1 MVWIB TELECOM RFP QUESTIONS AND ANSWERS AS OF 2 NOV 2016 Is there a preferred vendor (Cisco? ShoreTel? Etc) or a vendor that you wish to avoid? Our preference would be Cisco, but it is not a requirement. Are you looking for any integration with something like Skype or Google Apps? integration necessary at this time but useful integration suggestions can be mentioned in proposals. Does MVWIB have Power Over Ethernet switches for VoIP new VOIP phones?, MVWIB Does not have or use PoE switches. If required in your system, please include in your proposal, switch model and cost (including setup and config). What is the connection to the two locations (i.e. fiber, etc)? ne, we currently run on two separate networks, one of the networks is hosted by rthern Essex Community College. Would it be possible to get a list of the 17 local lines and what they are being used for on the Windstream account? We will only have 11 active POTS lines at the new location. We will not use 6 unused or underused POTS lines provided by Windstream. The POTS Lines being used are for Fax machines, Direct Trunk Overflow (one POTS line), and backup lines to PRI Trunk. What is the DID range, I see they have 100 numbers? Is there a PRI today, what bandwidth is it coming in on? T1 (23 Channels) What is there for a WAN? Verizon Direct/dedicated Internet Access Line and Comcast failover. What is the breakdown of the Windstream statement that is included in the RFP? $747 is the monthly phone charge. $ is the usage charge and it varies based on monthly usage. The other charges include $1190 for a Dedicated Internet Access line that is required by our connection to the State data network. That $1190 fee is best considered separately from our phone service. It is

2 best not to factor that fee into a phone proposal. In addition, we are discontinuing the $384 line item on the Verizon statement. Is the MVWIB under contract with their present network/internet provider (Comcast) or telephone service provider (Windstream, Verizon)? We are not under a contract Windstream. There is a 2 year contract with Comcast until Do you have available a layout on where your employees will be located (floor plan) at the new site (desks and people)? A draft floor plan can now be found on our MVWIB.org webpage. On the fourth floor, there will be one line per office; one in the conference room and five lines in the open space in front of the Youth Manager s office. On the first, 2 nd, and 3 rd floors there will be lines to offices, cubicles, and conference rooms etc. Please realize that the plans are DRAFT. Is the Ronco PRI under contract? If so, can MVWIB convert this service to Internet bandwidth (as hosted VoIP systems do not require stand-alone PRI telco services)? PRI is with Windstream and we are not under a contract at the moment. We could convert the PRI to a data circuit, we will need you to specify the type of data circuit(s) and bandwidth required. If you are proposing an On-Premise system, please include the requirements for the services (PRI Line? Cost Projection or Cost Estimates for the required service) Does MVWIB have an existing VMware ESXi environment?. What is Staff Comms integration? If this is CRM, is it SQL based? ne. CRM or SQL database.

3 NEW QUESTIONS AND ANSWERS as of 7 NOV 2016 When will bidders have a more definite answer on the move date? We expect to have a clearer schedule at the beginning of December but flexibility may still be necessary. Is the phone system for one building? Yes, one building at install time, but please insure the system has the capability to expand to another building at a future time. What would you like the system equipped at install for, 80/20 or 100 phones? Quote for a 100 phones. What type of phones and quantity of each would you like proposed with the solution? 24 Button Phones = 72 8 Button Phones = 14 Polycom Conference Phones = 2 3 button UI Phones = 2 Reception Phone = 1* *The current reception phone has an additional 96 button module, however it is not being used, so this is not a requirement. There are a wide range of products and applications on page 13; Are any of these applications a requirement and need to be included in the response pricing? If so, which ones? Please clearly outline the costs per item on page 13, some of these items may not be required, but we will make that decision in-house. Some RFP questions seem inclined to benefit a predetermined vendor; is there one? There is no predetermined awardee. Please use the Other Items worth noting section at the end of each response section to provide alternative configurations, additional information, and support for what you favor if it/they vary from what is mentioned in the RFP. Is contact center a requirement or just need to know that the system has the capability of call routing and reporting? Contact center is not a requirement, but if that feature has an additional cost, please include the cost as a separate line item. How many conference rooms do you have and how many conference phones will you need? 2 Do you require page buttons on the phones?

4 Yes Do you have a queue system?, not required. Considering you are supporting two entities, will you require any call accounting applications?, account coding is not required. How many data closets do you have? 1 Are you looking for battery back-up?, we have an existing UPS Battery Backup System. Do you need wireless phones? Are the extended buttons located at the VWCC reception area being used? Do you use the state list COMMBUYS? Yes Where do the Telco and DMARC lines come in? Server Room is on the 2nd floor some circuits are in that room, and other circuits terminate in the basement side close to the alley between the building and city hall Is the MVWIB responsible for stations and wiring? Yes, wiring will be provided from the server room/telecom room to the individual offices and workstations. What is the current cabling infrastructure, i.e.: CAT5 CAT6? Current is a mix of CAT5 and CAT5e, the plan is to replace the CAT5 with CAT5e/CAT6 Is it single drop provisioning or will the phone have a separate drop? Separate drop.

5 Do you want us to provide PoE Switches or will you be providing? MVWIB does not have or use PoE switches. If required in your system, please include in your proposal, switch model and cost (including setup and config). Is there a Virtual environment in place? If yes, what is it? VMWare, Hyper-V? What is the connectivity, if any, between sites today? We currently run on two separate networks, one of the networks is hosted by rthern Essex Community College.
