2 1 PREREQUISITES Please ensure the following items are provided and accomplished and information is submitted to Nevotek as described in this document prior to deployment of Nevotek V/IP Connect. This will reduce the time necessary for deployment substantially. While installing OS for the Nevotek application, create only one partition as C drive, and allocate all available hard disk space to this drive. It is compulsory that an antivirus application of known brands of such as: Norton, Trend Micro etc. is installed before V/IP Connect installation. All Nevotek folders must be excluded from regular scheduled scans. There should not be any irrelevant software or databases installed on the V/IP Connect Server. (Proxy, printer server etc.) V/IP Connect Server should be located on the same subnet with the Communications Manager (CUCM). If they are on different subnets, then the related TCP and UDP ports must be enabled on the firewall. An SMTP/POP3 Server IP address must be provided and Nevotek Server must be given access to the server with relay privileges. (Firewall settings that may limit access should be removed.) This is required for alert messages; for preventive maintenance. IP phones must be installed (at least 2 s for guests, 1 for operator, 2 s for admin) PMS connectivity must be completed and PMS engineer is required to be available on-site from the 2nd. day onwards, Nevotek V/IP Connect Production Server must be up and running, If analog telephones are to be used, the vg224 and vg248 devices that will be defined for the system must be configured with SCCP protocol. Network connectivity must be configured, Internet Connection is required for the following services: o Weather Service (weather.com) o Airline Information (travelocity.com) o News Headlines (RSS Feeds like cnn.com, bloomberg.com, reuters.com, etc.) o Currency Converter (currencysource.com) Some examples of V/IP Connect online Services are listed below. (Some of these domains may require subscription.) Domain names should be enabled on Firewall for V/IP Connect Server. 3 Reuters.com VIP Connect server should not be a part of corporate domain. The local administrator user and password must be provided. Web access must be enabled for s from the Property on CUCM side. 2 Recommended Hardware/Software A dedicated Server must be allocated as Nevotek Server. There should not be any irrelevant software or databases installed on the Server. (Proxy, printer server, etc.) In general, below are the generic hardware/software requirements of a Nevotek V/IP Connect Server. Hardware requirements for up to 600 users/subscribers: One server Intel Based Hardware Intel Xeon L55XX Series 2.26 GHz 8 MB CPU (advised minimum) 12 GB memory (advised minimum) Two 250 GB SAS disks with Raid-1 (advised minimum) Fast Ethernet connection (1 Gbps) Standard display, keyboard, mouse Redundant Power Supply (recommended) Microsoft Windows Server 2012 Standard Edition Microsoft SQL Server 2012 Standard Edition Microsoft SQL Server users Client Access License ( CAL ) Microsoft SQL Server 2012 SA password must be provided Hardware requirements for 600+ users/subscribers: Dual Ethernet Cards (First card to run SIP Trunk for voic services and the 2 nd for wakeup services) NOTE: Only VMware virtualization is supported. 4 Please provide Nevotek following information: PMS 1. Brand&Version of PMS 2. PMS communication port number, user name&password 3. What will be the value of markup (profit coefficient) applied to the guests and staff when they call anywhere? (if applicable) 4. Tariff information/rates must be sent (and keep us informed about your telecommunication carrier company.) 5. PMS-Nevotek Interface must be installed on the PMS server. 6. If the PMS System is Opera (Micros Fidelio), Fidelio-Nevotek Interface software must be installed on the PMS server. Fidelio-Nevotek Interface: NAME: Nevotek Call Manager Part no: MF FKT Logo: NEV NOTES: FIAS, TCP/IP supported 3 OPERATIONAL INFORMATION 3.1 Organizational Structure and Dialing Plan (Both Guest and Admin) You can define unlimited number of organization levels. The lowest level is the Extension. Extensions should be linked to Rooms (one level above). The highest level is the Division. 1. The levels/departments of the organization. 2. Room numbers as they would be defined in the system. 3. Extension numbers for each room and for the admin staff. Is there a prefix for guest or admin part? 4. Fill out the attached Excel files (Room No-Extension-User List, Staff List and Minibar List). Room No-Extension-User List has two sheets to be filled, ROOM NO-EXTENSION will be filled out to list the rooms and extensions, HOTEL STAFF will be filled out to list the hotel staff. 3.2 Room Status CODE NAME PASSWORD DEPARTMENT_CODE 1111 Saly 1111 Maid 2222 John 2222 Minibar Staff List example Provide us your room status codes and descriptions as configured in the Property Management system. 5 3.3 Minibar Items Provide minibar item codes and their descriptions that will be used in the hotel environment (if applicable) Find attached excel file named Minibar List and fill out the list by entering name of the items and their prices. (See attached Minibar List file). DESCRIPTION PRICE Cola Water Chocolate Minibar List Example What will be the value of markup (profit coefficent) applied for the guests when they use any minibar item? (if applicable) If there is a list of maids doing minibar services, attached Staff List document (See attached document) should be filled and sent. 3.4 Hotel Guide and City Guide You can define as many different categories as you want in the Hotel Guide and City Guide. Some category examples for Hotel Guide are: Restaurants, Room Service, Swimming Pool Some category examples for City Guide are: Cinemas, Shopping Centers, Airlines. Provide us the details of Hotel facilities and the information you want to to be included in the Hotel Guide and City Guide. 3.5 Communications Manager (CUCM) Nevotek V/IP Connect interacts with CUCM for various purposes; one of these is wake-up calls. It is achieved using CTI ports on CUCM through Telephony Service Provider (TSP). Current TSP version in CUCM is installed to VIP Connect server and a CTI port user is created as Application User and assigned to Standard CTI Enabled group in CUCM to control CTI ports. Normally, minimum 15 CTI ports are enough for delivering wake-up calls to medium sized organizations. In addition to CTI user, a phone user that controls phones is also created and assigned to Standard CUCM Super User Group. All the phones must be associated with that user. 1. What is the Version of CUCM (and the Service Release applied)? 2. CUCM username and password? 3. CTI Port Numbers that will be used by the Nevotek VIP Connect (at least 30 CTI Ports are needed) NEVOTEK-The IP Convergence Company Page 5 of 9

6 4. Is the CUCM fully configured with all extensions and users? 5. Are the CUCM functionalities like FAC or CMC going to be used? 6. What will be the directory number(s) for operator? (If you use a hunt pilot, please also keep us informed about hunt pilot number). 7. What will be the names of the partitions and CSS and keep us informed which of them will be used for check in/out issues? 8. Is there any defined dial out digit to call outside (0, 9, etc.)? 9. What is the available line range in CUCM to create CTI ports related to voic issues? 10. What is the fully described version of the CUCM (ex. 4.2(3) SR1)? 11. What are the types of the phones at guest rooms, admin side and front office-operator- and what are their firmware versions?(use tables given in 3.6 Constraints If the CUCM needs to be re-started, make sure that VIP Connect collects and processes all records before re-starting the CUCM. This is needed for the accurate processing of the Transfer and Conference records. CTI Ports are being created without any Calling Search Space or Partition on CUCM. If s in organization are associated to different Calling Search Spaces and / or Partitions then CTI Ports must have permissions to make calls to the s in organization. In this case CUCM Administrator must configure CTI Ports to make call to all s in organization. If Extension Mobility will be used in your organization, VIP Connect Phone Services should be subscribed on CUCM User Profiles manually. Otherwise Services will not appear on s. 8 13. In which order do you want to see the guest data appearance sequence on the phone display? (Ex. Title +Surname, Name +Surname etc.) 14. What will be the amount charged to the guests when they use Send an E- mail Service by using phone menus? 15. SMTP Relay SMTP server must be configured to relay the send-an- service and the system alert messages transparently we would need the IP address of SMTP server. 16. Send us some pictures (about hotel, its restaurants and facilities.) that will be shown on the phone display. (The pictures should be in.jpg,.bmp or.png format.) PNG File Requirements for Custom Display Images Each display image requires two PNG files: Full size image: Version that appears on the on the phone. Thumbnail image: Version that appears on the screen from which users can select an image. Must be 25% of the size of the full size image. 9 4 DEPLOYMENT TIME V/IP Connect deployment takes minimum three days depending on the environment readiness and the size of the implementation. Nevotek VIP Connect server should be ready with the OS installed and Network configured to start the installation prior to on site implementation. Upon completion of installation, All related Technical Staff must be available on site to attend the Training. Authorized customer manager must be available on site for acceptance tests and signing off the Acceptance document. For post-installation support and for preliminary checking remote access must be provided to the system. Please send us connection information. As the requirements given above are general guidelines, Nevotek strongly advises to consult with Nevotek Staff while planning the final server specifications.
