3 Executive Summary UTAS Mobile Devices Abroad Guideline This Guideline is for those staff traveling overseas with a mobile device. Specifically iphone and ipad, but not limited to. For other types of mobile devices, similar settings should exist within the device s settings pane. REQUIRED to understand before travelling with a UTAS mobile device: Please read and understand the following Usage Guidelines before reading on. More information For further information, please contact: Tim Lennard tim.lennard@utas.edu.au Main Settings ipad Settings Cellular Data iphone Settings General Cellular Cellular Data (ON-OFF) When off, the device is only capable of phone calls and SMS messages through the SIM card, no internet traffic including Enable 3G (ON-OFF) iphone only When off, the phone only operates on the 2G and GSM network. This drastically improves battery life, but limits the phone to these slower signal technologies. Phone, SMS still operates as normal. and internet works, but very slowly. Data Roaming (ON-OFF) When off, the device will not use any internet service (including ) whilst overseas. Phone and SMS will continue to work. This is similar to Cellular Data switch, but specific to overseas usage. This setting is not visible when Cellular Data is OFF. When on, the device can use internet services. This is the main cause of high bills on the phone accounts. This data can be subsidised with the International Data Packs (discussed further down in this document) International Data Packs These packs subsidies the data costs for roaming charges. These packs last for 30 days and MUST be organised and applied before you leave. If leaving for more than 30 days, multiple packs can be purchased. Requesting a data pack can be done by ing service.desk@utas.edu.au with the mobile number (ipads have mobile numbers too) and dates of travel. 3 UTAS Mobile Devices Abroad Guideline (February, 2013)

4 International Data Packs ONLY APPLY to the following countries: UTAS Mobile Devices Abroad Guideline Canada, China, Fiji, France, Germany, Greece, Hong Kong, Hungary, Indonesia, Italy, Japan, Malaysia, Netherlands, New Zealand, Philippines, Singapore, Slovak Republic, South Africa, Spain, Switzerland, Taiwan, Thailand, United Kingdom, United Arab Emirates and USA. You can choose from the following International Roaming Data Packs: One off charge Included Allowance $29 $150 $85 $450 $160 $900 $350 $2,250 $550 $3,750 $1050 $7,500 $1800 $15,000 The included allowance is what absorbs the normal charges. If the country you are going to is not listed above, the packs are useless to you. Instead, the following recommendations: For iphones, turn off Cellular Data, and only use the phone for emergency calls. Additional costs are still incurred for RECEIVING calls and SMS. For ipads/tablets, purchase a prepaid MicroSIM for data usage. Use Wi-Fi networks where possible. Whilst on Wi-Fi networks, utilise VoIP apps such as Skype. Adding credit to a Skype account can be helpful, but be sure not to use cellular data for this. Including those not available on the International Data Packs On the day that you travel, just as you are at the airport, you can reset your iphone or ipads internal usage statistics by going to: Settings Usage Cellular Usage Press the button Reset Statistics By resetting your stats at the start of your trip you can get an accurate usage idea of data used. 5 Other Settings Calendar Time Zone Support (ON-OFF) This setting ensures that calendar events reflect the time on the device, not the local country s difference. Example a 5PM event created in Australia on your calendar will show as 5PM on the device, and not 3PM Hong Kong Time ipad & iphone Settings Mail, Contacts, Calendars Time Zone Support Fetch New Data Push OFF, Fetch Manually This setting means that you will not be notified of new s, you will need to check them manually, turn on Data Roaming to use SIM data. ipad & iphone Settings Mail, Contacts, Calendars Fetch New Data Use Cellular Data (ON-OFF) for itunes purchases. When On, Apps, ibooks, Magazines, and other itunes Store purchases CAN be downloaded via the cellular data ipad & iphone Settings itunes & App Stores Important Notes and Tips If possible, connect to Wi-Fi networks to collect your s and browsing when abroad. When connected to Wi-Fi, all internet services are available, regardless of any of the above mentioned settings Ensure that you are signed in to the icloud panel (Settings icloud) and Find My ipad/iphone is enabled. Signed in with your UTAS based AppleID. o Do NOT turn off Location Services. Turning it off will prevent the device from being found and recoverable if lost. (We have had devices lost overseas before) Ensure that your PIN code is enabled and the setting for erase data after 10 failed attempts is also on. iphones and ipads will not download attachments larger than 1MB on cellular networks, be warned though, 1MB when traveling to Denmark for example will cost $15.36AU BEFORE leaving UTAS, on your iphone/ipad, in the Mail App, open the folders that contain s that you may want to take with you o By default, only the INBOX is kept up to date, the moment that you open another folder is the moment that it will download its contents. o Opening/browsing to folders before you go, utilises UConnect or Wi-Fi to download the contents and they will remain available offline. o A dashed line around an attachment indicates the attachment is NOT downloaded to the device. Use UConnect or Wi-Fi to download attachments you know you may need before leaving UConnect. Buying a local prepaid SIM can be a good way of being able to use ipads and cellular data whilst overseas. o Taking out your Australian MicroSIM is a good way of not using the data. o Buying SIMs for your phone is not recommended as your phone number will be different and you will be un-contactable. Also most phones are locked to their original carrier. ipads are not locked. Pairing the ipad to the iphone in hotspot fashion will allow the ipad to use data from the iphones account, but be VERY careful doing this, because the ipad believes it s in a Wi-Fi network, it will not self-restrict downloads. 5 UTAS Mobile Devices Abroad Guideline (February, 2013)

6 Responsibilities Staff are responsible for ensuring that international roaming is enabled on their phone service. By default staff mobile accounts are NOT enabled with this. An approved from manager to the IT service desk will ensure that the service is activated. Staff are also responsible for selecting a suitable international roaming pack/plan. If they are unsure about their usages, they can contact the service desk.
