screen will appear. You can enter many details about the premise, including: GIS Coordinates Occupants Directions Business Name / Alias Contact information Normal Operating Hours/Exceptions Alarm Information Remarks Location of various electrical, utility shutoffs, etc. Entering any of this above information will cause the Premise button to turn blue when a call is entered for that GEO-coded address. Press the Exit button to save your information. For serious hazards, you need to add those as an Alert on the Premise screen. This will cause the Premise button to turn Red when a call is entered for that GEO-coded address. To enter the alert/hazard information, from the Premise screen press the Add button in the alert grid at the bottom of the premise screen. This will add a new line to the grid. Click into the first box and a drop-down list will allow you to choose what type of alert you are adding. In the Hazard column you can enter a description of the particular alert and you can also indicate the location of the hazard. Press the Exit button to save your changes. 8 any time, not just when you have an active call, from the CAD code setup in the IBR_Utilities program. This will require administrative privileges.) If you wish to add a warning for a particular person instead of an address, from that person s Master Name file, check either the Armed or Assault checkboxes. This will cause a red Caution flag to display whenever you click on their name on a Master Name lookup or when you view their Master Name record. 8 IBR_Plus CAD FAQs

9 13. Is it possible to delete some of the duplicate PID numbers to make it easier to find the one we actually want? If you have many duplicate names from your prior vendor s system, your administrator can use the Master Name Merge functionality to merge those records together. This does require full administrative privileges within the system. We can instruct your administrator on how to do this if they wish to call our Technical Support Hotline or we can send instructions to them on how to perform this merge. 14. Is the Soundex option only for street names? How can this be used effectively? You can use Soundex for a street name search from the CAD search screen or on a name search from the Criminal Adult or Criminal Juvenile Search Screen (accessed from the Main Menu by choosing Criminal -> Adult or Juvenile and then pressing the Search button). To perform a Soundex search, you need to turn on the Soundex option by check the box next to Use Soundex. Soundex will search for anything that would sound like whatever you have typed in to the search field; for that reason, it is important to note that Soundex will only work if you are searching on the whole name. For example, search by Lewis for a Lewis Street or for a person with the last name of Lewis would return results for Lewis and Louis. However, if you just tried to search against the first few characters of the name, you would receive no results since it is looking for something that sounds like what you typed in. For example, if you tried to perform a Soundex on Lew you would only receive results for words like Lew, Lou, Loo, etc. 15. Please explain more on comment or word search and how to use it? To use the CFS comment search, enter the data range that you wish to search against and then type in the word or phrase you wish to search for in the box on the CAD Search screen labeled Search CFS Comments. Then press the button with the magnifying class which is located next to the search box. Do not use wildcard characters. For example, if you wish to search for a comment that has a word in there that starts with high then just type in high in the box without any asterisks or other wildcard characters and it will return results like highway, high water, etc. Keep in mind that you can also search by your userid to find comments that you added to a call since each comment is stamped with that individual s userid. 16. What is the purpose of the Premise Search on the Calls for Service menu? You would use the Premise search to search against the Premise files you may have set up for particular address (see question 12 above). The premise search would return those Premise files, not actual calls for that address. Examples of when you would use that would be if you wanted to find a list of premises that you had 9 IBR_Plus CAD FAQs

10 indicated had Known Felons on the premise or Hazardous Materials or a particular contact or occupant name, etc. 17. When you click on Dispatch, then Calls for Service by accident, instead of Computer Aided Dispatch, it activates a new call- why? Actually, it would only activate a new call if you hit the Add button on the Calls For Service screen. What you are actually seeing is a blank call screen (there is no call number on the call) or you may be seeing the last call that you had viewed. It will not automatically add a new call. If you look at the screen, you can see that the Call Number in the top left is blank or if it is not blank, it is a pre-existing call that you had viewed recently. 10 IBR_Plus CAD FAQs

11 18. How could we implement wrecker rotation to work for our department? How can we set it back to original setting if it gets knocked out of order? From the gray CAD search screen, you can click the button labeled Wreckers in the Maintain section. To add wreckers, enter a unique Code for the Wrecker Company in the box in the top left and below that you may enter the company name, address, contact info, etc. In the boxes below, you can enter Day/Night phone numbers and a comment. You can select Regular, Large or Police to indicate their towing capacity and you can select a zone or geographical location that they cover by choosing N/1, E/2, S/3, W/4, or C/5 from the bottom. In the top-right box, enter the last time that company was used; if you do not enter this, the system will enter the current date/time and therefore, the rotation will be created in the order that you enter the companies. When you have all the information entered, you can press the Add button to add the company. If you have accidentally rotated a company incorrectly, you can adjust the rotation by going back to the Maintain Wreckers screen and selecting the appropriate wrecker company. Change the rotation date to the appropriate date to indicate the order needed (the wrecker rotation will be based on that date- the company used most recently will go to the bottom of the rotation list so to put a company to the top of the list, change the rotation date to a date older than any other company s rotation date) and then press the Modify button. 11 IBR_Plus CAD FAQs

12 19. Is there a way to look up a call by an address more effectively? First, using GEO-coded addresses is the best way to utilize the system (see question 10 above). When searching by address, in the street name box just type the name of the street (do not search by Dr, St, Ave, etc). Also, make certain when searching by any criteria in CAD, that you adjust the search start and end dates for the range you are searching against (by default, the dates are set to just the current day s range). Then make sure you are pressing the Search All button (or any of the other search buttons at the bottom of the screen). Remember, if you use the Quick Search button, it will ignore any search criteria you have entered and bring back all of the calls from the last 24 hours (or the last 100 calls, whichever is less). 20. Is there a way to get instantaneous history of tag information for prior calls when the tag is entered in vehicle information? You will not receive that information instantaneously; however, as long as you are adding a vehicle record to a call and entering the tag number on the vehicle record, you can search the tag from the gray CAD search screen. Simply enter the Tag Number and then press the button with the vehicle picture on it next to the tag box (do not use the general search buttons since those will not search the vehicle records). 12 IBR_Plus CAD FAQs

13 21. Is it possible to put the Sheriff section (yellow section) on top of Unit Status list so we don t have to keep scrolling down? The new CAD release lets you view most of your units at the same time without scrolling. It also gives you options to place more emphasis on Sheriff versus Police, etc. Two of the options are show below: 13 IBR_Plus CAD FAQs

14 22. Why does the system lock up sometimes when you ReQueue a call? There is a very specific order you must use in order to ReQueue a call. It is important that you do not ReQueue the call until you are ready to actually dispatch the unit since you MUST dispatch the unit immediately upon reactivating the call. To ReQueue the call, search by Quick Search or another method to find the call. Click on the call to open it up and then press the ReQueue button on the bottom right portion of the screen. You will receive a message asking you if you wish to reactivate that call. Click Yes. You will then see the list of dispatchable units. You MUST choose a unit or units and click Dispatch at this point. Now it is an active call with a unit dispatched on your Active Call screen. If you do not dispatch a unit at this time, the ReQueue will fail and you will see a gray line labeled REQUE$. To remove this, exit back to the Gray call search screen and go to the File menu. 15 You should receive a message stating that there was a requeue call that was not dispatched and that it is adjusting status lines. The final message you receive should state that Files are synchronized. If you have multiple REQUE$ records out there or if you do not receive the Files are synchronized message, you may need to run Check Call Status again. Once you receive the Files are synchronized message, press the Next button to return to the dispatch screen and then press the Refresh button at the bottom of the screen. The REQUE$ should disappear and you may go back and ReQueue the call correctly. If the Check Call Status command described above does not remove the REQUE$ line (insure that you have pressed the Refresh button), you can remove the call in a different manner. Exit back to the gray Cad search screen and then go back to the File menu and choose Dispatcher Tools and then Check Active Calls. A screen will appear showing all of your active calls. Click on the line with the REQUE$ and you will receive a message asking if you wish to remove that call from the Active Calls List. Press Yes. You may now press the Next button to return to the dispatch screen and then press the Refresh button at the bottom of the screen. The REQUE$ should disappear and you may go back and ReQueue the call correctly. 15 IBR_Plus CAD FAQs

16 23. Is there a way to be able to assign the stations (Rescue Green) with the rescue status instead of specified unit numbers? Example, S=PFRS or S=R1, click status and then get to choose rescue. If not, is there any way that their department identifiers be listed at the top of the units list so we can have that status show up on the main screen? Example, R2XX under S=PFRS be at the top of the list instead of R201. We need to be able to determine how long it takes for the station to mark on. That station itself is set up to be either a Fire or a Rescue station in the code setup. So you would need to have a Fire Station designated for your fire units and a Rescue station designated for your rescue units (you cannot change that designation). In the new Cad release, you can now dispatch the station itself as many times as you need to on various calls and then you can exchange that station for the actual unit when they mark on. This will eliminate the need to have station units such as R2XX on duty to designate as a station. The station code will show at the top of that station s list. When the station calls back to let you know what apparatus they are taking, you can bring that call to the top of the screen and double-click the station inside of the call itself. Then you will be given the list of the actual units from which to choose. 16 IBR_Plus CAD FAQs

19 Other CAD Enhancements Cad Call Types / 10 Signals can now be sorted / searched by the description versus the code. To do so, click in the Call Type drop-down box and then press the Right Arrow key on your keyboard. The list will now be sorted by the description instead of the code. You can start typing to go to that section of the list or you can choose with your mouse. Once you choose a code, the list will sort back to its original order (by code). Officers on the warrant screen can now be sorted / searched by the officer name versus the officer code. To do so, click in the Officer drop-down box on the Warrant and then press the Right Arrow key on your keyboard. The list will now be sorted by the description instead of the code. You can start typing to go to that section of the list or you can choose with your mouse. Once you choose a code, the list will sort back to its original order (by code). One Size Fits All program- with the new release, your administrator can now receive a userid/password for our website which will allow them to download the most recent program as needed. Exchange Unit is now available. To exchange one unit for another, you can bring that call to the top of the screen and double-click the unit inside of the call itself. Then you will be given the list of units from which to choose. 19 IBR_Plus CAD FAQs

20 You can now mark a unit on duty for Roll Call purposes only. This will allow you to track who is in the office administratively but not have that unit show up in the Available Units list when dispatching. To use this feature, from Shift Change, select the Unit and click Begin Tour. When that unit s information screen appears, click the Roll Call Only checkmark in the bottom left of the screen. Alternatively, if you have already marked that unit on duty, you may click on that unit in the Units on Duty column and then press the Roll Call button in the middle of the screen. After existing from the Shift Change screen, you can view who is on the Roll Call list by clicking the Roll Call menu option at the top of the CAD screen. To return to the normal view, click the Refresh button. The Shift Change screen has been enhanced to enable faster On Tour / Off Tour actions. When you select a unit from the Units Not on Duty column, the Begin Tour button is automatically selected as the default button so you can simply press the Enter key (instead of clicking the Begin Tour button with your mouse). When the unit s information screen appears, if you do not wish to enter/change mileage, cell phone or other information, you may simply press the Enter button again which will depress the Done button for you.
