1 VoiceGate Technologies Voice Mail An Auto-Attendent Project-1 : (Product Note) Product Overview: Voic (or VMS, sometimes called messagebank) is a centralized system of managing telephone messages for a large group of people. The term is also used more broadly, to denote any system of conveying voice message, including the answering machines. Voic messages are stored on hard disk drives, media generally used by computers to store other forms of data. Messages are recorded in digitized natural human voice similar to how music is stored on a CD. To retrieve messages, a user calls the system from any phone, logs on using touchtones(clearing security), and their messages can be retrieved immediately. Many users can retrieve or store messages at the same time on the same voic system. Many voic systems also offer an automated attendent facility. Automated attendants enable callers to a main business number to access directory service or self-route the call to various places such as a specific department, an extension number, or to an informational recording in a voice mailbox, etc. Telephone Answering mode: One of the advantages of a PBX is its ability to forward calls. If a person is using his phone or does not answer it, calls to his extension are forwarded automatically by the PBX to another extension, presumably someone (like a secretary) who can answer the call and take a message. With a voic system installed, the PBX is

2 programmed to forward busy or unanswered extensions to a machine the voic system. Suppose an outside caller, calls someone in a company. If phone rings "no answer" or "busy", the PBX will forward the call to the voic system. Somehow the PBX needs to tell the voic system that phone is the one that the call is being forwarded to so that the voic system can answer one s personal greeting. Without this information, the voic system would have no idea whose phone it was answering. Once a message is left, the voic system illuminates the message waiting light on ones s phone. It does this by sending a signal to the PBX to tell it which light to light. When the concerned person returns to his desk and calls the voic system (or calls in remotely) he is presented only with the messages in his personal mailbox even though thousands of messages belonging to other people are stored on the same system. Once the messages are played, the voic system signals the PBX to turn off the message waiting light on the phone. How voic system works This section describes how the original style, standalone, voic system worked with a corporate PBX. The principle is the same with Central Office Switches (CO Switches) or Mobile Telephone Switching Office (MTSOs). More modern voic systems work on the same principle, but some of the components may be shared with other systems, such as systems. Voic systems contain several elements shown in the figure below: A central processor (CPU) which runs the operating system and a program (software) that gives the system the look-and-feel of a voic system. This software includes thousands of pre-recorded prompts that speak to the users as they interact with the system; Disk controller and multiple disk drives for message storage; System disks which not only include the software above, but also contain a complete directory of all users with pertinent data about each (name, extension number, voic preferences, and pointers to each of the messages stored on the message disk that belong to them); Telephone interface system that enables many phone lines to be connected to it

4 The drawing below shows how the voic system interacts with the PBX. Suppose an outside caller calling an extension The incoming call comes in from the public network (A) and comes into the PBX. The call is routed to the extension (B), but B doesn t answer. After a certain number of rings, the PBX stops ringing B s extension and forwards the call to an extension connected to the voic system (C). It does this because PBXs are generally programmed to forward busy or unanswered calls to another extension. Simultaneously the PBX tells the voic system (through signaling link D) that the call it is forwarding to voic is for B s at extension In this way, the voic system can answer the call with B s greeting.

5 The caller s message is digitized by the Telephone Interface system and transmitted to the Disk Controller for storage onto the Message Disks. Some voic systems will scramble the message for further security. The CPU then stores the location of that message in the System Disk inside B s mailbox directory entry. After the caller hangs up and the message has been stored, the CPU sends a signal to the PBX through the link (D) instructing the PBX to turn on the message waiting light on B s phone. Voic Features: In its simplest form it has only the functions of an answering machine using a standard telephone handset for the user interface, but it can use a centralized, computerized system rather than equipment at the individual telephone. Voic systems can be much more sophisticated than answering machines in that they can: Automatically Attends many phones at a time Dynamically suitable for all types of PBX Variable selection of parameters and all types of Tone settings Suitable For More than one company/organisation which can operate simultaneously without any interference to each other Message Recording, playing back to the user,retrieving and storing. Enable users to register their extensions,passwords along with their personnel mail ID s and designation Secured authentication for each and every mail box numbers Routes calls to third party users like company operators during working hours and Non working hours Flexible provision of announcement of holiday greetings and company greetings automatically played by Automated Attendent Personnel options---- a user can record his personnel greeting message or spoken name during out of office, one can change his own password by even calling from outside to office through IVRS option. Company Telephone Directory---Users from outside who ever wants to call an extension in a company may don t know the extension numbers.for those persons they can choose the telephone directory option by dialling the names

6 of the persons they wish to speak and can reach the extensions. Users can dial either the first name or last name of the persons. Suitable with irrespective of the telephone digit length Message Lamp Indicator---- Indicator to every user which indicates that there is a new message in mail box by glowing a lamp over the digitalized telephone.this feature is applicable to all types of digitall phones Night message:---during Non working Hours of the company automated attendent plays night message as announcing working hours of the company Night mail box Records the personnel and official messages and stores in their respective mail boxes,so that the users can retriew them after they login Call forword Mode---Enables the users to record the messages on forwording from the Voic autoattendent Reviewls date and time of each and every message which has been recorded Capures fax on an incoming band signal to a company from different places and stores in the respective mail box in the form of TIFF file format Unified Messaging Service----(UMS) Voice Mail System sends fax and messages to users mailid S and to their Mobile phones as notification by SMS a special dial tone, or using Caller ID signalling. Adds a voice introduction to a forwarded message incoming voice messages in personalized mailboxes associated with the user s phone number enable users to forward received messages to another voice mailbox Provides Call reports to the company or organisation as on demand for date and time of each call separately and on each user and also call count for tracking calls received on each day on each type of call. ****************

8 Hospitality industry In the hospitality industry, a property management system is a computerized system used to manage guest bookings, online reservations, point of sale, telephone and other amenities. Hotel property management systems may interface with central reservation systems and revenue or yield management systems, front office, back office and point of sale systems. There are many different types of property management systems available, but a user/business will want to work with the different companies to determine which property management system best fits their needs.

9 Voice Mail has provided an iterface by an integration of Property management System as an multi level auto attendence. Application 3: Fax Mail Service A fax is sent via the Public Switched Telephone Network (PSTN) to the fax server, which receives the fax and converts it into PDF or TIFF format, according to the instructions of the user. The fax is then transmitted to the Web server which posts it in the Web interface on the account of the subscriber, who is alerted of the reception by an containing the fax as an attached file and sometimes by a message on their mobile phone. Voice Mail System can send and receive Fax in 3 types. They are : 1) Fax Receive with in organisation based on the userid s 2)Fax Receiving from outside trunk 3)Fax sending to outside trunk (or) Fax service as a multi user accessing unit which is also known as Client server Architecture. Client Server Fax Architecture When ever multi users want to send fax to outside trunk simultaneously they can use this application with this integrated fax architecture. Every user can use a client side application for sending fax.

10 Every user has to login with their user id and password and can send fax to the server from which fax will be dialed out to the destination via trunk. Currently Working Applications : 1)Fax receiving on Synway hard ware using fax resources 2) Fax Sending on Synway hard ware using fax resources as an client server architecture.

11 3)Call transfer to mobile phone associated with time duration and night mail box analysis and message recording during non working office hours, intimating a user by sending a mail and also as an SMS using GSM modem.
