2 Regulations Before connecting to the network, you should familiarize yourself with the regulations for computing use at SGUL. All activity arising from your computer while it is connected to the VPN Service is subject to the same conditions of use as when using wired University computing facilities. When using SGUL computing facilities, you are bound by the Regulations for Use of Computing Facilities and the JANET Acceptable Use Policy. Links to these can be found below. - The VPN service should be used for academic work only. - You MUST type your password each time you use the service. Do not use the remember password facility, as cached passwords on your computer are a security risk. - You MUST have up to date antivirus software installed. - You MUST apply the latest security updates to your operating system. - You MUST run personal firewall software. - Devices found to be infected with viruses or out of date service packs will be quarantined or user access disabled. Regulations for the Use of Computing Facilities: JANET Acceptable Use Policy Please note that when you are connected to the VPN, ALL internet traffic is routed through the VPN. Therefore, please restrict your online activities to those necessary for your academic / SGUL work only. Prerequisites You must make sure you are registered to use the Janet Roaming Service. 3 Setting up the VPN Connection 1) Right click on the Network icon in the system tray (usually in the bottom right corner of your screen), then Open Network and Sharing Center. 2) Click Set up a new connection or network.

4 3) Click Connect to a workplace, then click Next. 4) Click Use my Internet connection (VPN)

5 5) Fill in the next window as shown, then click Next. STUDENTS: Use the address vpn.student.sgul.ac.uk 6) Type your full SGUL address (as shown in the JRS confirmation you received when you registered) and your usual SGUL password. Leave the Domain box empty. Click Next.

6 Windows will try to connect to the VPN. 7) Once it connects, it will show you this window. Click Close you are now connected! If you are experiencing difficulties, please see the troubleshooting page at the end of this guide.

7 Mapping Network Drives Once you have established a connection to the VPN, you can map any network drives you require access to. 1) Open Computer, either from the Desktop, or the Start Menu. 2) Click the Map Network Drive button.

8 3) The following window will appear. Complete it as follows: - Drive is the letter the drive will be mapped to. It s best to use the same drive letter that you use on your SGUL computer. - Folder is the path to the drive. If you don t know what this is, contact the helpdesk. - Reconnect at sign-in should NOT be ticket. - Connect using different credentials SHOULD be ticket There is a form at the end of this guide you can complete so you have a reference of your network drive letters and folder paths. 4) Click Finish once you have filled in the details.

9 5) You will be prompted to provide your username and password. These are your usual SGUL username and password, however you will need to prefix your username with SGULAD, as shown here. Click OK when you ve typed in your details. After a moment, you should see the contents of the network drive. If you have further network drives to map, go back to step3.

10 Disconnecting a Network Drive NOTE: Before disconnecting from a network drive, be sure to first close ALL programs that are using files located on the network drive. Failure to do this may result in data corruption. 1) Open Computer, either from the Desktop or the Start Menu. 2) Right-click on the network drive you wish to disconnect. 3) Click Disconnect. After a short delay, the drive should disappear from the Computer window. Repeat these steps as required for other network drives. Once you have finished, you can disconnect from the VPN see the next section for instructions.

11 Disconnecting from the VPN NOTE: Before you disconnect from the VPN, you MUST disconnect any mapped network drives FIRST. See the previous section above, Disconnecting a Network Drive for instructions. Failing to do this may result in data corruption. Once you have disconnected any network drives: 1) Click the Network icon. 2) Click SGUL VPN, then click Disconnect. 3) You ll see the Connected text disappear once this has gone, you are disconnected from the VPN.

12 Removing the SGUL VPN from your computer If you want to remove the VPN connection from your computer, follow these instructions. 1) Right-click the Network icon. 2) Click Change adapter settings. 3) Right click on the SGUL VPN icon, then click Delete. The icon will disappear the connection has been deleted!

13 Troubleshooting Blocked Connection Use of a VPN is often classed as a business activity by internet providers. As you are likely to be working from home when you use the VPN, you may find that your internet provider blocks VPN access, as they do not consider it to be a suitable use of a home internet connection. The SGUL Helpdesk has received reports of VPN connections being blocked from hotel and airport internet connections. Unfortunately, there is nothing we can do about this as we are not responsible for those internet connections, we have no way of overriding any blocks on those internet connections. Additionally, some home wireless routers block VPN connections. This can sometimes be resolved by manually configuring your router to allow the connection however, this is a very technical task and you should only attempt it if you know EXACTLY what you are doing. The SGUL Helpdesk cannot provide you with any assistance in any way, and it is likely that your internet provider will not be able to help either. If you know how to configure your router, enable Port Forwarding to your computer s IP address for ports 47 and 1723 (TCP). If may help to assign your computer the same IP address so you don t have to reconfigure the port forwarding every time your router assigns your computer a new address. Direct Access If you work from home on a regular basis, you may want to consider asking your department to supply you with an SGUL configured Windows 7 laptop. SGUL Windows 7 laptops are supplied with Corporate Connectivity / Direct Access, which provides a seamless connection to the SGUL Network and its resources, as long as the laptop is connected to a reasonable speed internet connection. You can access your network drives and on-site resources such as printing to the central printing system. It also allows the IT Helpdesk to provide you with some support while you are working at home, including Remote Assistance, which you may have experienced on your SGUL Desktop PC. Usernames Assuming the VPN connection has not been blocked by your router or internet provider, the most common problem we see at the IT Helpdesk is an incorrect username or password. Your username is your SGUL address, and is confirmed in the sent to you when you registered for VPN access (JRS). If you are having problems connecting, you can try using just your username (without If you have recently changed your SGUL password, you may need to re-register for the VPN. You can do this on the portal here: This problem can also occur when users try to map network drives and provide an incorrect username. For the network drives, your username is SGULAD\username. Using anything else may not allow you access! Slow Internet You may notice that while your computer is connected to the VPN, the internet seems to be very slow. This is a characteristic of using the VPN. While your computer is connected to the VPN, ALL internet traffic is sent via SGUL s servers. Therefore, please try and restrict your internet browsing to work/sgul-related pages only. 14 Network Drives List Use this table to note down the paths for your network drives. If you re not sure of the folder paths, visit the IT Helpdesk (Jenner Wing, Ground Floor, end of Corridor 4), or call x5435. The home drive (H:) and the SGUL drive (N:) have already been completed for you. Tips: - Note that paths, usernames and passwords are all case sensitive. - You don t need to map ALL of the network drives; only the ones you need. - When connecting to a network drive, don t forget to type in your username in the format SGULAD\username and use your normal SGUL password. - Don t forget to close programs and disconnect from the network drives once you ve finished! Drive H: N: Folder Path \\homes1.sgulad.sgul.ac.uk\<your username> \\data1.sgulad.sgul.ac.uk\sgul Other network drives will follow the same format as above but will most likely use the shares1 server. For example: \\shares1.sgulad.sgul.ac.uk\<drive_name>
