2 About Your Scanning Workstation Your scanning workstation consists of a PC computer and a Fujitsu scanner. The computer is for scanning only and is imaged for use with Datascanner, DataDirector, and Adobe Reader. The workstation should be placed in a location with power, a data drop, and room to work. Fujitzu scanner PC Computer for scanning only! Datascanner, DataDirector, and Adobe Reader only. DO NOT USE FOR ANYTHING ELSE 12/09/09 Page 2
3 Logging In to DataScanner 1. Double click the DataScanner icon on the scan station PC desktop. 2. Enter your Username and Password. Click Login. 3. If your account is associated with multiple schools, click the appropriate school. If you have access to only your school, you will log in directly. 12/09/09 Page 3
4 Selecting an Exam Before you begin: Look at the lower left corner of the scan sheet. This is where the Exam ID is located. Each assessment has a different Exam ID. It is very important that you pay close attention to the Exam ID when you are scanning or the test information could be scanned to the wrong test in DataDirector! 1. Important! Enter the Exam ID in the Quick Search box and click Go to locate the desired assessment. Once the test appears, click the appropriate exam title. 2. Confirm that you selected the appropriate exam then click Yes. Ensure that your student scan sheets exactly match the template on the screen. Again, cross referencing the Exam ID with your student scan sheets and the test template on your screen is the most dependable method of insuring the correct exam is chosen. 12/09/09 Page 4
5 Calibrating Your Scan Sheets Calibration should be performed each time a new batch of tests is to be scanned. Your machines will be set to automatically calibrate before scanning. Please follow these steps carefully to insure accuracy. 1. This screen will appear for you to calibrate. Place one student scan sheet into the scanner. Load the scan sheet face down, top down into the scanner. Click the option to Calibrate Letter Size. 12/09/09 Page 5
6 2. After the student exam feeds through the scanner, this screen will appear. Click OK. 12/09/09 Page 6
7 3. Adjust the calibration, as shown on the previous page, using the arrows on the left side of the screen. Follow the guidelines below the arrows to adjust the calibration. Once calibration is adjusted, click Save settings at the lower left hand corner of the screen. 4. Place the student scan sheet used to calibrate the scanner and the remaining scan sheets on the scanner. Click the Scan Now button on this screen. 12/09/09 Page 7
8 Scanning 1. Tests will scan once the Scan Now button is clicked. 2. After all documents are scanned, click Finish. 3. Review the Scanning Summary window. It will display the number of documents scanned, processed, and approved. Click OK. Next, you will review, approve, and commit the results. KEY Approved: The number of scan sheets ready to commit to DataDirector. Scanned: The number of sheets identified by the scanner. Processed: The number of recognized DataDirector scan sheets. For information on how to fix scan sheets that did not process or approve, click the Why? Or How Do I Fix? Buttons. 12/09/09 Page 8
9 Reviewing, Approving, and Committing Results 1. Reviewing Documents: DataScanner automatically displays unapproved scan sheets. Use the forward and backward arrows on the right of the screen to view User Tip: While DataScanner automatically displays Unapproved Documents, clicking the maroon drop down menu reveals other options: All Documents: All scanned documents Approved Documents: Ready to commit to DataDirector Disapproved Documents: Recognized as DataDirector scan sheets, but contain errors 2. Approving Documents: Unapproved scan sheets contain yellow-flagged student responses. This occurs, for example, when a student double bubbles, bubbles too faintly or leaves a blank response. You have a few options. Option 1: Ignore yellow student responses and simply select the box Approve this document. All yellow student responses on the right of the screen will be graded as incorrect. 12/09/09 Page 9
10 Option 2: Make manual corrections to student responses by clicking the yellow text response box on the right and typing the appropriate response (upper or lower case). Click Type Option 3: If the bubbles are filled in but not identified by DataScanner, you can do on the fly adjustments. In the section Bubble Sensitivity Decrease the sensitivity for faint bubbles by clicking the down arrow. Increase the sensitivity for dark bubbles by clicking the up arrow. Click Recapture Current or Recapture All to instantly adjust the sensitivity. Adjust the Arrows Click Recapture Current or Recapture All Option 4: DataScanner can be set to automatically approve scan sheets with blank responses. To do this, go to File -> Configuration -> Other. Select the option to Approve Blank Answers. This is not necessarily a recommended feature because faintly bubbled responses may not be detected by DataScanner and may display as blank when in fact the student did respond to the question. Use with caution. 12/09/09 Page 10
11 3. Registration Marks (T s): If student responses appear on the left of the screen but are blank or undetected on the right, this likely indicates DataScanner does not recognize all 6 registration marks (T s). In the following example, the image is clearly on the left of the screen. However, DataScanner does not recognize the scan sheet or the student responses on the right. Why? The printer or scanner cut off the upper left T mark. This sheet will not process or approve. User Tip: Missing, cutoff or out of margin T s will prevent answer sheets from being detected by DataScanner. This is likely a printing issue. Answer sheets must be Fit or Scaled to printer margins before printing to successfully scan. 4. Committing Results: Check the Summary section to verify that all scan sheets have been processed and approved. When all the documents are ready, click Commit Results (green button) to send the results immediately to DataDirector. 12/09/09 Page 11
