7 Introduction This release guide documents Release of the Banner Student System. Release include regulatory updates, an enhancement, and problem resolutions. Enhancements for This document describes the following enhancements, which are new for Release GMAT Regulatory Updates This enhancement supports the regulatory changes made to the GMAT file for the reporting year for electronic prospects. These changes include use of an additional ID, new test scores, and a citizenship code. Alternate Grade Display This enhancement was originally delivered in the Banner Student release. Additional functionality is included in this release for use with incomplete grade processing in Banner Faculty and Advisor Self-Service. 9 1 GMAT Regulatory Updates Functional 1-TET0O5 Regulatory changes have been made to the GMAT file for the reporting year for electronic prospects. These changes will take effect on June 5, 2012 and are backward compatible to Banner Student 8.0. Warning Because of the extended field positions and new test scores, the layout of the file will change such that prior year GMAT files will not process properly once these GMAT regulatory changes have been applied. All prior year GMAT files should be processed to completion prior to applying these GMAT regulatory changes to the database. For additional information regarding these changes, please go to: The GMAT regulatory updates include the following changes to processing and the file layout: The Social Security number has been removed from the GMAT layout. A new GMAT ID number (additional ID) has been added that is unique to the student. New Next Generation GMAT Integrated Reasoning Test Scores are provided. The Middle Name field has been extended from one position to 30 positions. The State/Province field has been extended from two positions to seven positions. You can refer to GMAT.com for conversion code information. The Citizenship Code has been added. You can refer to GMAT.com for conversion code information. RPE 1-D7T4EJ is delivered with this regulatory update. Functionality has been added to the electronic prospect process to give users the option to load additional IDs to the GORADID table. The resolution to defect 1-13EQCRG is delivered with this regulatory update. 10 when SAT files were loaded with nation (NATN) names that were longer than 16 characters. Overview This section provides details on the changes made to the GMAT file. SSN not used The GMAT no longer provides the prospect s social security number. The SSN field name has been removed from SRATPFD for the Tape Code of GMAT. New GMAT unique ID number GMAT is providing a new GMAT ID number that is unique to the test taker. GMAT indicates that this number will follow the individual throughout his/her relationship with GMAC/GMAT. (RPE 1-D7T4EJ) A new ADDITIONAL_ID field name has been added to SRATPFD for Tape Code of GMAT. The ADDITIONAL_ID field name uses positions to load the new GMAT ID. The SRTLOAD process loads the GMAT ID or additional ID with a default additional ID type code of EPID. The default value of EPID is used for the additional ID type code, because GMAT only provides the GMAT ID number or additional ID, and the additional ID type code is required to update the GORADID table in Banner General. The sgtvadidi_ sql script is used to update the GTVADID table with the Additional Identification Type Code of EPID. The additional ID and additional ID type code are loaded to the new SRTIDEN_ADDITIONAL_ID and SRTIDEN_ADDITIONAL_ID_CODE fields on the SRTIDEN temporary table. New Additional ID Type and Additional ID fields have been added to SRAPREL to display those values for the individual when they exist. The value for the ADDITIONAL_ID is loaded to SPAIDEN in the Additional Identification block. The GORADID Banner General table stores the additional ID information. Please note that currently, GMAT is the only prospect file to confirm that the GMAT ID number they provide is unique to the test taker. Therefore, GMAT is the only baseline process to include the ADDITIONAL_ID field in its layout on SRATPFD as of April, However, as more organizations commit to using a unique ID, the 10 Banner Student May 2012 GMAT Regulatory Updates Functional

11 ADDITIONAL_ID field name can be added to the file layouts for other tape codes on SRATPFD. When this occurs, a unique additional ID will be loaded with a default value of EPID, unless your institution creates a new, unique value for the Additional ID Type Code field on GTVADID and chooses to convert that code on SOTCNVT for use with each new file format. In order to distinguish the origin of the GMAT ID or additional ID (or any ADDITIONAL_ID rule defined on SRATPFD), it is suggested that users create a new, unique value in the Additional ID Type Code field on GTVADID for GMAT or any other electronic prospect type. Your new GTVADID additional ID type code can then be converted from the default value of EPID on SOTCNVT, and you can associate or track the GTVADID additional ID type code and additional ID with the prospect type, which in this case is GMAT. It is important to remember that not all prospect organizations can guarantee that the ID reported is unique during their relationship with an individual over time. This could lead to a risk of having multiple additional IDs for an individual for a prospect type. Therefore, if you do not create a new GTVADID additional ID type code to be converted from the value of EPID for each prospect type reported, the EPID value will be used across prospect types. For this reason it is suggested you create and convert a GTVADID additional ID type code for each prospect type that includes an ADDITIONAL_ID record on SRATPFD. Note SPAIDEN and/or GORADID allow for the entry of the same additional ID type, as long as the additional ID is unique. When the additional ID type and additional ID are pushed to Banner, this functionality stays consistent with the form. It is recommended GMAT files and/or any files that provide an additional ID be loaded with a unique GTVADID additional ID type code. Example GMAT now includes the ADDITIONAL_ID field name on SRATPFD. 1. Access GTVADID Enter an Additional ID Type Code value of GMAT with a description of, for example, GMAT ID Save the changes. 2. Access SOTCNVT In the Key Block, select GMAT from the List of Values for the Interface Type field Enter ADID in the Validation Table Name field. 12 3. Go to the next block Enter ADID in the Table Name field Enter EPID in the Tape Value field Select GMAT from the List of Values in the Conversion Code field. The additional ID type selected from GTVADID for the conversion code will be converted by SRTLOAD from the default value of EPID and then be loaded to temporary fields in the SRTIDEN table with the conversion value. The additional ID type and/or additional ID data in SRTIDEN can then be viewed on SRAPREL. The converted additional ID type and/or additional ID data can be pushed to production (GORADID table) and is then displayed in the Additional Identification block of SPAIDEN. It is then clear that this GMAT additional ID type originated with a prospect file of type GMAT. Note If for any reason, your institution does not want an additional ID to be loaded to Banner, the ADDITIONAL_ID field name can be removed from SRATPFD. Also, should a unique identifier or additional ID be included on future files, you can add the ADDITIONAL_ID field name to SRATPDF at any time for the appropriate tape code. New additional ID type code A new Additional ID Type Code value has been added to the GTVADID form and to the GTVADID table column GTVADID_CODE. The value of EPID has a description of Electronic Prospect ID. 13 New field name for tape position rules A new Field Name value has been added to SRATPFD for the Tape Code of GMAT. The ADDITIONAL_ID field name has a description of Additional ID and is used in positions 290 to 301. If for any reason your institution does not wish to load the additional ID, you can remove the ADDITIONAL_ID field name from SRATPFD. Convert default value The SRTLOAD process also checks for a conversion of the default EPID value on SOTCNVT. The conversion value will be loaded to the SRTIDEN temporary table. Display of additional ID type and additional ID The Additional ID Type and Additional ID fields on SRAPREL display the data after SRTLOAD has been run, so it can be viewed before it is pushed to Banner from the temporary tables. Populate GORADID table The SRKPREL package loads the data from the SRTIDEN_ADDITIONAL_ID and SRTIDEN_ADDITIONAL_ID_CODE columns to the GORADID_ADDITIONAL_ID and GORADID_ADID_CODE columns when that data exists. 14 UPDATE ME, which is equal to N. The EDI and System Required indicators are unchecked (set to N). Before this rule is used, you need to change UPDATE ME to Y or N. Note The load and push of the additional ID uses the same functionality as SPAIDEN. You can enter the same additional ID type on SPAIDEN (in the Additional Identification block), as long as the additional ID is unique. This allows the update or loading of other additional ID types with code EPID, as long as the associated additional ID is unique. When the GMAT file and another prospect file are loaded, and both use the default additional ID type code of EPID, you cannot distinguish the origin of the value for the ADDITIONAL_ID field name. If you need to track the origin, you can create a unique additional ID type on GTVADID and then convert the EPID code on SOTCNVT to your selected GTVADID value for each electronic prospect type that uses an additional ID. It is recommended that this practice be followed, as only the GMAT currently provides a unique additional ID. This will also prevent duplicate additional ID types using EPID from being loaded to your system and assist in verifying the origin of the additional ID. Keep this in mind as you select the setting for the LOADALTID rule. When an additional ID is loaded to Banner, the process checks the LOADALTID rule for a setting of Y or N. This rule provides the option to load or not load and incoming additional ID when the same GTVADID_CODE exists with a different associated additional ID. The LOADALTID rule processes data as follows: The additional ID type and additional ID are always loaded when the additional ID type does not exist in the database, regardless of whether the rule is set to Y or N. When the rule is set to Y, the additional ID type is loaded when the additional ID type is the same, and the additional ID is different. When the rule is set to N, the additional ID type is loaded only if it does not exist for the individual (even if the additional ID is different). 14 Banner Student May 2012 GMAT Regulatory Updates Functional

15 The SRKPREL package checks the setting of the LOADALTID rule. When the rule is set to Y, SRKPREL loads the incoming additional ID for the same additional ID type, as long as the additional ID is different. When the rule is set to N, SRKPREL does not load the incoming additional ID for the same additional ID type. Migrate electronic prospects with additional ID The SRRPREL process has been modified to display the additional ID on the report output in the detail for each record. When the additional ID type and additional ID that are coming from the prospect file are loaded and/or already exist in the database, the additional ID is displayed for the individual on the report output, for example, When the additional ID type and additional ID that are coming from the prospect file are not loaded and do not exist in the database, the additional ID is displayed for the individual on the report output, followed by -NL, for example, NL. Middle name field The Middle Name field (field name NAME_MI) has been expanded from one to 30 positions (57-86) on SRATPFD for the Tape Code of GMAT. State/Province field The State/Province field (field name STAT_CODE) has been extended from two to seven positions ( ) on SRATPFD for the Tape Code of GMAT. Citizenship field name The CITIZENSHIP field name has been added to SRATPFD for the Tape Code of GMAT. Electronic Prospect Load (SRTLOAD) The Electronic Prospect Load (SRTLOAD) has been modified to load the new temporary additional ID and the additional ID type code values to the SRTIDEN table. The additional ID type code is loaded based on the conversion information defined on SOTCNVT. The process has also been modified to read the G09_TEST_SCORE and G10_TEST_SCORE field names and load the data to the SRTTESC temporary table. Temporary Identification Table (SRTIDEN) Two new columns have been added to this table. 27 4 Alternate Grade Display This enhancement was originally delivered in the Banner Student release. That information is summarized here, and new information is included for Release Please refer to the Banner Student and the Banner Faculty and Advisor Self-Service for more information. Grade mode controls in Faculty and Advisor Self-Service This enhancement allows an institution to control the grade mode to be displayed for midterm and final grades in Banner Faculty and Advisor Self-Service. An institution may prefer to not allow faculty members to view grades for the grading modes the students selected during registration. You can use this control to set up the display of alternate grading modes for use by the faculty in Faculty and Advisor Self-Service. The grade mode that is displayed in Self-Service is dependent on the value in the Web Display Grade Mode field on the Grading Mode Validation Form (STVGMOD). Faculty and Advisor Self-Service uses the value in this field to build the list of grades displayed to the faculty members on the Mid Term Grades page (bwlkfmgd.p_facmidgrd) and the Final Grades page (bwlkffgd.p_facfingrd). The values entered in the Web Display Grade Mode field must exist in the STVGMOD table. When the Web Display Grade Mode field is left blank, grade mode controls are not used. Alternate grade mode on STVGMOD Use the Web Display Grade Mode field on the Grade Mode Validation Form (STVGMOD) to substitute the actual grade mode with one that will be displayed on the Web in Banner Faculty and Advisor Self-Service. (This corresponds to the STVGMOD_GMOD_CODE_WEB column on the STVGMOD table.) The grade mode displayed in Faculty and Advisor Self-Service will be different from the mode the student selected during registration. When a Web Grade Mode Display value exists on STVGMOD for the grade mode selected by the student during registration, only the grades using the substitute Web display grade mode are displayed when the faculty member is grading that student from May 2012 Banner Student Alternate Grade Display

28 Self-Service. To enable this, the Internal Code of GMODGRD must have the External Code set to Y on the Crosswalk Validation Form (GTVSDAX). Note Grade substitution processes are not impacted by this processing. If rules are set up so that the entered grade is substituted during the roll to the Academic History, grade substitution will still take place. Mid-term grading You can define whether mid-term grades are required for students on the Mid Term Grades page (bwlkfmgd.p_facmidgrd) in Banner Faculty and Advisor Self-Service. The page will only display students who require a mid-term grade to be entered by faculty members. The display of students is based on the GTVSDAX MIDTERM rule for the grade comment code on the SFRSTCR table. You can add a grade comment code to STVGCMT for mid-term grades, and then check the Web Indicator for the code. This code is displayed in the Grade Comment field on SFASLST. Note If the MIDTERM rule is created and no students in the course have the mid-term comment code entered in the SFRSTCR table, the following error will display when the faculty member attempts to assign the midterm grades using Faculty and Advisor Self-Service grading: There are no students to grade in this CRN. Use the MIDTERM rule for the Internal Code of GRADING to select the students with the appropriate grade comment code on the SFRSTCR table for display in Self-Service for mid-term grading. Faculty members may provide mid-term grades for these students, but other students in the class without the comment code will not be displayed for grading. If you set the rule to Y, the mid-term grade comment code is required. Only students that require the grade are displayed to the faculty member for mid-term grading. If you set the rule to N, the mid-term grade comment code is not required. All students in the class roster are displayed to the faculty member for mid-term grading. If you set the rule to a value other than N, the mid-term grade comment code is required. Only students with the appropriate grade comment code are matched with the GTVSDAX code and displayed to the faculty member for mid-term grading in Self-Service. 28 Banner Student May 2012 Alternate Grade Display

29 Changes for This functionality has been updated for problem resolution 1-12WJEK3. The existing functionality allows an institution to determine which grades, by grade mode, are displayed to a faculty grader when using the Banner Faculty and Advisor Self-Service Mid Term Grades page (bwlkfmgd.p_facmidgrd) and the Final Grades page (bwlkffgd.p_facfingrd). STVGMOD is used to identify the alternate grade mode that faculty member sees when recording mid-term and final grades. Banner Faculty and Adviser Self Service uses special functionality to record a final grade when the Incomplete Grade Ind is checked for a grade code on SHAGRDE. When a grade is designated as incomplete, and an incomplete final grade is entered on the Final Grades page (bwlkffgd.p_facfingrd), the Incomplete Final Grades page (bwlkffgd.p_faccommitfingrd) is displayed. When rules exist on SHAINCG that permit a faculty member who is grading a class to alter the default final grade defined on SHAGRDE, the faculty member should be able to use the pulldown list on the Grade field for the default grade on the Incomplete Grades page (bwlkffgd.p_faccommitfingrd) or the Incomplete Grades Summary page (bwlkincg.p_facincmpgrdsum). This pulldown list displays only those grades associated with the grade mode that is established by the rule on STVGMOD. The Incomplete Grades page (bwlkffgd.p_faccommitfingrd), the Incomplete Grades Summary page (bwlkincg.p_facincmpgrdsum), and the BWLKINC1 package have been modified to add the alternate grade mode functionality for incomplete grade processing. 31 5 Miscellaneous Enhancements The following enhancements are discussed in this section: Updates from problem resolutions Procedures and routines used on SAAECRL Setting the prerequisite checking method in Catalog and Schedule Updates to SHATCKN for unrolling grades Audit user ID in Self-Service Table changes for Attendance Tracking Updates from problem resolutions The following changes have been made as part of resolutions to reported defects. Procedures and routines on SAAECRL 1-B2YN6L There was no method available to only update a null SSN when performing the Admissions push process. When SAAECRL procedure P030, routine R0270, Overwrite Existing SSN, was set to Required and Override, it updated a null or existing value. But when the rule for P030, R0270 did not have Required and Override checked, and the existing SSN was null, the push process did not populate the data with an incoming SSN. It should have updated the existing null value with the incoming SSN. When the rule for P030, R0270 did not have Required and Override checked, the incoming SSN was pushed only if the existing person did not have an SPBPERS record. If the incoming record was matched to an ID with an existing SPBPERS record, the incoming SSN was not pushed. (The SSN remained blank on existing record.) The following changes have been made. 32 A new R0050 routine has been added to the P030 procedure on SAAECRL for the Web Application Type of 00. Routine R0050, with the description SSN Established, is used to update the social security number of an existing record with a Null SSN when the Required indicator is checked (Y). Routine R0270, Overwrite Existing SSN, will update a Null value and overwrite an existing value when the Required indicator is checked (Y). Using a combination of settings for the Required indicators determines how existing Banner records are updated when a Self-Service application is processed. If there is no SPBPERS record for an existing person, the SSN will always be updated, even if the Required indicator for routine R0050 is unchecked (N). 33 Setting the prerequisite checking method in Catalog and Schedule 1-UNLRH3 Multiple issues existed with CAPP area prerequisites. 1. When the user added a CAPP prerequisite on SCAPREQ/SSAPREQ without setting the Prerequisite Check Method to CAPP, the form allowed the changes to be saved with the radio group set to Basic or None. A warning should have been issued, because this could have allowed a student who did not meet the prerequisite to successfully register for the course. 2. When the user set the Prerequisite Check Method to CAPP without defining any CAPP area prerequisites, then exited the form with the change pending, the change could be saved by replying Yes to the prompt to save the changes. Note Users may want to add CAPP area prerequisites without setting the Prerequisite Check Method radio group to CAPP. They can set the radio group later on, when they are ready to use prerequisites. Because of this, the setting of the field is not forced in Banner. However, a warning should be issued to alert users that CAPP area prerequisites have been defined, but the Prerequisite Check Method radio group has not been set to CAPP. Here are some use cases that pertain to this updated processing. Catalog Prerequisite and Test Score Restrictions Form (SCAPREQ) 1. When the Prerequisite Check Method is set to Basic or None and CAPP area prerequisites exist, a warning is displayed when the user saves, performs a Rollback, or exits from the form. The warning appears even if no changes have been made to the record. The warning message is: WARNING: CAPP area prerequisites exist, but the CAPP prerequisite check method is not selected. The user must acknowledge this message to continue. 2. When the Prerequisite Check Method is set to CAPP and no CAPP area prerequisites exist, an error message is displayed when the user saves, performs a Rollback, or exits from the form. The error message is: No CAPP area is associated with this course. Either add a CAPP Area prerequisite or select Basic or None. The user must acknowledge the message to continue. 3. When the Prerequisite Check Method is set to CAPP for a section and no CAPP area prerequisites exist, and the Copy button is used to copy data to a new section, the Prerequisite Check Method is set to Basic or None for the new section. When the term in the Key Block is the same term from which the section is being copied, the associated prerequisites and the setting of the Prerequisite Check Method radio group are copied from the section records on SSASECT and SSAPREQ. However, when the term in the Key Block is different than the term from which the section is being copied, the associated prerequisites and the setting of the Prerequisite Check Method radio group are copied from course records on SCACRSE and SCAPREQ that are active for the term in the Key Block. Basic Course Information Form (SCACRSE) 1. Users cannot modify the setting of the Prerequisite Check Method radio group on this form, because they cannot view or modify the prerequisites on this form. 2. When the Prerequisite Check Method is set to CAPP for a course and the Copy button is used to copy the course to a new term, and CAPP area prerequisites exist for some but not all terms in the term range for the new course record, a warning message is displayed. The warning message is: WARNING: Prerequisite Check Method is set to CAPP, but CAPP Area prerequisites are not active for some terms within this term range. Review on SCAPREQ. The user must acknowledge the warning to continue. 5. When the Prerequisite Check Method is set to CAPP for a course and CAPP area prerequisites exist for some but not all terms in the term range on the course record, and the user makes a change to the record and then saves the record, a warning message is displayed: WARNING: Prerequisite Check Method is set to CAPP, but CAPP Area prerequisites are not active for some terms within this term range. Review on SCAPREQ. The user must acknowledge the warning to continue. Unroll grades on SHATCKN Changes have been made to the Course Maintenance Form (SHATCKN) that extend the data that is updated when a graded and rolled course is deleted from the form using the Remove Record function. In addition to removing the course from the academic history tables, the grade and grade date are also removed from the registration table. The course is now unrolled from history, rather than just deleted from the academic history tables. When a student registers in a course and receives a grade, that grade is then rolled to history. The grade date is populated, which in turn sets the Rolled indicator to checked (Y) on the Class Roster Form (SFAALST) and the Class Attendance Roster Form (SFAALST). This also changes the value displayed in the Rolled column for final grades in Banner Faculty and Advisor Self-Service to Y on the Final Grades page (bwlkffgd.p_facfingrd), the Incomplete Grades Summary page (bwlkincg.p_facincmpgrdsum), and the Incomplete Final Grades (bwlkffgd.p_faccommitfingrd). 36 Previously, when a course was deleted from SHATCKN, the following occurred: The Grade and Grade Date field values were unchanged in the SFRSTCR table. The grade was still displayed on SFAALST and SFASLST. The Rolled indicator was still checked (Y) on SFAALST and SFASLST. The grade could not be changed. Now, when the Remove Record function is used to delete the course from SHATCKN, the Grade and Grade Date field values are removed from the SFRSTCR table and are no longer displayed on the SFAALST and SFASLST forms. In Banner Faculty and Advisor Self-Service, N is displayed in the Rolled column for the student in the course on the Final Grades page (bwlkffgd.p_facfingrd), the Incomplete Grades Summary page (bwlkincg.p_facincmpgrdsum), and the Incomplete Final Grades (bwlkffgd.p_faccommitfingrd). The grade that was rolled to history prior to the removal of the record in SHATCKN can still be viewed using the Registration Audit Form (SFASTCA), should the user need to see the original grade. Audit user ID The Banner Web Tailor 8.2 release introduced a new parameter to capture and store the Banner user ID of the user making changes to records in Banner Self-Service pages. This allows for the auditing of Self-Service data changes. The Banner Web Tailor release introduced a new procedure and function in GOKSELS to allow the Banner ID to be retrieved in a non-web Tailor trigger. This allows objects that are used by Self-Service but that do not call Self-Service packages to access the Banner user ID. Please see the Banner Web Tailor 8.2 and the Banner Web Tailor for more information on the initial delivery of these changes.
