1 AccessHHS (Citrix) WHAT IS ACCESSHHS (CITRIX)? Computer users will be given access to the applications they use and need through a central log-in screen called AccessHHS. HOW WILL THIS AFFECT OUR PCS? Most computers will be converted to a Citrix Workstation through which all standard applications (MS Office, MEDITECH, Sovera, Peoplesoft, etc.) will be accessible. For those people who use applications that are not yet available through Citrix, their computer will remain a standard, non-converted computer allowing access to those programs through the usual method. Access to all standard applications will be achieved by activating the AccessHHS icon from the desktop. Logging On To An Standard, Non Converted Computer For those computers that remain as a standard, non-converted type, you will log onto the network as normal. The icons for the applications available through AccessHHS will be removed from your profile. You will see an icon for AccessHHS. Once you select this icon you will automatically be logged into AccessHHS desktop. Logging On To A Citrix Workstation Computers that are converted to a Citrix Workstation will only display the ACCESSHHS log-in screen. (see below) LOG IN: To log in, type in your Username and Password. Click on LOG IN or press ENTER. NOTE: You will use the same username & password as you have when logging onto the HHS Network. MESSAGE CENTER: This is where system info. or error messages will be displayed. NEWS COLUMN: This section provides access to the HHS top news stories found on the Intranet. 2 Using the Access HHS Desktop Once you log in, the applications that are available for you to use are displayed in the Applications window on the left. Your username will appear in the top right hand side of the screen. APPLICATIONS: In the first application window you will see the common application icons displayed. Other applications will be grouped together and available within the yellow folders such as: Click on the folder, to display the applications that are grouped into that folder. Example: These are the applications found in the MS Office 2003 folder TIP: To return to the first Application window, click on the or icons at the top of the application window. To open an application, click ONCE on the icon. NOTE: The applications should work exactly the same as you have been using them. 3 Accessories Folder When you click on the Accessories folder (located on the main desktop) you will be given access to some of the basic applications normally found within Windows. Two important applications found within Accessories are Data Transfer and Printer Manager Data Transfer With the implementation of Access HHS one computer functionality that will be different is the transferring of files to and from your network drives (H drive or other) to a portable storage device such as a USB memory stick. Citrix workstations will be unable to save data to floppy disks, CD s or the local hard drive (C:). To move data to and from a USB memory stick, use the Data Transfer tool, which is located within the Accessories folder. NOTE: If using a USB memory stick, it must be inserted into the USB port before clicking on the Data Transfer icon or the memory stick will not be recognized. To Transfer From H Drive to Memory Stick Expand the H Drive, by clicking on the + to find the file for transfer. Drag and drop the file into the Memory Stick icon. Note: The Memory Stick icon will appear as a drive letter between A and G depending on other factors. To Transfer From Memory Stick to H Drive Reverse the above process. 4 Printer Manager All additions or deletions of printers or to change your default printer for all applications except MEDITECH can be completed through the Printer Manager icon. Current Printers list those printers that you can print to at this moment. List Of Available Printer shows you those printers that you can add to the list of Current Printers. To Add or Remove a Printer Click on the printer you wish to add or remove. Depending on your selection, the Add or Remove button will be activated. Click on the button To Set Your Default Printer Click on the Set Default Printer button. A window with your Current Printers will appear. Select the printer you wish as your default printer then press OK. NOTE: In order to complete this action you must shut down and then restart the application (ie Word) that you are trying to print from. Saving Documents When saving documents such as Word, PowerPoint, etc. you must save them to your H-drive. You will no longer be able to save documents to your local PC (such as your desktop or your C-drive). TIP: Please ensure that all of your important documentation is saved on your H-drive or a common shared drive. Windows Explorer provides a quick way to see all the files and folders on your computer. Use Windows Explorer to view and organize all your files and folders and access to the various drives. NOTE: Your My Documents and Desktop folders have been re-mapped to your H drive Clinical Practice & Education August 9,

5 Logging Out Citrix offers you the option to either LOG OFF or to DISCONNECT. Clicking the button will close all your applications and log you off the AccessHHS Application page. You will be returned to the main Login page. Clicking on the Button will also log you off the system and return you to the login page, but your applications will continue to run on the server. They will start up again immediately to the screen you left once you log back in. This option should be used when you are planning to log back into the system at any HHS workstation within a short period of time. If you do not log back in, eventually Citrix will LOG your session OFF and close all running applications. NOTE: Applications such as Meditech already have an automatic timeout with no activity therefore, if you disconnect your sessions and do not return within a short period of time, your Meditech session will be logged off. LOGGING BACK INTO CITRIX Click on the Log Back in option and re-enter your Username and your Password. Clinical Practice & Education August 9,
