2 Results File Format and Content The Results File is formatted as a CSV (Comma Separated Values) document and uses a flat file structure, with one facility and data element per row. The file uses the MoH s Facility Codes in accordance with the Facility Reconciliation. The file uses the MoH s Data Element Codes in accordance with the Indicator Mapping. 2

3 The Five Fields in the Results File 1. MOH_FacilityID MOH_FacilityID is the MoH s unique identifier for facilities as defined and used in the Facility Reconciliation exercise. 2. MOH_IndicatorCode This is the MoH s indicator code as defined in the Indicator Mapping exercise. 3. MOH_Disag MoH s disaggregation code will be used here as defined and used in the Indicator Mapping exercise. 3

Value This is the numerical result value of the respective indicator and facility, accounting for a full 12 consecutive month cycle, as specified by the period. 5. Period The date range for which the respective MoH value represents. The collection start and end dates should align to the COP17/FY18 reporting period (October 1, 2017 September 30, 2018). The period will be 2018Oct, in accordance with the DATIM date format. If data are available as quarterly or monthly, they should be summed to annual values. Important point: The order of the five fields above must remain as listed above. 4

5 Results File Template Please observe how the five fields are ordered: MOH_Facility_ID, MOH_IndicatorCode, MOH_Disag, Value, Period. 5

6 Results File Template This screenshot demonstrates the names (in columns F, G, H) to help you better understand what the IDs stand for. You do not need to include the name fields in the results file. 6

7 Results File Compiling How the file is generated and who should be involved in compiling the Results File will vary depending on your country s context. Who: This could involve a mixture of MoH and/or USG HMIS, Data Manager, M&E and SI specialists. How: Ideally the data reside in a single data repository at the MoH and can be generated using internal reporting tools. They may need to be compiled from multiple systems, or they may require some level of Extract Transform Load (ETL) or even MS Excel file manipulation. Contact your liaison if you would like assistance with your ETL process to pull data from your system. Note: If your country MoH uses a DHIS2 instance, you can find and use the useful queries found in the last slides of this document for data extraction from a DHIS2 instance. Please contact your liaison for assistance. 7

8 Results File Additional Considerations We have developed a DHIS2 self-service app that will allow you to upload the Results File on your own. Upon uploading, the app will verify the integrity and compliance of the file and provide the feedback. If the uploaded file does not have any errors, it can be imported into Geoalign to be reviewed. If calculations have been defined in the Indicator Mapping, then these will be calculated by the app upon submission. The Results File will not be expected to contain the calculated indicators, only the contributing data elements that are used to make up the formulas for the calculated indicators. 8

9 Useful Query for Data Extraction on a DHIS2 Instance Useful Steps for Data Extraction Step 1: Identifying appropriate periods It will be helpful to identify against which period types the data are stored for a given data element and disaggregation if you do not already know this. You can get at some of this information by using the query on the next slide. If this query returns only one period type for a given data element and disaggregation, obtaining the data should be straightforward. If there is more than one period type, you will need to research further or contact your counterparts at MoH to identify which data should be used for this activity. 9

Where it says WHERE name IN('ANC 1st visit','anc 2nd visit'), you will need to modify the portion in turquoise to reference the names used by your country s MoH DHIS2 instance s relevant data elements. This query will provide Period Types (e.g., monthly, daily) associated with data element and disaggregation combinations. It will include any disaggregations that exist for a data element. If you want to sort out irrelevant disaggregations, please contact the Support Team to put together a more specific query.
