2 Family Base Query It is much easier to have something already started then to start from scratch every time. By making a base query you can use it to build other queries from to make creating future queries faster and easier. Today we will build a base query for families. Select our desired information This can be done using the Column Picker or selecting [Add a new column] link in the Results Columns o Families - Last Name o Families - First Names o Families - Contact Info - Primary Address 1 o Families - Contact Info - Primary Address 2 o Families - Contact Info - Primary City o Families - Contact Info - Primary State o Families - Contact Info - Primary Postal Code o Families - Contact Info - Primary Phone o Families - Contact Info - Address Use the Sorting o Families - Last Name o Families - First Names Choose the Query Conditions o Use the [Add a new condition] link o Families - Is Registered - [select value] = Yes o Organization - Organization ID - [enter value] = organization id on login information card beside your computer Note that you can also o Choose the number of results o See only unique records o Export your results to a CSV file (Excel) o Mail Merge to your results o Expand the results to full screen Click Save Query o Name - Family Base Query o Global - check the box o Description - Basic family information from which to build other queries o Click OK to the message box o You will now see your query in both My Queries and Recent Queries
3 Offering Query The Finance Committee needs a report of contributions by family from We need a list of all contributions given in 2010 to any tax-deductable fund summarized by family. Start with your Family Based Query Add columns using the Results Columns area o Contributions - Payment Amount Change the Result Column from a simple column to an aggregate function o Click the f (function button on the right of the result column and Select Aggregate function o Change the aggregate from Count to Sum Add Contributions - Payment Amount to your Column Sorting In Query Conditions add o Contributions - Payment Date set your start date for 01/01/ :01:00 and an end date of 12/31/ :59:00 and tab out of the fields before entering the next. o Funds - is Tax Deductable [Select Value] - Y Ministry Scheduler Query The Ministry Coordinator wants to know how many ministers are using My Own Church by seeing who has set their ministry preferences. You need a list of which ministers have ministry preferences set. Select New Query Click No to allow for the new query to be made without saving the last query Add new column to the Results Columns o Ministry Scheduler- First Name o Ministry Scheduler - Last Name o Ministry Scheduler - MinistryGroupDescription o Ministry Scheduler - MinistryDescription o Ministry Scheduler - MinisterMinistryPreferences_RecordActive The Column Sorting should be o Ministry Scheduler - MinistryGroupDescription o Ministry Scheduler - MinistryDescription o Ministry Scheduler - Last Name o Ministry Scheduler - First Name Query Conditions o Ministry Scheduler - MinisterMinistryPreferences_RecordActive = True
4 Extra Queries and Features Sacramental Query We need to see children between the ages of 8 and 15 that have First Eucharist record with no Baptismal Record 1) Select New Query 2) Select our desired information in Results Columns Members - Last Name Members - First Name (Informal/Nickname) Members - Age Sacraments - Eucharist is Completed Sacraments - Eucharist Date Completed Sacraments - Eucharist Parish Name Sacraments - Baptism is Baptized 3) Column Sorting Members - Last Name Members - First Name (Informal/Nickname) 4) Query Conditions Members - Age Click is equal to select is between Enter values 8 in first box and 15 in second box (tab out of the field before selecting second age and then tab out of the second age field) Sacraments - Baptism is Baptized - [Select Value] = False 5) Mark Unique Records Only Add Columns 1) In Results Columns Families - Last Name Families - Mailing Name Families - Contact Info - Primary Address 1 Families - Contact Info - Primary Address 2 Families - Contact Info - Primary City Families - Contact Info - Primary State Families - Contact Info - Primary Postal Code 6) Reorder Columns (Results Columns) Click the arrow beside Members - First Name (Informal/Nickname) - select Move Up 7) Mark Unique Records Only
5 Exporting Results to Excel There always seems to come a time when someone wants a list electronically. Exporting Query Results from ConnectNow IQ is an easy way to get that list. 1) With the Query results from before, click on Export to CSV Mail merging results Sometimes we need to communicate with the families or members that are listed in the results of one of our queries. Mail merge is an easy way to do so. 1) Using the results from the Offering query we just built. 2) Click on the Mail Merge button in the Query Results area. Further information on the communications areas can be found in the ConnectNow Family Directory user guide under help menu of ConnectNow Family Directory or in the ConnectNow Family Directory Workgroups and Communication virtual training class. Generate Address List Sometimes we need to immediately communicate with the families or members that are listed in the results of one of our queries. Generating Address List is an easy way to do so. 1) Add an Address to the Results Column of your Query. 2) Click on the Generate Address List option in the Query Results area. 3) IQ will display the results including: Total Number of Results Results with an Address Results without an Address Duplicate Addresses 4) Click the Send Webmail to communicate with those with an address. Creating Family Workgroups Sometimes it s just easier to work with a Workgroup! You can now use ConnectNow IQ to compile a list of Families with something in common, but work with that Workgroup outside of IQ. 1) Add the FamilyDUID to the Results column of your query 2) With the Query results from before, click on Create Family Workgroup Creating Member Workgroups Is your query Member based rather than Family based? You can create a Member Workgroup from your query 1) Add the MemberDUID to the Results column of your query 2) With the Query results from before, click on Create Member Workgroup Remove or Temporarily Disable a Query Condition When we get a query built we can find that a condition we set may not meet the needs that we currently have. By changing or temporarily disabling a condition within a query you can add or remove results to your list easily. 1) In Query Conditions uncheck Families is Registered Click - notice the number is now higher than the number we saw earlier of our registered families
