Today we present in-depth information on F24 push notification, the new device type in FACT The following pages describe the application and configuration options for the new device, available from. The new device type is available for FACT24 premium upwards. If you currently use FACT24 basic or professional we will be happy to inform you about upgrade options. To find out more about upgrading, contact your F24 representative. To make things clearer, all key terms found in FACT are shown in bold type. This allows you to see at a glance where you can use the functions described or update your settings. We hope you enjoy reading Admin News! The F24 Team 1

2 1.0 Alerting using F24 push notification The new F24 push notification function enables you to alert persons using the new F24 business messenger, Trust- Case. The F24 push notification function sends a message to the smartphone of the person you wish to alert, immediately drawing their attention to your FACT24 alert. Detailed view of the room FACT24 Note: Please ask your employees or colleagues in advance to install the TrustCase app on their smartphones. The app can be downloaded free of charge from the Apple App Store or Google Play. As soon as the download is complete, the alarm message and all details are posted as an entry in the FACT24 chat room (Room) in TrustCase and can be accessed there. TrustCase automatically creates this Room if it does not yet exist. A new entry in FACT24 contains the sender (can be saved in the settings for the F24 push notification device as a configuration option), the alarm number and alarm name, and the message text intro. When an entry is selected the detailed view opens, showing the full message text together with any attachments. Attached documents or voice files can be used to provide additional information to the message. The FACT24 Room stores all current and previous FACT24 alarms and their responses (confirmations). 2

3 An F24 push notification alert thus has more uses than just distributing information. In addition to all the benefits of push notification, it can also be used to send a response. As usual, FACT24 requests input of the travel or arrival time (Standard) or allows a freely chosen re-r sponse text to be entered. The person notified in a FACT24 alarm is counted as having been reached when confirmation is sent. The response is displayed as usual in the FACT24 online monitor and documented in the alarm log and alarm report. An open task is automatically closed as soon as a confirmation is received. Note: If the alarm validity of notification is already over, the alarm has been stopped or the maximum number of persons required has already been reached, a message that the alarm can no longer be confirmed is sent to the responder after sending his/her response. Please note that F24 push notification is not suitable for conference alarms. Because of the response request, the FACT24 alarm has the status of an open task in the F24 business messenger TrustCase, and is flagged as such in the Room. Overview of Room Actions 2.0 Administration: F24 push notification as new device To use the F24 push notification function, you must create a new device type in your FACT24 profile. Step 1: Create F24 push notification as a new device You can configure the available device types in the Enterprise menu under De- vices. If you are working in decentralised mode shown by a single data export symbol go to Setup / Devices to perform this configuration. A dropdown list of all device types saved in FACT24 is shown. 4 Select the function New F24 push notifii- cation device under the table. The detailed view opens. Now enter your desired configuration. To do this, first assign a unique name and define a send- er if required. In Further settings, define whether you wish the successful transmission of a message by F24 push notification to be counted as an automatic a confirmation from the alerted person. Step 2: Assign the new F24 push notifiication device to persons You can use various methods to assign the new device to persons in your FACT24 profile: Assign the device directly in your personal contacts list Assign the device by using the configuration download/upload (choose this if you want to enter changes to multiple selected persons simultaneously) Duplicate an existing device, and thus automatically assign the F24 push notification device to all persons assigned to the existing device a) Assign the device directly To assign the newly created F24 push notification device to individual persons, go to the dataset for that person in the Devices tab, click Assign and select F24 push notification from the Available devices popup. Note: If automatic confirmation is activated, successful transmission of the message is enough to generate a positive confirmation. However, we recommend you deactivate this Automatic confirmation option by entering No. The alerted person must now actively confirm by sending a response. This acts as confirmation that the alert message has been received. Now enter the telephone number where the individual can be reached using F24 push notification. Then go to the columns Prioritize working hours and Priori Prioritize non-working hours to define the point in the notification order where F24 push notification will be used. 4

5 Now run a data export. Note: F24 push notification alarms have an automatic 30-second delay as default setting. If FACT24 does not receive confirmation of a message sent to the first device configured, "delay" is the wait time before FACT24 uses the next device in the configured sequence. To enter customised time settings, contact your F24 representative. b) Assign the device using configuration download / upload To assign the new F24 push notification device to selected or multiple persons simultaneously, download your personal details from FACT24 at Ad- ministration / Configuration down- load. Wait for FACT24 to create the desired Excel file. This process may take several minutes. When the Excel file has been created, save it on your PC and enter the applicable telephone number in the new F24 push notification column for the relevant persons. You can now upload the changed data to FACT24 at Administration / Con- figuration upload. Now run a data export. Note: Depending on your authorisation in the Setup / User menu item, you can download / upload either the configuration of an organisational unit or the complete company with all organisational units. c) Duplicate an existing device A further method of automatically assigning the new device to individuals is by duplicating the Telephone or SMS device types. This method also adopts relations to persons, i.e. the F24 push notification device is automatically assigned to the same persons to whom the original device was assigned. To use this method, go to Enterprise / Devices (or Setup / Devices ) and select the device you wish to duplicate. Click the Settings icon and open the Duplicate menu item. Note: This function is only shown for the Telephone and SMS device types. These are the only devices that can be duplicated to create an F24 push notification device. The Duplicate window first displays a warning that duplicating the selected device can only be cancelled manually! In other words, every incorrectly duplicated device must be manually deleted from individual datasets! 5

6 Step 3: Configuring the F24 push notifiication device in an alarm scenario Here are the specific configuration options available for the new F24 push notification device in the alarm scenario under Alarms / Further settings. First set the Prioritize for working hours / non-working hours under which the new F24 push notification device will be added to the existing list of assigned devices. From the devices previously created for F24 push notification reassignment, select the device to be reassigned to the relevant persons. F24 push notification will naturally only be assigned to persons to whom the original device was also assigned. Now click Duplicate Duplicate to start the process. When duplication is complete, the new device F24 push notification will have been assigned to the relevant people. Their call number is adopted from the settings for the original device and their priority settings are saved automatically. Now run a data a export. To alert persons using only the F24 push notification device, go to All devices and limit your configuration by checking No No, then save F24 push notification in Alarm- specific device use. All further settings in the alarm (e.g. report type, expected number of digits in confirmation entry, etc.) can be entered as usual and will be applied during alarm procedures in the new F24 push notification device type. Under Attach messages as voice file, you can define whether you wish to send a voice message using F24 push notification. This enables you to send a (variable) message recorded during alarm activation to persons alerted by F24 push notification. Note: The configuration also converts fixed voice messages, i.e. your entries in Message text for voice messages are automatically converted into speech by the TTS function and attached to your f24 push notification message as voice files. 6

7 Step 4: Creating a message text for the F24 push notification device d General: You can enter and save your message in the Message text for e / fax / F24 push notification box. The text is then used for all three device types. Specific configurations: You can add the Time stamp text module to your message text under Basic configuration. You can also attach a recorded message to your message; the attachment will also be transmitted by F24 push notification. To add a further attachment (e.g. text file or PDF) to your message, assign the corresponding file to the message in the Documents Documents tab and activate Transmi Transmiss- sion via / F24 push notification. The alarm monitor is a useful tool that provides real-time information about the progress of your alarm. When an alarm is activated the alarm monitor immediately starts to list all current actions and status reports automatically. The F24 push notification device is included in the alarm loop irrespective of its priority. The following status messages are shown for the F24 push notification device: Not notified: This person was not included in the alarm because the required number of persons was already reached (two-of-ten principle) or a person with higher preference status was available. Not contacted: The system made a dial attempt, but connection was unsuccessful (e.g. the number is not registered in the TrustCase app). If multiple devices are used in alerting, FACT24 attempts to contact the person on other devices. Sent: This status informs about transmission of the message to the TrustCase app using F24 push notification. However, this status does not confirm that the recipient has actually received or read the message! For example, the recipi- 7

8 ent may have switched off their mobile phone, deinstalled the TrustCase app or have not yet sent confirmation. Contacted: The alerted person has confirmed receipt of the message. This status report is also shown in cases with the configuration "Automatic confirmation". The alarm log book contains a final detailed report on all activated alarms like your alarm report and a cost overview for the individual alarms. As for all other devices, the log includes documentation of the time of alerting (including connection details) and the time of confirmation (including response input) of the alerted person for F24 push notifications Note: As F24 push notification only involves data transmission, no connection fees apply. 8
