1 University of Northern Iowa RFP Q9319 Addendum #2 November 7, 2016 Please note the following change to the RFP document: Receipt and Opening of Proposals should be changed to the following: Proposals are to be submitted in an envelope, box or package labeled RFP Q9319. Proposals must be received by Procurement Services, 122 Lang Hall, Cedar Falls, Iowa , by 3:00P.M., CST, on November 22, Any proposal received after the time specified for the receipt of proposals may not be considered and may be returned unopened to the sender as non-responsive. One original and one electronic copy of the proposal are to be submitted to Procurement Services in response to this RFP. Please review the following Vendor questions submitted to UNI: 1. Please provide the exact release number for each Avaya application (e.g., system manager, Session managers, AES, WebLM, SAL/Diagnostic server) that will be upgraded to Aura 7.1 as part of this scope. Section states Upgrade servers CM from physical servers to vm, system manager, Session managers, AES, WebLM, SAL. Are System Manager, Session Managers, AES, WebLM, and SAL currently deployed as VM s, or do they need to be migrated to VM s as part of this project scope? Yes they are all VMs 3. Please provide a list of all adjunct equipment and versions that are being used today, including non- Avaya. 2 4. Section states All analog and digital lines will be moved to G450 and G650 prior to engagement. Does that include the PRI trunks or is are the PRI trunks being referred to as digital? PRI trunks will also be moved. 5. Section states Decommission old hardware (MCC, SCC) and switches (Cajun). Who will be responsible for disposal of the decommissioned hardware? UNI will dispose of equipment. 6. Section states UNI desires assistance to evaluate data center network to accommodate a single CM pair located in physically separate data centers. Can you confirm that the desired architecture is CM A in data center 1 and CM B in data center 2 with software duplication? Or would CM B be configured as a Survivable Core? UNI is not familiar with software duplication; we are not interested in survivable core at this time. 7. Section states Configuration of 20 SIP handsets and 10 SIP softphones 9611G and polycom. What is the model number of the Polycom SIP handset? IP Section states Provide and configure ATA device for fax and modem devices. How many total fax and modem devices need to be supported by the ATA? Do all fax and modem devices terminate into the same wiring closet? If not, please specify the number of fax and modem devices per wiring closet. Prefer a single line ATA that would be located with the fax machine. We d like 2 of these units. 9. Section states Provide 3 contracts of support for each option and item. Can you clarify this requirement? It seems that the required Avaya support and hardware maintenance terms are specified in section , so I m not sure what contracts are being referred to in should be deleted. 10. Section how many administrators will be participating in each of the requested training sessions? Does training need to be provided on site, or can it be remote? Up to 4 for knowledge transfer. It can be remote. Up to 3 for the training. 11. Can you provide a network diagram showing the current connectivity between the CM and the MCC/CSS and a diagram showing the desired connectivity without the MCC/CSS? UNI Response Existing CM is connected via Cajun switches to IPSI cards on MCC1. CM is also connect to Campus LAN. Media resource cards are also connected to campus LAN Future state diagram is attached.

3 12. Is remote access available, or does all work need to be performed on-site? Remote access is available. UNI doesn t expect any onsite work. We have phone techs on staff. 13. Will you authorize access to your system records through Avaya s automated Letter of Authorization process using the Customer Authorization Tool (CAT)? Yes 14. If not, please provide the following reports: a. List config all b. List Trunk c. Display capacity d. Display system-parameters customer-options e. Display feature-access codes f. Display node-names ip g. Change system-parameters features h. List cabinet i. List ip-interface j. List media gateway 15. Do you have an existing Call Center and if so, how many agent and supervisor licenses are existing today? 50 elite licenses; however, currently just using VDNs/Vectors/Hunt Groups for the call center configurations. An approximate license count of 73 FTE/Student agents (11 FTEs; 54 Students; and 8 occasional) and 12 Managers for the various call centers. 16. What applications is the AES supporting today? It s configured to support ESNA, but it s not currently used. 17. Section UNI has 3 remote locations connected by point to point and/or vpn? Are remote gateways at these locations today? If so, please identify which and do they have a survivable processor? No, none. 18. Please provide detail on your existing VMware clusters. Both clusters are Intel. GIL Specifics 2 hosts 14 cores 4 sockets 512MB RAM Storage consists of 2 Equallogic arrays with 15k disk. Total capacity is 9TB.

4 CBB Specifics 5 hosts 56 cores 10 sockets 1.75TB RAM Storage is Compellent contains Flask, 15k, and 7k disk. Total capacity is 138TB. 19. UNI is entitled to 3,800 CM license RTU. The RFP states approximately 3,460. Does UNI wish to only upgrade 3,460 or should we allow for 10% growth and upgrade all entitlements? UNI prefers to upgrade all existing licenses. 20. Section states: Provide 3 contracts of support for each option and item. Is this the same as Section ??? Re-cast existing support contracts terminating 8/31/2017 for 3 year term? Preference for the support cost to pro-rate the existing contract for the upgraded material codes through 8/31/ UNI requires configuration of already purchased G450 and G650 gateways and decommission of a center stage switch and multi-carrier cabinets. Can you please provide complete detailed list of all already purchased G450 and G650 gateways and equipment expected to be deployed. Each vm server farm will be located in a separate building connected by layer 2 switches. What is your VM platform? Vmware ESXI UNI runs system manager, two session managers, Application Enablement Server, on Avaya Aura 6.3. UNI also runs WebLM and Diagnostic servers. Are they supported on virtual or physical servers today? Virtual UNI has a mix of G650 and G450 gateways GIL 40 -PN1 MCC center stage switch Please provide detailed list of cards in MMC today. Is this Port Network the only legacy Avaya equipment needing replacement? -PN2 G650 Confirm this exist today? Yes -PN3 G650 Confirm this exist today? Yes -PN4 G650 Confirm this exist today? Yes exists, but not configured

Do you have other MCC needing removed other than PN1 MCC? How many SCC cabinets need to be replaced? Please provide detailed list of cards in the SCC cabinets today. No. None. 26. Does UNI have a WAN/LAN diagram? See diagram 27. Can we get the following reports out of the current system? display capacity display system-parameters customer-options list configuration all list configuration ds1 display communication-interface links list configuration software-versions display bulletin-board If possible, please set to append to existing file always so all reports are on one text file. (Only if using Avaya System Administration software). Normally vendors sign an LOA and are able to pull records. Let us know if you still need these. 28. Post upgrade what is the total number of stations plus spare licenses UNI would want, considering any future plans the University might have? UNI wants current license counts upgraded as specified.

6 29. The RFP mentions upgrading the current licenses to Foundation Suite and Mobility Suite under Avaya s new license structure these options would both migrate to the new Core Suite licenses. Upgrades to the older license structure are not allowed. If you have existing Foundation or Mobility Suite licensing they can co-exist with the new Core Suite licensing. UNI is only interested in Foundation Suite. 30. Section mentions the need for analog telephone adapters for fax and modem devices. Typically, these devices would be connected to analog ports on the G650 or G450 media gateways. This would be the recommended best practice for these devices. Are there some locations that would not have a gateway available or other reason causing the requirement for ATA adapters? Yes Is the software on the AES R6 or R7? R How is the MTS system connected to the switch? I.e. PE or Clan PE Are all of these Port Networks in the same room? If not, which ones are co-located? Yes, the media gateways are remote Do you want pricing to remove all the hardware? Who will move the lines to the G450 and G650 gateways? No, just to decommission PN1 with center stage switch. Lines are already migrated to G450s and G650s Which locations are currently connected point to point and does UNI want data switches to convert to IP connect? UNICUE, IWRC, Techworks. No What vendor is the VMWare CDW or direct from VMware. ESXi version Were these G650 s part of or are they new G650 gateways that need to be quoted and installed? No need for any additional G650; there are 2 G650s that need to be configured Will everything converted to Virtual Servers?

7 Yes Will the servers be duplex or simplex with ESS? Duplex Do you want a 1 year maintenance contract that will co-term with the existing maintenance contract? Pro rated is not an option on upgrades and new additions. Pro-rating the existing contract; if that s not possible for you, give your best alternate Depending on the existing software maintenance contract SA/UA or not. Core licensing may be the only option based on certain coverage. Is Core licensing acceptable? No Is all the g450 and g650 gateways already purchased? Yes 42. SBC s: Since you have entitlements to Avaya SBC s, do you want any SBC s? Will you need any SBC s to be configured? Are you looking at SIP trunking? Not at this time. 43. Pertaining to 3.1.5: What are your expectations for knowledge transfer? That s to be determined in the discovery workshop. 44. How many staff members would need class room training? Is virtual training okay? Yes 46. Would you like training to be included in the pricing? Or would it be a purchase after cutover? Line items would be best for training. 47. Does UNI require a pre-upgrade site survey consultation? No 48. (Reference RFP ) Does UNI require this consultation prior to the upgrade? No 49.
